About the Role

Rooted Finance is seeking a proactive and organised Administrative Assistant to join our Operations Team on a 6-month fixed-term contract to provide maternity cover.

This is an exciting opportunity to join a growing organisation and play a key role in supporting the smooth running of our day-to-day operations. Working as part of a small and collaborative team, you will provide essential administrative support to the CEO, Board of Trustees, management team and wider organisation.

The successful candidate will be responsible for coordinating meetings, managing diaries, preparing documents, taking minutes, maintaining records, supporting recruitment and onboarding processes, assisting with financial administration and helping to ensure effective office operations.

Key Responsibilities

• Provide administrative and secretarial support to senior leaders, including diary management, meeting coordination, agenda preparation and minute taking.
• Support the smooth running of organisational operations, including document management, filing systems, internal communications and office administration.
• Assist with recruitment administration, onboarding and maintaining accurate records.
• Support financial administration, including invoices, expenses, and reporting.

Lead the operations, governance and compliance that enable Solving Kids' Cancer UK to deliver its mission and impact for children and families affected by neuroblastoma. Reporting to the Chief Executive, you will play a critical role in ensuring the charity operates effectively, compliantly and sustainably.

This broad and varied leadership role spans governance, risk, HR, IT, data protection and organisational operations, supporting delivery of the charity's strategy through robust systems, policies and processes. Acting as Company Secretary, you will work closely with the CEO and Board of Trustees, providing advice on governance, regulatory requirements and best practice. About the role 

The Administrative Assistant plays a key role in supporting the effective delivery of services,  projects, events and member communications across the organisation. Working closely with the  Head of Services and colleagues across teams, the postholder will provide high-quality  administrative, project and operational support, helping to ensure services run efficiently and  members receive excellent support and communication. 

This is a varied role requiring excellent organisational skills, attention to detail, strong  communication abilities and the capacity to manage multiple priorities. 

Key Responsibilities 

Services Administration 

• Provide administrative support for the planning, delivery and evaluation of webinars and  online events.

• Support the production and distribution of Fragile Links, including content coordination,  proofreading, scheduling and publication processes. 

• Assist the Head of Services with the administration and project management of  conferences, events and service-related projects. 

• Maintain accurate project records, databases and documentation. 

• Updating information on the website when requested

Project Administration 

• Provide administrative support for partnership projects

• Coordinate member communications relating to projects and programmes.

Membership and Member Support 

• Support colleagues with membership communications and messaging when required. • Assist with member enquiries and administrative requests.

Volunteering and support groups

• Support the Head of Services managing volunteer requests and meetings

• Run induction meetings for new volunteers

• Manage and promote the support group meetings across the platforms

Cross-Team Administration and Support 

• Provide customer service support for the online shop, including responding to customer  enquiries and assisting with product updates.

Location: Hybrid working. Purpose of this role

This role is the main point of contact for staff for all people & operations support. It is crucial in providing the systems and support that NEON staff rely on to do their best work by:

• owning NEON people and operations  policies and ensuring they are understood and applied consistently and equitably across the organisation;

• guiding staff through people processes;

• overseeing the smooth running of operations  systems across the organisation.

What you’ll be doing: 

1. Lead the full lifecycle of NEON staff, including recruitment, contracts, onboarding, ongoing management, and offboarding, while overseeing and supporting the Ops Assistant to run these processes. Lead on reviewing and improving people processes and ensure anti-oppression is embedded within them.

2. Manage HR systems and records, including contracts, payroll inputs, leave, training, appraisals, probations and policy implementation, ensuring processes are accurate, well maintained and completed on time by line managers.

3. Act as first point of contact for HR queries, taking ownership of NEON’s policies, processes, culture and employee relations. Advise staff and line managers on policies, accommodations, and support needs, conduct relevant HR meetings and escalate to the Director of Ops and People when appropriate.

4. Manage monthly payroll, submitting updates to the outsourced provider, checking accuracy of pension and other deductions, implementing pay increases and paperwork, and addressing staff payroll queries or signposting them to financial guidance.

5. Line manage the Operations Assistant to a high standard using the full spectrum of management tools and approaches e.g. mentoring, coaching, challenge and feedback using the feedback guidelines, more formal performance processes. Empowering them to thrive at NEON and perform their role excellently.

6. Oversee day-to-day operational support functions delivered through the Ops Assistant, including IT and systems, GDPR processes, office and facilities coordination, health and safety, staff event logistics and board logistics, ensuring tasks are completed on time and to a high standard, following NEON’s values.

7. Support the Director of Ops and People in developing and updating people policies, procedures, and practices, staying across emerging trends, and embedding a caring, anti-oppressive culture through organisational development projects such as internal comms, team guides, manuals, and frameworks.

8. Maintain core organisational administration, including Companies House filings, insurance renewals, subscriptions, and shared organisational inboxes.

9. Participate or lead on Operations projects as agreed, (e.g. HR systems, data protection, health and safety), with clear scope and prioritisation.

10.  Actively lead on the enhancement of the Ops Peer Support Network’s community of practice as part of implementing the network strategy.

11. Play an active part in the whole NEON team, contributing to organisation-wide plans

Who you are: 

• HR & people ops experience: You’ve worked in HR or people operations before and are confident managing the full employee lifecycle — recruitment, contracts, onboarding, performance, leave, payroll coordination and offboarding. You can hold these processes end-to-end and keep them accurate, consistent and compliant, whilst ensuring they align with the values and ways of working.

• Operational systems & improvements: You’ve held responsibility for systems like HR platforms, shared drives, IT tools or project management software. You’re confident in improving how things work and embedding changes so they actually stick and work for people.

• Strong organisation & reliability: You’re highly organised, detail-focused and someone who gets things done. You can manage multiple recurring processes (like payroll cycles, HR records and compliance tasks) and keep everything on track without things slipping.

• Line management experience: You’re a skilled and confident line manager, and able to support with feedback, development and performance. You know how to balance care with clarity and accountability.

• First point of contact for HR & ops support: You’re comfortable being a go-to person for staff questions on HR, people and operations. Supporting staff and managers with clear, practical guidance and handling sensitive issues with care, confidence and professionalism.

• Working knowledge of compliance areas: Good understanding of core compliance areas such as UK employment practice, data protection and health and safety. You know how to apply these in a proportionate, practical way that fits a small organisation.

• Self-directed and collaborative: You’re able to manage your own workload and priorities, whilst working naturally across teams, actively building relationships, sharing responsibility, and making sure work is joined up rather than siloed. You’re comfortable holding your own while staying deeply connected to the wider organisation and what others need from you.

Location and Working Hours

This is a home-based role with flexible remote working arrangements. Regular travel across the UK is required to support conferences, trustee and committee meetings, planning days, and other organisational activities. Church Action on Poverty is a small, national charity working alongside people in poverty to build dignity, agency and power, and to end poverty in the UK. We're looking for a Finance Assistant to join our friendly finance team and help keep our organisation running smoothly.

You will be a talented Executive Assistant, providing high-level support to their Chief Executive, Board and wider leadership team. Key Responsibilities:

• Manage complex diaries, schedules and travel arrangements for the CEO, as well as screen and prioritise communications, ensuring effective management of competing priorities.
• Facilitate communication between the CEO and internal and external stakeholders.
• Prepare reports, presentations, correspondence and other key documentation.
• Support internal communications and social media messaging on behalf of the CEO.

Job Purpose

The Executive Assistant will provide administrative and internal and external stakeholder management support to the Executive Director.  The role will also provide some support to the Director of Finance and Administration, and the wider team.

Eligible candidates should be extremely organised, have excellent communication and the confidence to independently manage a wide variety of tasks and stakeholders.  They must have relevant experience in supporting executive roles and be enthusiastic and proactive in completing a wide variety of vital tasks independently.

The position will be hybrid, with 3 days per week (Tues-Thurs) based in Oceana’s UK offices in Newquay, Cornwall or Paddington, London.  Regular national, and occasional international, travel will be required to meet team members and stakeholders in geographically diverse locations, including Washington, DC.

Responsibilities

• Support the ED to align time, attention and decision-making with organisational priorities, ensuring focus on high-impact work.
•  Provide diary support to the Executive Director, including coordination of meetings, focus-time, effective travel planning, and other cross-team calendar management.
• Provide inbox management support to the Executive Director, assisting with task and diary prioritisation.
• Provide administrative support to the Executive Director, including travel bookings, expense reporting, and credit card statement reconciliations.
• Act as the first point of contact for the organization, including monitoring and responding to email inbox.
• Provide a liaison point between the ED and senior leaders, staff, and external stakeholders, ensuring timely follow-up, actions, and clear communication.
• Proatively coordinate and manage correspondence, briefings, meeting memos, departmental reports, and presentations on behalf of the Executive Director, ensuring timeliness, accuracy, and alignment with the ED’s voice.
• Attend meetings to capture notes and follow up actions, ensuring these are circulated and completed.
• Use a high degree of tact, judgment, and strong interpersonal skills to address timely correspondence, minimizing handling by the Executive Director.
• Manage occasional internal and external events (in-person and virtual), including planning and managing vendors, venues, online platforms, guestlists and invites, run of shows.

• Arrange couriers, order office supplies, and support the Director of Finance and Administration with other office administration as required.

• Support Director of Finance and Administration with co-ordination of occasional full team events, and manage team travel bookings for international meetings.
• Assist the Director of Finance and Administration with other general financial, office and HR administration tasks.
• Travel occasionally, both nationally and internationally, to meet with team members and wider internal and external stakeholders.

Requirements

• At least 5 years of professional experience in executive assistant roles (essential), ideally with some experience and understanding of an NGO or Not For Profit working environment.
• Alongside required professional experience, proven relevant training courses and certifications will be advantageous, e.g.  IEAA, Prince 2 or equivalent.
• Excellent computer skills, including confident proficiency in Microsoft Office Suite, especially Word, Outlook, Powerpoint and Excel.
• Demonstrable experience in project delivery and project management methods.
• Some previous experience of events planning and management is preferred.
• Ability to represent Oceana UK in a professional, diplomatic, and responsive manner.
• Excellent written and verbal communication with wide ranging internal and external stakeholders, and ability to communicate on behalf of executive leadership with clarity and credibility.

The Constitution Society is an independent educational foundation founded in 2009. 

We promote public understanding of the UK constitution and work to encourage informed debate between legislators, academics and the public about proposals for constitutional change. The Role

We are seeking an organised, proactive and dependable Office Manager to help ensure the smooth running of the Constitution Society. Working closely with the executive team, you will play a central role in the day-to-day administration of the charity. This is a varied position combining office management, executive support, governance administration, financial administration, communications and event management. Key Responsibilities

Office and Operations

• Manage the day-to-day operation of the Society's Westminster office.
