Quilombo UK is looking for a Bid Writer - Commercial Proposal Volunteer to join their team. Quilombo UK is a not for profit social enterprise that challenges people to think differently and bridge gaps between communities, with the aim of building a culturally rich society, where differences are accepted and celebrated. As chosen among 160 other organizations to work in collaboration with the Home Office on the “Building a Stronger Britain together” project, you will be joining a team, which not only supports the community but also stands up to extremism in all of its forms.

Ideal candidates will assist Quilombo UK in preparing funding bids that contribute to their further development. About Jabalie

Jabalie is a UK registered charity that aims to educate and empower survivors and individuals at high-risk of gender-based violence to promote their safety, autonomy and economic independence. Our vision is a world in which people of all genders are economically empowered, free from violence and abuse, and lead full lives with freedom and autonomy.

We are currently developing an education and empowerment programme for survivors of gender-based violence, to be delivered in the UK and Kenya.

Our name is derived from the word “Jabali” meaning “strong as a rock” in Swahili, symbolising  the strength of all those we work with.

Role description

The Board of Trustees plays a vital role in making sure that Jabalie achieves its core purpose. They oversee the overall management and administration of the charity. They also ensure that Jabalie has a clear strategy and that our work and goals are in line with our vision.

As a small and newly registered charity, our Trustees have an active role in the organisation relating to their area of expertise, beyond the Board meetings.

General Trustee Duties

The duties of a Trustee include:

• Attending and contributing at quarterly Trustee Board meetings.
• Ensuring that Jabalie pursues its stated objectives (purposes) defined in its Constitution, including helping to develop a long-term strategy to achieve them.
• Ensuring that Jabalie complies with its governing rules laid out in its Constitution.
• Ensuring that Jabalie complies with charity law, company law and any other relevant legislation or regulations.
• Ensuring the financial stability of Jabalie.

Philanthropy and Development

In addition to the general duties of a Trustee, duties of the Philanthropy and Development Trustee include the following:

• Developing and overseeing fundraising strategy with action plans, ensuring they align with Jabalie’s strategic goals and financial needs.
• Cultivating relationships with donors, funders, and key stakeholders to secure financial support and long-term commitments.
• Identifying opportunities to collaborate with businesses, foundations, and institutions for sponsorships, grants, and major gifts.
• Managing and maintaining data and information on potential opportunities and relationships for generating funds in a systematic way, such as using a CRM system.
• Working with the Marketing and Communications Trustee in developing initiatives and campaigns for fundraising and generating donations.
• Managing the planning and execution of fundraising initiatives, events and campaigns to engage the community and attract new supporters.
• Working with the Strategy and Impact Analysis Trustee in establishing and overseeing impact evaluation and performance metrics in alignment of funders’ requirements.

• Ensuring fundraising efforts comply with relevant regulations and ethical standards, maintaining transparency and accountability.

ROLE OVERVIEW

As the Safeguarding representative on the Board of Trustees, your primary responsibility is to ensure that safeguarding is embedded in all aspects of the AdAmi Project’s work. You will provide support, oversight, and guidance to help protect the young mothers we serve.

Summary of additional responsibilities: 

1. Leadership & Oversight

• Serve as the Trustee’s lead for safeguarding and provide an update at quarterly Board of Trustee meetings.

• Provide oversight on safeguarding practices with our local partners and respond to any concerns appropriately.

2. Policy & Practice

• Support the implementation and regular review of safeguarding policies and practices for AdAmi UK and our local partners.

• Ensure policies comply with UK Charity Commission guidance and are appropriately contextualised to Sierra Leone.

3. Training & Awareness

• Ensure all staff, volunteers and Trustees at AdAmi UK and our local partners receive appropriate safeguarding training on a regular basis. 

• Promote a safeguarding culture and continuously share best practices.

4. Monitoring & Reporting

• Regularly review safeguarding reports and incident logs.

• Advise on managing safeguarding concerns or disclosures.

• Support risk assessments related to safeguarding.

Required commitment:

• Attend quarterly Board of Trustee meetings held virtually for up to two hours. 

• Liaise with local partners to review quarterly safeguarding reports and provide feedback on safeguarding best practices, as well as ensure teams receive refresher training at least once annually. 

• Ad hoc preparation and/or review of key safeguarding documents and policies.

• Represent the Board of Trustees at AdAmi Project fundraising and awareness raising events, as and when is required (a few times a year, maximum).

Who is Open Road?

We are a UK healthcare charity, now in our 34th year.  We provide a myriad of services in Essex and Medway; drug and alcohol support, homelessness services, domestic abuse support, criminal justice services, employment support, welfare and community initiatives to promote community safety and combat anti-social behaviour.  We help vulnerable people, young and old, throughout Essex and Medway, and work in the heart of local communities.  We are not a large national faceless charity; we are very much a grassroots organisation.  We fully embrace and utilise our local knowledge and expertise, working with likeminded partners to support as many people as possible to have healthier, happier lives in the heart of their families and communities.

How Do Open Road’s Trustees Support The Charity?

The role of the Trustee is to assist in advancing the purpose of the organisation; developing its aims and goals, keeping within its charitable objectives and acting in its best interests. The board members ensure that the charity is run in accordance with its governing document, charity law, and any other laws and regulations which affect its activities.

Our Trustee Board are responsible for developing strategy, providing governance, and directing the charity towards achieving its mission.  We are looking to appoint two new trustees – the first being from the building and maintenance sector – with the experience and knowledge to support the health and safety responsibilities of a growing charity, and the second being a HR professional who will chair our Personnel Sub Committee with special responsibility for oversight of the organisation’s HR function and strategy, ideally you will be a Chartered Member or Fellow of the CIPD with substantial experience at a Senior/Director HR professional level with a thorough understanding of operational HR policy and practice.

An understanding of the role of charity boards and their responsibilities and operation, gained through previous experience would be helpful, and above all else you will be intrinsically values-driven and committed to enabling more individuals we support to live their lives to the full.

TERMS OF APPOINTMENT – Charity Trustee

REMUNERATION:

• This role is unremunerated and offered on a voluntary basis.
• Trustees are encouraged to visit services that are local to them.
• Travel and accommodation expenses are reimbursed for meetings & visits.

 TIME COMMITMENT:

• The time commitment is at least one day a month.
• There are six board meetings a year and this includes an annual strategy setting day.
• Board meetings are held in person in Central London.
• All trustees are expected to participate on at least one committee and there are four committee meetings a year.
• Committee meetings are held in person/virtually.

Key responsibilities:

• To take part in formulating and regularly reviewing the strategic aims of the
• organisation.
• Working with other trustees to ensure that the policy and practices of the organisation
• are in keeping with its aims.
• Working with other trustees to ensure that the organisation functions within the legal and financial requirements of a charitable organisation and strives to achieve best practice.

• Champion the Mission: Trustees act as ambassadors for Open Road’s values, helping to build partnerships, raise awareness, and advocate for those the charity supports.
• Support Leadership and Staff: Through committee work and strategic planning, trustees offer critical support to the executive team, helping to foster a positive, values-driven culture within the organisation.
