Volunteer roles

The Conference Officer takes the lead of running the Annual National Conference. This includes the organisation of a sub-committee, financing, logistics, content of the training eg. speakers and social aspects. In addition to organising the conference, they should organise attendance at other conferences for recruitment and fundraising purposes. This should
include comic conventions and medical conferences.

Regional Officers oversee chapters within a certain region. They provide support and guidance to the Presidents (and the rest of committee if needed) including advice and signposting as needed. They can also provide hands on support if requested. They should encourage chapters to collaborate including the sharing of resources, socials, fundraisers, training and events.

The Merch Officer oversees the sale and creation of Make a Smile merch. This includes facilitation of committee hoodies, distribution of Make a Smile t-shirts and management of online merch sales. This can include designing new merch options, pushing additional sales on social media and auditing digital stock.

The Organisation

Citizens Advice South Warwickshire (CASW) is a local charity providing free, confidential, and impartial advice to anyone in need. The organisation supports individuals with a wide range of issues, from simple queries to complex situations involving multiple challenges.

Each year, CASW assists thousands of people across South Warwickshire — including Warwick, Kenilworth, Leamington Spa, Stratford-upon-Avon, and surrounding villages — helping them find practical solutions and move forward. Its community-based team delivers services such as general advice, signposting, and specialist support in areas including debt and housing. Assistance is available in person, by phone, online, and, in some cases, through home visits.

CASW is committed to empowering people through advice, education, and support, while also influencing policies that affect its clients. Its work benefits both individuals and the wider community.

The Role

Citizens Advice South Warwickshire is seeking a trustee to join its effective and passionate Board of Trustees, a team that works collaboratively with respect, energy, and purpose. Branch Trustee – Community Outreach (Chatham) RSPCA Medway West

This is an exciting opportunity to be able to influence how we do things whilst helping the RSPCA to; identify animal welfare needs in the area, prevent animal cruelty, and reach out to more supporters.

Overview of the Branch Trustee – Community Outreach opportunity

We are looking for an enthusiastic and passionate person, with professional expertise, who could devote their time to volunteer as a trustee at our RSPCA Medway. You would be supporting us with establishing connections in the local community and determining what animal welfare needs there are in the area so we can help more animals in need.

Alongside passing on your expertise, this opportunity will give you the chance to influence how we care for and prevent cruelty to animals and drive the implementation of key initiatives. You will serve on the governing body of the charity and be instrumental, alongside fellow trustees, in the running of the Branch and setting out both the short and long term aims.

As a minimum, trustees would normally be expected to attend a monthly committee meeting lasting some 2 to 3 hours. However, the commitment may vary depending on whether the trustee takes on additional duties.

The RSPCA Medway Branch

The RSPCA Medway Branch is one of the branches of RSPCA, but we are also a separately registered charity looking after animals in our local area. Much of the animal welfare work of RSPCA is carried out through local branches, which is run by volunteers who have the support of the National Society of RSPCA.

The main activity of our branch is on

• Helping people on benefits and low-income to afford veterinary bills.
• Providing support for people to neuter their animals.
• Providing support to the inspectorate to help get animals treated.
• Access to a pet food bank, working alongside local human foodbanks.

Primary responsibilities of the Branch Trustee – Community Outreach

• Take the lead on matters relating to community outreach:
• Establish connections with the local community.
• Help the Branch determine what the local animal welfare need is.
• Where there are opportunities for improvements in animal welfare.
• Assist the Branch in setting strategies to tackle the identified animal welfare needs of the Branch area.
• Work closely with other organisations (other welfare charities, other welfare providers, vets etc) to develop mutually beneficial partnership opportunities.
• Identify opportunities for the Branch to engage with those living within the branches area to develop its supporter base.

Core Branch Trustee responsibilities

• Appreciate and support the aims and policies of the RSPCA.
• Work in conjunction with fellow trustees and branch officers and jointly act in making decisions for the best interest of the branch and the RSPCA.
• Work with national RSPCA staff to ensure that the branch meets all minimum animal welfare standards (MAWS).
• In conjunction with your fellow trustees and Branch Partnership Manager write, adopt, monitor, and review a development plan setting out the short and long term aims of your branch.
• Actively participate in branch committee meetings and to attend the branch annual general meeting and regional conference.
• Be aware of the outcome of regional board meetings and support regional initiatives.
• Actively promote and advertise the society in an ongoing programme to recruit new branch trustees and volunteers and welcome new members.
• In conjunction with your fellow trustees, ensure the proper management and control of all activities and decisions relating to any premises held or staff employed by the branch if applicable.

You will need to be able to work with people and have good interpersonal skills. You do not need to be an expert, although commitment, common sense, and the ability to be objective are vital.

Practical considerations

• Reasonable expenses will be reimbursed.
• Trustees must sign a Trustee Declaration of Willingness to Act to clarify that they are not disqualified from being a trustee and read the Charity Commission’s guidance for individuals on who cannot be a trustee or senior manager of a charity.

You will gain new skills and experience as a Branch Trustee whilst enabling us to help animals in our area.

Overview

We are looking for enthusiastic people to take the role as a Charity Trustee, who could devote some time to volunteer for the Alton, Haslemere & Petersfield Branch and support us in boosting our local animal welfare work. Alongside using your expertise, this role will enable you to enhance how we care for and prevent cruelty to animals and drive the implementation of key initiatives. You will serve on the governing body of the charity and be instrumental, alongside fellow Trustees, in the running of the Branch and the implementation of a development plan. At a minimum, you would normally be expected to attend a monthly online committee meeting and to spend further time driving forward our activities.

The Alton, Haslemere & Petersfield RSPCA Branch

We are the local branch of the national RSPCA, but we are also a separately registered charity looking after animals in our local area.

The Branch is in an enviable financial position and employs an experienced member of staff as Branch Manager. Once additional Trustees are in place, we expect to move towards CIO (Charitable Incorporated Organisation) status.

Our main current activities are:

• Providing financial assistance to local people unable to afford unexpected vets’ bills. In the past year, we have allocated £40,000 to this area.
• Collecting petfood donations, which we collate and then pass to our local foodbanks.
• Re-homing cats in the Alton part of our area, organised in co-operation with the neighbouring RSPCA Branch.
• Some fundraising activities, including organising fun Dog Shows.
• We are looking to recruit at least three new trustees to work on significantly developing the Branch over the next few years. Initiatives we are considering are:
• Establishing a comprehensive fostering and re-homing network, across the entire Branch area.
• Major income generation initiatives, including opening our own shops.
• Developing our own animal centre resources, possibly in co-operation with private sector providers in the Branch area.

Core Branch Trustee responsibilities

• Appreciate and support the aims and policies of the RSPCA.
• Work in conjunction with fellow Trustees and Branch Officers and jointly act in making decisions for the best interests of the Branch and the RSPCA.
• Assist the Branch, as appropriate, to work with and assist national RSPCA staff, including but not limited to Inspectors.
• Actively participate in Branch committee meetings and to attend the Branch Annual General Meeting (AGM).
• Actively promote and advertise the society in an ongoing programme to recruit new Trustees and volunteers and welcome new members.
• In conjunction with fellow Trustees, ensure the proper management and control of all activities and decisions.

As well as fulfilling the duties of a Trustee, the Treasurer maintains an overview of Easing Anxieties’ financial affairs. The Treasurer ensures that effective and appropriate financial measures, controls and procedures are put in place and reports to the Board at regular intervals about the financial health of the organisation.

Treasurer role

• Overseeing the presentation of budgets, internal management accounts and annual financial statements to the Board of Trustees. 

• Ensuring that proper accounting records are kept, and that appropriate accounting procedures and controls are in place. 

• Ensuring that robust and comprehensive financial policies are in place and being implemented, and supporting the development of policies covering financial reserves, and cost management. 

• Monitoring and advising on the financial viability of the charity. 

• Overseeing financial controls and adherence to systems, regularly liaising with Chief Executive. 

• Advising on the financial implications of the charity’s strategic plan, including overseeing the charity’s financial risk-management process 

• Ensuring investments and assets are maximised.

• Lead on the appointment of and liaison with external auditors. 

• Oversee the development and implementation of systems for appraising, mitigating and reporting corporate risk. 

• Ensuring that the accounts are prepared and disclosed in the form required by relevant statutory bodies, for example, the Charity Commission and/or the Registrar of Companies.

• Keeping the board informed about its financial duties and responsibilities and liaising with the Chief Executive to develop the financial understanding of the Board of Trustees.

What we are looking for

• A finance professional. A knowledge of charity finance is an advantage. Otherwise an enthusiasm to learn, drawing from sound commercial experience and an understanding of SMEs.

• A strategic thinker with an ability to balance risk and opportunity.

• Clear communicator with the ability to bring the financial information alive to non-finance specialists. 

• Willing to play an active role in areas such as forecasting, setting budgets, liaising with auditors

• Support and provide advice on Easing Anxieities’ purpose, vision, goals and activities. 

• Approve operational strategies and policies, and monitor and evaluate their implementation.

• Oversee Easing Anxieties’ financial plans and budgets and monitor and evaluate progress. 

• Ensure the effective and efficient administration of the organisation.

• Ensure that key risks are being identified, monitored and controlled effectively.

• Review and approve Easing Anxieties’ financial statements.

• Provide support and challenge to Easing Anxieties’ CEO in the exercise of their delegated authority and affairs.

• Keep abreast of changes in Easing Anxieties’ operating environment.

•  Contribute to regular reviews of Easing Anxieties’ own governance.

• Attend Board meetings, adequately prepared to contribute to  discussions.

• Use independent judgment, acting legally and in good faith to promote and protect Easing Anxieties’ interests, to the exclusion of their own personal and/or any third party  interests.

• Contribute to the broader promotion of Easing Anxieties’ objects, aims and reputation by applying your skills, expertise, knowledge and contacts.

As a small charity, there will be times when the trustees will need to be actively involved beyond Board meetings. This may involve scrutinising board papers, leading discussions,  focusing on key issues, providing advice and guidance on new initiatives, presenting externally, or other issues in which the trustee has special expertise.

Terms of appointment

Terms of office

• Trustees are appointed for a 2 year term of office, renewal for 4 further terms to a maximum of 10 years.

• This is a voluntary position, but reasonable expenses will be reimbursed.

Time Commitment (Estimated at 7hours per week)

• Attending 4 Board meetings annually. Currently meetings are held remotely.

• Monthly scheduled meeting with the CEO with flexibility to respond swiftly to the occasional ad hoc issue.
