As a receptionist for the charity, you will contribute to the effective running of the organisation by managing the reception function on a day-to-day basis, making clients and other visitors feel welcome and safe as they arrive at our building.
Responsible to the office and facilities manager, you will play a critical role in delivering a smooth and supportive client experience.
Receptionists Job Share £27,500 FTE (based on-site in Croydon – one role is 26.45 hours per week – from 8.45am to 2pm Monday to Friday; second role is 25.15 hours per week, 1.45pm to 7pm on Monday to Thursday, 1.45pm to 6pm on Fridays). Extra hours available for holiday cover.

We’re looking to appoint a new Evening Receptionist to work part-time in our Talking Therapies team. Our BACP accredited Talking Therapies department has been running for over 40 years and we are historically known for providing long term psychodynamic therapy.
Due to the success of the department, we have recently secured long term funding to meet the emerging needs of the local community. We have developed new and more accessible services which now include emotional support groups, psycho-education workshops and short-term counselling.
As our new Evening Receptionist, you will ensure the smooth running of the Talking Therapies reception on Tuesday and Wednesday evenings.
You will be a warm and empathetic individual with good compassionate reception skills and the ability to communicate on many levels.
This role will initially be based at our Morden site while our Wimbledon site is being refurbished. We are expecting to return to our Wimbledon site in January 2027 where the role will continue.

The Role
The Receptionist serves as the primary point of contact for staff and visitors, ensuring a seamless and welcoming experience through face-to-face interactions and telephone communications.
Collaborating closely with the Facilities Manager and job share partner, the role involves efficiently handling queries, managing the reception email account, and coordinating visitor bookings and parking logistics.
Responsibilities also include overseeing incoming/outgoing mail, facilitating large-scale mailings via the Royal Mail online system, managing publications on behalf of the Communications team, monitoring, and replenishing stationery supplies, and producing access cards for new team members and contractors.
Additionally, the Receptionist provides support to the Facilities Manager in handling the café coffee machine and food ordering as needed. The role requires availability for full-time coverage during annual leave and absences of the other job share post holder to ensure the continuous smooth operation of the reception area.

To provide a professional and welcoming Reception service that contributes effectively to the positive image of The Passage. Senior Receptionist, with the support of the Receptionist, is responsible for the smooth-running of the Reception service and the reception area and will support the Facilities team with various administrative tasks where needed.

Main Duties

We have a vacancy for a Mental Health Support Administrator to join our team.
As a Mental Health Support Administrator, you will be responsible for ensuring a smooth process for people contacting Hertfordshire Mind Network (HMN) from initial contact to service provision and provide advice, information and emotional support to service users.
About Us
Hertfordshire Mind Network is the largest charitable provider of mental health services in Hertfordshire, in terms of the number of people supported and range of services offered. We have a presence in all of the county's 10 districts, with established Wellbeing Centres across the county. Our services are available to all residents in Hertfordshire over the age of 18, and we offer dedicated services and outreach for 5-18-year-olds. We provide services and support to approximately 10,000 people experiencing mental ill health each year.
About You, the Role and the Team
This role sits within a team who respond to all of our day time telephone support calls and general enquiries into the Charity. The team report into our Finance and Resources Director who oversees our facilities and daytime telephone support for the wider organisation across Hertfordshire. As a member of this team, you will be based in our Watford centre (with requirements to travel to other centres as required) welcoming clients and individuals as they attend appointments in the centre alongside provision of mental health first-line support on the phone, responding to calls coming in between 9am-5pm Monday to Friday
Key responsibilities
- To be the first point of contact and provide advice and information to HMN callers via telephone, email and in person
- To provide emotional support to people contacting HMN by telephone or in person who are experiencing emotional distress and to ensure smooth referrals into the Daylight service for clients who are in crisis and require short-term crisis resolution
- To complete and process referral forms, liaising with Service Users and colleagues
- To accurately record client information onto the database.
- To support the smooth running of the Wellbeing Centres
- To undertake admin duties for the Wellbeing Centre, including the distribution of mail, maintaining office supplies, and responding to internal/external e-mails
- To ensure the reception area is tidy and leaflet displays are replenished to include up to date information
- To maintain the notice boards with relevant and up to date information

Background
The Minster Centre is a registered charity based in Queens Park, London NW6 that trains psychotherapists and counsellors. As an accredited higher education organisation, we provide in-person and online courses throughout the week and weekend. The Minster Centre also provides a psychotherapy and counselling service to the local community and has a number of rooms that are hired out for therapy, training, and events.
Summary of the job
The Receptionist is a critical and central role at The Minster Centre, providing a welcoming service to students, room hirers, therapy clients and staff members that is efficient and aligned with The Minster Centre’s Ethos. The Reception Team provides first-line support to tutors and students as well as undertakes administrative duties crucial to the running of the Centre. They also provide support to other staff members where appropriate. The hours are 23 hours per week, including Saturdays during term time.
The Minster Centre is a small, friendly organisation and the Receptionist needs to be an adaptable and flexible person who enjoys teamwork within a continuously evolving environment. The Receptionist role is varied, and you will be expected work with initiative and autonomy to respond to the needs of the Centre.
The ideal candidate will have previous administration and front of house experience to help ensure that all building users (students, room hirers and clients) are welcomed, that the building is available and set up for training and therapy services, and that the building is closed and secured at the end of the day. Furthermore, they will be organised, have excellent IT skills and knowledge and practice of using Zoom or be willing to learn. They will have the ability to work calmly and efficiently under pressure. In addition, they will be able to work autonomously on various tasks and work well in a team. This is a great opportunity for someone with relevant transferable skills to develop those skills further.
Duties and responsibilities:
Reception
· Ensuring that Reception is always covered by working with the Reception Manager to organise a reception rota that covers absence, holidays, etc.
· Co-ordinating access to the building, opening and closing the building.
· Receiving visitors
· Setting the appropriate space/s up for events and assisting with special or evening events when requested (e.g. Graduation)
· Ensuring there are adequate supplies of daily cleaning materials and refreshments and organising catering for specific events
· Responding appropriately to emergencies (training will be provided)
· Answering, screening and forwarding any incoming telephone calls, and providing basic information when needed
· Managing our room booking system, including supporting our Finance team with invoicing of room hirers
· Dealing with room booking enquiries and bookings for events
· Managing petty cash
· Ordering stationary and other supplies as requested
· Dealing with customer queries or complaints politely and positively
· Keeping the reception area tidy
· Data entry tasks, or similar, in quiet periods
· Organising Open Days with the assistance of Training Admin Team
· To undertake such other duties as may be required by The Minster Centre
IT Support
· Diagnosing and resolving technology equipment issues in the training rooms (basic training can be provided). This might include but is not limited to; ensuring equipment is in working order and reporting any faults; ensuring equipment is connected correctly; amending equipment settings.
· Assisting with Zoom support for online training sessions, interviews and other meetings.
· Providing IT assistance to Tutors, including responding to basic Moodle, Zoom and Microsoft Office queries/tasks. This will include being part of an on-call rota for first line remote support.

About the Role
As a receptionist, you will be the first point of contact for MSI staff, visitors, and contractors. Duties include offering administrative support across the organization, welcoming and greeting guests who visit the business.
You will also coordinate front-desk activities, including distributing correspondence, Mail, deliveries and redirecting phone calls. To be successful in this role, you should have a pleasant personality, as this is also a customer service role. The role also requires that you should also be able to deal with emergencies in a timely and effective manner, while streamlining office operations. Multitasking and being able to manage demands are timely essential for this position.

Key responsibilities:
- Telephone Calls: answer the main phone, transfer calls, and take messages in a professional succinct manner using tact and discretion as required
- Visitors: welcome visitors to the building and ensure they are signed in and inform the team member their visitor has arrived
- Deliveries: on arrival of deliveries, contract the team member and ensure the stock is taken to the appropriate location
- Mail: sort post into relevant pigeonholes and distribute to teams in a timely manner. Inform team members of ‘signed for’ or urgent mail. Collect and prepare outgoing letters and parcels for Royal Mail, DHL, or other courier services collection.
- Meetings: approve room bookings on the intranet, arrange for projectors, refreshments, and lunch as and when required.
- Order office supplies: stationary, leaflets and other publications as and when required
- Typing: including routine correspondence, listings, and reports (using Word, Excel & PowerPoint)
- General office duties: faxing, filing, photocopying, and franking mail
- Provide occasional administrative support to other MSI teams
- Cover holiday and sickness: ensuring the front desk is always covered
- Ensure reception area is tidy and presentable, with all necessary stationery and material (e.g.,pens, forms, and brochures)
