As the Volunteer Foster Coordinator, you will play a vital role in managing our foster program for cats in our care. This position is essential for ensuring that our cats are placed in loving, temporary homes while they await adoption. You will collaborate closely with foster carers, potential adopters, and other volunteers to create a supportive environment that benefits both the cats and their fosters.

Key responsibilities:​​

• ​Foster management: Oversee the onboarding and ongoing support of foster carers.

• Communication: Serve as the primary point of contact for foster carers, addressing any questions or concerns and providing necessary updates. Communication will primarily occur through email and messaging platforms, access to facebook and Whatapp is essential.

• Training and support: Provide guidance and resources to foster carers on cat care, behaviour, and best practices to ensure the well-being of the cats in their care and ensuring our policies and procedures are upheld.

• Record keeping: Maintain organised and accurate records of foster placements, including intake forms, health updates, and feedback from foster homes.

• Coordination of resources: Ensure that foster homes have the necessary supplies (food, litter, etc.) and access to veterinary care as needed.

• Post-Foster follow-up: Check in with fosterers to gather feedback and facilitate any transitions to permanent homes, ensuring a smooth process for both the cats and their fosters.

This role is essential in matching cats with suitable adoptive families, ensuring a smooth transition from foster homes to permanent residences. You will work closely with fosters, adopters, the Trustees and the Home Visit Co-ordinator to facilitate successful adoptions that benefit both the cats and their new families.

Key responsibilities:​​

• ​Adoption management: Oversee the adoption process from home visit stage to adoption day, including participating in screening potential adopters, facilitating home visits, coordinating meet and greets and providing after care support. 

• ​Communication: Act as the primary point of liaison between prospective adopters and foster carers, providing information about available cats and addressing any questions or concerns with the aim of facilitating a smooth running adoption process. We use Facebook messenger and email as primary forms of communication so access to these is essential.

• ​Matchmaking:  Assess the needs and preferences of both cats and adopters to ensure the best possible matches for long-term success.

• ​Record keeping: Maintain accurate and organised records of adoption applications, follow-ups, and outcomes to track the progress of each adoption.

• ​Support and guidence: Provide resources and support to adopters on cat care, behaviour, and integration into their new homes to facilitate successful adoption. 

• ​Post-adoption support: Facilitate after care support for adopters and ensure the conditions of adoption agreements are upheld- for example sending out neutering reminders when adopted kittens are old enough  and sign adoptions off once fully complete.

Role overview:​

As the intake Coordinator, you will oversee the intake process for cats entering our care. This role is crucial in ensuring that each cat receives the appropriate care and support from the moment they arrive. You will be the primary point of contact for incoming cats, coordinating with fosters and the Trustee team to facilitate a smooth transition.

• Intake Management: Oversee the intake process for new cats, ensuring all necessary paperwork is completed and initial assessments are conducted.

• ​Communication: Serve as the primary liaison with cat owners, volunteers, fosters and Trustees to gather comprehensive information about each cat’s background, health, and temperament. As a HR & Employee Relations expert you would be supporting the branch by helping them maintain and develop staff throughout the organisation. You would play a key role in advising Trustees on the long-term and strategic direction of human resources and contributing towards policy setting.

The RSPCA Medway West Branch

The RSPCA Medway West Branch is one of the branches of RSPCA, but we are also a separately registered charity looking after animals in our local area. Much of the animal welfare work of RSPCA is carried out through local branches, which is run by volunteers who have the support of the National Society of RSPCA, we are currently going through the process of changing our status to CIO.

The main activities of our Branch are:

•  Helping people on benefits and low-income to afford veterinary bill.
•  Providing support for people to neuter their animals.
•  Providing support to the inspectorate to help get animals treated.
• Access to a pet food bank, working alongside local human foodbanks.

Primary responsibilities of the Branch Trustee – HR & Employee Relations

•  Advise Trustees on the long-term vision and strategic direction for investment in human resources.
• Support the Branch grow, maintain, and develop staff throughout the organisation.
• Contribute to HR policy setting, strategic direction, goal and target setting, and evaluate performance against targets, budgets, plans and charitable objectives.
•  Ensure that HR activities and interventions are linked to the RSPCA Medway West Branches charitable objectives and complement the company culture.
•  Advise on and help improve management of HR.
•  Ensure the Board of Trustees properly remunerates staff, reviewing and rewarding performance and development opportunities.
• To work with the Branch Manager to review current HR management arrangements and provide guidance on HR strategy and short and long-term direction.
• Receive progress reports on HR and any recurring staffing issues.

Core Branch Trustee responsibilities

•  Appreciate and support the aims and policies of the RSPCA.
• Work in conjunction with fellow trustees and branch officers and jointly act in making decisions for the best interest of the branch and the RSPCA.
• Work with national RSPCA staff to ensure that the branch meets all minimum animal welfare standards (MAWS).
•  In conjunction with your fellow trustees and Branch Partnership Manager write, adopt, monitor, and review a development plan setting out the short and long term aims of your branch.
•  Actively participate in branch committee meetings and to attend the branch annual general meeting and regional conference.
•  Be aware of the outcome of regional board meetings and support regional initiatives.
• Actively promote and advertise the society in an ongoing programme to recruit new branch trustees and volunteers and welcome new members.
•  In conjunction with your fellow trustees, ensure the proper management and control of all activities and decisions relating to any premises held or staff employed by the branch if applicable.

You will need to be able to work with people and have good interpersonal skills. You do not need to be an expert although commitment, common sense, and the ability to be objective are vital.

1 year, 21 hours per week traineeship - Voluntary

Are you looking to pursue a career in UK wildlife conservation?

This role is intended to provide experience and skills necessary to pursue a career in UK wildlife conservation and habitat management. To date all former Evidence trainees have gained paid jobs in the sector following the end of the traineeship.

Ecological Evidence Trainees are be based in our Evidence and Connected Landscapes Team. There is a maximum of Evidence 2 trainees at any one time.

As the Nature sector moves to an evidence-based approach it is the Evidence team that collect, analyse and report on the wildlife, environmental and ecological data used for GWT and some local government decision making. Data is collected and analysed by a friendly team of staff, trainees and Citizen Science volunteers.

This is 12-month voluntary traineeship with 21 hours per week schedule with some flexibility.

Although based in Gloucester, this role involves travelling to nature reserves across Gloucestershire, so independent transport is essential March – October.

It is the nature of the work that there may be the occasional option to attend evening and weekend events. However, this is not a requirement of the role. You are not obligated to work beyond your standard hours. However, should you wish to participate in evening or weekend events, you are welcome to do so.

Our head office facilities are at Robinswood Hill Country Park in Gloucester. Trainees survey nature reserves across Gloucestershire during spring and summer.

• To be familiar with and support the aims and policies of the RSPCA. 

• To be familiar with our branch rules and follow them at all times. 

• To work with your fellow trustees and branch officers to jointly act in making decisions for the best interest of our branch and the RSPCA. 

• To ensure the branch meets all the minimum animal welfare standards (MAWS). Where they are not met, work with national RSPCA staff to meet the standard as soon as practicable. 

• In conjunction with your fellow trustees and Branch support specialist (BSS), to write, adopt, monitor and review a branch development plan setting out the short and long-term aims of our branch. 

• To actively participate in branch committee meetings and attend the branch annual general meeting, and regional conference. 

• To be aware of the outcome of regional board meetings and support regional initiatives. 

• To attend the trustee training course. 

• To actively promote and advertise the society in an ongoing programme to recruit new branch trustees and volunteers. 

• To welcome new trustees and volunteers to the branch.

What are we looking for? 

• Most people aged 18 or over are eligible to become a trustee. You will need to become a member of the RSPCA. Good interpersonal skills are important. You do not need to be an expert, although commitment, common sense and the ability to be objective is vital. 

• Specific skills such as finance, fundraising, project management, business experience, and awareness of employment and/or charity legislation can be useful, but not essential. 

• Trustees must sign a Trustee Declaration of Willingness to Act to clarify that they are not disqualified from being a trustee and that they accept the post. 

• In addition to our standard declaration of willingness, trustees also need to complete a declaration from the Charity Commission and read their guidance for individuals on who can’t be a trustee or senior manager of a charity.

A bit about this role

As a charity we are able to help thousands of cats each year thanks to the generous donations we receive from members of the public. Our fundraising team leaders have the exciting and varied role of inspiring our fundraising volunteers to plan and deliver local fundraising events. Using their passion and imagination, they oversee a small team of fundraising volunteers who come together to raise the vital funds needed to cover costs such as veterinary bills and food. Our fundraising team leaders support their team of volunteers in all aspects of their roles, making sure our volunteers are happy, confident and supported.

What can you expect to be doing?

• Supporting and encouraging a team of fundraising volunteers in the Crawley, Reigate and district area
• Planning fundraising events and activities with your team
• Allocating tasks before and during fundraising events
• Keeping financial records from fundraising events
• Encouraging and promoting a professional image of Cats Protection 
• Following policies and guidelines and ensuring licences and permits are obtained for events

A bit more information about this role and the team

• This is a flexible role. The amount of time you offer can work to your availability and convenience.
• There may be opportunities for your activities to be fully remote and/or admin based if you'd prefer.
• You will need your own transport if you wish to attend events, ideally a car or van since items, stock and equipment will usually be needed.
• We ask that you complete training to support you in your role. This can be completed online if you have access to the internet and the necessary device (computer/laptop/tablet etc). Support can be offered or paper versions of much of the training if needed.

• Committee volunteers need to be aged 18+

Time expectation

Our fundraising team leaders usually spend three to four hours per week in this role, which is flexible and can be shared by more than one volunteer if needed.

Support, guidance and keeping you safe

At Cats Protection we believe our volunteers should be happy and confident in their roles. We provide support and guidance from our National Cat Centre and through our regional and local volunteer groups and teams. We offer engaging online and face-to-face training, expenses and have policies and processes to help volunteers get the most out of their time with us.
