Job description

The Role

An exciting opportunity for a candidate with charity experience to develop new systems and processes using best of class CRM, automation and email systems.  Within a team of three, the CRM Manager is responsible for supporting more complex system issues, system development and data selections.

About you

You will be a CRM Manager with at least two years' experience in this area, having managed a CRM across multiple functions in a charity.  You'll have excellent organisational and time management skills and have a calm and flexible approach to work in a busy environment.  You'll be a solution focussed problem solver who is happy to work as part of a small team, with the ability to quickly build excellent relationships across all levels.

You will be confident in managing an enterprise platform CRM system and experience of Dynamics 365 would be highly desirable.  You'll be a results driven individual with previous experience of processing direct debits and Gift Aid, as well as data analysis and marketing data selection.  Strong experience of delivering "queries" and "selections" for non-technical users is essential due to the recent implimentation of our CRM system, as is your technology competency level to enable effective management and manipulation of data.

Key Responsibilities

Technical product ownership for business systems.

  • Dynamics 365 :
    • Maintain functionality as business grows and develops, including development of new fields, functions and forms.
    • Translate user requirements to technical specifications.
    • Provide training and user support as needed.
    • Oversee the calendar for marketing selections
    • Oversee the calendar for data cleanse
    • Ensure new users are set up with correct access to perform their role.
  • Microsoft Flow (Power Automate) – create and build flows to automate business processes and integrations.
  • SQL servers for Dynamics reporting, exporting and storage.
  • DotDigital technical lead and support for Digital team automations and marketing lists.
  • Supporting integration of business systems i.e. Donation/Direct Debit website pages, Sage 200c, JustGiving, VirginMoney Giving, Realbuzz, Give Panel and Facebook Fundraising.
  • Microsoft Admin Portal – maintaining Dynamics licences for new users.
  • CRM Portal – Supporting volunteers’ usage and research grant applications, ensuring technical functionality meets requirements.
  • Technical contact for M-hance support.
  • Power BI – creating business reports across the charity.
  • Across all of the above applications, maintain up-to-date knowledge of current-and-upcoming features.

​​​Maintaining and developing the CRM at Crohns & Colitis UK

  • Support the Operations Manager to develop business systems that meet business objectives.
  • Serve as the escalation point for system issues that the Database Officer cannot resolve.
  • Contribute as a senior voice to the governance groups for the CRM, currently including the Data Governance Group and the CRM Power Users’ Group.
  • Lead the maintenance and development of the charity’s business applications.
  • Lead on ensuring that the chariy’s business systems are appropriately accurate. 
  • Use the database to generate analytical and strategic reports across the charity against agreed KPI’s.
  • Support the generation of all data needed to deliver external communications activities including direct marketing, membership and volunteering activities. 
  • Responsibility for ensuring all database users are using the system correctly and efficiently in accordance with agreed policies and procedures.
  • Maintain issues in shared Service Desk system to the team’s agreed service level standards. I.e. all issues are recorded, reported and actioned in a timely manner.
  • The post holder will be a technical contact point for business system providers where necessary.  (The Operations Manager is the commercial contact point.)
  • Responsibility for identifying and documenting learning opportunities and process improvements.
  • Ensure that applications are run in compliance with relevant data protection and information sharing policies, legislation and best practice.
  • Identification and recommendation of any training needed to ensure the above is possible.
  • Responsible for developing routines and processes to ensure income data is accurately recorded in the accounting system, and for exploring means of simplifying, and ultimately automating this interface.
  • Advise on system choice and integration where new software solutions are to be purchased by the charity.
  • Planning, executing, testing and documenting larger system changes and upgrades.

CRM Integration

  • Work to ensure the integration of all data processes across the charity (e.g. payment portal, Supporter database and finance database) minimising duplication of activity and risk to data integrity and compliance.
  • Support, monitor and maintain the existing Business systems, databases and applications. Respond and prioritise support based on support requests and feedback from the various Directorates.

Staff Supervision

  • Supervise and provide technical support to the Database Officer and any volunteers that support this team.
