Role Overview

As a Talent Administrator, you will be the backbone of the Talent Advisory team, ensuring smooth HR processes, meticulous record-keeping, and compliance with legal and organisational standards. Your work will focus on exit procedures, HR documentation, administrative support, and data protection, enabling the team to operate efficiently while advancing QuilomboUK’s mission. Key Responsibilities:

Exit Procedures & Offboarding

• Manage end-to-end exit processes for resignations, retirements, and contract conclusions, ensuring a respectful and consistent experience.
• Conduct exit interviews (virtually), document feedback, and share insights with the Talent Advisory team to identify trends and improve retention.
• Collaborate with Legal, IT, and managers to ensure the timely return of equipment and access revocation.

HR Records & Compliance

• Maintain accurate and up-to-date HR records (digital and physical), including contracts, right-to-work documents, and visa expiry dates.
• Prepare audit-ready documentation for internal and external compliance reviews (e.g., GDPR, ISO standards).
• Track and renew right-to-work checks, visas, and other legal requirements, flagging expiries proactively.

Administrative Support

• Assist the Talent Advisory team with administrative tasks, including drafting ER case correspondence, updating HRIS data, and generating reports.
• Manage HR system updates (e.g., employee status changes, promotions) and ensure data integrity across platforms.
• Coordinate team calendars, meetings, and training sessions to optimise workflows in a remote setting.

Data Protection & Security

• Serve as the first point of contact for data protection queries, ensuring compliance with GDPR and company policies.
• Train employees and managers on the secure handling of sensitive HR information in a remote work environment.
• Monitor access permissions to HR systems and escalate potential breaches to the Manager: Talent Advisory.

Qualifications

• Experience: 1+ years in HR administration, data management, or a similar role. Exposure to remote work environments is a plus.
• Skills:
• Exceptional attention to detail and organisational skills.
• Proficiency in HRIS platforms (e.g., BambooHR, Workday), Google Products, and virtual collaboration tools.
• Strong written communication skills for drafting policies, reports, and employee correspondence.

Remote Volunteer — Integrity Syariah Foundation

ZAKKI is a social startup focusing on creating an inclusive community for the elderly and people with disabilities. Our mission is to facilitate alms and donations collection and distribution to help the elderly and people with disabilities who work in the informal sector to get better livelihood through micro-business management, giving them greater market exposure.

We are still redesigning ZAKKI fully function product. We are expecting to develop the ZAKKI fully function product in the upcoming years.

The DIRECTOR will lead and manage the respective department that they choose to be part in. The Director will collaborate with the UIUX Manager and Developer Manager to manage and lead the project/department.

The ideal candidate is a highly analytical leader who will join our senior management team. You will be responsible for leading the company’s day-to-day business operations (managing budget, ensuring operational compliance is followed, and addressing administrative issues).

Responsibilities
 •  Measure the effectiveness of all processes (budget, operations, and management, etc.)
 •  Determine the product/project’s strategic growth as part of the executive team
 •  Coordinate cross-functional initiatives and projects

General Requirement:
•  Very effective interpersonal skills, including mentoring, coaching, collaborating, and team building;
•  Strong analytical, planning, and organizational skills with an ability to manage competing demands;
•  In-depth knowledge and understanding of business needs with the ability to establish/maintain a high level of donors and collaborators' trust and confidence
•  Solid understanding of and demonstrated experience in using appropriate tools:

What we need from you

This is a highly flexible role, and you can choose how you’d like to get involved. Opportunities include:

• Face-to-face fundraising – organising or helping at fundraising events, running supermarket collections and fundraising stands, and monitoring collection tins
• Online fundraising – setting up online appeals and writing engaging cat case studies to maximise donations
• Marketing and promotion – spreading the word about fundraising activities via social media and local press
• Administration – processing donations, sorting and recording donated goods, and completing Gift Aid paperwork
• Championing our work – helping to develop new fundraising ideas and increasing community engagement

Could you lead the local SSAFA services in your area? You don’t need a military background for this role, but you should be empathic to the needs of the armed forces community, have some experience of managing people and possess good I.T. skills. What is a Branch Chair?

There are SSAFA branches throughout the UK and overseas. Many are further divided into local areas called divisions. Each branch has a Chair to oversee all aspects of the branch. Ultimately accountable to the Chair of the Board of Trustees, through the National Chairman your role is to ensure that the branch is running in line with SSAFA’s Royal Charter Rules, Regulations, and policies. Also, to ensure that clients and volunteers are safe, all services provided are appropriate and effective and that the branch is financially sound. You will be the public face of SSAFA in your branch area.

Why do we need you?

We’ve been supporting the Armed Forces community since 1885. Our clients come from all backgrounds and age groups and may have served in WW2 or in a more recent conflict like the Falklands or Afghanistan. More people than ever are contacting SSAFA for financial, practical and emotional support. To do this we need local branches and volunteers who can coordinate people, ensure the local population know about SSAFA and keep things running smoothly behind the scenes.

Our branches support local volunteers to deliver services to veterans, serving personnel and their families. Some branches are divided into smaller divisions to ensure the best local service delivery. Each branch has a team of volunteer caseworkers, support volunteers, executive roles, and fundraisers.

When would you be needed and where would you be based?

This role is about leadership, coordination, and administration. As part of your local branch, you might have access to an office, but many volunteers are based at home. The role requires an ongoing time commitment, usually about 2-3 days per month. In addition, you would need to organise and attend regular meetings throughout the year.

What would you be doing?

• Providing leadership to the Branch and ensuring that all activities comply with SSAFA regulations both directly, and through the Branch Secretary, other Branch Officers, and Divisional Officers.
• Providing support and guidance to volunteers in office holder roles, and support with recruitment of volunteers into these positions to ensure the sustainability of the branch.
• Ensuring the financial integrity of the Branch, including the appointment of Treasurers and a local fundraising programme to meet branch running costs.
• Ensuring that all data is processed and held in accordance with SSAFA’s data management policies.
• Monitoring volunteer numbers against the demand for support and working with other volunteers, regional and central office staff to attract and recruit new volunteers as required.
• Ensuring that all volunteers are recruited, inducted, supported, and managed in line with SSAFA policies, such as the Volunteering Policy, Volunteer Code of Conduct, Data Protection Policy, and Safeguarding Policy.
• Building relationships with regional and central office staff, local voluntary organisations and, if applicable, SSAFA Service committees, local military establishments, prisons etc.
• Overseeing an appropriate programme of awareness raising so that potential clients, volunteers, and supporters know how to contact the branch.
• Providing timely reports and information to SSAFA’s Central Office
• Overseeing a programme of meetings including an AGM, branch meetings, committee meetings, training etc.
• Supporting any salaried branch staff and ensuring that their line management arrangements are working appropriately.
• Resolve any complaints that are suitable for local resolution in accordance with SSAFA’s Complaints Policy and procedures, referring upwards any that are not suitable for local resolution.

The remit of this role may change over the next 12-18 months depending on the outcome of a trial currently being undertaken.

What training and support would you receive?

• Role specific training to prepare you for your voluntary role – caseworker training, caseworker IT system training, volunteer management – attracting, recruiting, and inducting volunteers. 
• Mandatory on-line training modules to complete at home, so you are up to date on how to keep clients, their families safe and personal information safe.
• Local orientation as well as meet and greet sessions with key Central Office and regional teams.
• Access to a range additional e-learning courses as well as local opportunities for your personal and professional development.
• Support from Regional and central staff and peer support from fellow Chairs in neighbouring branches.
• Reimbursement of out-of-pocket expenses
• Volunteers will be covered by SSAFAs Public Liability Insurance whilst carrying out the role.

What are we looking for?

• Friendly and approachable people of any age (18+) with some experience of coordinating people and admin
• Willingness and ability to lead and manage a team of volunteers.
• Respectful and non-judgemental approach with beneficiaries, their family, other agencies and SSAFA colleagues
• Willingness and ability to learn basic digital skills. Ability to send and receive emails – you will receive your own SSAFA email address which you will be required to use when exercising your role.
• Willingness to use our on-line case management system (this is covered in the training course)
• Ability to understand and keep within the boundaries of the role for which training will be given.

• Practice confidentiality and data protection in line with SSAFA policies.
• Willingness and means to travel to meetings or events as required.
• Good written and spoken English.

We are looking for 3 candidates to join our volunteer enhanced professional development programme and gain real world experience in your chosen field). While we only have 3 vacancies available through this programme, other options are available if your skills match our criteria.

About the Role

The ePDP Programme Manager is a strategic leadership role responsible for overseeing the Enhanced Professional Development Programme (ePDP) and managing the ePDP Liaison. This position ensures the successful delivery of the ePDP, aligning it with organisational goals and fostering a culture of continuous learning and professional growth. The Programme Manager will work closely with senior leadership, Heads of Department (HoDs), and the ePDP Liaison to design, implement, and refine the programme, ensuring it meets the needs of participants and the organisation.

Key Responsibilities

1. Strategic Oversight of the ePDP

• Develop and execute the strategic vision for the ePDP, ensuring alignment with organisational objectives.
• Collaborate with the Director: HRBP, Legal, IT & ePDP to define programme goals, KPIs, and success metrics.
• Continuously evaluate and refine the programme to address emerging needs and industry trends.

2. Team Leadership & Management

• Manage and mentor the ePDP Liaison, providing guidance and support to ensure effective programme execution.
• Foster a collaborative and results-driven team culture, encouraging innovation and accountability.

3. Stakeholder Engagement

• Build and maintain strong relationships with Heads of Department (HoDs) and external partners to ensure programme relevance and impact.
• Act as the primary point of contact for senior stakeholders, providing regular updates on programme progress and outcomes.

4. Programme Design & Implementation

• Oversee the design and delivery of ePDP content, ensuring it meets the developmental needs of participants.
• Coordinate with internal and external facilitators to deliver high-quality training sessions, workshops, and resources.
• Ensure the integration of feedback from participants and stakeholders to enhance programme effectiveness.

5. Monitoring & Evaluation

• Establish a robust monitoring and evaluation framework to track participant progress and programme impact.
• Analyse data to identify trends, challenges, and opportunities for improvement.
• Prepare comprehensive reports for senior leadership, highlighting achievements, challenges, and recommendations.

6. Communication & Advocacy

• Promote the ePDP across the organisation, ensuring high visibility and engagement.
• Develop communication strategies to highlight success stories and programme benefits.

Required Skills

• Bachelor’s degree in Human Resources, Business Administration, or a related field (Master’s degree preferred).
• 5+ years of experience in programme management, learning and development, or a related field.
• Experience in designing and implementing professional development programmes.
