JOB SUMMARY:
To assist the Finance team with the day-to-day financial activities of International Medical Corps UK in ensuring appropriate finance management, accounting, control and reporting. The UK finance team, work in close collaboration with the finance team of our affiliate International Medical Corps based in LA and Split.
MAIN TASKS AND RESPONSIBILITIES
• Appropriate and timely processing of accounts payable function;
• Responding to payment requests using BACS and international transfers as appropriate
• Timely disbursement of staff expenses;
• Set-up payments in the bank account in relation to UK suppliers and employees;
• Prepare vouchers for Foreign exchange transfers;
• Tracing foreign exchange settlements and flag outstanding settlements;
• Ensure uploading documents on Onbase Scanning and filing of bank statements, bank reconciliation, monthly folders for transactions during the month, third party documents and correspondence.

- Proficient in using data analysis tools in excel for reports etc.
- Proficient in Microsoft Word Package;

- Assisting with servicing property meetings (i.e., circulating papers, coordinating actions where required).
- Responsible for the recording of void premises and issuing of building keys.
- Occasionally provide assistance to the Trust’s reception/office manager for general office duties and reception cover if required.
Knowledge and Experience:
- A minimum of one year’s experience in a busy property department.
- A broad understanding of commercial property or demonstrable experience of transferable skills if you are from a different sector.
- Customer focused, with the ability to provide a friendly and efficient service to customers, staff and tenants.
- Good time management, attention to detail, organisational skills and the ability to work under pressure with changing priorities.
- Excellent administrative skills.

We are working with One Small Thing, who are looking for an experienced Finance Assistant to join their busy, collaborative team. Initially part time this role could grow to full time as the organisation expands.

With previous experience in a busy office environment, your experience will include:
· Purchase requisition, purchase orders and invoicing, reconciliation of supplier statements, bank reconciliation and preparing journals, payroll support expenses and preferred supplier account set up.
· Rent management including documenting resident moves and posting receipts paid by local authorities.
· Managing office supplies, and provision of facilities support in line with relevant Health & safety standards.
· Excellent communication skills and an ability to work under pressure and to tight deadlines, you will be able to manage a varied workload and prioritise activities and responses in order of importance.

Fundraising Assistant
Horatio’s Garden charity is looking for an enthusiastic and committed individual, with flair for communicating through the written word, to support our Trusts & Foundations fundraising. This is a fantastic role for a graduate or someone looking to start a career in the charitable sector. You will be given ongoing support, training and mentoring throughout the job.
Horatio’s Garden is a growing, award winning, national charity improving the lives of people with spinal injuries by creating and nurturing outstanding garden projects in NHS spinal injury centres.
Trusts & Foundations is our largest income stream and we are looking to increase capacity in the team during a growth period for the charity.You will support our experienced Trusts & Foundations team to help meet, and exceed, our income targets and to provide fantastic support to our donors.You will also have the opportunity to spend half a day a week in our Salisbury garden assisting the Head Gardener and spending time with beneficiaries.
Main duties:
- Identify and research grant giving trusts and foundations to whom Horatio’s Garden is eligible to submit applications for funding.
- Proactively approach relevant trusts and foundations, where possible, to discuss potential applications before submission.
- Prepare and submit high quality applications for funding for a range of Horatio’s Garden projects.
- Prepare and submit high quality, timely progress reports to grant givers, contributing to longer term relationship development with funders.
- Maintain the Trusts and Foundations pipeline to maximise supporter retention and income generation.
- Identify and deliver opportunities to engage grant givers with Horatio’s Garden, through events and garden tours, to increase supporter engagement.
- Support the whole fundraising team with tasks where required.
General
1. Work with the gardens, arts programme and finance teams at Horatio’s Garden to understand the need for funding and the impact of Horatio’s Garden to maintain profitable relationships with supporters.
2. Ensure all contact and communications with supporters is recorded on our CRM database and on pipelines to enable continuity with supporters across the team.
3. Keep up to date with trends and developments in fundraising to identify opportunities for Horatio’s Garden to increase sustainable income.
4. Actively contribute to team and organisation meetings.
5. Actively contribute to projects and activities across the organisation, supporting colleagues and volunteers where necessary.
6. Support the charity at events and be willing to help the team with other activities where required.This may require travel to our garden sites across the UK and overnight stays.

Role and Responsibilities
DUE TO THE INCREASE IN REB MEMBERSHIPS, NETWORKS AND ACTIVITIES, AN EXCITING OPPORTUNITY CROSSING BOTH ADMIN AND EVENTS SUPPORT, IS BEING RECRUITED.
TIME AND WORKLOAD WOULD BE DIVIDED BETWEEN BOTH ADMIN AND EVENTS SUPPORT AT AN AGREED SPLIT, BASED ON BUSINESS NEEDS.
Key Tasks –
Admin Assistant Role
· Work with the MD to provide services to the Board, the Patrons Group and Network of Networks (where required) including:
o Booking meeting rooms
o Setting meeting dates and sending calendar invitations (For MD and Executive team on an ad hoc basis)
o Circulating agenda & papers
o Attending meetings and taking minutes, predominantly with MD- both in person and virtually
o Maintaining the Terms of Reference
o Updating Board
o Main point of contact for Next Gen and NofN committees -updating membership on the CRM and webpages for both and attending meetings
o Provide admin support to MD as required including setting up meetings, preparing presentation slides and uploading meeting notes to Sharepoint
Events Assistant Role:
· Support the Events Administrator in the delivery of the REB events programme including:
o Event logistics planning and delivery
o Venue liaison
o Contributor liaison
o Event marketing and booking support
o Event materials preparation
o Event set up and set down
