What is a Branch Secretary?

There are SSAFA branches throughout the UK and overseas. These are divided into local areas that we call divisions. Each branch has a secretary to organise day-to-day activities. This is a key role involving administration and coordinating people. As the first point of contact for SSAFA in the area you will play a crucial part in promoting SSAFA locally, organising local events and ensuring the smooth running of SSAFA across the divisions in your branch.

Some branches are divided into smaller divisions to ensure the best local service delivery. Each branch has a team of volunteer caseworkers, support volunteers, executive roles, and fundraisers.

In recognition of our clients’ service to the Nation we aim to provide financial, practical and emotional support when it’s needed most. To do this we need local branches and volunteers who can match clients to volunteers and keep things running smoothly behind the scenes.

When would you be needed and where would you be based?

This role is about coordination and administration. As part of your local branch, you might have access to an office, but many volunteers are based at home. The role would suit someone looking to offer a regular time commitment each week. You would also need to organise and attend a number of regular meetings each year.

What would you be doing?

• Managing the branch office (if applicable) and providing support to all volunteers, especially new ones
• Work with the branch Chairperson, treasurer, and others to ensure smooth running of the branch.
• Accepting referrals and coordinating SSAFA caseworkers, visitors, and helpers accordingly
• Oversee all SSAFA casework across the branch ensuring clients get support that is effective and timely.
• Monitor volunteer numbers against the demand for support and recruit new volunteers as needed
• Working with the local training officer to ensure all volunteers are kept up to date with the training and information they need.
• Build relationships with regional and central office staff to ensure an effective flow of information.
• Maintaining accurate records of volunteers and cases, submit accurate data to Central Office
• Providing administration for an annual programme of meetings including an AGM, recording, and implementing decisions
• Being a positive ambassador for SSAFA remembering that anyone you meet could be a potential client, volunteer or fundraiser.
• Volunteering within the standards and values of SSAFA including observing our policies such as the Volunteering policy and data protection policy (these will be covered in your training and local induction.)

The remit of this role may change over the next 12-18 months depending on the outcome of a trial currently being undertaken.

This training would take approx. 4 days.
• Mandatory on-line training modules to complete at home, so you are up to date on how to keep clients, their families safe and personal information safe.
• Access to a range of e-learning courses as well as local opportunities to keep your training up to date.
• Support from the Chair of the branch
• Access to the Welfare Team and Volunteer Support Team based at our central office.
• Reimbursement of out-of-pocket expenses
• Volunteers will be covered by SSAFAs Public Liability Insurance whilst carrying out the role.

What are we looking for?

• Friendly and approachable people of any age (18+) with some experience of coordinating people and admin
• Good written and spoken English.
• Ability to be respectful and non-judgemental with clients, their family, other agencies and SSAFA colleagues.
• Ability to send and receive emails – you will receive your own SSAFA email address.

• Willingness to use our on-line case management system (this is covered in the training course)
• Ability to keep within boundaries of the role with regards to reporting any safety concerns etc

We also have an exciting calendar of fundraising events including our signature fashion sales and annual Fashion & Fizz events, where our wardrobe volunteers are responsible for curating amazing rails for our supporters to buy from and in turn raise vital funds for our service.

This opportunity would be perfect for anyone who has a passion for clothes and sees fashion as a force for good. Our wardrobe volunteers should have a meticulous eye for detail and a passion for organisation, as they will be involved in all things sorting and quality control.

We will be recruiting three to four wardrobe volunteers in Newcastle, who will be joining a busy and bustling community consisting of 5 staff members and over 40 volunteers.

Key Tasks

• Working as a team to create successful sorting systems.
• Sorting our incoming clothing donations for client wardrobe and sales.
• Rotating our wardrobe items seasonally and as new items come in.
• Maintaining our rails through steaming and sorting.
• Curating/pricing our fashion sale stock with our events calendar in mind.
• Administrative support with stock takes and inventories.
• Support with our fashion sale events.

Skills you should have

• Great attention to detail.
• Strong organisational skills.

We are seeking Social Media Volunteers to assist our Social Media Marketing Team in creating and distributing engaging content on Hidayah’s social media platforms. Social media is integral to connecting with the Hidayah community, growing our organisational reach and promoting events such as our Queer Book Club, in-house research and educational resources for Ramadan.

We also use our social media platforms to post adverts for volunteers, promote Hidayah’s membership, respond to world news via solidarity statements and signpost LGBTQI+ Muslims to a range of national and international support.

You do not need to be LGBTQI+ or Muslim to be able to carry out this role. However, it is important to have a broad knowledge and understanding of these areas to be able to genuinely engage with the specific audience that follows Hidayah’s social media platforms.

What are the key responsibilities of this role?

Our Social Media Volunteers have a range of responsibilities, including but not limited to:

• Creating and editing content to distribute across Hidayah’s social media platforms e.g. TikTok and Instagram
• Communicating with other volunteers and the Social Media Marketing Trustee on feedback, suggestions and issues
• Carrying out independent research to obtain quality content and sharing relevant information on Hidayah’s platforms
• Actively engage with people following us on social media
• Promoting events and projects as and when appropriate
• Administration; monitoring inboxes, responding to messages and comments, signposting to the relevant emails, archiving out of date posts

What do we expect from a Social Media Volunteer?

Skills:

• Competency in social media channels (Instagram, Twitter, Facebook, LinkedIn). 
• Experience using and generating content for TikTok

How much commitment is required?

The hours are flexible around your schedule, but typically we envisage this role taking up to 4 hours a week. Monthly catch ups are organised with the Social Media Marketing Trustee to assess workload and availability.

• Create our events calendar for 2022 in line with our purpose, including workshops, classes, talks, fairs, festivals and anything else you can think of! 

• Build and manage our events team 

• Take ownership of managing the events

• Build systems and processed to plan, execute and review all events

• Report on plans and past events to the leadership team and trustee board

Could you help to make a real difference in the lives of families in your local area living with a diagnosis of PSP or CBD? Could you become a Link Volunteer? 

Progressive Supranuclear Palsy (PSP) and Corticobasal Degeneration (CBD) are rapidly progressing neurological conditions caused by premature loss of nerve cells in certain parts of the brain. 

Living with a diagnosis of PSP or CBD is life-changing and affects individuals and their families in a variety of different ways. A diagnosis can put a real strain on family members’ mental health and well-being.

As a Link Volunteer, you will offer support to families in your local community who are adjusting to a diagnosis. A Link Volunteer will be supported by PSPA to provide information, practical and emotional support. For the families you support, having a Link Volunteer to talk to regularly about their worries can make a huge difference. 

Becoming a Link Volunteer is a great way to gain and develop existing skills whilst making a difference to people living with PSP & CBD and their families.

The Link Volunteer role is flexible so that you can fit it around your family, studies or other commitments and you will receive comprehensive training and ongoing support from PSPA staff throughout.

As a collection tin volunteer, you will play a vital role in supporting us to raise our profile and fundraise within your community.

You will look after the Magpas Air Ambulance collection tins within a designated area, replacing full tins and returning them to an agreed location. You can also help us by finding new locations in which to place tins. These collection tins are an important part of how we raise money, raising approximately £20,000 per year.

As a collection tin volunteer, you will be expected to:

• Represent Magpas Air Ambulance in a respectful and friendly manner
• Understand the work of Magpas Air Ambulance, having basic knowledge and enthusiasm for our service
• Wear your Magpas Air Ambulance ID badge, ensuring it's visible at all times
• Travel to your collection tins (on two or four wheels). Where motorised vehicles are used, you must hold a full UK driving license, have a road-worthy vehicle with up-to-date road tax, MOT certificate (where applicable) and fully comprehensive insurance.
• Establish the regularity of required tin collections in your area, keep a log of your activities and feedback to the Supporter Care Officer
• Proactively replace full collection tins as needed and deliver them to an agreed location within one working day of collection
• Place new tins in locations within your area, ensuring they are accurately labelled with the location and organisation's name
• Inform the Supporter Care Officer of any new tins placed or any changes, helping us to ensure records are accurate and kept up to date
• Follow all Magpas Air Ambulance policies and procedures, including reporting any accidents and incidents
• Recognise, respond to, and report any safeguarding issues or concerns

As well as joining the Magpas Air Ambulance family, you will make new friends and be an important connection within your community, representing the work of a lifesaving team.

We need community Fundraising Volunteers to help at fundraising events in our local community. The role is on an ad-hoc and flexible basis and helps us raise vital funds to continue to support local bereaved children and their families.

Fundraising volunteer activities may include:

- Fundraising collections (supermarkets, stations etc.)

 - Supporting at outdoor / sporting events (marshalling courses, teas and coffees etc.)

 - Evening events (taking tickets, raffle, serving drinks etc.)

 - Fundraising admin support (helping with various administrative tasks)

 - Store events (charity bag packing, Christmas gift wrapping etc.)

 - Running/supporting a stall/stand/activity at an event (i.e. craft activities, info stand etc.)

 - Volunteering at the Hever Castle Triathlon/Colour run/Commando Series events Christmas collections/carol singing locally.

 - Serving cakes/teas and coffees at coffee morning-style events.

 - Helping to look after a stand at profile-raising events.

How regular are the volunteering opportunities?

The Community Fundraising role is a flexible ad-hoc role, with the opportunity to volunteer as much or as little as you wish. Volunteers will be contacted by email with the opportunities available in advance of the event and will be asked to respond if they are available to help on that day. There is no minimum expectation, but we hope that you would be able to volunteer at least once a year.

Where will the volunteering opportunities take place?

East Grinstead (RH19) and surrounding areas throughout Surrey, West Sussex, East Sussex and West Kent (volunteers may choose).

Our policy is that volunteers will be accompanied by either a Jigsaw (South East) staff member or senior volunteer, so you would never be left on your own.

Is training required?

No training is required for this role. However, you will receive relevant information about the charity and your role prior to attending your first fundraising activity.

Saturday 7th – Sunday 8th September 2024

Are you a dedicated and organised person, passionate about helping others? Join our night-time party and lots of other volunteers at The MoonWalk Scotland on Saturday 7th September 2024 from Holyrood Park, Edinburgh! Bring your energy and by helping the thousands of women and men, walking an overnight marathon in decorated bras, raising lots of money for breast cancer!

We recruit hundreds of Volunteers to make The MoonWalk a safe and enjoyable event; looking after our Walkers as they take to the streets of Edinburgh overnight, and above all giving them the encouragement they need to complete their epic challenge.

Join in the party atmosphere in Dynamic Earth on Saturday Evening, with help needed from around 6 PM through till midnight. A busy period when our Walkers and Volunteers arrive en masse, from litter picking, to registering baggage, to handing out Volunteer uniforms or help managing the queues of excited Walkers, there is so much to get involved in!

The Night-Time is where the challenge really gets going for our amazing Walkers. If you like the nightlife, marshalling, or giving out water whilst surrounded by Edinburgh’s famous landmarks, this could be for you! Start times vary between 8 PM and midnight, depending on your role, and last on average 8 hours. We can also offer site-based roles at MoonWalk Arena throughout the night. Early finishes can of course be requested.

Finally, the early morning team take the helm on Sunday Morning, starting between 5-6 AM until midday. Watching the sunrise against an Edinburgh skyline is quite a sight to see! This truly is the most testing time for our Walkers… whether you join the route or MoonWalk Arena teams… your kind and motivating words could be all that is needed to get someone across that finish line!

On the night you will be provided with training, a t-shirt, cap and free light refreshments. All roles will develop teamwork and confidence, no matter what you do on the night… so why not bring your friends and family along to share this unique experience!

administration skills, the ability to get on with people and good written and spoken English. If so, we’d love to hear

What is a Committee Secretary?
There are SSAFA committees on many military bases around the UK and overseas. Each one has a secretary to 
makes sure that meetings are organised, volunteer information is up to date and decisions are recorded. This is a 
key role involving administration and communicating with people. 

Why do we need you?
We’ve been supporting the Armed Forces community for more than 130 years. In recognition of their service to the 
Nation we aim to provide financial, practical and emotional support when it’s needed most. To do this we need 
local volunteers who can ensure the community know about SSAFA and keep things running smoothly behind the 
scenes.

When would you be needed and where would you be based?
This role is about communication and administration. Many volunteers can do this from home or their place of 
work. The role would suit someone looking to offer a regular time commitment. You would also need to organise 
and attend a number of regular meetings each year. This role is an Office Bearer with voting rights.

What would you be doing?
• Working with the committee to agree an annual plan of activity based on local need
• Providing administration for at least four meetings per year
• Monitoring volunteer numbers against the demand for support and recruit new volunteers as needed
• With the support of the Learning and Development and Volunteer Experience Teams at Central Office,
ensuring all volunteers have completed the training and mandatory tasks required for their roles.

The Compliance and Secretary Trustee manages the administrative duties of Hidayah. They fall into three main categories; Membership Administration, GDPR and Compliance Governance. Duties include, but aren’t limited to:

Membership Administration:

• Maintaining Hidayah’s membership database
• Gathering data relating to Hidayah events and activities to feed into the annual report and publicity documents (for example, surveys, excel spreadsheets and graphs, case studies)
• Effectively communicate updates to Hidayah members via CRM systems
• Promoting events in conjunction with the Communication & Marketing Trustee
• Evaluating, managing and continually improve the Hidayah membership experience (managing the end-to-end cycle)
• Regularly check, maintain and update Hidayah’s administration and data handling systems such as using Google Drive to store information

GDPR:

• Reviewing and keep all Hidayah policies updated in accordance to legal requirements and Charity Commission guidelines
• Ensuring that Hidayah membership records are GDPR compliant
• Updating trustees on any changes to the Charity Commission guidelines
• Where necessary, assisting the HR Officer in gathering relevant data on volunteers
• Supporting the HR Officer in creating flowcharts and processes in line with current legislation

Compliance Governance:

• Supporting Hidayah Trustees with compliance specific queries for finance, volunteers and membership
• Maintaining records and registers for auditing purposes
• Regularly auditing policies to determine risk involved and finding mitigating strategies
• Coordinating with the Deputy Chair to ensure that trustees are compliant with policies and procedures

How much time is required?

We are flexible around your schedule but we anticipate that this role will take up to 4 hours a week. The following commitments are in place for all member of the Hidayah board:

• Aim to attend all Trustee meetings, delivering a comprehensive report with updates and to complete actions as and when they appear
• Aim to attend all other planning meetings as necessary
• Attend Hidayah events (where geographically possible)
• Help to fundraise for, and advertise, any Hidayah events and fundraising drives
• Add to and maintain the administration of our file sharing system ‘Google Drive’ to ensure it’s up to date with clear records, templates and forms
• Check and respond to emails in a timely manner
• Contribute to the communications group (via Discord) and stay up to date with Hidayah developments
• Provide information, statements and data for the annual report
• Keep up to date with Hidayah communication and organisational developments

This role is subject to a 6 months probationary period with a 2 month notice period should you wish to resign.

This role is in place until the next AGM (August 2024) with extension subject to Board Member approval.

Prison-based volunteers are the backbone of Fine Cell Work (FCW). Supported by the Fine Cell Work programmes team and by other staff at the FCW office, they teach and administer FCW stitching groups in prisons.

Prison volunteers work in teams to organise classes and teach our stitchers, as well as providing groups information to the prison and to the FCW office. The precise mix of skills will vary from prison to prison.

Volunteering in prison for Fine Cell Work requires ideally a good level of needlework skill (or a willingness to learn), some teaching experience and/or experience of working with socially-excluded groups. Volunteers must be patient and non-judgemental in order to work effectively.

What is a Divisional Secretary?

The is a key role involving administration and coordinating people. As the first point of contact for the division you will play a key part in promoting SSAFA locally, matching clients to volunteer caseworkers and supporting volunteers to get the best outcomes for their clients.

Why do we need you?

We’ve been supporting the Armed Forces community since 1885. Our clients come from all backgrounds and age groups and may have served in WW2 or in a more recent conflict like the Falklands or Afghanistan.

There are SSAFA branches throughout the UK and overseas who support local volunteers to deliver services to veterans, serving personnel and their families. Some branches are divided into smaller divisions to ensure the best local service delivery. Each branch has a team of volunteer caseworkers, support volunteers, executive roles, and fundraisers.

We aim to provide financial, practical, and emotional support when it’s needed most. More people than ever before are coming to us for help, and you will be one of the people contacting new clients and getting them the support, they need.

When would you be needed and where would you be based?

This role is about coordination and administration. As part of your local branch, you might have access to an office, but many volunteers are based at home. The role would suit someone looking to offer a regular time commitment each week.

What would you be doing?

• Acting as the first point of contact for SSAFA in the local area
• Taking enquiries from potential clients and potential volunteers
• Matching new clients to available caseworkers
• Supporting caseworkers, particularly new volunteers

• Coordinating SSAFA Visitors and Helpers (if applicable)
• Organising local meetings to keep all volunteers up to date with the latest training and information.
• Being a positive ambassador for SSAFA remembering that anyone you meet could be a potential client, volunteer or fundraiser.
• Volunteering within the standards and values of SSAFA including observing our policies such as the Volunteering policy and data protection policy (these will be covered in your training and local induction.)

The remit of this role may change over the next 12-18 months depending on the outcome of a trial currently being undertaken.

• Mandatory on-line training modules to complete at home, so you are up to date on how to keep clients, their families safe and personal information safe.

• Volunteers will be covered by SSAFAs Public Liability Insurance whilst carrying out the role.
