Job Title: Finance Officer

Reporting to: HQ Finance Manager
Hours: 37.5 per week
Principal Location:London, hybrid with a minimum of 3 and an expectation of 4 days in the office per week.

Our projects focus on a combination of education, child protection and livelihood support to address the social, economic and structural issues that underpin today’s education crisis. We partner with local organisations and communities to deliver our locally rooted programmes, using evidence to drive learning and the refinement and scale up of programmes to create maximum impact for the most children at the lowest cost. Since 2008 we have helped over 250,000 children to go to school and learn and supported over 25,000 families to set up businesses so they can afford the cost of educating their children.
Part 1: Role Purpose:
This role is a key member of the busy HQ finance function. Although the role is primarily focused on the HQ finances, the role operates within the context of Street Child as a global charity and so also has interaction with the global finance team. The role offers the chance to work across a number of finance functions, and some of the subsidiary charities. It is essential that the applicant can juggle the complexities of a busy role with has varied work priorities. Key stakeholders are the HQ Finance Manager, Finance Director and the HQ based fundraising team. The role works alongside the Finance Assistant and plays a role in oversight and coaching of this role.
Part 2: Key Responsibilities:
1) (40%) Deliver all functions related to Accounts Receivable
- Ensure that all income from a variety of different sources is correctly and accurately recorded in the finance system and CRM (which is under development) on a weekly basis.
- Supporting with work on accounts receivable including accessing, downloading and saving in a systematic manner reports from donor portals, bank account and other sources.
- Working with colleagues in Fundraising to analyse and code income reports in Excel and uploading it to the Finance system on a timely basis, at least weekly. Following up on how to code any income which is not allocated to a source.
- Working closely with colleagues in Fundraising to ensure prompt collection of outstanding balances from customers, and sending out monthly debtor balance statements.
- Raising donor invoices and requests for payments, and issuing donor receipts.
- Income and customer account reconciliations and revaluations.
- Any other responsibilities relating to Accounts Receivable.
2) (20%) Lead the Accounts Payable process
- Whilst the Finance Assistant is responsible for all payments, the Finance Officer has a lead role in ensuring that all invoices are paid on time, in an efficient manner and that the finance system reflects the transactions within the correct accounting period and correctly coded in the system – including account code, cost centre, project code and donor code.
- Determine most efficient payment platform to process international payments, and ensure that recorded in the finance system at the correct conversion rate.
- Be a point of contact with the Foreign exchange agents to quickly resolve any questions.
- Work with the Finance Assistant to ensure accurate and timely recording of all approved supplier invoices, requisitions, staff expenses and other expenditure in the accounting system and that all supporting documentation for all transactions are uploaded.
- Managing at least two payment runs a week and additional runs as required; ensuring that all invoices for payment are correctly approved by the budget holder, setting up payments on online banking platforms and sending out requests for payment approvals to payment authorisers and verifying that all payments are fully approved in the banking platforms by the deadline set.
- Once the payment is made, allocating the payment against the invoices in the Finance system.
- Reviewing staff expense claims to ensure that all supporting documentation is provided before payment.
- Managing monthly staff credit card reconciliations and ensure that these are returned on time with all receipts and invoices and checking and reviewing classifications, with follow up as required.
- Carry out monthly Creditor account reconciliations ensuring that all balances are valid and backed up with appropriate supporting documentation.
- Fully deliver the set up all payroll payments in time for the monthly pay day. This involves ensuring correct amount and currency of payment (which may differ from the salary of the individual’s employment contract) and method of payment across all HQ staff.
- Any other responsibilities relating to Accounts Payable.
3) (40%) Month end reporting and reconciliation and subsidiary accounts
- Complete all balance sheet reconciliations, including bank and petty cash reconciliations and submit for approval by HQ Finance Manager.
- Once CRM system is in place, undertake reconciliation processes between finance data and CRM data.
- Carry out monthly revaluations of bank accounts.
- Ensuring supporting information for transactions is correctly stored in electronic format on Teams such as bank statements, remittance advices, credit statements.
- Assist in preparation of internal reports, including working with Operations Department and Finance department to review their monthly reports.
- Take responsibility to deliver the management accounts of two subsidiary companies: Children in Crisis and HQ transactions of Africa Educational Trust.
- Compile information for Gift Aid returns.
- General support and assistance to the team including administrative duties and managing the office post.
- Other ad hoc support to the wider operations team as may be required.
- Audit: support with the year end audit and provision of supporting information to auditors.

About you and the role
The purpose of this role is to lead on our finance strategy, and ensure all of our systems, reporting and processes are helping to drive forward the charity and deliver on our objectives at scale. Key responsibilities:
- Developing a comprehensive financial strategy that supports the delivery of the charity’s objectives and activities
- Reviewing suitability of our current systems: Quickbooks for accountancy, Beacon CRM, PLEO for expenses management, Survey Monkey for data collection etc.

The role
As our Head of Finance, reporting into the CFO, you’ll lead the finance team, ensuring robust financial management and sustainability to support our charitable objectives. You will direct the day-to-day operations of the finance team, actively manage financial planning and forecasting, and develop high level models to support strategic and operational decision making. This busy team processes Housing Benefit payments from 55 local authorities in the UK for up to 4000 St Mungo’s residents; and collect over £45 million in rent and service charge plays a key role in the organisation to support clients to rebuild their lives.
In the role of Rent Service Partner, you will:
- Deliver a high quality rent collection and arrears recovery service, supporting our clients by working towards minimising rent arrears and maximising client income.
- Oversee a busy and varied case load of rent arrears cases ensuring outcomes are achieved in a timely manner.
- Use your attention to detail and expert knowledge to complete accurate court applications and present cases to court.
- Provide an accurate, sensitive and responsive rent account enquiry and information service.
- Work closely with key stakeholders, being the lead liaison with Local Authorities for a designated caseload.
In this role you will be required to work flexibly for at least 2 days per week from their office in Tower Hill, London. This allows for training, team building, line management and other relationship building opportunities. About you
They are looking for people with experience of working in a rent service, income collection or credit control team, with good problem solving skills and the ability to work as part of a team. If you can demonstrate the below, we encourage you to apply.
- Proven experience of using prioritisation and organisation skills to oversee a busy case load of rent arrears cases.
- Knowledge of the court system and legal process relating to debt recovery, and experience of presenting cases to court.

Main Duties
- Management Reporting - Support in the timely and accurate production of monthly management reporting from Workday Adaptive taking responsibility for running the reports for a number of budget departments.
- Budgeting and Forecasting - Support, as appropriate, with annual budget setting, entity budgets, monthly forecasting, process improvements and budget assumptions including Adaptive Planning modelling.

The UWC International Office serves as the operational arm of UWC International, a UK-registered and Germany-registered charity, and stands as a pivotal entity within the UWC movement. The Philanthropy Team operates as an integral part of the larger Advancement Team, which encompasses Communications and Community Engagement. This collaborative framework involves close coordination with colleagues at all eighteen UWC schools, staff, and volunteers across over 155 UWC national committees, as well as various UWC governance stakeholders.

Key Responsibilities
1) Overseeing Financial Management, Reporting, and Monitoring (60%):
- Manage the financial aspects of funded scholarship programmes, including budgeting, reporting, and monitoring spending.
- Prepare narrative and financial reports for donors, coordinating with UWC schools.
- Lead the process of collecting and analysing data on scholarship recipient students and refugee students across all UWC schools for donor reporting, brochures and publications.
- Collate invoices from UWC schools, create invoices for donors and process invoices for payment.
- Ensure accurate record-keeping and efficient use of the accounting system.

- Implement a yearly offboarding survey with scholars, working closely with the Engagement Team.
- Support coordination between UWC schools and national committees during the selection process and pre-departure preparation.
3) Coordinating University Partnerships (10%):
- Coordinate partnerships with universities on behalf of UWC International, working closely with the Senior Adviser, UWC counsellors and EducationTeam.
4) Assisting the Philanthropy Team with Administration incl. Donation Services (20%):
- Manage donation management processes and support donor stewardship processes, including processing online donations through donation platforms and preparing donation acknowledgement letters for donors.
- Maintain data on Raisers’ Edge database and philanthropy dashboard, preparing management updates.
- Coordinate introductions for new philanthropy staff members at UWC schools.
- Oversee subscriptions to databases and respond to inquiries via email.

Experience and skills

- Experience of staff time recording systems – Time@Work preferable
- Familiar with SUN Systems on SQL, SQL Studio 2008 R2.
- Experience of Infor BI or other OLAP cube reporting tools an advantage.
Additional experience that we’d welcome:
- Experience of end user support including ticket logging, ticket resolution, updating of a knowledge base.
- You may have had some exposure to a programming language such as SQL, or an appetite to learn more technical skills.
- Experience of working in a highly international business setting and/or healthcare business setting / NGO would be welcome.
Formal Qualifications/Education
- Accounting or computer science degree, or equivalent experience.

Location: London Support Office (hybrid working) or where any MSI country programme operates.
Full-time: 35 hours a week, Monday to Friday (UK contracted hours).
Contract type: 12-month fixed term contract.
Salary: £34,200 – £42,750 per annum commensurate with experience, for UK based candidates. Discretionary bonus + benefits. For all other locations, the role will be banded within national context.
