Overview

This is an exciting opportunity for a motivated and enthusiastic volunteer to join our Communications and Marketing team of volunteer professionals.

We are looking to appoint someone who has 7 or more years of professional experience in either Communications and Marketing and who has some experience of leading or / and managing a team in a Communications and Marketing environment.

Reports to: Head of Communications & Marketing 

Core duties and responsibilities

• To take part in department wide management and leadership activities
• To provide practical assistance to the Head of Department
• To support the planning of department activities
• To take on line management roles as assigned
• To provide effective supervision and guidance to other volunteers as delegated
• To work with the Head of Department to support progress and performance in relation to departmental activities to be undertaken
• To oversee departmental tasks
• To provide support and additional capacity with regards to progress of departmental relevant tasks

Requirements

• At least 7 or more years of relevant experience.
• Some experience (ideally 2 or more years) of managing or leading a team.
• To have some understanding of managing volunteers.
• Excellent writing and communication skills.
• IT literacy with own equipment (laptop and phone)
• Ability to work well in a team.
• Strong attention to detail and organisational skills.
• Ability to prioritise tasks and manage time effectively.
• Previous volunteering experience or experience in any kind of start up desirable
• Right to volunteer in the UK

Summary

To be the first point of contact for families at our centres, providing administrative support and helping ensure the smooth running of the service.

Detailed description

We are looking for Volunteer Administrators for the following locations:

Broadwater Family Centre, Stevenage

Windmill Family Centre, Hemel Hempstead

Sopwell Family Centre, St Albans

Westfield & Littlebury Family Centre, Watford

The BECC Family Centre, Borehamwood

Main responsibilities

·Welcome families, visitors, and professionals to the Family Centre in a friendly and professional manner.

·Answer telephone calls and take messages accurately.

·Assist staff with administrative tasks such as photocopying, filing, and preparing resources.

·Input data into systems, ensuring accuracy and confidentiality.

·Help maintain an organised and tidy reception and office space.

·Support the preparation of publicity materials, newsletters, and information displays.

·Signpost visitors to the appropriate staff member for further support.

·Uphold safeguarding, confidentiality, and health & safety policies at all times.

Skills / Abilities / Experience / Qualities

·Friendly, welcoming, and professional manner.

·Good organisational and communication skills.

·Basic IT skills (Microsoft Office, email, internet)

·Reliable, punctual, and able to work as part of a team.

·Respectful of confidentiality and sensitive information.

·Understanding of diversity and inclusive practice.

·Previous office or reception experience is helpful but not essential.

Training / Support

·A full induction to the service and specific site will be provided.

·Requirement to undertake One YMCA online training courses

·To understand and implement One YMCA’s policies.

·Ongoing support and regular 1:1 meetings

·Access to organisational events throughout the year including Socials, Conferences and Training opportunities.

This vacancy is for a volunteer covering the County of Kent.

St John has embarked on a journey to achieve the goal of ensuring that every community and young person across the country is first aid confident.

The post will also interact with relevant Communities of Practice to share learning, advice and best practice.

• Overseeing an appropriate programme of awareness raising activities so that potential beneficiaries, volunteers and supporters are aware of SSAFA as first in mind for support.
• Building relationships with the regional and national SSAFA team, local voluntary organisations and, if applicable, SSAFA serving community teams, local military establishments, etc.
• Attending events as a key SSAFA representative.
• Providing timely reports and information to SSAFA’s central office
• Overseeing a programme of meetings including an AGM, branch meetings, committee meetings, training etc.
• Working with other volunteers, regional and national team members to attract and recruit new volunteers as required.
• Work closely with the community engagement co-ordinator to recruit, welcome, induct, support, and manage volunteers in line with SSAFA policies, such as the Volunteering Policy, Volunteer Code of Conduct, Data Protection Policy, and Safeguarding Policy.
