Finance Assistant
Purpose of the role:
We are looking for a highly organised and detail-oriented Finance Assistant to support our Finance function in its day-to-day operations. This role is key to maintaining accurate financial records, supporting payment processing, and ensuring robust financial administration. You will work closely with the Head of Finance and play a critical role in supporting internal processes and contributing to the effective financial management of The Churchill Fellowship.
Key responsibilities:
Financial Processing and Bookkeeping
- Perform day-to-day bookkeeping duties and ensure timely and accurate data entry
- Process supplier invoices and Fellows' grant payments via the purchase ledger
- Prepare weekly payment runs and ensure payments are accurate, authorised and recorded
- Manage and reconcile credit card transactions and receipts
- Manage the Finance@ inbox, respond to queries, and escalate issues where appropriate
- Maintain accurate and up-to-date records of all transactions, including bills, payments, and expenses
Bank and Account Reconciliations
- Reconcile all bank accounts on a monthly basis
- Reconcile credit card accounts monthly and ensure supporting documentation is complete
- Reconcile investment accounts and balances each month
- Support monthly income and expenditure reporting to assist internal financial monitoring
Registers and Schedules
- Maintain the Fixed Asset Register in Xero and ensure assets are correctly recorded
- Update and maintain the Prepayments schedule
- Maintain Gift Aid records and prepare reconciliations for claims
System Updates
- Update financial records in Salesforce, including recording of grant payment dates
- Support the audit process by preparing accurate financial records and providing documentation
- Code and enter all transactions promptly and accurately in the accounting system
- File and maintain financial documents (both digital and paper) in accordance with retention policies
General
- Due to the nature of the role, on occasion, you may be required to work some evenings and weekends in order to fulfil the obligations of your role.
- You may also be asked to carry out other reasonable duties in line with the scope of the role and needs of the organisation.

The Epilepsy Research Institute is looking to appoint an Executive Assistant (EA) to the Chief Executive Officer (CEO).

The Finance Assistant will support the Senior Finance Manager and Finance and Operations Director. They will be responsible for all aspects of sale, purchase and nominal ledger, credit control, payments and various reconciliations. General management account duties will also be required
Key Responsibilities
- Maintain the shared inbox and respond to queries to internal and external contacts in a timely and courteous manner.
- Log purchase invoices into the finance system and request authorisation from budget holders, ensuring that documentation is complete and correct.
- Issue all sales invoices and maintain funders invoicing schedule.
- Request and reconcile supplier statements.
- Ensure finance policies are followed for the set-up of new customers and suppliers.
- Support internal team with expense reimbursements, including maintaining the expenses software and relevant reconciliations. Follow up on missing documentation or evidence of non-compliance.
- Prepare weekly payment runs and issue remittance advices.
- Issue statements to customers and regular credit control activities.
- Check ledgers for missing costs. Identify and resolve missing costs or discrepancies in ledgers.
- Complete reconciliations to ensure payments are allocated and accounted for correctly.
- Reconciliations between the Salesforce and accounting system Assist with month-end and other management accounts functions.
- Support the finance team with other ad-hoc tasks, such as posting journals, payroll and annual audit.

We are seeking a motivated and efficient Events Assistant to join our growing and welcoming organisation. About the role
Managed by the Head of Public Policy, this is a role which is designed to work across our small team, supporting the management of a wide range of events (online and in person) as well as providing some support for communications, meetings and other areas as they develop.
We organise and host a wide variety of events from large public lectures to small networking events, in-person dinners to online seminars and meetings. Some of these are established annual events and some are one-off. At these events and meetings, we host stakeholders from across Welsh political and public spheres as well as engaging and involving our 700+ Fellows who represent excellence across academia and beyond.
This role will focus primarily on events relating to LSW’s Strategic Priority 1: “Contribute to major policy solutions by providing independent advice and facilitating knowledge exchange”. These events typically relate to one of the following five topics:
1. Facilitating the provision of evidence and expertise to inform public policy, with stakeholders including Welsh Government, the Senedd, the UK Government Wales Office, and the Westminster Welsh Affairs Committee.
2. Convening discussions on policy matters impacting research and innovation sectors, such as EDI, research culture, funding, open research, and civic engagement.
3. Advocating for the importance of all research, innovation, and knowledge in and for Wales.
4. Supporting and advocating for Wales Studies, i.e. research about Wales.
5. International engagement to raise Wales’s profile among science and research stakeholders internationally, and give Wales a voice in key conversations in the global science and research world. (Most current work is in Scotland and Ireland, with increasing European engagement)

About this role
The Executive Assistant (EA) to the Chief Executive at Impetus plays a vital role in providing high-level administrative and project management support to the Chief Executive and ensuring the smooth operating of the Senior Management Team (SMT). The EA acts as a key liaison between the Chief Executive and internal/external stakeholders, managing sensitive information and handling a wide range of administrative and executive support tasks.
This dynamic position requires the ability to anticipate needs, think critically, and offer creative solutions to problems with a high level of professionalism and confidentiality.
Key responsibilities
Executive Support:
- Provide sophisticated calendar management for the Chief Executive.
- Serve as the primary point of contact for internal and external stakeholders on all matters pertaining to the Chief Executive, including those of a highly confidential or critical nature.
- Prioritise and determine the appropriate course of action, referral, or response, exercising judgement to reflect the Chief Executive’s style and organisational policy.
- Prioritise inquiries and requests while troubleshooting conflicts; make judgements and recommendations to ensure smooth day-to-day engagements.
- Anticipate the Chief Executive’s needs (e.g. travel bookings, briefings, preparation time) in advance of meetings, conferences, etc.

The supporting statement should be no more than two sides of A4 and should address the criteria in the person specification.
You should also include the contact details of two referees, one of whom must be your current or most recent employer. Referees will only be approached with your express permission.

First round interviews will take place: 21st July 2025.
Second round interviews will take place: 28th July 2025.

Your personal data will be shared for the purposes of the recruitment exercise. This includes our HR team, interviewers (who may include other partners in the project and independent advisors), relevant team managers and our IT service provider if access to the data is necessary for performance of their roles. We do not share your data with other third parties, unless your application for employment is successful and we make you an offer of employment. We will then share your data with former employers to obtain references for you. We do not transfer your data outside the European Economic Area.
