Purpose of the Job
This is a key role within a small and busy finance team. The postholder is responsible for a range of transaction processing and finance administration; mostly focused on purchase ledger, sales ledger, assisting with the month-end process, and plays a vital role in upholding HFEH Mind’s financial controls.
Working closely with the Finance Manager, the Finance Officer will also need to communicate effectively with staff across the organisation and a wide range of suppliers to help resolve queries and ensure that the purchase and sales ledger processes are operating efficiently and effectively. Excellent organisational skills, the ability to prioritise to achieve internal reporting deadlines, and meticulous attention to detail, are critical for this role.
Job Description
Purchase and payments
- Ensure all invoices, expenses and credit notes received are processed following the agreed systems and controls.
- Process invoices and expenses into the accounting system.
- Creation of twice weekly and ad-hoc pay runs.
- Process and pay file generated into the bank software.
- Produce and send out remittances.
- Aged creditors review monthly
- Oversee that authorisation processes are being followed by staff.
- Process staff expense claims following the agreed systems and controls.
- Organise and process occasional cash floats and petty cash, ensuring unspent cash is accounted for and all transactions evidenced and recorded.
Card purchases
- Oversee day to day administration of card purchases, ensuring cardholders upload receipts and code transactions by the stated month end deadlines.
- Transfer fully evidenced and coded transactions from credit card template to Sage
- Reconcile transactions to the bank statements
Sales
- Raise sales invoices as requested and per income schedule.
- Sending out sales invoices to customers.
- Creation of a debtors report twice a month and distribute.
- Coordinate with operational staff for the recovery of debt; escalating in line with procedures.
- Posting cash receipts and allocate to the relevant invoice.
- Aged debts management
Banking
- Reconcile banking on a timely basis
- Post direct debit payments
Inbox management and other queries
- Daily review of new messages received into the finance email inbox from staff, suppliers and other parties, dealing with queries directly where possible.
- Be especially vigilant about phishing, Malware / spam emails which are common in generically named inboxes and following all data protection guidance given.
- For more involved queries, liaise with and assist other finance team members to resolve them appropriately; maintain responsibility for ensuring they are resolved.
- Excellent organisation and administration of both inboxes, to ensure the status of queries is clear at all times and appropriate records are kept on file.
Other regular tasks
- Support the Finance Manager with weekly payroll administration, for example communications with staff members regarding timesheets and new starter information.
- Pay cheques and cash into the bank account, including accurate completion of banking.
- Withdraw cash from the bank as necessary
- Lead on ensuring the digital filing structure is adhered to and support the rest of the team with scanning and filing as needed.
- Lead on the archiving of paper documents stored in the office.
- Assist with other tasks appropriate to your level of training where needed, to help ensure that the finance function operates effectively, including providing cover where staff are sick or taking annual leave.
- Work to the month end deadlines agreed within the finance team, to ensure timely production of management accounts and internal reports.
- Take responsibility for your continuous professional development, ensuring you maintain up to date knowledge of relevant financial legislation, accounting standards, good practice and new initiatives as relevant to the Mental Health and charity sectors.

About the role
This is a hands-on, people-focused role at the heart of our programme delivery. As Programme Manager, you’ll work closely with communities, colleagues, volunteers, and partners to co-create and deliver meaningful programmes that centre on women’s voices and lived experience.
You will be responsible for managing the day-to-day running of projects — from design and facilitation through to coordination, evaluation, and reporting. The role involves a high level of collaboration across departments and with external partners, as well as ongoing work with participants and volunteers to ensure our programmes are inclusive, responsive, and impactful.
You’ll be at the forefront of delivery: holding safe, welcoming spaces; supporting others to take on facilitation roles; and helping build confidence and leadership among women involved in our work. At the same time, you’ll ensure strong systems, clear communication, and smooth operations across every stage of a programme — including the coordination of all logistics, administration, and communications needed to make programme delivery run effectively. Key responsibilities
Programme & Project leadership
· Support & lead on the design, development and delivery of new and existing programmes and events aligned with the charity’s strategic objectives
· Work closely with Head of Programmes and other departments to translate strategy into bold, creative actions that centre women's voices and lived experience
· Work closely with Head of Programmes and other departments to embed co-production principles across all programme initiatives/ co-produce initiatives with participants and stakeholders, ensuring relevance and impact.
· Initiate and conduct research into topics including public health, gender inequality, and women’s health to inform and inspire programme development.

- Implement and manage CRM systems relevant to programme delivery.
- Ensure the smooth, effective and compliant delivery of all programmes, activities, and events, with a strong focus on quality, coordination, and attention to detail.
- Act as a key contact for programme/project enquiries and coordinate logistics such as booking facilitators, venues, equipment, and refreshments.
- Liaise with participants, facilitators, and volunteers before, during and after programme delivery to ensure a seamless and supportive experience.
- Ensure all relevant paperwork and digital documentation — including EDI monitoring forms, feedback, and volunteer information — is completed, stored securely, and remains compliant with GDPR and organisational standards.

Woman’s Trust was established almost thirty years ago and is the leading specialist in mental health services for women. About the role
As our Temporary Finance Manager, you will be managing a finance assistant and will be part of our organisation’s Senior Leadership Team, helping to collaboratively shape and steer the charity as we work towards our 2022-2027 strategy. The Finance Manager is at the heart of Woman’s Trust; you will play an essential role and have oversight of not just the finance team - you will have direct exposure to CEO/Board Members and decision-making for the future of the organisation.
We are looking for a highly motived Temporary Finance Manager with demonstrable experience working in a similar senior level role. You’ll be a fully or part qualified accountant e.g. CIMA/ACA/ACCA/Cipfa, with a thorough understanding of charity accounting.

It offers a gateway for women and children experiencing domestic abuse by providing support, signposting, referrals and information about the services available to them.
The Deputy Helpline Manager will be working as part of a management team, leading, planning and delivering the service to ensure that it supports as many women as possible in line with Refuge’s strategic vision. RSTMH is a membership society formed in 1907, with around 1,800 members and Fellows in over 100 countries. We work to improve tropical medicine and global health by enabling and promoting research, sharing knowledge and convening networks through our members and Fellows and beyond. The Communications Manager will have the opportunity to develop and enhance RSTMH’s reputation as a credible and trusted voice in tropical medicine and global health.
This is a wide-ranging and exciting role. You will lead on implementing the organisation’s communications strategy, working with the leadership team to ensure it meets the aims of the wider RSTMH strategy. You’ll maintain and further develop the website and social media platforms, build links with media contacts, and source, commission and develop content. - Collaborate with external Salesforce development consultants to continue building our system capabilities and design.

The role:
This is a key role at the organisation which will help bolster the capacity of our Grants Team. Reporting to the Head of Grants, the main purpose of the role will be to contribute to the smooth and efficient running of our grant-making activities.
