We are working with an independent research institute who are recruiting for a Executive Assistant to the Director and COO. The Director, has responsibility for research within the institute, and also is a senior professor. The COO, oversees the charitable and administrative structures of both the institute.
Although the primary focus of the role is support for the Director and COO, the role will contribute to the wider institute, particularly event and meeting support. It will be a varied role which will suit someone with previous experience of administration or personal assistant work in the area of science of healthcare.
As EA you will
- Act as gatekeeper between internal/external stakeholders.
- Manage all aspects of the Director's quarterly trustees including collating, editing and proofreading ready for submission to the Board.

Overview / purpose of the role
We’re looking for a Finance & Operations Assistant who is interested in developing a career in bookkeeping and/or accountancy within the nonprofit sector. No previous experience is required, just lots of passion and a motivation to pursue a long-term career in charity finance. The Finance & Operations Assistant is a central resource within CGP, working with colleagues in the Operations Team, and across the organisation to provide financial and operational support to all areas of our work. Responsibilities
Finance
● Managing our accounts payable inbox, monitoring all incoming invoices and following up with team members on any missing information if required
● Processing and coding invoices in Xero accounting software ahead of weekly payment runs

● Conducting weekly payment runs via our online banking system
● Coordinating our monthly payroll processes (working with external providers)

About the role
The London Library is looking for an Acquisitions and Discovery Assistant to assist in the acquisition and management of Library E-resources and print resources.
The role includes supporting the successful acquisition and seamless delivery of electronic resources to library users, utilising and maintaining relevant library systems and records; assisting purchasing decisions and supporting licensing, ordering and payment processes; verifying access, liaising with suppliers & Library IT, and ensuring correct metadata is presented to users; plus monitoring resource use and collecting data for the evaluation of subscriptions. This is a critical role supporting the Chief Innovation, Income and Engagement Officer, Executive Director of Policy & Research and Chief Medical Officer, which will enable them to make the best of use of their time to achieve the biggest difference for people at the end of life.
Based up to three days in our new London office, working with multiple teams and external stakeholders this an exciting and varied role. Working at a fast pace, you will be proactive and efficient always ten steps ahead of events as they unfold. You will be able to adapt your working style to support the different needs of each Director and build strong professional relationships at all levels.
You will be someone who thrives on being busy, never knowing what they will be tasked with next. All in all, a thoroughly organised, personable, confident individual with a can-do attitude whilst demonstrating resilience under pressure. You will lead by example and provide discreet, efficient and responsive administrative, organisational, and logistical support to the respective members of the Executive Leadership team, as a trusted partner.

This role will support the delivery of our Impact and Evaluation strategy. This area of our work helps us to understand the impact of our grantmaking and creates and evaluates internal and external datasets to improve our work. Our Impact and Evaluation portfolio includes commissioning and undertaking new research, supporting our aim to publish studies on issues that affect children and young people living in poverty.
We are a growing charity and our Impact and Evaluation department has a key role to play in the strategic and operational development of the charity as it grows. This role will support the delivery of that aim by working closely with the Impact and Evaluation Manager.
Responsibilities:
Data Collection: Assist with the collection and storage of research and survey data, including demographic data and outcomes indicators, employing quantitative and qualitative methods. Gather and engage with external open and government datasets.
Database Administration: Retrieve and analyse datasets from internal databases, responding to requests for data from the team. Update and enter data into key dashboards to monitor trends and issues.
Data Analysis: Assist with data analysis tasks, including cleaning and analysing quantitative data using software (e.g., Excel, PowerBI), as well as coding and analysing qualitative data using thematic analysis techniques.
Reporting and Presentations : Assist with the preparation of key reports, dashboards, and presentations summarising key findings, trends, and insights from impact and evaluation activities for fundraising purposes, including developing content for social media.
Evaluation Planning: Assist the implementation of evaluation plans for specific programs or initiatives. Contribute to planning large-scale projects, including the selection of appropriate evaluation methods, data collection tools, and evaluation frameworks.
Survey Administration: Assist with the design, administration, and analysis of surveys to gather feedback from grantees, staff, and other stakeholders. Monitor and act on grantee feedback, sharing relevant results with key staff.
Research Administration: Schedule and undertake interviews/focus groups, supported by the I&E Manager. Manage administrative activities such as contact with participants, transcription and coding.
Collaboration: Support the I&E Manager to collaborate with internal staff, research partners, and organisations in the sector to support evaluation activities.
