About Woman's Trust
The charity was established in 1996 to meet the gap in specialist mental health services. Woman’s Trust is led by and for women and aims to ensure that women affected by domestic abuse can live a life free from further harm and abuse. Our approach is trauma-informed and person-centred, empowering survivors on their journey to recovery from the trauma. Alongside delivering our existing 1-1 counselling, self-development workshops and therapeutic support groups for women who have experienced domestic abuse, we are focused on developing our innovative mental health services for young women and girls, delivering new peer-led support groups and providing therapeutic groups to children and their mothers. We are also committed to developing further awarenessraising workshops and training for professionals, building on our research and policy to improve systems nationally.
About the role
The Volunteer Coordinator is responsible for coordinating the recruitment, onboarding, engagement and retention of volunteers across Woman's Trust.
Working closely with managers across the organisation, the postholder will oversee the end-to-end volunteer journey, ensuring volunteers receive a positive, inclusive and well-supported experience from application through to departure.
The role will coordinate recruitment for all volunteer opportunities, including volunteer counsellors, facilitators, administrative volunteers, finance volunteers, fundraising volunteers and other volunteer roles as required. The postholder will also lead initiatives to strengthen volunteer engagement, recognition and retention, helping to build a sustainable and diverse volunteer community that supports the organisation's mission.
The role works closely with the HR & Operations Manager to ensure volunteering practices remain compliant with safeguarding, GDPR, organisational policies and best practice guidance.
Hours: Part-time, 14 hours per week (0.4 FTE).
Location: Woman’s Trust premises including co-location with statutory partners and community partnership locations.Woman’s Trust operates a hybrid working model with a minimum of 50% to be on-site.

ABOUT THE ROLE
We are seeking a highly organised, proactive, and detail-oriented Events and Engagement Coordinator to provide excellent operational support to the Engagement Directorate to enable Mission 44 to build meaningful funder relationships and deliver impactful experiences.
The role sits at the intersection of the donor experience, events and supporting the functionality of the wider, newly established Engagement Directorate. It will have two priorities: to provide administrative and operational support across the team, including to the Chief Engagement Officer, and support the Events and Engagement team to execute first-class events.
This role is ideal for someone looking to develop their career in a fast-paced, mission-driven environment. A successful candidate will enjoy bringing structure, organisation and effective processes to a busy team. They will have high attention to detail, a can-do attitude, and a rigorous approach to project and task management.
ROLES AND RESPONSIBILITIES
EVENTS COORDINATION (60%)

In collaboration with colleagues support the planning and delivery of Mission 44's events, including fundraising and stewardship dinners, receptions and roundtable discussions, as well as trackside hospitality and donor experiences.

Manage invitations, RSVPs and attendee communications, acting as a first point of contact for events attendees, providing exceptional customer service.
-
Coordinate event logistics, including venue bookings, catering, accessibility requirements and wider production supplier management.
-
Support the preparation of live event materials, briefing packs, attendee lists and run sheets.
-
Support the wider Fundraising team with securing sponsorship, ticket sales, and securing auction items. This includes production of targeted collateral for outreach.
-
Work closely with the Fundraising Data and Operations Manager to ensure that events and donor data is updated accurately and in a timely manner to our CRM system (Virtuous).
-
Work closely with the Communications Team to ensure events materials are aligned with brand and messaging.
-
Provide on-the-day event support, including registration, stakeholder hosting and logistics management.
-
Support the production of post-event evaluation, feedback collection and reporting.
ENGAGEMENT TEAM OPERATIONS (40%)
-
Coordinate internal team meetings, workshops and planning sessions.
-
Schedule meetings and support diary coordination for internal team meetings, and select high-level funder meetings for the Chief Engagement Officer.

Prepare agendas, take minutes and track actions arising from meetings.
-
Arrange domestic and international travel, accommodation and itineraries for team members and guests.

Support budget tracking, purchase orders and expense administration.
-
Maintain team trackers, project plans and operational documents on Monday. com
-
Act as a key point of contact for administrative and operational enquiries.

Ensure data quality and compliance with organisational processes with the Fundraising Data and Operations Manager.
ABOUT YOU: SKILLS AND EXPERIENCE
ESSENTIAL

Experience supporting the planning, coordination and delivery of events, with a strong interest in developing a career in event management.

Responsibilities
Finance & Board Administration

Financial Oversight: Manage invoice creation, process team expenses, have a good understanding of our overall budget, and pull monthly budget reports from Sage for budget holders.

Reporting: Prepare core financial reports for the board (budget vs. actuals, projections, cash flow charts) and support fundraising financial queries.

Board Support: Coordinate quarterly board meetings, manage agendas/slides, take action notes (utilising AI tools), and track the risk and action logs.
Operations, HR & Governance

HR Support: Manage employee onboarding/offboarding, set up equipment, update personnel databases, and prep monthly payroll, working together with our People & Culture team.

Compliance & Governance: Ensure Companies House records, CIC documentation, insurance policies, and GDPR compliance are strictly up to date, supplier contracts management.

Team Culture: Plan team-building events, manage co-working events, and coordinate team gifts and milestone cards.
Data Integrity & Digital Championship

Digital Champion: Act as the internal expert for HubSpot and Wrike, providing staff training and sharing tips on leveraging AI for productivity.

Data & Copy Editing: Maintain clean data entry in HubSpot (donations, donor tracking, reporting, supporting prospect research, following up on proposals), and serve as the team’s eagle-eyed proofreader for newsletters, reports, and proposals.

Centralised Knowledge Wiki: set up and maintain an internal knowledge Wiki (Confluence), maintain up-to date information, assure everyone on the team has access to information they need
Support to Co-directors and PV UK team:

Week-to-Week and Ad hoc support: preparing budget queries, business cases, liaising with the external provider for bookkeeping / accounting etc.

Further support: creating monthly and quarterly reports in HubSpot
Qualifications

Exceptional administrative skills to manage everything from HR onboarding and wellbeing scheduling to high-level Board preparation and Director support.

A strong eye for detail to proofread and edit internal and external communications, ensuring different pieces of content meet grammar, tone, and branding standards.

Ability to maintain meticulous data integrity in our CRM for programme and fundraising activities.

Prepared to embrace being a ‘Digital Champion’, helping team members to learn and embrace platforms we use such as Wrike / Hubspot / Gemini.

Organised and able to hold us to strict legislative timelines or important annual dates (e.g., filing of accounts / updating Companies House records).

Good financial competency and confidence in liaising with People and Culture / accountants.

An understanding of basic UK employment processes, Health & Safety, insurance handling, and corporate governance (e.g., Companies House).
