Purpose of Post: The Events Coordinator will help to plan, promote and deliver a diverse programme of online and in-person events that reflect the organisation’s mission to support, empower and amplify the voices of people with lived experience of mental illness. These will include outreach sessions, campaigning events, open forums, creative workshops, community engagement activities, fundraising events, awareness days and partnership events.

The post-holder will ensure all events are accessible, inclusive, trauma-informed and well-organised, working closely with the Engagement & Campaigns Manager, project teams, volunteers and external partners.

Given the collaborative and engagement-focused nature of this role, and its direct delivery responsibilities, regular face-to-face working is required, with the post-holder based primarily in the office and attending events and community activities as needed.

Key Duties and Responsibilities

Planning and Coordination

• Develop and maintain an annual events calendar covering outreach, campaigns, creative sessions, open forums, workshops and fundraising (both online and in-person).
• Lead on the end-to-end planning of online and in-person events including aims, audience, format, accessibility needs, timelines, budgets, venues, equipment and staffing.
• Prepare event plans, schedules, risk assessments and checklists to ensure smooth delivery.
• Liaise with venues, suppliers and partners to negotiate costs (ensuring value for money), confirm bookings and arrange logistics.

 Promotion and Communications

• Produce accessible event information and promotional materials, working with colleagues to ensure inclusive language, imagery and formats.
• Use social media, website updates, e-newsletters and community networks to publicise events.
• Maintain event booking systems (e.g. Eventbrite, online forms), manage attendee lists and respond promptly to enquiries.

Event Delivery

• Act as point of contact on the day of events, ensuring smooth set-up, running and pack-down (including seating, signage, technology and accessibility adjustments).

• Brief staff, volunteers and facilitators on their roles and responsibilities before and during events, to ensure clarity of roles.

• Greet attendees, speakers and partners; creating a warm, inclusive and trauma-sensitive environment.
• Monitor timing, technical requirements (e.g. microphones, presentations, online platforms if appropriate) and respond to any issues that arise calmly and adapt plans where needed.

Community Engagement and Stakeholder Support

• Build strong relationships with partner organisations, community groups, local charities, the council and health & social care stakeholders.
• Represent the organisation professionally at meetings, outreach events and networking opportunities as necessary.
• Support delivery of awareness campaigns, public consultations and community engagement activity.

Volunteer Coordination

• Support the recruitment, induction, supervision and recognition of event volunteers.
• Provide clear instructions and create a positive, supportive environment for volunteers.

Monitoring, Evaluation and Reporting

• Collect and analyse event data, including attendance, demographics, costs, outcomes and feedback (e.g. surveys, informal feedback, Mentimeter)
• Produce reports and summaries to evidence impact, support funder reporting and inform future planning.

Finance and Administration

• Work within agreed event budgets, tracking expenditure and income, and seeking value for money.
• Process invoices, petty cash and expenses in line with Hear Us, financial procedures.
• Maintain an organised system for event documentation (e.g. booking forms, contracts, attendance, risk assessments, evaluations).

Safeguarding, EDI and Health & Safety

• Ensure all events comply with safeguarding, data protection, confidentiality and health & safety policies.
• Ensure events are inclusive of people from diverse backgrounds and are accessible to people with a range of mental health needs and disabilities.
• Report safeguarding concerns promptly following internal procedures.

Other Duties

• Attend staff meetings, supervision, training and development opportunities.
• Contribute to a positive, collaborative and learning culture.
• Carry out any other reasonable duties within the scope and spirit of the role as requested by your line manager.

The postholder will use their subject matter knowledge, skills and experience alongside the principles of project management to support the design, development and implementation of a range of PCL products and services. Our long-standing membership scheme is an integral part of our fundraising at Action for ME, and we are fortunate to have a generous membership base of over 3,000 loyal supporters. You will be the main point of contact for our members, ensuring they feel valued and connected to our work, as well as supporting efforts to increase our current membership.

You will also be responsible for the smooth running of crucial operational processes for our membership, trading and individual giving income streams, both during fundraising campaigns and day to day. With a commitment to continuous improvement of these systems, you will help us to increase the efficiency and quality of our stewardship, retain our donors and bring in new supporters.

Key duties

Membership

• Be the main point of contact for our members and provide high quality stewardship over the phone, by email and by letter, always ensuring consistent and high-quality communication.
• Be responsible for delivering operational tasks relating to the membership scheme and improving their efficiency. Including, but not limited to, gift importing and processing, data administration, thanking members, processing renewals and sending out renewal reminders.
• Work with the Fundraising Operations Manager and our Senior Supporter Engagement Officer to monitor the performance of the membership programme and support its growth.
• Maintenance and creation of the mailing lists for our membership magazine, InterAction.  Assist with the distribution of the magazine across all channels (post, email, audio).

Individual Giving & Trading

• Ensure that gifts are processed, recorded and thanked appropriately in a timely manner; and that database records are kept up to date, in line with fundraising data regulations.
• Assisting with the administration of our Winter and Spring raffles and Lottery programme.
• Work with the Fundraising Operations Manager and the wider team to maximise fundraising potential using data and donor insights/feedback.
• Maintain a high standard of data quality and record keeping on our database, ensuring our fundraising processes and procedures are applied in line with all regulatory and governance requirements including GDPR and those of the Fundraising Regulator.
• Processing all outgoing post for the Fundraising team, including online shop orders, from our Bristol office. Complete other office-based tasks as required.  You will be required to work at least 50% of your hours from the office.
• Work alongside the fundraising team to deliver our strategy and workplans, including involvement in projects and fundraising campaigns as required.

Other duties

• To attend and contribute constructively to team meetings and other meetings as required
• To positively promote the work and activities of Action for ME at all times
• To contribute to the team’s overall strategy delivery, annual planning and budgeting.
• To undertake any other reasonable activity in line with the responsibilities of the post as requested by the Fundraising Operations Manager, Director of Fundraising & Development or the Chief Executive.

Person Specification

Experience and knowledge

• Demonstrable experience in building relationships with customers or stewarding supporters and donors.
• Experience using Microsoft Excel for work, including basic excel functions, basic formulas and list tools.
• Experience of using a CRM database, preferably Raiser’s Edge
• Minimum 2 years previous fundraising experience (desirable)

About the role

The focus of this role is to develop and grow income from corporate partnerships, helping us build on our award-winning approach to this area of fundraising.

This will involve working closely with our Development Manager to ensure excellent stewardship of existing partners, helping us to develop long term strategic partnerships tailored to a company’s CSR or ESG objectives. You will also help with the planning and delivery of an exciting volunteering programme geared around hands-on habitat creation and management work in the Yorkshire Dales, Nidderdale and Forest of Bowland.

This will involve prospect research, helping with the planning and delivery of corporate engagement events and cultivating opportunities for additional funding from existing partners.

About you

We’re looking for a self-motivated, organised and creative fundraiser or sales person with proven experience in relationship management.

You will also have good written skills, with experience of creating compelling and engaging communications that inspire and engage your target audience.

Delivering exceptional volunteering events is key to the success of our corporate partnerships, so experience in the planning and execution of engaging in person events will be of real value.

A key part of the role will be to support our business development activity, which will require strong research skills and an ability to identify prospects that share our passion for delivering positive social and environmental impact. Experience using a CRM system to cultivate new business will be a key asset in this role.

Thanks for taking the time to explore the role of Trusts Fundraising Manager at the Family Holiday Charity. The role is becoming vacant as our current Trusts Fundraiser is taking early retirement. We’re super happy for her. But it means time for change! So, we're looking for a new colleague to join us and build forward from all the hard work that she’s put in!

This role is a critical one in our fundraising plans - raising around £300k annually, with pipeline potential for more as you unlock partnership working and programme development across the organisation.

You’ll need to be a bit of an all-rounder - researching and keeping pipelines updated, eccure gifts and donations, consider applications, adapt data and information and inspire with your words, reporting on progress and income. Add a dash of strategic thinking as we develop programmes and look for new funding support to achieve that. We currently raise about £200k (with about ¾ of that as secure as any pipeline can be) but have a budget target of £100k to raise from partnership working and programme development with others in the team. There’s a lot of potential in this area!

The trusts environment is, quite frankly, a bit bonkers so we know that this won't appear on paper to be the easiest role in the world. You’re going to need grit and tenacity as well as all the other skills a good trust fundraiser needs. But we’re a great team, going great things and in a fantastic position to build forward from our existing strong position in Trusts.

Life is a UK charity for vulnerable women and families facing unexpected pregnancy or pregnancy loss. Life’s aim is to provide housing, care and support to vulnerable pregnant women (typically aged 16-25) who are in crisis situations, such as those facing homelessness (or at risk of), escaping abuse or other traumatic circumstances.
