Volunteer Administrator

In the UK there are more than 11,000 deaths due to liver disease each year. British Liver Trust is determined to achieve real change in liver health and during our busiest period ever, we’re looking for volunteers to support our small, friendly Admin Team within the Operations Department. 

You might be looking for a meaningful way to use your skills, stay professionally active, or gain hands-on experience in an office environment.  Whether you're looking to build your CV, you're between roles, or you're looking to contribute your time to a cause that really matters, we’d love to hear from you.

The role

This is a varied, practical role supporting a busy office. You’ll be involved in the day-to-day administrative work that keeps things running smoothly, particularly when workloads are high. Examples of tasks include:

• Order fulfilment; picking, packing patient booklets and materials, preparing to be posted

• Supporting the team preparing for upcoming events; travel arrangements, accommodation, venues, catering

• General admin; filing, stock taking, shredding, scanning

While this is a volunteer role, the work is meaningful, active, and very much part of the core team.   You don’t need to have worked in a charity before - you just need a positive attitude, reliability, and a willingness to get involved.

About us & location

You’ll be based in our welcoming office in central Winchester, just a 5–10 minute walk from the train station. Please note there is no free on-site parking.

Our Admin Team is small, friendly and collaborative. You’ll be joining us at a critical and exciting time, when extra hands genuinely make a difference.

• Reliable people who can commit their time - as little as 2 hrs per week can be a big help to a national charity

• Team-players who are happy to roll up their sleeves and help where needed

This is an unpaid volunteer role, and we’re hugely grateful for the time and energy our volunteers give.

We appreciate the interest and enthusiasm of our community. As our team is very busy and our resources are limited, we kindly ask that those reaching out consider whether they can offer a consistent time commitment. The process of onboarding and supporting new volunteers is resource-intensive, and we need to ensure our efforts are used as effectively as possible.  If you’re interested in being part of a special organisation at its busiest ever time, supporting a great cause while staying active and professionally engaged.

What is an Administration Coordinator?

There are SSAFA branches throughout the UK and overseas, each delivering support to serving personnel, veterans, and their families. Every branch has a team of volunteers who make this possible.

The Administrator Coordinator is a key member of the team, ensuring the smooth running of the branch and supporting day to day operations. This role is at the heart of the branch, overseeing the group inbox, organising meetings, and liaising with volunteers and external stakeholders.

Why do we need you?

We’ve been supporting the Armed Forces community since 1885. Our clients come from all backgrounds and age groups and may have served in WW2 or in a more recent conflict like the Falklands or Afghanistan.

There are SSAFA branches throughout the UK and overseas who support local volunteers to deliver services to veterans, serving personnel and their families. Some branches are divided into smaller divisions to ensure the best local service delivery. Each branch has a team of volunteer caseworkers, support volunteers, executive roles, and fundraisers.

We aim to provide financial, practical, and emotional support when it’s needed most. To do this we need excellent administrators to keep things running efficiently behind the scenes.

What would you be doing?

• Every SSAFA Branch has different needs, however, below are the main activities of a Branch Administration Coordinator.
• Overseeing enquiries: Overseeing the administration of the branch shared inbox and post, ensuring queries are answered.
• Getting people together: Organising internal meetings, both virtually and face to face
• Planning and organising: Liaising with internal and external stakeholders to arrange events such as the Branch Annual General Meeting
• Note taking and recording: Maintaining accurate records of meetings and decisions.
• Communicating: Supporting the Branch Chair with internal communications, keeping other volunteers up to date and informed
• Tracking and ordering: Keeping a record of branch assets, ordering stationery, and ensuring maintenance of equipment
• Supporting health and safety: Supporting the Branch Chair with administration of personal, office and event risk assessments where required

The remit of this role may change over the next 12-18 months depending on the outcome of a trial currently being undertaken.

What training and support would I receive?

• Mandatory on-line training modules to complete at home, so you are up to date on how to keep clients, their families safe and personal information safe.
• Local induction and support, from other branch volunteers
• Access to a range of e-learning courses as well as local opportunities to keep your knowledge and skills up to date.
• Support from regional volunteering and operations employees
• Regular meetings and events to learn and share information.
• Reimbursement of out-of-pocket expenses
• Volunteers will be covered by SSAFAs Public Liability Insurance whilst carrying out the role.

What are we looking for?

• Friendly and approachable people with good written and verbal communication skills.
• Some experience of coordinating people or events is beneficial.
• Good IT skills e.g., confident using email and online diaries– you will receive your own SSAFA email address.
• Respectful and non-judgemental approach.
• Understanding of the importance of confidentiality and boundaries.
• This role would suit someone who would like to volunteer regularly, each week.

Volunteering is and always will be at the heart of Cats Protection. It is joyful and inclusive. As a charity, working in partnership, together we transform the lives of cats, people and communities.

The difference you will make to cats and people

As a charity we are able to help thousands of cats each year thanks to the generous donations we receive from members of the public. Our fundraising team leaders have the exciting and varied role of inspiring our fundraising volunteers to plan and deliver local fundraising events. Using their passion and imagination, they oversee a small team of fundraising volunteers who come together to raise the vital funds needed to cover costs such as veterinary bills and food. Our fundraising team leaders support their team of volunteers in all aspects of their roles, making sure our volunteers are happy, confident and supported.

You can expect us to

• make you feel welcome, included and respected in line with our values and behaviours
• support you in having a positive and impactful experience at Cats Protection
• cover agreed out-of-pocket expenses in line with our Expenses Policy
• provide you with access to learning, development and engagement opportunities

What we need from you

You’ll be:

· supporting and encouraging a team of fundraising volunteers

· planning fundraising events and activities with your team

· allocating tasks before and during fundraising events

· keeping financial records from fundraising events

· encouraging and promoting a professional image of Cats Protection 

· following policies and guidelines and ensuring licences and permits are obtained for events

Time expectation

Our fundraising team leaders usually spend three to four hours per week in this role, which is flexible and can be shared by more than one volunteer if needed.
