The Pathway Administrators sits within The Green House (TGH) under the direction of the Service Manager and Clinical Manager. They will be part of a busy and friendly team and responsible for supporting children, young people and families with accessing our frontline services. The post holders will be the first point of contact for families and professionals wishing to make referrals to our service. They will lead on allocations to our Frontline Services and respond to Subject Access Requests and Pre-Trial Therapy Notes Requests alongside the Service Manager and Data Protection Officer. Key Duties and Responsibilities
1. Provide a trauma-informed contact via telephone, email, website contact form, voicemail, or text message for Children, Young People and Families referred to TGH, including self-referrals.
2. Provide information about what support services are available and refer/facilitate access to internal, or external support services.
3. Input Request for Support Forms (Referrals) into the case management system.
4. Communicate closely with clients and keep them informed of any wait times, action taken or referrals made on their behalf.
5. Gather information from other professionals at the point of referral or allocation as advised by the Clinical Manager and Service Manager.
6. Take part in promoting services including talks and training to organisations based in key agencies across Avon and Somerset to support staff, volunteers, and clients to build trust and understanding about TGH, our referral pathways and services.
7. To work with the Service Manager and Clinical Manager to manage and co-ordinate appointments for our services, updating our database and associated spreadsheets.
8. Attend organisational meetings as required and communicate effectively with
relevant colleagues across the TGH team.
9. Support with administrative tasks across the organisation including support to the Senior Leadership Team where appropriate with administrative tasks.
10. Maintain accurate, confidential records of all contacts and interventions with Children, Young People and Families/professionals, ensuring timely documentation using internal systems e.g., Oasis.
11. Commit to self-care and participate in line management, annual appraisal, clinical supervision, training and contribute to team communication and operational improvements.
12. Support the Research Team and Services Team to actively gather feedback from clients and professionals.
13. Maintain documentation and manuals associated with the role as and when required (alongside the Service Manager).

15. Produce professional letters to advocate on behalf of Children, Young People and Families and manage client post.
16. Assess risk and report safeguarding concerns in line with the Green House Policies, maintain up-to-date safeguarding training, and stay informed on relevant legislation about child sexual abuse and procedures.

We are seeking a Senior Officer- Executive Office with strong experience supporting CEOs, senior leaders and Boards. The Jewish Museum London has undergone substantial positive change over the past two years, moving out of our Camden site and moving to a ‘Museum without Walls’ model. With new leadership installed at both lay and staff levels and a consultation process underway for the development of a five and fifteen-year strategy the Museum is looking for a new member of the team to assist in running the day-to-day administration of the organisation.
Our museum is made up of passionate and expert staff and a collection of over 40,000 objects which are both accredited and designated with Outstanding status by Arts Council England. Our learning programmes hold multiple awards, and our visitor feedback is consistently very high, however, we have much bigger ambitions than our current success. Reporting to the Senior Leadership Team the appointed candidate will have the organisational and administrative skills to ensure the Museum can effectively run its programmes and help grow the organisation.

As EA to the Chief Digital Officer (CDO), this role has a primary focus in providing comprehensive administrative support to the CDO, in collaboration with the wider Directors’ office team and the CDO’s direct reports.
They will be responsible for delivery of smart and strategic diary management for the CDO and handling administrative tasks on the CDO’s behalf. This will be done in close collaboration with the key contacts (internal and external), including, where appropriate, acting as central point for preparation of related papers, meeting scheduling; comprehensive minute-taking may also be required. A key organisational focus over the next couple of years will be development and delivery of an accelerated digital strategy.
The EA will play a central and strategic role in the organisation and oversight of the related administrative complexities, including invoices and expenses management, and diary co-ordination where required.
The successful candidate will have the following:
- Considerable experience in an EA / PA or senior-level equivalent administrative capacity within an Executive environment (business or charity sector)
- Exceptional administrative and organisational skills, with a focus on complex and strategic diary management
- Excellent communication (in all mediums), interpersonal, and organisational skills, including building and maintaining key relationships in a senior space
- Proven experience in safeguarding sensitive and confidential information accordingly, with a core understanding of prioritisation
- Experience in formal minuting and report drafting

Complete registration administration in accordance with contractual requirements, following systems and processes to ensure accuracy and excellent communication with service users and other stakeholders.
Information, advice and guidance
Work one-on-one with adults and children with a visual impairment and their carers/ families, providing a comprehensive initial assessment in a person-centred, empathetic, and empowering manner.
Provide internal and external referrals and deliver follow-up actions to enable maximum wellbeing for service users.
Manage incoming and outgoing referrals internally and with a wide range of external providers, communicating promptly to manage cases effectively and safely.
Work closely with team members and volunteers to collate and send Information Packs and other necessary communications such as appointment letters in accessible formats.
Assess risks as needed and report any safeguarding concerns to the Safeguarding Lead.
Equipment
Be aware of and able demonstrate and advise on equipment for people with a visual impairment when needed and/or refer to other services.
If needed during home/ care home visits, provide minor adaptations such as high visibility tape on steps or tactile markings on appliances.
Data management
Ensure that all service delivery to individuals and service user data is promptly and appropriately recorded and managed on the Vision North Somerset database, in accordance with procedures.
Work with team members and volunteers to maintain accuracy of the Vision North Somerset service user database, including collecting data permissions and equality monitoring information from service users during visits.
Local networking and knowledge
Develop and maintain knowledge and resources on relevant services offered by organisations to people in North Somerset. Work with the Administrator to maintain records on online files and paper files (for example service leaflets).
Occasionally attend local meetings, arrange meetings with staff from key local organisations or represent Vision North Somerset to develop mutual knowledge of local services.

· Maintain effective communication and positive working relationships with Vision North Somerset staff (and volunteers if appropriate).
· Ensure that other staff understand your role and that you work cooperatively with good communication.

The Daniel Spargo-Mabbs Foundation is a drug and alcohol education charity that aims to support young people to make safe choices about drugs and alcohol and reduce harm. We do this through increasing understanding of the effects and risks, and helping to develop life skills and resilience. We are recruiting an Operations Coordinator to join our team. This role will work closely with the Director to provide Executive Assistant support; work with the Head of Operations to provide HR and finance administration and coordination; and will provide general administrative support across the staff team. This is a new post to support our ever-growing work, and will be based in our Purley office.
Suitable candidates will:
- be passionate about supporting young people to make safer choices about drugs and alcohol
- have experience of providing EA support
- have experience and confidence of using financial data and of coordinating both finance and HR-related processes
- have excellent organisation and multi-tasking skills, with experience of coordinating a range of admin processes
