As the Volunteer Executive Assistant, you will play a crucial role in supporting the CEO by managing key administrative and strategic tasks that help drive the organisation’s success. The Vice Chair provides crucial support to the Chair and the Board of Trustees, ensuring the charity's smooth operation and strategic direction. You will act as a deputy, take on additional tasks, and help manage the chair's workload. The Vice Chair's role can vary, but generally involves supporting the chair, acting as a sounding board, and sharing responsibilities. 

Duties can involve:

Support the work of the Chair, and deputise where necessary, in the execution of the following responsibilities, in order to:

• Provide leadership to the charity and its Board, to ensure it operates within its charitable objectives, with a clear strategic direction for the executive team.

• Ensure that Trustees fulfil their duties and responsibilities for effective governance.

• Ensure that meetings are regular and effective.

• Work with the Chair and Chief Executive Officer to ensure that sub-committees make effective and timely recommendations to the Board. • Lead a sub- committee of the board responsible for business development, and/ or such other sub-committees, teams, or working groups as may be created by the board.

• Review the performance of the board.

• Assist with the recruitment of new trustees.

About Children With Voices
Children With Voices is a dynamic charity focused on empowering children and young people through creative projects, advocacy, and education. Role Overview
We are seeking a proactive and experienced volunteer to take on the role of Senior Human Resources Manager. This is a remote, volunteer position with the option to attend our office, located in Hackney, London, for those who prefer occasional in-person meetings. In this role, you will be responsible for developing and overseeing the HR strategy, policies, and processes that support our staff and volunteers, ensuring that Children With Voices remains a supportive and inclusive workplace.

The ideal candidate will bring substantial HR experience, excellent leadership abilities, and a genuine passion for making a positive impact on the lives of children. You will work closely with the senior management team, providing strategic HR guidance and supporting the growth of the organisation.

Key Responsibilities

1. Strategic HR Leadership

   • Develop and implement HR strategies that align with Children With Voices’ mission and values.

   • Advise the CEO and senior management team on HR-related issues, ensuring the HR function supports the organisation’s objectives.

   • Cultivate a positive, inclusive, and supportive workplace culture in line with the organisation’s ethos.

2. Recruitment and Onboarding

   • Oversee and lead the recruitment process, ensuring the organisation attracts and retains talented individuals who are passionate about our cause.

   • Manage onboarding procedures for new staff and volunteers to ensure a smooth integration into the organisation.

3. Employee Relations and Compliance

   • Provide expert advice on employee relations matters, ensuring fairness and compliance with UK employment law.

   • Offer guidance on disciplinary and grievance procedures and ensure that these processes are conducted fairly and in accordance with best practice.

   • Develop, implement, and maintain HR policies and procedures to ensure consistency and fairness across the organisation.

4. Training and Development

   • Identify opportunities for training and development that will enhance the skills of both staff and volunteers.

   • Promote continuous professional development and support leadership initiatives.

   • Ensure that staff and volunteers have access to the necessary tools and resources to succeed in their roles.

5. Wellbeing and Staff Engagement

   • Lead initiatives to promote the wellbeing and mental health of all staff and volunteers.

   • Develop and implement staff engagement programmes to foster a motivated, satisfied, and high-performing workforce.

6. HR Operations and Administration

   • Oversee the day-to-day HR administration, including maintaining accurate records, supporting payroll processing (where relevant), and ensuring that employee benefits are effectively managed.

   • Develop HR reports and provide insights to support decision-making.

   • Ensure all HR activities are managed efficiently and with the highest level of confidentiality.

Key Requirements

• Experience:

  • Proven experience in HR management, with a strong understanding of employment law and best practices.

  • Experience in managing employee relations, performance management, recruitment, and organisational development.

  • Experience working with senior teams to implement HR strategies.

• Skills:

  • Strong leadership and communication skills, with the ability to work collaboratively and provide strategic guidance.

  • High organisational skills and the ability to manage multiple priorities in a remote working environment.

  • Sound knowledge of HR software and systems for managing HR functions.

• Qualifications:

What is a Divisional Secretary?

The is a key role involving administration and coordinating people. As the first point of contact for the division you will play a key part in promoting SSAFA locally, matching clients to volunteer caseworkers and supporting volunteers to get the best outcomes for their clients.

Why do we need you?

We’ve been supporting the Armed Forces community since 1885. Our clients come from all backgrounds and age groups and may have served in WW2 or in a more recent conflict like the Falklands or Afghanistan.

There are SSAFA branches throughout the UK and overseas who support local volunteers to deliver services to veterans, serving personnel and their families. Some branches are divided into smaller divisions to ensure the best local service delivery. Each branch has a team of volunteer caseworkers, support volunteers, executive roles, and fundraisers.

We aim to provide financial, practical, and emotional support when it’s needed most. More people than ever before are coming to us for help, and you will be one of the people contacting new clients and getting them the support, they need.

When would you be needed and where would you be based?

This role is about coordination and administration. As part of your local branch, you might have access to an office, but many volunteers are based at home. The role would suit someone looking to offer a regular time commitment each week.

What would you be doing?

• Acting as the first point of contact for SSAFA in the local area
• Taking enquiries from potential clients and potential volunteers
• Matching new clients to available caseworkers
• Supporting caseworkers, particularly new volunteers
• Working with the local publicity officer to promote SSAFA locally.
• Providing reports to the local SSAFA branch and to SSAFA’s Central Office
• Maintaining accurate records on our on-line case management system
• Coordinating SSAFA Visitors and Helpers (if applicable)
• Organising local meetings to keep all volunteers up to date with the latest training and information.
• Being a positive ambassador for SSAFA remembering that anyone you meet could be a potential client, volunteer or fundraiser.
• Volunteering within the standards and values of SSAFA including observing our policies such as the Volunteering policy and data protection policy (these will be covered in your training and local induction.)

The remit of this role may change over the next 12-18 months depending on the outcome of a trial currently being undertaken.

• Mandatory on-line training modules to complete at home, so you are up to date on how to keep clients, their families safe and personal information safe.
• Access to a range of e-learning courses

• Support from the branch secretary.
• Access to the Welfare Team and Volunteer Support Team based at our central office.
• Reimbursement of out-of-pocket expenses
• Volunteers will be covered by SSAFAs Public Liability Insurance whilst carrying out the role.

What are we looking for?

• Friendly and approachable people with some experience of coordinating people and admin
• Good written and spoken English.
• Ability to be respectful and non-judgemental with clients, their family, other agencies and SSAFA colleagues.
• Ability to send and receive emails – you will receive your own SSAFA email address.
• Ability to coordinate a team of people volunteering.
• Willingness to use our on-line case management system (this is covered in the training course)
• Ability to keep within boundaries of the role with regards to reporting any safety concerns etc
• Reliable attitude, contact clients and volunteers promptly, keep appointments etc.
• Ability to maintain confidentiality and keep information safely.
• Access to public transport or a car to travel to meetings, events etc.

What is a Caseworker?

Caseworkers visit clients to work out what type of support they need. You will listen without judgement to assess and provide tailored support to help those serving, who have served and their families to navigate life in and beyond military service. Some examples of support are securing funding for special equipment for someone with a disability, adaptions to a property so an older client can remain at home or funds for a rental deposit. Caseworkers also sign-post clients onto specialist local services for advice on benefits, housing, mental health, debt, finding work etc.

We’ve been supporting the Armed Forces community since 1885. Our clients come from all backgrounds and age groups and may have served in WW2 or in a more recent conflict like the Falklands or Afghanistan. We’d love the general public to understand what we do and how they can help us.

There are SSAFA branches throughout the UK and overseas who support local volunteers to deliver services to veterans, serving personnel and their families. Some branches are divided into smaller divisions to ensure the best local service delivery. Each branch has a team of volunteer caseworkers, support volunteers, executive roles, and fundraisers.

Volunteer Caseworkers are the lifeblood of SSAFA, supporting a growing number of people in need of financial, practical, and emotional support. Clients come from all backgrounds and age groups and may have served in WW2 or in a more recent conflict like Iraq or Afghanistan.

When would you be needed and where would you be based?

The essential part of the role is visiting clients, so you will need access to a vehicle or another way to travel to meet clients at home or in a care home setting. As part of your local branch, you might have access to an office, but you can complete the administration part of the role from home as long as you have access to IT equipment and the internet.

What would you be doing?

• Contacting beneficiaries and arranging to meet them at a mutually convenient time.
• Meeting beneficiaries and completing a form to assess their circumstances, using good communication skills, empathy and understanding.
• Sign-posting clients onto local services providing specialist advice.
• Applying for funding on the behalf of the beneficiary through a specific process and system  
• Arranging for the purchase of goods and services
• Keeping the beneficiary informed of their case progress.
• Liaise with the branch and regional office, regarding your availability.
• Keeping up to date with training and SSAFA news so that you are best able to support clients.
• Being a positive ambassador for SSAFA remembering that anyone you meet could be a potential client, volunteer, or fundraiser.

• Adhering to SSAFAs policies and procedures at all times, including safeguarding, volunteering policy, equality, diversity and inclusion, health and safety, data protection and confidentiality.

Thyroid UK is a small UK charity with a very wide reach and even bigger ambitions. Since 1998 we have become a leading source of support and information for many thousands of people seeking help with their thyroid condition each year.

As an Independent Examiner for Thyroid UK, you will review our accounting records and annual accounts to ensure they are accurate, comply with legal requirements, and provide an independent assurance to trustees and stakeholders that the charity's money is properly accounted for. 

Job Description:

Overview:

• The Independent Examiner plays a crucial role in maintaining public trust and confidence in charities by providing an independent scrutiny of their financial records. 
• The examiner's responsibilities include reviewing accounting records, comparing them with the annual accounts, and reporting any concerns to the charity trustees. 

Key Responsibilities:

• Review Accounting Records:

Examine the charity's accounting records to ensure they are properly maintained and support the annual accounts. 

• Compare Accounts with Records:

Verify that the annual accounts accurately reflect the financial position of the charity as shown in the accounting records. 

• Consider Unusual Items:

Identify and seek explanations for any unusual items or disclosures in the accounts. 

• Assess Compliance:

Determine whether the accounts comply with relevant legal requirements and accounting standards, including the Charities Act 2011. 

• Prepare Examiner's Report:

Prepare a report for the charity trustees outlining the findings of the examination, including any matters of concern or material significance. 

• Maintain Independence:

Ensure that the examination is conducted independently of the charity's management and administration. 

Qualifications and Skills:

• Financial Awareness and Numeracy: 

Must be appropriately qualified in matters of accounting and financial administration. 

• Understanding of Charity Accounting: 

Should have experience of working with small charities, plus knowledge of charity accounting principles and regulations. 

• Analytical Skills: 

Must be able to analyse financial data and identify potential issues. 

• Communication Skills: 

Should have the ability to clearly and concisely communicate findings and recommendations to the charity trustees. 

• IT Skills: 

Must be familiar with Xero or similar cloud based accounting software.

Reporting:

• The Independent Examiner's report will be submitted to the Charity Commission along with the charity's annual accounts. 
• The report should clearly state whether the examiner has reasonable cause to believe that:
  • Proper accounting records were not kept. 
  • The accounts do not accord with the accounting records. 
  • If accruals accounts were prepared, they do not comply with the legal requirements and the applicable SORP. 

Location: The examination can be done remotely.  Our office is based in Frating, Colchester, Essex.

We are looking for someone who’s great with people to support our centre with a variety of tasks. This will include meeting and greeting customers to our site, as well as helping out with administrative tasks and using our IT systems to support the rehoming of our pets. This role does not involve direct contact with our pets, but our Volunteer Reception Assistants provide vital support to our team so we can ultimately rehome more pets. If you enjoy meeting people and have some experience in a customer care or reception role, we’d love to hear from you.

Why we want you

We aim to give our customers a great experience every time they visit, call or email us and we need someone who can help us achieve this at our busiest times. Our rehoming centre often needs some support with administrative tasks so our busy animal care teams can prioritise spending more time caring for the pets in our care.

What you will be doing

• Meeting and greeting visitors
• Administrative tasks such as data input, photocopying, scanning, printing, filing
• Helping customers with enquiries and assisting them with paperwork
• Answering emails
• Speaking to customers on the phone
• Cash handling
• Helping to keep the reception are tidy and well-stocked

The skills you need

• Excellent customer care skills and a friendly manner
• Able to use IT and learn new systems
• Experience of an office or customer care environment is preferred
• Ability to work in a team and independently
• Willingness to learn and follow Blue Cross procedures and maintain confidentiality
