Volunteering in the shop

Our Broughty Ferry Shop Volunteers are in the middle of it all, and there’s plenty to get involved with. You might be sorting and pricing stock, engaging with customers, ringing items through the till, creating fantastic window displays or keeping our shop floor looking organised.

It’s up to you how much you commit. We have volunteers who support for a couple of hours a week and some do more. Many people volunteer either a morning or an afternoon each week - this is something that will be discussed at the selection stage, after you’ve applied.

Volunteering for Sense

Sense is a leading disability charity with extensive knowledge and expertise in delivering personalised, creative and flexible support for disabled people with complex needs. Our tailored approach ensures that every person is empowered to live fully at every stage of life.

Due to the nature of the role, we require all applicants to be aged 16 or over. You must have a UK address to volunteer with Sense.

What your role will involve

You’ll get the opportunity to get involved in a wide range of activities, including:

• Welcoming and assisting customers, providing great customer service, helping create a wonderful shopping experience.
• Receiving donated items from the public, thanking them for their support.
• Sorting, steaming and preparing donations for sale.
• Helping to display stock in eye-catching and exciting ways.
• Keeping the shop floor clean, safe and tidy.
• Talking to customers about Sense and the work we do. 

When you’re ready, we’ll provide you with additional training to:

• Serve customers on the till in a warm and friendly way.
• Put sales through the till, packing them and thanking the customer for shopping with us.
• Talk to customers about Gift Aid and other fundraising initiatives.

If you’re interested in taking on additional responsibilities, you can train to become a Key Volunteer, helping the shop manager by:

• Helping supervise the shop and other volunteers.
• Supporting the shop manager to make sure customers have a great experience.
• Opening and closing the shop when needed.
• Cashing up at the end of the day.

CONTEXT

The Women & Families Resource Centre (WFRC) is a registered charity based in

Wolverhampton which supports, empowers and advocates for women and children.

We aim to actively encourage women to be self-reliant, through empowering them to

identify their own needs, make their own choices and create their own solutions. We

offer a baby bank, a charity shop & various community support services to help

women facing crises or challenging situations.

Wolverhampton Baby Bank is a flagship project run by The Women & Families

Resource Centre, a registered charity supporting families with children aged 0-3.

Through donated essentials and community engagement, we provide much-needed

items such as:

• Essential supplies for babies and toddlers, including nappies, wipes, clothing, toys,

and bedding.

• Support services for new parents, including drop-in groups and befriending for

pregnant women and new mothers.

• Referrals and resources to connect families with additional community services.

Scope and Span

The Baby Bank Administrator provides structured administrative support to ensure efficient and organised service delivery.

The postholder will manage incoming enquiries, maintain digital records, support volunteer coordination logistics, and assist in stock documentation and reporting processes.This role requires strong organisation, attention to detail, and professionalism when communicating with vulnerable families and external partners.

Thank you for volunteering with The Women & Families Resource Centre (WFRC). Our work supports and empowers women and families facing challenging circumstances, and your role is essential in helping us provide consistent, reliable, and respectful services. To ensure fairness, sustainability, and high-quality support for the community, all volunteers are expected to follow the structured framework and guidelines below.

• Commit to a minimum of 12 hours per week.

• Attend agreed shifts consistently and provide notice if unable to attend.

• Carry out agreed tasks responsibly, maintaining professionalism and confidentiality at all times.

• Treat service users, staff, and fellow volunteers with respect and compassion.

• Communicate openly about availability, concerns, or if feeling overwhelmed to prevent burnout and overcommitment.

• Follow agreed scheduling processes to ensure continuity and consistency in service delivery.

• Work collaboratively as part of the team and report any safeguarding concerns immediately.

Roles and Responsibilities

1. Client Communication & Frontline Support

• Answer incoming phone calls professionally and compassionately

• Respond to email enquiries in a timely and structured manner

• Manage appointment bookings and referral confirmations

• Provide clear information about Baby Bank services and eligibility

• Maintain confidentiality and safeguarding awareness in all communication

• Welcome visitors and support front desk coordination when required
   

2. Administrative & Digital Systems Support

• Maintain accurate digital records of referrals, appointments, and service users

• Update Charity Log database and internal tracking system

• Support data entry for stock distribution record

• Prepare basic reports for the Baby Bank Manager

• Ensure documentation is organised and up to date

• Assist with digital onboarding documentation for volunteers

3. Volunteer Coordination Support

• Support scheduling of volunteers in coordination with the Manager

• Maintain volunteer attendance record

• Assist in preparing volunteer documentation and review paperwork

• Communicate shift confirmations and reminder

4. Stock & Inventory Administration

• Log incoming donations into tracking systems

• Record distributed items against client records

• Support inventory data update

• Flag stock shortages to the Baby Bank Manager

5. Corporate Volunteer Day Support

• Assist with preparation of attendance sheets and documentation

• Prepare administrative packs for corporate volunteer sessions

• Record participation and basic impact data

6. Compliance & Record Management

• Ensure data protection compliance in all record keeping

• Maintain confidentiality of client and volunteer information

• Follow WFRC safeguarding, Health & Safety, and Equal Opportunities policies
   

7. General Responsibilities

• Take meeting minutes when required

• Provide administrative support across WFRC services when necessary

• Undertake additional reasonable duties as directed by the Baby Bank Manager

Qualifications

• Previous experience in administrative or office support roles preferred

• Experience in customer service or frontline communication

• Basic knowledge of Microsoft Office (Word, Excel, Outlook)

We welcome applications from people with a wide range of skills and experiences. You don’t need any retail or shop experience as full training will be provided. What’s important to us is that you are a team player, open to learning and to follow our policies as well as be an excellent representative for Save the Children.

We know that our shop teams are stronger when they are inclusive and representative of their communities. Everybody can make a real difference. People come to us for all sorts of reasons, from all backgrounds, and we will do what we can to find a role that works for you.

What happens next?

After you’ve filled in an application, we will invite you for an informal trial shift. It’s a great opportunity to visit the shop, meet some of our existing volunteers and have a go at some of the tasks that you would be supporting with as a shop volunteer. Hopefully allowing you to get a feel for the role and make sure it’s for you. We also ask for a couple of references (these don’t have to be formal workplace ones, just someone who has known you for over 6 months and isn’t related).

CHARITY SHOP VOLUNTEER – CUSTOMER SERVICE - LEWES

PURPOSE

To assist the Shop Manger in the running of an Age UK East Sussex Charity Shop with a focus on serving customers, driving sales and store presentation.

We are currently looking for volunteers on weekdays and weekends.

ROLE OF THE VOLUNTEER

· Greet and thank customers in a polite and friendly manner

· Assist customers in choosing items and actively promote sales

· Replenish and display stock in the shop throughout the day

· Receive donations and complete Gift Aid paperwork

· Handle cash and operate the till following correct procedure

· Take credit card payments using the Streamline system

· Assist in keeping the shop clean and tidy following the cleaning rota

· Undertake other tasks as required by the Shop Manager

SKILLS AND ATTRIBUTES NEEDED

· Great communication and interpersonal skills

· A pleasant and friendly manner

· Basic numeracy skills

· An eye for detail

· Enjoy working as part of a team

· Trustworthy and reliable

AS A VOLUNTEER WE WOULD ASK YOU TO

· Support the Mission and Vision of Age UK East Sussex by helping us to ensure that our county is a place where people in later life flourish

· Be available to volunteer for at least one regular shift each week. This could be a morning, afternoon or whole day. Depending on the store we open Monday – Sunday.

· Adhere to Age UK East Sussex confidentiality and equal opportunities policies maintaining discretion and confidentiality at all times

· Be reliable and conscientious

· Attend all training and information days, group meetings and supervision

· Exercise patience and understanding when dealing with customers

We’re passionate about what we do, and love giving second-hand clothing a chance of going to a good home. Our shop teams are key to raising vital funds for our work and act as incredible advocates for the rights of children both in the UK and around the world.

Volunteering in the shop

Our Penrith Shop Volunteers are in the middle of it all, and there’s plenty to get involved with. You might be sorting and pricing stock, engaging with customers, ringing items through the till, creating fantastic window displays or keeping our shop floor looking organised.

It’s up to you how much you commit. We have volunteers who support for a couple of hours a week and some do more. Many people volunteer either a morning or an afternoon each week - this is something that will be discussed at the selection stage, after you’ve applied.
