The Role

The Administrative Officer will play a key role in helping to ensure the smooth running of HEP’s operations, events, and communications, and in delivering the high-quality service that underpins our success.  This role reports jointly to the Operations Manager and the Head of Communications & Engagement. 

Key Responsibilities 

Administrative Support

• First point of contact for schools, clients, suppliers, and visitors triaging issues and responding efficiently and helpfully to queries in person, via phone, and by email
• Monitoring of shared email inboxes across various teams, addressing enquiries in a timely manner
• Work closely with the Operations, Comms and CPD teams to support projects and workstreams

Event / Visitor Coordination

• Prepare and manage meeting rooms and training venues liaising with trainers and delegates
• Assist with the planning and delivery of in-person and online events, including training sessions and conferences
• Create event collateral in a professional and timely manner 

CPD Support

• Support with organising, hosting and managing the technical side of virtual and in-person meetings, training and webinars
• Support with the development of CPD promotional material including brochures and flyers
• Support with uploading HEPs training programme and events onto website

Communications and Digital Support

• Website administration support, resolving member queries 
• Help in creation and distribution of communication materials, such as flyers, newsletters, brochures,podcasts and content for social media/digital channels
• Work with the Communications Team to ensure consistency in tone, branding, and messaging

Essential Skills and Experience

• Proven experience in an administrative or office support role
• Excellent interpersonal and communication skills, with the ability to interact confidently and professionally with a wide range of stakeholders
• Strong IT proficiency, including Microsoft Office Suite, Google Workspace, Canva, Zoom, Monday, Adobe Suite
• Good numeracy and data-handling skills
• Ability to manage time, prioritise effectively, and work flexibly across multiple tasks
• A proactive, positive, and collaborative approach to work
• A strong commitment to improving life chances for children and young people

Desirable Skills and Experience 

• Experience of working in or with schools or education settings

This is an exciting opportunity for somebody passionate about MAP’s work with a keen eye for detail, looking to enhance their data processing skills, to play a key role in maintaining MAP’s Dynamics 365 CRM system through a period of significant development. Key Responsibilities

The Supporter Database Officer is responsible for supporting the effective operation of MAP’s Dynamics 365 CRM system, with a particular focus on data imports, income processing and data quality. The role involves carrying out regular and complex data imports from payment providers, response handling agencies and internal teams, ensuring secure data handling and adherence to established processes. The postholder supports ongoing improvements to import procedures and contributes to maintaining clear documentation.

A significant part of the role involves supporting accurate and timely income processing. Working closely with the Finance team, the postholder applies correct coding to income, assists with daily and monthly reconciliation processes, investigates discrepancies across systems and helps maintain appropriate audit trails and financial controls.

The role also supports CRM development and system enhancements by working with colleagues across Fundraising to understand requirements and assisting with testing new functionality or third-party integrations. The postholder ensures compliance with MAP’s data protection policies, maintains accurate consent and suppression records, and escalates any data quality or compliance concerns as needed.

In addition, the Supporter Database Officer responds to data queries from internal stakeholders, supports reporting and data selection requests, contributes to user documentation and training, and deputises for the Senior Supporter Database Officer when required.

About You

You will have experience working with CRM systems or large datasets and an understanding of data import processes. You will possess strong Excel skills and be willing to develop your technical knowledge further, including SQL. Experience supporting income processing and financial reconciliation is desirable, alongside an understanding of CRM system design principles.

You will demonstrate excellent attention to detail, strong analytical and problem-solving skills, and the ability to investigate and resolve data discrepancies. You will be organised, adaptable and able to meet deadlines in a fast-paced environment, with strong communication and teamwork skills.

An awareness of GDPR, fundraising regulations and financial controls is essential. Experience within a charity CRM environment, supporting fundraising communications or working with supporter data, as well as familiarity with SQL or data visualisation tools such as Power BI, would be advantageous.

ABOUT THE ROLE 

Team: Strategy and Engagement / Fundraising and Supporter Engagement 

As the Supporter Engagement and Giving Manager, you will help our organisation raise steady and reliable income at an exciting time, as we embed our new brand and five-year strategy. Your main role is to build strong relationships with our donors and to give them an excellent experience. This work is essential to ensure our Supporter and Giving Programme continues to bring in the donations we need to maximise our impact. 

You will lead the work to grow our donor community, managing a team of officers to deliver appeals, campaigns and stewardship activity. You will also look for new ways to connect with supporters and increase engagement across multiple communication channels. 

What You’ll Be Doing 

• Lead the team to deliver the planned programme of work across acquisition, retention and stewardship
• Create and run a clear stewardship programme across all platforms to increase the long-term value of our supporters.
• Organise and manage the schedule of all communications sent to donors and subscribers, ensuring alignment with our new brand and strategic priorities
• Plan and deliver campaigns and appeals across print, digital and telephone channels that engage and inspire our supporters and drive income.

About the role
As part of our Public Affairs team, you’ll lead on supporter content and digital communications, tailoring messages for different audiences to maximise reach and engagement. You’ll support research and report writing, monitor UK and EU policy developments, and track campaign performance to help shape future work. You’ll also play a key role in growing and engaging our supporter network—mobilising people to take action and strengthening our influence with decisionmakers.

This is a part-time role, working remotely for three days a week between 09:00 to 16:00. There is flexibility to discuss which days would suit you best, except for Wednesdays, which are required. You will be required to attend the charity’s head office located in Norfolk a minimum of 6 times per year and this will be at your own expense for travel and accommodation.

About you:

You’re a clear, confident communicator with experience writing for digital channels, using campaign technology and working collaboratively across teams. You build positive relationships with supporters and stakeholders and understand how campaigning can influence decision makers, supported by knowledge of UK and/or EU legislative frameworks. You’re organised and pro-active, able to manage multiple priorities and adapt quickly in a fast-moving environment. Analytical and research skills, an understanding of equines and the ability to speak another language are desirable.

As deputy safeguarding lead officer for both shildren and vulnerable adults you will take the lead in the absence of the safeguarding leads and be confident sharing your knowledge with new recruits through mentoring.

You will have excellent written and oral communication skills, with the ability to uphold best practice, challenge poor policy and inappropriate decisions.  Excellent IT skills and the ability to plan, prioritise and deliver to tight timescales are essential.  You will be self-motivated and highly organised, juggling many strands of work. 

As part of a small, dedicated team, you will have a positive attitude and a willingness to work collaboratively with your colleagues and external parties to raise awareness, advocate for our membership, as well as supporting the delivery and development of services for the MPS Society community.

Whilst a relevant qualification within health & social care, education or a related field is desirable, other knowledge and work experiences may be equally as valuable in this role.
