About the Role

This is a dual-role position supporting both the Finance and HR functions of the charity. You will be responsible for maintaining accurate financial records, supporting budget management, and ensuring smooth day-to-day HR operations. This role is ideal for someone with a strong foundation in finance who is looking to broaden their experience in HR.

What you will do

Finance

· Post transactions into our accounting software, Xero, ensuring that everything is accurately recorded and coded.

· Process and record financial transactions, including invoices, payments, card payments and expenses, and organise a twice- monthly pay run.

· Perform bank reconciliations.

· Manage the accounts mailbox.

· Complete the quarterly gift aid claims.

· Support the Head of Finance and Resources with the completion of the monthly management accounts, financial reporting and budgeting.

· Maintain financial and other administrative records, e.g. fixed asset register.

HR

· Maintain up-to-date employee records and keep our HR Information System (Breathe HR) up to date.

· Support the HR Lead by producing monthly or quarterly reports from Breathe HR.

· Support recruitment processes including posting job adverts, scheduling interviews, obtaining references and assisting with onboarding and induction of new staff.

· Work with the HR Lead to ensure that HR policies and procedures are up to date and compliant with legislation.

· Organise mandatory training for staff and maintain training records.

· Support employee wellbeing initiatives and internal communications.

· Assist in the payroll process by providing accurate HR data to the finance team.

· Minute the People Committee meeting on a quarterly basis.

· Support for trustee meetings set up and diary management.

What you will bring to the team

· Experience working with accounting software, preferably Xero.

· Excellent numeracy skills and attention to detail.

· Good verbal and written communication skills to communicate with a diverse range of colleagues.

· Highly competent with the MS Office suite (particularly Excel).

· Experience of maintaining spreadsheets.

Flexibility

Our staff who live in or near London operate on a hybrid model, working in our office within South Bank University (one minute from Elephant and Castle tube station) on Mondays and Tuesdays. Full-time staff work in the office both those days and at home the rest of the week, while part-time staff who live in or near London are required to work in the office on one of those days, and at home for the rest of the week. We also have staff outside London who are fully home-based. We would ideally like the Finance and HR Officer to work in the London office on either Monday or Tuesday (or both if they would prefer that) but we are flexible as to when in the week the remainder of the hours are worked, provided that there is a consistent working pattern each week.

Depaul International (DPI) oversees the Depaul Group, a group of charities that work across the world with a mission to stop homelessness and change the lives of those affected by it.

What’s the role about?

This is a great opportunity to join us as the new Chief Finance Officer. As the Depaul Group continues to experience growth and increases its impact, you’ll lead the effective financial and governance support provided by DPI to its subsidiaries. You’ll be the leading interface between the Senior Leadership Team and the Board of Trustees and other corporate bodies and subsidiaries. You’ll provide financial advice to the Group CEO, Board and other senior management colleagues, including modelling best practice in financial management, overseeing the financial management in the subsidiaries, setting financial standards for the group and providing support to enable the subsidiaries to meet those standards. You’ll also be leading and supporting the development of a new governance structure for the Group.

What will ideally support your success?

You’ll be a CCAB qualified accountant with experience of strategic financial leadership and management experience and the ability to solve complex problems. In addition, you’ll have experience of working with and advising a diverse range of boards and external stakeholders. It’s important that you also have experience of current financial reporting requirements and financial management practices, including consolidated financial reporting. Strong IT skills as well as an appreciation and understanding of key HR and ICT challenges in the charity sector are desirable. We’re looking for someone possibly, but not exclusively, working in homelessness and/or international development who shows personal integrity in all they do and have a commitment and respect for our aims, objectives and values.

The Research Officer role enjoys a varied workload and brings the opportunity to work with autonomy and develop new skills within a friendly and dynamic team. You will work on a broad range of projects, including being involved with our grant management processes, working closely with the Research Officer and the Acting Head of Research. The post-holder will also work closely with other departments across the charity, including producing engaging research communications content for print, online and social media, and will also have the opportunity to interact with senior researchers, clinicians and people affected by sarcoma.

Duties and Key Responsibilites 

Sarcoma UK’s research programme

• To support Sarcoma UK’s grant application processes under guidance from the Acting Head of Research. This will include calls for proposals, identifying expert peer reviewers, administering a high-quality peer and lay review process, communication with applicants and potential applicants, administration of grant awards and supporting patient involvement.
• To provide support to the Grant Review Panel and Research Strategy Committee, including organising meetings and preparing minutes.
• To manage Sarcoma UK’s portfolio of active research grants, under guidance from the Acting Head of Research. This will include administration of newly awarded grants, monitoring progress of current grants, oversight of grant finances and reporting on final outputs.
• To support opportunities for patient involvement within the research programme, including managing a network of lay reviewers and facilitating new opportunities, with support from the Patient Involvement Coordinator.
• To support new developments in Sarcoma UK’s research programme, including organising and attending events, collaborative funding calls and initiatives to support early career researchers. 

Research Impact and Communications

• To monitor and gather outputs and long-term impact of research grants funded by Sarcoma UK and support in ensuring these are shared with internal and external audiences.
• To plan and produce engaging and reactive and proactive communications about sarcoma research, including website, social media, written and video content, working with the Acting Head of Research and Communications Team to ensure our research activities and outcomes are shared with the sarcoma community and wider public.
• To proactively engage with grant holders to gather impactful insights and to support engaging communication about sarcoma research.
• To regularly review and update Sarcoma UK’s website with progress updates on research grants and promote funding opportunities.
• To support work undertaken by the Fundraising Team where required, such as lab tours and supplying information about funded grants for donor reports.

External relationships

• To be a point of contact for Sarcoma UK grant holders and their host institutions.
• To maintain positive relationships with Sarcoma UK’s research panels, potential grant applications, researchers and clinicians, and the wider sarcoma research community.
• To work directly with a range of people personally affected by sarcoma to place the voice of lived experience at the heart of our research programme.

General

• To support the integration of the research programme across Sarcoma UK.
• Attend Sarcoma UK events and contribute to the wider work of Sarcoma UK.
• Travel occasionally to meetings and events. Occasional evening or weekend work may be required (time off in lieu will be given).
• Work flexibly and collaboratively in a dynamic environment, undertaking other duties as required to support the wider operations of Sarcoma UK.

As EA to the Chief Operating Officer (COO), this role has a primary focus in providing comprehensive administrative support to the COO, in collaboration with the wider Directors’ office team and the COO’s direct reports.

They will be responsible for delivery of smart and strategic diary management for the COO and handling administrative tasks on the COO’s behalf. This role will provide varying levels of support for the Finance & Audit Committee, NT Food & Drink Board, Enterprises Board, and the Financial Planning Group. This will be done in close collaboration with the key contacts (internal and external), including, where appropriate, acting as central point for preparation of related papers, meeting scheduling; comprehensive minute-taking may also be required.

A key organisational focus over the next year will be delivery of substantive capital and improvement works. The EA will play a central and strategic role in the organisation and oversight of the related administrative complexities.

In addition to having primary responsibility to the COO, this role will provide administrative support to the Legal team, including invoice and expenses management, and diary co-ordination where required.

The successful candidate will have the following: 

• Considerable experience in an EA / PA or senior-level equivalent administrative capacity within an Executive environment (business or charity sector)
• Exceptional administrative and organisational skills, with a focus on complex and strategic diary management
• Excellent communication (in all mediums), interpersonal, and organisational skills, including building and maintaining key relationships in a senior space
• Proven experience in safeguarding sensitive and confidential information accordingly, with a core understanding of prioritisation
• Experience in formal minuting and report drafting

About the role 

Are you passionate about supporting people who are living with a serious rare condition? Do you get a kick out of someone else’s joy as they reach their fundraising target? Are you a meticulously organised person who loves sending thoughtful packages through the post? 

We are looking for a Community Support Administrator to enhance our offer to people diagnosed with aplastic anaemia, and their friends and families . You’ll help our successful fundraising and support teams to do more.

Reporting to our Community Fundraising and Events Manager 

We are passionate about creating opportunities for our community to support us in ways that create joy in their own lives and help them feel empowered in the face of serious illness. Our fundraising activities are designed to help tackle the isolation and other difficulties that are faced by those living with a rare and serious condition. You’ll help us make sure that fundraising for The AAT is a life-affirming and joyful experience.

Our small team are fully remote across the country. You’ll be based on your own in our small office/post room in Birmingham with regular face-to-face meetings with your manager (who lives locally). You’ll keep in touch with the rest of the team via Microsoft Teams.

The first line of support 

As a small charity representing an ultra rare condition, the people we support and the people who support us through fundraising are often one and the same.

You’ll sit within the fundraising team, but your role spans the organisation, and you’ll also deliver essential administration support for our Support Team. 

The Aplastic Anaemia Trust is the only charity who publish information about aplastic anaemia for patients and families. You will post booklets to patients and to hospitals, heading to the post office twice a week to fulfil orders. You’ll also support our volunteer moderators to administer the Patient Support Facebook Group. 

This is a varied and interesting role which gives you the opportunity to see your impact first-hand as you’ll be interacting directly with people whose lives are affected by aplastic anaemia. You will support our community with understanding and empathy. 

As a Community Support Administrator, you will...  

• Manage our online shop, fulfilling orders promptly. Track inventory and re-order items that are running low 

• Send thank you messages and cards to supporters 

• Update our CRM and keep up to date and accurate data on our community 

• Create and schedule social media posts and event listings on our website.

• Answer general emails, social media messages, and other communications and/or ensure they are answered by the right person from our team 

• Provide support and guidance to our volunteers including onboarding and supervision 

• Pitch in with occasional event admin and organising 

• Twice a year attend our Staff Conference for (2-3 weekdays with overnight stay) to work directly with the full team 

For example, a typical week could include: 

• Sending out patient information booklets to hospitals who order it via our website 

• Finding out the t-shirt sizes of everyone on our Great North Run team and posting t-shirts out to them 

• Producing a report from our CRM system, and sending an email to everyone on it to invite them to an event 

• Counting up all our Christmas cards and ordering more from a printers website 

• Creating a thoughtful, personal package for a child who is in hospital, and taking it to the post office. 

• Booking meeting rooms and hotel rooms for an upcoming Staff Conference

• You will understand the joy of beautiful post! You’ll package and send thoughtful, happy packages that put a smile on people's faces when they are having a tough time. 

• You are an independent worker! You’ll be in the office solo most of the time, so you need to be self-motivated, comfortable reaching out when you have questions, and happy in a quiet room (with a big window and leafy view!)

About us  

Aplastic anaemia is a rare and life-threatening condition caused by the bone marrow not functioning properly. 

In people with aplastic anaemia, the bone marrow fails to produce enough of all three types of blood cells – red, white and platelets. 

Aplastic anaemia treatment is very similar to the treatment someone might have for leukaemia - but because it's so rare, families often don't have access to the same information and support. 

The Aplastic Anaemia Trust is the only charity in the UK dedicated to supporting people affected by aplastic anaemia and funding research into this rare form of bone marrow failure. 

We fund research to improve treatment, provide expert information, and work tirelessly, at grassroots level, to support every aplastic anaemia patient and their loved ones.

We’re a small team based at home in various UK locations! We keep in touch frequently online and have a warm, supportive and positive culture.

About the role

University Access Officers are responsible for delivering The Access Project’s high impact mentoring programme to students across our partner schools. This role works with a caseload of students supporting them from the start of Year 10 up to the end of Year 11 to understand the pathway to a top university. 

The role also involves project coordination, working with our schools, volunteers and teams across The Access Project to ensure our young people are fully supported and have the best possible chance of achieving social mobility and enhancing their future prospects.

This role is for a University Access Officer to work across one school., Shirebrook Academy. Our schools are shown on a map on our website.

Role responsibilities

• Work directly with young people mentoring a caseload of students in a professional and safe manner.
• Deliver our University Readiness programme through in-depth, targeted 1:1 mentoring sessions with Year 10 to Year 11 students.
• Assess student progress towards being able to make successful sixth form applications.
• Engage with students in school and enrol them onto the programme.
• Match students with volunteer tutors.
• Monitor student attendance to tutorials and devise innovative solutions to encourage attendance.
• Monitor the impact of tutorials and intervene as appropriate.
• Build and manage relationships with volunteer tutors to ensure they have a positive experience of the programme
• Manage tutor attendance to tutorials through weekly monitoring systems
• Lead on quality assurance of tuition pairings completing a caseload of drop ins. 
• Upload information onto the Salesforce database (training is provided)
• Work with school staff to ensure their cooperation and timely completion of activities contributing to the smooth running of the programme
• Direct enrolled students to appropriate wider enrichment opportunities, encouraging both extra and super-curricular participation and reflection.
• Work with Enrichment & Events team and partner schools to deliver school trips to universities, including trip logistics and leading groups of young people on trip days.
• Lead on all student facing comms.
• Send regular summary updates to school as their key point of contact.
• Present at termly school meetings with Senior Management to report on programme progress.

Training and Development

There are opportunities for progression, including several additional responsibility roles which are available for UAOs to apply for once they have completed their probationary period successfully.

Location: Hybrid – working from home, with at least 1 day a month working from our office in Bracknell, Berkshire.

We’re looking for two enthusiastic, ambitious and organised individuals to join our team as Assistants, each supporting a different area of the charity. One role will provide high-level support to our Chief Executive Officer (CEO), while the other will focus on helping our Communications and Helpline team deliver their vital services. These are excellent opportunities to work at the heart of a charity that is committed to creating a dyslexia-inclusive society.

About the roles

Executive Assistant

This role will support the smooth day-to-day functioning of the CEO’s office, helping manage key processes, communications, and external relations. You’ll be central to diary coordination, board support, stakeholder liaison, and financial administration, contributing to strong governance and strategic delivery.

Key responsibilities include:

· Managing the CEO’s diary, inbox, travel and meeting logistics

· Preparing board papers, agendas, minutes, and reports

· Liaising with stakeholders and trustees

· Supporting advocacy and public affairs activity (e.g. parliamentary events)

· Helping with financial admin tasks such as raising invoices and supplier forms

· Providing wider administrative support to the senior leadership team as needed

This role would suit someone confident in managing sensitive information, working to tight deadlines, and liaising with senior contacts across the charity and beyond.

Communications & Helpline Assistant

This varied and rewarding role provides hands-on support to our helpline and external communications work. You’ll be helping our volunteers offer accurate and empathetic support to the public while also assisting with digital content, social media and outreach campaigns.

Key responsibilities include:

· Supporting helpline volunteer coordination, training and performance

· Helping develop and maintain helpline resources and records

· Creating and publishing content for our social media and website

· Supporting email marketing, digital analytics, and campaign promotion

· Assisting with press releases, stakeholder communications and events

This role is ideal for someone who enjoys helping people, has strong communication skills, and an interest in digital content and community engagement.

What we’re looking for (both roles)

· Excellent written and verbal communication abilities

· A friendly, proactive, can-do attitude and attention to detail

The Finance & HR Lead

We are looking for a Finance & HR Lead to take charge of the financial health of our charity by administering a high quality and effective financial management service to The OutHouse. The OutHouse is going through a period of change and we need a finance practitioner who is able to support the organisation in its financial management. You will also have oversight of our HR function. This is a busy role within a small team that is looking to make a huge difference within our community. If you have a proven track record in financial planning and HR management, can manage multiple priorities and work within time sensitive situations, we encourage you to apply.

You will work closely with, the CEO, Operations Change Manager, the Team and the Treasurer to ensure that all data are recorded accordingly and in a timely manner.

Key Activities & Responsibilities

As Finance & HR Lead, your key activities and responsibilities will be to:

Finance Responsibilities

• Provide a high quality and effective financial management service to The OutHouse.
• Prepare, develop and analyse finance and accounting information, including income and expenditure processing, ensuring information is timely precise, clear, informative and understood
• Keep good quality accounting records for our charity by preparing annual accounts and maintaining up to date records on our accountancy and book-keeping systems (making any recommendations for improvement as necessary)
• Work with the CEO and Operations Change Manager to ensure efficient financial management and planning systems, ensure financial reports effectively inform business development and fundraising strategies and that the organisation demonstrates value for money across all activities and services
• Prepare information for our Funders on funded projects expenditure and work with the SLT to present this in a meaningful way
• Attend Trustee meetings as required to provide information and analysis ensuring partnership with CEO and board Treasurer to allow for easier financial decisions
• Ensure financial information supplied to management and the board is full and accurate so as to support sound decision making
• Ensure compliance and proactively highlight potential risk with relevant financial statutory and regulatory matters
• Identify and manage risks and contribute to the risk register on financial matters and wider decision making when appropriate
• Keep up to date with financial developments across the sector and changes in requirements for charity reporting and legislation
• Make sure financial reporting complies with relevant legal requirements
• Maintain and monitor internal policy documents and procedures and make recommendations on best practice and good governance
