What is the role of an Admin Volunteer?

The role of Admin Volunteer may involve:

• Conducting research

We are seeking volunteer Trustee to join the Board of Trustees at WORTH to collectively oversee the administration and financial governance of the charity. The board is our governing body, providing strategy and direction and ensuring WORTH is run according to the rules. 

We are particularly looking for applications from individuals able to fill the role of Secretary or Treasurer.

About WORTH

WORTH is a charity providing long term aftercare to women affected by Domestic Abuse. We offer clients 1-1 support and a range of wellbeing groups including art, writing, music, and self-defence to help rebuild their confidence and self-esteem.

We provide a safe space for clients to share experiences, give, and receive practical and emotional support, learn new skills, reduce isolation, build friendships, and give women their voice back. It is a space where women can focus on their future and we can support our clients in their healing, post abuse.

To be able to provide this support we rely on a wonderful team of volunteers with a wide skill set and a whole lot of passion to enable our services to work effectively.

Our Board of Trustees play a vital role in making sure that WORTH achieves its core purpose. They oversee the overall management, administration, and governance of the charity. They also ensure that WORTH has a clear strategy and that our work and goals are in line with our vision. Just as importantly, they support and challenge the CEO to enable WORTH to grow and thrive and support more women in need.

Trustee Duties:

• Support and provide advice on WORTH's purpose, vision, goals, and activities.
• Approve operational strategies and policies and monitor and evaluate their implementation.
• Oversee WORTH's financial plans and budgets and monitor and evaluate progress.
• Ensure the effective and efficient administration of the organisation.
• Ensure that key risks are being identified, monitored, and controlled effectively.
• Review and approve WORTH's financial statements.
• Provide support and challenge to WORTH's CEO in the exercise of their delegated authority and affairs.
• Keep abreast of changes in WORTH's operating environment.
• Contribute to regular reviews of WORTH's own governance.
• Attend regular Trustee Board meetings and be adequately prepared to contribute to discussions.
• Use independent judgment, acting legally and in good faith to promote and protect WORTH's interests, to the exclusion of their own personal and/or any third-party interests.
• Contribute to the broader promotion of WORTH's objects, aims and reputation by applying your skills, expertise, knowledge, and contacts.
• The secretary will be responsible for record taking, including writing, and distributing minutes of trustee meetings, putting together agendas for meetings and sending these out with notice of the next meeting.
• The Secretary will work closely with the Chair to enable the smooth running of meetings.
• The Treasurer will be responsible for overseeing and presenting the accounts to the Trustee meetings. We have an accountant doing the day-to-day management of our finances.
• The treasurer will work closely with the CEO in putting together the budget and monitoring the accounts.

As a small charity, there will be times when trustees will need to be actively involved beyond Trustee Board meetings. This may involve scrutinising meeting papers, leading discussions, focusing on key issues, providing advice and guidance on new initiatives, or other issues in which the trustee has special expertise.

What we are looking for

We are looking for people willing to bring energy, enthusiasm, and commitment to the role, and who will broaden the diversity of thinking and skills on our Board of Trustees. We are particularly interested in candidates with business, finance, and fundraising experience.

Previous governance experience is preferable but not essential. The role is open to remote and local applicants.

Applicant minimum age is 18.

Terms of office

• Trustees will be appointed for a two-year term of office, with eligibility to renew and serve for two further terms to a maximum of six years.
• This is a voluntary unpaid position.

Time commitment

• Attending a minimum of six trustee board meetings annually, meetings are held remotely via Zoom once every two to three months.
• Attendance at ad hoc trustee meetings in addition to the minimum six annual meetings.

Position Overview

An exciting and unique internship opportunity to work closely with key senior operational staff in a respected UK international development charity; this position has strong vocational content for anyone looking to break into the international development sector with future possibilities of progression into roles within the UK and/or Madagascar.

The post holder will gain hands-on experience in international development, gain understanding and skills across a wide range of duties associated with programmes development, corporate fundraising, volunteer coordination, and practical charity management.

The internship spans a minimum of six months and is a remote role. The diversity of activities that will be undertaken provides training for an early-career development professional who can effectively and efficiently deal with a comprehensive range of tasks related to the complex world of overseas development work.

Location: Remote

Commitment: Part-time, two days a week for a minimum of six months - with full flexibility to choose which two days you work, and the option to adjust or change those days as needed.

• Organise fundraising events in your local area such as coffee mornings, quizzes, supermarket bag packs and bucket collections
• Organise film screenings in your community to show Mary’s Meals films
• Volunteer at local fundraising and awareness events such as film screenings, bucket collections or concerts
• Promote Mary’s Meals’ fundraising campaigns and events in your community and across their networks and contacts
• Distribute and display promotional materials

Governance 

Our Board is the ultimate governance body for the charity, serving as stewards of its resources, and ultimately responsible for our strategy, operations and financial management. Our board ensures we comply with our governing document, charity law and pursue our objectives. They are responsible for providing support, guidance and decisions to the CWB team, ensuring the effective and efficient administration of the organisation. 

Trustees are elected for a 2-year term but with the opportunity to be re-elected. 

Trustee Responsibilities 

Strategy and Governance 

• Actively contribute to the Board of Trustees’ role in giving firm strategic direction to the charity, setting overall policy, defining goals and setting targets and evaluating performance against agreed targets

Advocacy 

• Acting as an ambassador for Clowns Without Borders
• Overseeing, and presenting budgets, accounts, and financial statements to the board 

Treasurer’s Responsibilities 

Overseeing the financial matters of the charity 

Ensuring proper accounts and records are kept 

Develop and/or review and implement financial and reserves policies 

• Be a point of contact and lead on issues relating to financial matters of the charity 

o Implementing and monitoring financial controls and ensuring relevant systems are in place 

o Liaising with charity’s director to ensure annual accounts are compliant with Charity Commission guidelines when necessary 

o Liaising with the charity’s independent examiner where appropriate. 

• Drive financial strategy and planning 

o Lead financial discussions with the board team 

o Present strategic options for future financial planning 

o Set up models to help other directors/trustees evaluate financial position and planning 

Expertise 

• Qualified UK Chartered Accountant 
• Knowledge and experience of current financial practices relevant to small charities 
• Strong financial management and strategic experience 
• Good financial analysis skills. 
• Ability to communicate clearly

Remuneration 

The position of Trustee is unpaid. However, all reasonable out-of-pocket expenses incurred will be reimbursed in line with our Expenses Policy.

As a community engagement volunteer you and your fellow branch members will create a range of activities to help spread the word about SSAFA within your community to ensure that that our Armed Forces community know that SSAFA are here to help and that we need the public’s support to continue offering our services.

This role is diverse and allows for you to focus on the areas that you have skills or interests in. The role has flexibility and can work around your other commitments.

Below are some examples of possible activities you can take on or be a part of as a SSAFA Community Engagement Volunteer.

What you will be doing

• Activity Organisers - Love planning? Help coordinate amazing events like charity dinners, carol concerts, and local fairs.
• Event Champions - Be the friendly face of SSAFA! Help at events, chat with visitors, sell merchandise, and spread the word about our work.

• Promoting SSAFA Services - Help provide a warm, welcoming presence at Veterans Breakfast clubs, cafes or hubs - offering information about SSAFA services and signposting as appropriate.
• SSAFA Storytellers -Deliver engaging talks to organisations and groups, sharing SSAFA’s incredible history and mission.
• Community Connectors - Collaborating with the Community Engagement Manager to establish a local network, promote SSAFA's services, and respond to community opportunities such as gardening projects.
• Fundraising Heroes - Whether it’s rallying local businesses, organising events, or getting creative with unique fundraising ideas, you’ll play a crucial role in keeping SSAFA’s support going strong.
• Administrators - Are you detail-oriented and love keeping things organised? Assist with branch and event administration, manage schedules and branch calendars, and ensure everything runs smoothly currently being undertaken.

The skills you need

• Be friendly and approachable.
• Confident to engage with the public, potential clients, volunteers and SSAFA colleagues face-to-face.
• Reliable attitude, staying connected with your Branch and/or Community Engagement Manager about your availability.
• Access to public transport or a car to get to events if necessary.
• Basic IT skills would be an advantage.
