An excellent opportunity has arisen to join the Medair UK team as we are seeking a part-time Operations Support Officer to provide crucial support in a varied role. The post holder will be responsible for Medair UK’s financial and office administration, including maintenance of the organisation’s CRM database and some fundraising support. You will ensure the accurate processing and timely delivery of donor and financial information and acting as first point of contact for the organisation, you will be responding to supporter enquiries. You will also provide general office, and IT support to the Head of Operations.

About you

You will have experience of working in an office administration role, including financial processing and have proven experience with databases. You will be comfortable working with and prioritising high volumes of work. In addition to your experience of completing routine, complex tasks accurately and systematically, you will be able to maintain quality and attention to detail. Confident, polite and professional with excellent communication skills and the ability to work as part of a team, you will have strong planning and organisational skills, with experience of maintaining office and administrative systems

Key Activities

      Donation Processing

• Responsible for the timely recording and processing of all incoming donations (including via our website, bank account, third party platforms and cheques) into the Medair UK CRM (Salesforce).
• Ensure all donors receive gift acknowledgements / thank you letters corresponding to each gift received.
• Maintain up-to-date records of donors, staff and other contacts in the Medair UK database.
• Process and record completed Gift Aid declarations and support in the regular reclaim of Gift Aid.

      Financial Administration

• Inputting of all financial data (income and expenditure) into Quick Books.
• Preparing and following up suppliers invoices for payment.
• Processing expenses claims.
• Managing the banking of income and supporter cheques.
• Support the Head of Operations to implement the month and year end reconciliation process for both Salesforce and Quick Books.

      Facilities & Office Management

• Act as first point of contact for the office and public enquiries, responding to incoming telephone calls and emails.
• Answer basic enquiries about Medair's work and distributing information to supporters and others as required.
• Manage and order office supplies, stationery and equipment.
• Maintain a clean, tidy and safe working environment, administrating risk assessments, H&S and fire safety procedures.

      Information Technology

• Ensuring the maintenance of the IT system and handling minor in-house IT technical issues for staff and volunteers. 
• Liaising with the Global Support Office IT Helpdesk team to ensure the timely set up of IT for new staff and volunteers – i.e. setting up email addresses, and relevant permissions.
• Ensuring that IT permissions are current, and that these are amended as and when staff and volunteers leave.
• Assisting with continuous improvements in Medair UK’s use of IT.

​    Engagement Support

• Supporting fundraising activities with data segmentation and the production of standard and custom reports in Salesforce
• Supporting the production and automation of email newsletter and appeals via Campaign Monitor
• Setting up new Salesforce campaigns with tailored reports and dashboards to track donations.
• Producing digital surveys and web-forms as required.
• Providing support to Medair’s virtual events, including the technical administration of Zoom and pre and post event attendee administration.           

      HR Administration

• Organising and co-ordinating staff and volunteer inductions ensuring that the induction checklist is completed.
• Supporting the Head of Operations with team training and organisational learning and development opportunities.

Qualifications - DESIRABLE

• Vocational qualification in business or financial management / administration desirable

This role supports Independent Age’s media/ PR and social media programme, with a 50/50 split between these areas, and will help deliver our ambition to tackle poverty in later life, build the organisation’s reputation, and raise our profile across multimedia channels. 

Working closely with the Media Communications Manager and Senior Digital Content Officer, the post-holder will work on communication projects across all areas of the charity to raise awareness and understanding of Independent Age, grow our influence and drive potential supporters to our activities (including our information and advice, fundraising, volunteering and campaigning). 

You should have experience of media liaison and securing press coverage, as well as familiarity with all social media platforms (Facebook, Twitter/X, BlueSky, Instagram and LinkedIn), and ideally a foundational knowledge of the associated reporting and analytics for them.

The Supporter Care Officer role sits within the Supporter Services team, which forms an integral part of the Individual Giving team, within the Marketing Communications Department at Hearing Dogs for Deaf People.

Working alongside another Supporter Services Officer and managed by the Supporter Care Manager, you will support the delivery of our Individual Giving programme, specifically in support of our Puppy Sponsorship Scheme.

The delivery of exceptional supporter care across multiple channels lies at the heart of the Supporter Care team and forms an integral part of the Individual Giving retention strategy.

In many instances, you will be the first line of enquiry either by telephone, email, social media, or letter (and occasionally face-to-face) for Hearing Dogs’ supporters.

Building good internal relationships within our Charity is an important part of this role as you will be working with various teams.

KEY TASKS OF THE ROLE:

Stewardship

• Present a professional, positive, and proactive approach to supporter care and adherence to best practice regarding stewardship and supporter engagement.
• Be proactive in stewardship process improvement and development, maintaining up-to-date guidance notes for areas of your work.
• Ensure all interactions with supporters are logged in the CRM system and where appropriate passed on to the relevant team(s) in a timely manner.

Puppy Sponsorship

As a centre of expertise for after-care and support, we have established a successful Rebuilding Futures Fund (RFF), providing financial, practical and emotional support to people of all ages affected by meningitis across the UK.

About the Job

This role includes a wide range of administrative tasks – working with financial systems, maintaining accurate database records, coordinating the ordering of goods and services, and liaising with a variety of stakeholders. You will also communicate directly with individuals and families who have been impacted by meningitis. We are looking for someone who is organised, detail oriented, flexible, and able to demonstrate empathy and compassion for those we support.

Administration:

• Act as the primary point of contact for RFF-related work, both internally and externally, liaising with the nurse team regarding decisions and agreed actions.
• Provide administrative assistance to the Information and Support Team across all areas of service delivery.
• Contribute to the development and delivery of the RFF, including creating and refining processes and procedures.
• Process all RFF applications, including conducting initial assessments.
• Coordinate the ongoing distribution and monitoring of financial awards.
• Support the marketing and promotion of the RFF, including maintaining website content and developing case studies.
• Prepare financial and activity reports in advance of monthly RFF panel meetings.
• Organise and attend monthly panel meetings and produce accurate minutes.
• Conduct desk research and gather information to support the ongoing development of the Rebuilding Futures Fund.
• Ensure compliance with Meningitis Now policies and procedures, including data protection requirements.
• Carry out other administrative duties as requested by the Helpline and Information Manager.

Data Management:

• Follow detailed Salesforce processes and procedures to a high standard of accuracy.
• Produce data and reporting relating to the Rebuilding Futures Fund.
• Ensure accurate records are kept for all RFF activities in line with data protection policies.

Communication:

• Communicate sensitively and professionally with applicants, Therapists, suppliers, and other stakeholders.
• Liaise with the Support Team regarding application processing and supporter enquiries.
• Share regular updates across the wider organisation on RFF activity and outcomes.

What We're Looking For

• Significant experience in an administrative role with strong IT capability.
• Experience using a Customer Relationship Management (CRM) database – Salesforce or equivalent.
• Experience producing activity and financial reports.
• Experience developing and implementing administrative processes and procedures.

We are looking for a passionate, talented Individual Giving Manager to join our ambitious, successful Fundraising team that has been growing year-on-year since 1989 as we approach our new fundraising strategy.

JOB DESCRIPTION

The Individual Giving Manager will lead the development of Kids Cancer Charity’s first comprehensive individual giving programme, building all activity from the ground up. This includes designing compelling supporter propositions, establishing donor journeys, and creating engaging campaigns that drive acquisition and long-term support.

A key part of the role will be scoping, procuring, and managing external suppliers, agencies, platforms, and partners required to deliver individual giving products and activity. This includes the development and future launch of new income streams for Kids Cancer Charity, such as a charity lottery, as well as regular giving, legacy marketing, and in-memory giving opportunities.

The postholder will play a central role in shaping the future of supporter engagement at Kids Cancer Charity, introducing best practice, ensuring strong stewardship, and embedding a supporter‑centred culture across the organisation.

JOB PURPOSE

To develop, launch, and grow Kids Cancer Charity’s first individual giving programme, building sustainable income streams that support our vital work in supporting children affected by cancer in the UK. As the first dedicated individual giving role, you will design the strategy and deliver hands on activity, creating compelling propositions, supporter journeys and campaigns across regular giving, one‑off gifts, lottery, legacies and in‑memory giving.

KEY TASKS AND RESPONSIBILITIES

Planning and Strategy

• Develop Kids Cancer Charity’s first Individual Giving strategy, setting clear plans, targets, and opportunities for growth across all giving products.
• Introduce and embed best practice in compliance, data management, supporter care, and ethical fundraising.

Supplier and Partner Development

• Scope organisational needs and procure/manage suppliers, agencies and platforms required to deliver individual giving activity.
• Lead onboarding and manage delivery to agreed standards, budgets and timelines.

Supporter Engagement and Campaign Development

• Design end‑to‑end supporter journeys (acquisition, welcome, nurture, upgrade, reactivation, retention).
• Plan and deliver multi‑channel campaigns (digital, social, email, paid, direct mail) to acquire, retain and engage supporters.
• Build audience understanding through segmentation, insight and experimentation.
• Work closely with other teams to embed Individual Giving into the organisation.

Product Development

• Scope and pilot propositions for: Regular Giving, Digital one‑off, Charity Lottery, Legacy Giving, In‑Memory, Appeals/integrated campaigns, and Mid‑value.
• Produce product business cases with KPIs, budgets, phasing and implementation plans.

Reporting and Evaluation

• Establish reporting and monitoring frameworks for Individual Giving activity.
• Use early data and insight to inform decision‑making, future planning, and product development.
• Ensure all activity complies with the Fundraising Regulator’s Code of Practice, GDPR, PECR and Gambling Commission requirements.
• Monitor and report on individual giving performance against KPIs and targets, reporting on performance to the General Manager.

Community & Events
