Job description

Are you a proactive and experienced EA?

We are proud to be partnering with a great international charitable organisation which uses research to enhance healthcare knowledge and influence better medical decisions. They are looking for a proactive Executive Assistant to support the Editor in Chief on a full-time basis (37.5 hours a week), initially 4 months with a possibility of becoming permanent.

Fully remote.

This is a pivotal post to organise and maintain the editor-in-chief’s diary and coordinate internal and external appointments for the EiC to ensure the best use of their time.

You will support the Editor in Chief, including email and diary management, organising meetings, making travel and accommodation arrangements, and processing monthly expense claims. You will also support with the development of presentations and papers for internal and external audiences and act as first point of contact for enquiries for the EiC, determining the priority of all matters of attention for them and redirecting matters to the relevant staff. You will also provide efficient administrative support for the Editorial Board, including assisting with the preparation of agendas, producing meeting papers, taking minutes of meetings, and following up on actions when required. You will liaise with the Executive Leadership team and external partners and stakeholders, work collaboratively with other administrators within the organisation, and undertake any other additional duties as assigned from time to time, including supporting other directorates or Executives as needed.

This role requires at least five years’ proven experience as an Executive Assistant to a senior executive or team and experience of working with complex calendars and multiple time zones. The successful candidate will have excellent organisational and interpersonal skills. They will also have exceptional typing skills (speed and accuracy are essential) and solid IT skills, including proficiency in MS Suite Programmes i.e. Outlook, PowerPoint, Word, Excel, Zoom and Teams. The post holder must possess excellent written and verbal communication skills, coupled with a sensitivity to different cultural backgrounds and how/when to adapt communications accordingly.
