Position Overview

We are excited to offer an excellent opportunity for an entry level development professional who is interested in gaining skills in operations and administration areas, to join SEED Madagascar (SEED) as our Operations and Administration Officer. 

SEED Madagascar is a UK charity dedicated to creating long-term, sustainable change in partnership with communities in the southeast of Madagascar. We integrate high-quality community health, WASH, education, rural livelihoods and conservation programmes, while contributing to international best practices through research and publications.

This role is an office-based role within a team of national and international staff with occasional support in the field to our Conservation Research Team. This post is at the heart of our mission, and the diversity of activities undertaken will provide  wide-ranging experience for an early career development professional who can effectively and efficiently deal with a comprehensive range of tasks related to the complex world of overseas development.

This position is ideal for someone who is passionate about providing a wide range of support to SEED’s team including providing high quality administrative support across the policies and procedures, managing the recruitment of international staff, leading on onboarding for incoming staff and our marketing and support of our short-term conservation programme volunteers.

Title: Operational Support Intern - change of title and responsibilities to Operational Support Junior Officer subject to passing 3-month probationary review.

Location: Fort Dauphin, Madagascar

Commitment: 12 months; Monday to Friday (35 hours a week)

Salary: Voluntary for 12 months, with stipend of 800,000 MGA per month towards accommodation and a contribution of £650 towards insurance

Duties and Responsibilities:

1. Provide pre-departure logistical support and advice with visas, hotels, flights, accommodation, medication etc to new international staff and short-term conservation volunteers

2. Lead on supporting international staff during their initial time with SEED including arrival, orientation, social inclusion, cultural understanding, housing and integration into the SEED team 

3. Provide pastoral care, working with line managers to ensure that new and existing international staff and volunteers’ wellbeing is supported 

4. Support the Conservation team in Sainte Luce on providing orientations and pastoral care of volunteers when required

5. Support the Communications team with advertising the volunteer programme and helping volunteers to increase their fundraising efforts

6. Support on creating, editing and writing website content and resources to ensure organisational and project information is up-to-date

7. Support on the recruitment of international staff, including the advertisement of vacancies

8. Assist in the preparation of reports for internal and external audiences including Annual Reports and Malagasy Ministry reports

9. Work with the Director of Operations and Programmes, and the International Operations Manager in developing, updating and implementing organisational databases, systems, policies and procedures across the NGO

10. Oversee the training schedule for international staff and work alongside national and international staff to increase their skills and capacity, providing mentoring or training where appropriate

11. Work alongside the IT Officer to provide basic IT and equipment management support 

12. Support with the writing of minutes and note taking across the organisation

13. Support project teams where required to develop systems to manage donor compliance, or support with financial or administrative reporting requirements

14. Ensure all of SEED’s policies and procedures are evident throughout the work of the department, including those for safeguarding, whistleblowing and anti-corruption, and undertake continual training to ensure these are always promoted

15. Assist with administration tasks and any other tasks required by the International Operations Manager or Director of Programmes and Operations in line with the tasks of the post

Required Skills & Experience/Person Specification 

• Hold an undergraduate degree in or relating to Business or Development or be able to demonstrate a passion for this area

• Be able to work independently and be proactively

• Have good all round computing skills and experience in Microsoft Office 

• Have previous experience working to deadlines and have ability to successfully manage their time

• Communicate clearly and engagingly in written English across a range of media forms

• Communicate verbally to encompass the range of cultures you will be working with

• To have a good level of written English and be able to proofread documents to a high standard

• To have a curious mind and a patient, problem solving attitude

• Ideally have previous experience living, working or travelling in a developing country, though is not essential

• Be fluent in English. A working knowledge of French is desirable but not essential

• Be capable and comfortable adapting to life in a least developed country with sometimes basic living conditions

• Be comfortable with campsite conditions whilst supporting the team in the field for days at a time

• Be able to work and socialise within a small group of people and to be respectful and take personal responsibility for maintaining a good reputation for the NGO in the community

• Be able to adjust to life in another culture and a foreign language and be able to always work with cultural sensitivity

• Demonstrate the ability, social skills and confidence to give clear guidance and support to other members of the team in respect of the philosophy and procedures of SEED to protect both their safety and the reputation of the NGO.

Information and Advice Service: The Information and Advice service for older people provides a free, confidential, and independent service for anyone aged 65+ living in Bromley and 50 + in Greenwich. Our advisors provide general advice on a range of subjects: employment rights, welfare benefits, housing, consumer rights and adult social care.

Role Summary: Provide information and signposting to older people living in Bromley and Greenwich and provide admin support to the Information and Advice Team, helping to keep the information resources up to date.

What will I be involved in?

• Answering calls and basic enquiries coming into our Information and Advice Service, full training is provided. Present and discuss information with the client in an accessible manner.
• Committed to researching and providing up to date information to vulnerable older people using the internet and other resources.
• Identify and research information relevant to the user’s situation, drawing on resources available.
• Being online and knowledgeable of Microsoft packages and the use of emails
• Liase closely with the Advice Case Supervisor, other advisors, and wider staff team. Seeking guidance and support where required.
• Successfully complete online training courses for Age UK Bromley and Greenwich volunteers.
• Participate in volunteer support meetings with the Advice Case Supervisor and any training on safeguarding adults and appropriate boundaries.
• At all times work in accordance with the organisation’s policies regarding Health & Safety, Equality & Diversity, Safeguarding Vulnerable Adults and Confidentiality & Data Protection. Lone working.
• Represent the professional standards of Age UK Bromley and Greenwich and ensure that you wear your volunteer id badge whilst volunteering.   

What skills and qualities will I need to have?

• Enjoys talking and helping our clients, 65+ living in Bromley and 50 + in Greenwich from a wide range of backgrounds.
• Good communication skills and confident at speaking to clients on the telephone
• Able to prioritise tasks with good time management skills.
• A commitment to ensuring that customers are provided with accurate relevant information and support. Interested in finding out more about social welfare law advice e.g. housing and welfare benefits.
• Be a good listener and have empathy with older people, being approachable and welcoming.
• Interested in learning and developing new skills required of the role. Demonstrate that you are interested in what the client has to say by communicating respect and warmth.
• Demonstrate a non-judgmental approach. The listener may personally disagree with the client’s opinions or actions but attempts to understand the client’s point of view and shows that they still value the client.
• Being able to maintain client confidentiality, understand the importance of keeping within the parameters of the role and have a good understanding of GDPR and Data Protection.

Learning and curriculum designers wanted to help East London Waterworks Park deliver its environmental learning goals.

East London Waterworks Park is a volunteer-led charity that has won a 2024 New London Architecture award and raised £2m towards buying land from the Department for Education to transform the 14-acre Thames Water Depot on Lea Bridge Road on the border of Waltham Forest and Hackney, into a new biodiverse park with natural swimming ponds, forest schools and community spaces. 

We are looking for volunteers to develop learning content and resources, such as lesson plans and educational materials, to support our environmental learning goals. This role will focus on creating school-friendly resources for our website and collaborating with educators to enhance our offerings.

The role would include:

• Developing online learning resources for our website (on-going project)
• Designing or tailoring existing lesson plans and activities for schools 
• Supporting the creation of ELWP’s Under 18s volunteering policy
• Supporting outreach efforts to promote ELWP’s existing learning programmes

We're looking for people to lead on these projects and facilitate the direction of the learning working group.

The Learning Circle currently meets monthly on a Wednesday evening at 8pm for an hour on Google Meet and spends voluntary time outside of the meeting completing agreed tasks remotely.

Ideal candidates have experience in curriculum design, teaching, or educational resource development. Creativity, strong writing skills, and an understanding of outdoor or environmental education will be valuable. Our roles are quite flexible. We hope that people bring radical imagination, peace with nature, and courageous inclusiveness to the role.  

Your support will help young people and learners improve their environmental knowledge of design and research as well as contributing to our community-owned park. This will in turn provide a sense of stewardship over the land once the park is created and student's ideas have been built into the park. Creating learning projects with educational institutions will also help our charity with the strategy to buy the land through showing the value of our environmental education programme before we create the park. 

You will have a significant impact on the creation of a new biodiverse community-owned park with free access natural swimming ponds. By volunteering in this role, you will help shape the future of East London Waterworks Park as a community-led environmental learning space. The Honorary Treasurer is a key voluntary post within Mountain Training England and the wider network of related mountaineering organisations. As a member of the Board of Trustees, the Treasurer shares the responsibility for overseeing the management of the organisation and implementing the strategic objectives of its members.

The Treasurer has an oversight role over all aspects of financial management, working closely with other members of the Board of Trustees to safeguard the organisation financially. They act as an informed reference point for the Chair and other Trustees.

Although it is the Treasurer’s responsibility to ensure proper financial records and procedures are maintained, much of this work is delegated to the Finance and Audit Sub-committee and paid staff.

Role of Mountain Training England Treasurer

• The Treasurer oversees the financial matters of Mountain Training England in line with good practice and in accordance with the governing document and legal requirements of the Charities and Companies Acts and reports both quarterly to the Board and to the Members at three Council meetings per year about the financial health of the organisation.
• The Treasurer ensures that effective financial measures, controls and procedures are in place.
• The Treasurer takes the lead on the formulation of policies for finances, reserves and investments.

Specific Responsibilities

• To oversee/verify and present budgets, accounts, management accounts and financial statements to the Board and Members after discussion with the Finance Committee. 
• To ensure that appropriate accounting procedures and controls are in place.
• To ensure that full and accurate accounts and records are kept.
• In conjunction with the Executive Officer maintain sound financial management of MTE’s resources, ensuring expenditure is in line with the charity’s objects.
• To ensure compliance with relevant legislation e.g. Companies and Charity legislation and contractual agreements with external agencies such as funders and statutory bodies

• Chairing the Finance and Audit Committee in line with its terms of reference and reporting back to the Board.
• Present the annual statement of accounts to the Members at the Annual General Meeting.
• To liaise with designated staff about financial matters.
• Advising on the financial implications of MTE’s strategic and operational plan.
• Ensure that the annual accounts are compliant with the current Charities Statement of Recommended Practice.
• Ensure any recommendations of the independent examiner are implemented.
• Contribute to the fundraising strategy of the organisation.
• Advise on reserves policy and investment policy.
• Ensure that there is no conflict between any investment held and the aims and objects of MTE or partner organisations.
• Ensure that MTE has sufficient liquidity to meet its future commitments.

 PERSON SPECIFICATION

ESSENTIAL SKILLS, QUALIFICATIONS EXPERIENCE

Considerable experience as a treasurer of similar sized organisations

Some experience of walking, rock climbing or mountaineering.

OR experience of controlling a budget in a small-to-medium-sized (SME) organisation/business

Have an interest in the development of the Mountain Training awards

Financial accounting and reporting experience

Experience of working with charity or educational body accounts

Recognised accountancy qualification e.g. ICAEW, ACCA, CIPFA, CIMA, AAT etc

DESIRABLE

Knowledge of Charity SORP

An understanding of Equity/Inclusion applicable to financial resources

Commitment

As Treasurer you will chair the Finance & Audit Committee, which meets quarterly. You will also be expected to attend four Board meetings and a minimum of one of three Members’ Council meetings per year.  Attendance at the AGM is expected to present the annual statement of accounts to members.

Occasional attendance at MTUKI Council meetings and Finance Planning Group meetings is required.

Term

Trustees serve for a maximum of three years and are re-elected annually at the Annual General Meeting. At the end of the first three-year term of office Trustees are eligible for re-election for one further term of three years. From time to time the positions of Treasurer, Vice-Chair and Chair become subject to renewal. The Trustees nominate these positions from the Board and the Council votes to approve them at the AGM.

Expenses

Reasonable travel, parking and subsistence expenses are paid to Trustees, in line with MTE expenses policy.

What is PGIE?

In human healthcare, Patient and Public Involvement and Engagement (PPIE) has become a powerful way to make sure research meets real patient needs. At Humanimal Trust, we’re translating this idea into veterinary medicine through PGIE – bringing together patients (in our case animals, via their guardians), the public, and professionals, to develop best practices.

By joining, you’ll be helping to guide research, so it benefits both humans AND animals.

As a volunteer member, you’ll:

• Help shape an ethical framework for One Medicine, focusing on good practice in veterinary clinical trials and collaboration between human and veterinary medicine.
• Join virtual group meetings (around 6 per year, with at least 60% attendance expected).

Outdoor Learning Volunteer Officers are a key part of our team at Skelton Grange Environment Centre and are involved in:
- Supporting and leading environmental activities with young people and the local community.
- Planning and preparing sessions - and sometimes even developing new activities to help young people connect with nature.
- You will be trained and supported by experienced project staff and work as part of a team with paid staff, trainees and other Volunteers.

Typical activities for the Outdoor Learning Volunteer role include:
- Running environmental education sessions for school visits during term time.
- Running play activities for groups of children and young people during the school holidays.
- Keeping education day resources up to date and developing new resources, activities or materials as required.
- Helping with the general running of the centre and the project, including both development work and routine maintenance to ensure we are an inspiring location for visitors to experience nature.

Benefits to you:
We aim to involve our Outdoor Learning Volunteer Officers in:
- Running a range of outdoor education and play activities and events with schools and community groups on the Skelton Grange Environment Centre site.
- Planning, risk assessing and running safe and engaging activities outside for children.
- All the necessary skills and knowledge to be able to run the sessions, from bushcraft skills to plant identification to working with children.

The role will give you the opportunity to use your skills and experience in a supportive environment and aims to support you into being able to run activities and lead groups independently.
It's a chance to do something very satisfying and worthwhile and have lots of fun with some great people!
If you want to use this role to move on into employment in the environmental sector we can also provide you with a range of useful training courses, job opportunity information, interview guidance and references.

We will provide expenses to cover volunteer travel costs.

Deliver engaging talks to organisations and groups, sharing SSAFA’s incredible history and mission.

Community Connectors

Collaborating with the Community Engagement Manager to establish a local network, promote SSAFA's services, and respond to community opportunities such as gardening projects

Fundraising Heroes

Whether it’s rallying local businesses, organising events, or getting creative with unique fundraising ideas, you’ll play a crucial role in keeping SSAFA’s support going strong.

Administrators

Are you detail-oriented and love keeping things organised? Assist with branch and event administration, manage schedules and branch calendars, and ensure everything runs smoothly currently being undertaken.

The skills you need

• Friendly and approachable people.
• Confident people who feel happy to engage with the public, potential clients, volunteers and
• SSAFA colleagues face-to-face.
• Reliable attitude, staying connected with your Branch and/or Community Engagement Manager about your availability.
• Ability to maintain confidentiality and keep information safely.
• Access to public transport or a car to get to events if necessary.
