About the role
We are looking for a Press Office Assistant to help us make, break and react to some of the biggest science stories in the national news. This is an office-based role in a fast-moving, open-plan team based in the Wellcome Collection building.
The Press Office Assistant will take responsibility for the logistics of this busy press office. They will help the press officers to efficiently run multiple press briefings a week, monitor the media for controversial stories about science, and help to evaluate the impact of the SMC’s work. This is not a Press Officer role, but everything you do will be aimed at supporting the SMC team at the SMC to ensure the news media get access to accurate, evidenced-based science when science is in the headlines.

The right candidate for this job will be someone who wants a career in science communication and is prepared to start by offering their exceptional organisational skills to support those on the front line, including the Chief Executive. We’re looking for a hard-working, outgoing individual who will thrive in a fast-paced environment where the ability to demonstrate initiative and keep a clear head will be essential. On top of that, you should be genuinely excited by the SMC’s work, across both science and the media and where they intersect, and curious about the stories we engage with. We want an enthusiastic individual with good judgement who is excited to learn the ropes and develop their skills in a small but high-impact office.

We are looking for a high-calibre candidate to join as Office Manager and Executive Assistant. You will be the main point of contact for our Senior Management Team, Trustee Board and Advisory Panel members and have the inside track on how the charity plans and implements both its strategic growth and its day-to-day operations. You will also act as Office Manager in our Head Office, and be part of our Facilities Team supporting our sites across the network.
The role is challenging and varied. The role at a glance
Contract: Part-time (30 hours per week), permanent

Working hours:
30 hours per week (typically 4 days per week, 09:00 to 17:30, but alternate patterns can be discussed with candidates)
We are a delivery organisation providing frontline educational services for young people. Our Head Office team is based on the site of our North Kensington centre in West London. Salary: £40,000 per annum pro rata (including £2,800 London contribution)

Key Responsibilities
- In close collaboration with the Head of the CEO’s Office, provide diary management for the CEO, ensuring time is prioritised effectively against organisational objectives.
- In collaboration with the EA to the COO and Board, provide administrative and scheduling assistance to the Chief Operating Officer, Finance Director, and the Board of Governors as required and directed.
- Coordinate comprehensive end-to-end travel arrangements for the CEO and COO. This includes the preparation of itineraries, visa applications, and the collation of detailed briefing documents and meeting agendas.
- Act as the primary point of contact for the Executive Office; meet and greet visitors with professionalism and manage catering requirements.
- Assist in the delivery of internal and external Executive Office events, managing venue protocols, catering, technical production, and on-site logistics.

- Highly organised, with the ability to create and maintain effective administrative procedures and systems.
- Is a team worker and is able to communicate effectively and establish good working relationships with people at all levels, and is confident when dealing with challenging and sometimes conflicting priorities.
