Purpose of the Role
The core purpose of Finance and Office Assistant’s role is to support the Finance and Resources team at Chance to Shine. The Finance and Resources team provide day to day support to all departments in the charity and trading subsidiary, Chance to Shine Enterprises Ltd, around finance, office, HR and general administration.
Key Responsibilities
The Finance and Office Assistant’s responsibilities include:
Finance
- Recording and analysing income and expenditure and posting transactions onto SAGE 50 Accounts
- Banking cash and cheques received
- Raising invoices and monitoring debtors
- Administering invoice approval and payment processes
- Operating expense claim procedures and payments
- Support delivery partner expenditure review process
- Support Finance & Resources department as required with ad hoc administrative support
Office Administration:
- Oversee and monitor the Office and Administration budget.
- To ensure that the general office space is always fully operational including collecting and distributing incoming post and keeping postage, printing and stationery supplies readily available.
- To liaise with the Kia Oval, regarding the general office space, car-parking, meeting rooms and staff accreditation.
- Help manage storage space at Kia Oval and offsite.
- To oversee day-to-day compliance with health & safety obligations at the Chance to Shine Kia Oval office. To include duties such as: fire and general office risk assessments and maintenance of incident log.
General support
- To provide administrative support for HR processes, including drafting letters and maintaining employee records.
- To manage the process of inducting new employees to CTS, including managing office and IT requirements.
- To help monitor the charity inbox and respond to general enquiries.
- To take minutes at Chance to Shine Board and Committee meetings.
- To provide diary support to the Chief Executive.

As Administrative Assistant Theory Examination, you will be responsible for providing administrative support for the successful operational delivery of College examinations, along with contributing to the development and implementation of IT systems and processes to enhance the College’s service.
Acting as first point of contact for UK and overseas examination candidates, the Administrative Assistant is an integral role within the Education and Training Division, in which you will provide effective customer service to candidates from application to the delivery of results.
Reporting to the Theory Examination Lead, you will ensure the accurate allocation of candidates to centres, processing of examination and application entries and processing the payments. You will also check, organise and send results to candidates upon completion.
In addition, you will also assist in the development and implementation of improved systems and processes using new and existing technology/software platforms, including the College website, booking system, databases and exam delivery platforms.
Educated to a good standard and with excellent interpersonal skills, you should have substantial administrative and customer service expertise along with the ability to accurately deal with a high volume of critical data and financial records. You should also be a strong team player who is able to multi-task and liaise efficiently and effectively with a wide variety of internal and external stakeholders.
A background in exam administration, education or training, or experience of working in, and supporting the work of, a membership body would be advantageous.
The Administrative Assistant Theory Examination will occasionally be required to travel both inside and outside of London, with overnight stays needed as appropriate. Arranging induction meetings for new staff including carrying out health and safety inductions

Recording staff sickness on BreatheHR, the HR software, updating online HR forms and staff handbook

Candidate Profile

Experience of reception duties and office management

Experience in Google Suite (Gmail, Drive, Docs and other systems (Excel, Zoom and Slack) would be helpful

Understanding of IT systems and an interest in working closely with the IT service company and supporting colleagues with IT issues

Excellent communication skills, both orally and written
