OPERATIONS MANAGER - ROLE RESPONSIBILITIES
The Operations Manager is a key support for the church’s leadership and heads the staff team providing management over key operational and missional areas of the church’s activities.
This leadership role supports the ethos and ministries of the church and its mission to be a church for the community - discovering Jesus, sharing God’s love, and caring for those in need.
A vital aim for our church’s work in the local community is that our staff relationships, our Venue ministry, our Christian hospitality and how we use and share our building should all reflect God’s character - showing compassion, generosity, and kindness.
The role has a lot of different components, so we’re looking for someone who sees all aspects of this job as an expression of the church’s mission to proclaim the Good News and will facilitate and serve the congregation, the staff and the volunteer teams as they creatively explore ways to express our Christian ethos through the life and ministries of the church. This therefore requires that they are someone who has a mature Christian faith.
They will need to be a “servant“ leader who is mentally agile, energetic, able to schedule and prioritise, a good delegator, a team player, a quick learner and capable of taking initiatives, with a healthy understanding of self-care - we’re not looking for a “hero”, but someone who can work sustainability.
Leadership:
- Work closely with the church leadership team to support the trustees, staff and congregation in the development of church vision, ethos, mission and ministries.
- Create a positive, Christian work environment, and cultivate supportive team working relationships and working practices that align with the church’s mission.
- Lead the staff team, providing effective leadership, management, administration, recruitment, and staff development. Facilitate the team as they represent the church’s values in the day-to-day open house ministries of the church.
- The Operations Manager must be able to represent the church and the church’s Christian ethos in the absence of the Minister.
Building Management:
- Support and develop initiatives that enable every aspect of the building's use, welcome and presentation to be missional.
- Provide effective management, administration, organisation, maintenance, and development of the WGC church buildings and equipment.
- Coordinate with the Estate Manager to develop long-term maintenance plans for the common parts areas of the building.
- Provide the Trustees with regular building management reports.
Compliance and Legal Administration:
Provide effective management, administration, organisation, and compliance with UK laws, for:
- The maintenance of a safe and healthy working environment.
- Safeguarding, equality and inclusion.
- HR matters including safe recruitment, induction, training and employee development.
- GDPR
- Matters relating to Westbourne Grove CIO charity’s Trust Deeds, Constitution and Church Rules, and leasehold responsibilities.
- Requirements as a registered charity (CIO) including timely submission of reports to the Charity Commission.
- Develop and implement policies, risk assessments and safe working procedures and keep them regularly updated and reviewed. Ensure policies and safe working practices are adhered to.
- Provide adequate information, training and supervision to ensure employees and volunteers are competent to do their work.
- Lead in communications with the freeholder, the management company, the estate manager, and church tenants. Oversee any necessary legal input for decision-making and work closely with the WGC Trustees, and external organisations on decisions relating to the common parts of the building.
- Keep administrative records. Provide reports for the Trustees.
Administrative Services and Support:
- Provide administrative support for the Ministers. Develop and maintain administrative, organisational, communications systems and record keeping procedures for the church’s general administration. Maintain membership and constitutional records.
- Administrate the church's IT infrastructure, broadband, phone systems, and utilities accounts and ensure they meet the operational needs of the building and its ministries.
- Assist the Venue Manager to develop and maintain suitable and effective systems, strategy, pricing, communications, contract management, staffing and customer relations.
- Develop the church’s visibility and profile in the community using the church’s website, social media, ArtSpace, and missional displays and exhibitions, ensuring these align with the church’s ethos and mission.
Financial Oversight:
- Oversee provision of financial management information to Leadership team and Trustees, including budgeting, salaries, financial reports, end-of-year statements. Support them in developing financial strategies and policies.
- Oversee the accurate functioning of church financial systems, controls and procedures. Monitor and administrate reserves and investments.
- Ensure WGC's financial practices comply with UK charity regulations. Assist with the filing of the accounts and annual report to the Charity Commission.
Provide financial oversight, management, and support for:
- Venue ministry finances, pricing and strategy
- Finance Administration - ensure all financial records, payroll, pension administration, invoices, and reports are accurate and timely. Authorise payments.
- Manage the buildings budget including liaising with the Estate Manager regarding common parts expenditure.
- Financial interactions with lease and licence holders including new leases, rent reviews, break clauses and lease renewals, insurance contributions.

PREFERRED WORK EXPERIENCE

About the role
As our Temporary Finance Manager, you will be managing a finance assistant and will be part of our organisation’s Senior Leadership Team, helping to collaboratively shape and steer the charity as we work towards our 2022-2027 strategy. The Finance Manager is at the heart of Woman’s Trust; you will play an essential role and have oversight of not just the finance team - you will have direct exposure to CEO/Board Members and decision-making for the future of the organisation.
We are looking for a highly motived Temporary Finance Manager with demonstrable experience working in a similar senior level role. You’ll be a fully or part qualified accountant e.g. CIMA/ACA/ACCA/Cipfa, with a thorough understanding of charity accounting.

JOB DESCRIPTION
Reporting to the CEO, we are looking for an experienced charity finance person, with accountancy qualifications. (CIMA,CIPFA, CCAB, ACCA, AAT etc)
This a pivotal role and the post holder will be a member of the Trust’s Senior Management Team, with responsibility for overseeing all aspects of the Trust’s finances, working closely with CEO and Board.
The role would suit someone who is motivated by the Trust’s purpose and who is good at building relationships.
We are a home working charity which is committed to flexible working. We are open to considering a range of working patterns for this 0.6 FTE role.
Main responsibilities
· Alongside external accountant, manage the maintenance of the financial accounting system and monthly accounting processes (BACS runs, Expenses, Accruals, Prepayments, Deferred Income, Payroll etc)
· Review management accounts and liaise with accountants over variances.
· Lead on annual budget process
· Maintain and report on regular forecasts throughout the year
· Monitor individual programme funding to ensure all spend is within budget
· Lead on annual audit and creation of statutory accounts by external accountants.
· Distinguish between Restricted and Unrestricted funding to ensure compliance is met and classification is correct
· Support and advise budget holders in matters relating to the financial management of their departments
· Provide financial input to assist with new funding bids and reports to existing funders and partners.
· Ensure appropriate systems and internal financial controls are implemented and maintained
· Responsible for some areas of governance including insurance, Companies House and Charity Commission registration
· Secretariat for the Finance and Audit Committee

· Provide financial information and analysis to the Board, SMT and the wider staffing team as and when required

JOB SUMMARY:
To deputise for IMC UK Director of Finance and work closely with budget holders and counterparts in Split and LA to provide 'real time' support and analysis, that will assist budget holders and IMC UK in decision-making.
Manage the day to day financial activities of International Medical Corps UK with specific focus on financial management, budgeting and corporate financial planning, and ensuring that the finance team is achieving expected deliverables timely and accurately.
MAIN TASKS AND RESPONSIBILITIES
Financial Planning
1. Active participation in drafting IMC UK annual budget for board of Trustees approval.
2. Monthly Updates of Rolling Forecast of IMC UK corporate costs. As the responsible finance officer train and regularly collaborate with Budget Managers to ensure that corporate forecasts are accurate, relevant and reliable by ensuring that; b), to confirm that:
2.1. Staff cost projections – work in collaboration with HR team to ensure that IMC UK staff projections include hire plans, transfer plans, allocation plans, field deployment, terminations, promotions etc.
2.2 HQ Non Labour Cost Projections – monthly review and cost projections should be updated to reflect IMC UK’s latest plans; For example, Travel budgets should be updated if no travel has taken place during the month and not likely to happen in next 2 months. Professional fees - are there valid consultancy agreements in place or is it still in the pipeline and the lag should be built into.
2.3. Provide SFD with latest IMC UK corporate expenditure position with the following details:
- Movement on IMC UK costs vs IMC costs
- Breakdown of fixed costs vs variable costs under IMC UK pipeline
- New positions projected and salary costs allocations;
- Service fee analysis by departments and seek explanations on movements from HQ teams of IMC UK affiliates;
- Work with SFD to ensure IMC UK SMT approval on service fees is obtained;
Financial Control
3. Bookkeeping. Ensure that accounts payable, accounts receivable, bank & general ledger modules are maintained timely & accurately. Ensure that the following are available on file:
3.1. Monthly reconciliation of payroll data,
3.2. Reconciliation of other control accounts including payroll, accruals, prepayment;
4. Internal Control & Regulations. Ensure that all relevant procedures are maintained in relation to a) Procurement process, b) Financial procedures & approvals, c) Sanctions checks d) HMRC Tax - Payroll, Dispensation & VAT tax issues and e) Pensions are adhered to.
4.1. Finance manager shall prepare, plan and deliver training to all relevant staff members on IMC UK's financial, approval and allocation processes.
4.2. Maintain an exceptions register with incidences where the proper procedures have not been observed.
5. Banking & Cash Projections. To monitor and update the Finance Director on
5.1 IMC UK banking and sanctions compliance requirements are updated and adhered to;
5.2 IMC UK Cash requirements projections are updated on a monthly basis on the last day of the month;
5.3 intercompany settlements are reviewed and undertaken on a timely manner
5.4 Summary of bank charges by IMC UK bankers are monitored on a regular basis;
6. FOREX.
6.1. Work with finance team to ensure that funds in other currencies are transferred into IMC UK functional currency – USD on an urgent basis.
6.2 liaise with IMC UK bankers to offer effective solutions for transfers to sanctioned countries;
7. Payroll.
7.1 Staff Cost projections. Proactively work with HR, to provide input on cost implications for new hires; and update IMC UK’s financial projections systems with cost projections on all changes including salary changes, increment implementation, benefits and deductions, vacation leaves pay, off-boarding of employees, and pension management.
7.2. Posting monthly payroll costs to the ledgers.
7.3. Regular monthly payroll reconciliation with differences shared with SFD.
8. Pensions. –
8.1 Effectively manage IMC UK Pensions Plan contributions in collaboration with HR.
8.2 Ensure appropriate and timely pensions contributions are made to pension provider.
9. Public Donations – with collaboration with the Fundraising team, ensure accurate classifications and coding of restricted & unrestricted funds received; For new appeals request for finance codes from IMC Finance team.
Financial Reporting
10. Monthly SMT report. Produce by set date with analysis on income projections, expenditure projections, corporate cost breakdown, donor payments receivables, donor disallowed costs, intercompany balances and variance analysis and clarifications from relevant teams. The following reports are reviewed to prepare the monthly reports:
• Summary pipeline report
• Shortfall Reports
• DR GR Reports
• Summary of cash inflow in IMC UK bank accounts fortnightly;
• Intercompany balance
• Services fees
11. Quarterly Management Accounts. Produce within set timeline for board distribution following FD review. The Quarterly Management Account should be accompanied with the following details:
11.1. Valid variance analysis with input from operations and International Finance team
11.2. Detailed breakdown of unrestricted funds received and sources and updated unrestricted income projection;
11.3. Summary of key events affecting the figures reported;
12. Assets –
12.1 Regular update of IMC UK Asset list and annual update to IMC UK asset list with obsolete items;
12.2 VfM is achieved through competitive bidding process
Statutory Audit
13. Provide active support and planning in annual statutory audit undertaken on the company accounts, including:
13.1 assist with drafting of the financial statements for audit;
13.2 analysing and reconciling the underlying reports for the audit preparations;
13.3 Create audit file with back-up transaction details;
1. 13.4 Liaise with other corporate offices to provide inputs;

A Deputy Contract Manager is to support the Cluster Manager who is responsible for the effective management of all contracts within their designated patch, including line managing the relevant frontline staff. Experience with working with Severe Learning Disability, Profound Autism, and behaviours of distress needed.
What you'll do:
- Support the Cluster Manager to drive business planning activities within your contract, ensuring relevant and challenging objective setting and ongoing performance tracking, developing turn around action plans as may be necessary
- Support the Cluster Manager, using sound financial and accounting principles, manage contract budgets to deliver on corporate and local contract financial targets
- Successfully lead and motivate the team to ensure the championing of and maintenance of a positive local culture within your service
- Work to continuously improve staff competence, ensure ownership of all staff issues and speedy and effective conflict resolution

MSI Reproductive Choices UK is an independent provider of NHS-funded sexual and reproductive health services, with over 60 clinics across England providing abortion, vasectomy and contraception services.
We are looking for a passionate and pro-choice communications manager to oversee all internal and external communications strategies.
The role will work across the organisation with a range of stakeholders and help determine our communications priorities and be hands-on in terms planning and executing successful communications plans. · Lead, develop and manage external communications strategy in close collaboration with media and advocacy leads and the digital marketing team
· Map and identify key stakeholder groups which have an interest in our Mission and Purpose
· Act as brand guardian for all external communications activity, publications, webinars and client-facing leaflets, managing copywriters and designers where necessary
