Job description

ShareAction and the global system of finance

It is said that “money makes the world go around” but the global financial system in its current form is in danger of making our world a very inhospitable place indeed for future generations.

Though it has lifted many out of poverty, today the global financial system has an oversized impact on many of the existential challenges we face. Biodiversity loss is such an example, as is climate change and the growing gap between rich and poor in terms of both income and health. Investment, lending and insuring decisions can enable destructive and exploitative industries, or they can support a transition to a more sustainable way of living and use of precious resources. The latter approach is known as responsible or ESG (Environmental, Social and Governance) investment.

Position

This new role provides general administrative support across the Operations team and will involve office management, governance and IT, providing a critical service to the rest of the organisation.

If successful, the role will provide you with a great opportunity to develop your knowledge and skills across IT, governance and office management.

Key Responsibilities

Office Management

  • Maintaining the systems and processes for office use by ShareAction staff, which includes registration with our temporary office and desk booking system, liaison with office providers and ensuring compliance with Covid-safe policies and procedures;
  • Responsible for ensuring staff have the resources and equipment needed to do their jobs effectively, ensuring value for money in procurement with oversight from the relevant manager;
  • Giving excellent customer service support by answering and providing general company knowledge and information to callers on a multi-line phone system in a friendly, clear manner. Routing calls to appropriate contacts and supporting with the answering of queries received into the ShareAction mailbox;
  • Administering incoming and outgoing mail; monitoring and managing voicemail messages;
  • As needed, assisting with the logistics for internal events, meetings, seminars or conferences, including helping with set up/clean up.

IT

Supporting the Knowledge and Information Manager with:

  • Microsoft 365 administrative queries; resolving and troubleshooting general issues, account and password support, distribution list, group email setup and management;
  • Basic Salesforce admin support, including user account management, report creation, and data import and export;
  • Processing new starters and leavers, including activation and deactivation of accounts on core systems (including Salesforce, Office 365 and Slack);
  • Ensuring staff compliance with induction and refresher training schedules and management of training records;
  • Subscription management for external applications; renewals and cancellations, purchasing of additional licenses.

Governance Administration

Supporting the Executive Assistant with:

  • The facilitation of Board and Committee meetings, including scheduling meetings, liaising with meeting chairs, providing accurate minutes, administering trustee expenses, room booking, and catering;
  • Ensuring the accurate filing and tracking of documentation, including conflict and gift registers, meeting papers, presentations, policies and procedures;
  • Maintaining the governance sections of the website and intranet.

Please note that this list is not exhaustive, and the role might change slightly from time to time.

Requirements

We are looking for a passionate, determined individual, with the following experience and skills:

ESSENTIAL

  • Excellent general IT literacy and the ability to troubleshoot basic IT issues;
  • Experience in use of Microsoft Office 365 applications (both online and in-app), particularly Word and Excel;
  • Exceptional organisational and time management skills with the ability to work under pressure, plan and prioritise work effectively and meet deadlines;
  • Good communication skills (verbal and written) and the ability to work and contribute as part of a team;
  • Experience working in a service delivery or customer-facing role;
  • The ability to use common-sense judgement to make sound and timely decisions in ad-hoc situations;
  • A proactive and positive approach to problem solving and providing a high-quality service to the rest of the organisation.

DESIRABLE

  • Previous experience working in an administrative role within a small organisation environment;
  • Detailed knowledge of the IT systems mentioned above is not required, but any working knowledge of them is desirable;
  • Basic understanding of data protection regulations/GDPR.

Please note that whilst we are mainly working from home, some of the duties for this role will require you to frequently attend our office (currently based a five-minute walk from London Bridge Station) from the outset. This will be regularly reviewed in line with government advice on Covid-19.

Hours: Full-time, but with some flexibility possible

Contract type: Permanent

Salary: £24,000 – £26,000 + 8% pension (non-contributory) and benefits including a healthcare scheme
