We are seeking a highly organised and proactive Senior Administrative Assistant to provide high-quality administrative and organisational support across the school. This is a key role in ensuring the smooth and efficient running of our office and business functions.

The Role:
To provide high-quality administrative, coordination, and communication support across the charity. The London School of Hygiene & Tropical Medicine (LSHTM) is one of the world’s leading public health universities. The post-holder will work closely with the Faculty team, the four Department Managers, the Faculty Taught Programme Directors, members of staff in Central Services and the wider LSHTM community. This is a wide-ranging role encompassing Human Resources, Finance, Communications, Events, External Relations and Research Operations and would suit someone who enjoys working in a varied and dynamic environment. The post is part-time 28 hours per week, 0.8 FTE and permanent. The post is funded by the Faculty and is available immediately.
The salary will be on the LSHTM salary scale, Grade 4 in the range £34,741-£38,986 per annum pro rata (inclusive of London Weighting). Provide administrative and coordination support to the Family Wellbeing Service that support families across Surrey with wellbeing and mental health literacy as well as specific EBSNA and ND support. Work proactively, use their own initiative and work unsupported to achieve tasks. The administrator will provide administrative support to a service that is currently in development, with plans to grow over 4 years, with 8 practitioners as well as liaise with partner agencies and stakeholders to ensure the smooth running of this service
Responsibilities
- Using a variety of software packages, such as Microsoft Office suite, mail chimp, poll daddy and Survey Monkey
- Answering telephone and email queries from partner organisations, external agencies and parents/carers
- Contacting families via the telephone and email, that are referred to Eikon Family Wellbeing Service
- Production and creation of letters, correspondence, leaflets, newsletters and supporting the production of website content
- General administration work including filing, archiving, retrieving information and documents
- Provide, record and report the appropriate data to ensure support programmes can be accurately monitored and evaluated
- Set up and maintain excel spreadsheet that tracks and monitors status of all cases referred to the service
- Support the Service Delivery Manager in the maintenance and monitoring of the service tracker
- Create and maintain processes for receiving service feedback and monitoring and reporting service impact data
- Be responsible for entering Direct Referrals and Mindworks referrals on to organisation database along with any corresponding case allocation administration
- On-boarding of new referrals ensuring are contacted within the agreed contract guidelines. Once initial calls are completed, to ensure these are moved to the correct service pathway
- Monitor the return of consent and registration forms
- Carry out administrative tasks associated with follow-up on all missed sessions, cancellations, queries and case closures
- Create, maintain and monitor a booking system for individual, group and online sessions and all corresponding tasks e.g. room booking, calendar updates and sending meeting links/information to recipients
- Create and support the monitoring of wait lists for the various services and subsequent case allocation to practitioners
- Carry out ‘check in’ communications with families on our waiting list and escalate any new concerns to appropriate staff
- Record all communications with families and professionals related to specific cases on Evide

Purpose of the post
The Business Administrator will play a key role in ensuring the smooth day-to-day running of AHS. About Adolescent Health Study
The Adolescent Health Study (AHS) is an ambitious new UKRI-funded initiative to establish a prospective, longitudinal population study that will generate a globally leading open science data platform and research resource. AHS aims to recruit at least 100,000 young people from across the UK and to follow their mental and physical health and wellbeing over at least 10 years. It plans to collect data through questions and measures; to obtain bio-samples for a wide range of genomic and other high-throughput assays; and to capture linked data relevant to health and wellbeing from participants’ health, education and other administrative records. There will be a strong emphasis on engaging with and involving young people, schools, parents and other relevant stakeholders in the design and delivery of the study, as well as on including young people that represent as wide as possible a range of backgrounds, experiences and characteristics. AHS will focus on enabling a wide range of research, including studies of the critical biological and social developments that occur during the transition from childhood to adulthood and the determinants of both mental and physical health and wellbeing in adolescents and young adults.
Main responsibilities
Operational Delivery and Implementation
· Provide hands-on support to teams and managers in rolling out new tools, systems and operational processes that are critical for the success of the longitudinal study
· Support the smooth, day-to-day running of business operations, ensuring tasks and processes are completed efficiently

For Europe's largest infrastructure project, we're recruiting a permanent Resourcing Business Partner. This role will manage end-to-end recruitment activities for a designated directorate including requirements gathering, briefings with hiring managers, setting timelines and milestones, preparing and posting adverts, managing agency briefings, reviewing applications, sitting on interview panels, and then the management of offers and the onboarding administration.
This role will suit someone proactive, and resilient to ambiguity and change, with either an agency or in-house background.
Main Duties:
- Campaign Management: partnering and advising stakeholders on end-to-end recruitment processes including interviews and assessments
- Creating and posting engaging adverts across platforms
- Managing and reporting on campaign metrics and MI, updating the ATS accurately
- Candidate and Manager Experience: Briefing with hiring managers and agency suppliers and partner with managers on skillsets required, route to market, assessments and milestones

The Central Office Administrator plays a vital role in ensuring the smooth operation of the central office facility, including day-to-day oversight of organisation-wide services provided by SCT’s external IT support provider.

About the Role
Reporting to the People Director, the People Operations Manager will lead the development and delivery of people processes, systems, and administration. You'll manage the global HRIS (HiBob), oversee UK and international payroll, support UK pension and benefits, and ensure compliance with employment and immigration law.
You'll also manage the organisation's UK business sponsorship licence, contribute to strategic HR projects, and provide high-quality reporting and insights to internal stakeholders. While your primary focus will be UK operations, you'll also collaborate with country offices globally to improve efficiency and consistency.
