Fundraising Events Organiser Volunteer

Would you like to be part of a dedicated and friendly team of volunteers and make a real difference to the lives of cats and kittens in our care?  Do you enjoy planning and organising for events?  Maybe you have a particular skill that you would like to put to use?

Our Fundraising Events Team are at the heart of what we do, raising essential funds for the cats. 

Our Fundraising Events Organisers share ideas, tasks and inspiration, planning and delivering local events, with the support of the Fundraising events helpers, such as Open Days (usually 2 per year) at the centre and our annual Christmas Bazaar. 

Time Expectation:  This role can be varied and time commitment can be flexible. 

Without volunteers, Cats Protection Berkshire Cat Centre simply wouldn't exist. Our amazing, friendly volunteers are a diverse group with a shared love of cats who fit volunteering around their home lives and personal commitments.

We're often looking to welcome new volunteers to join our brilliant team. As well as meeting great people and making an incredible difference to the cats of Berkshire.

Please note:  Although we do welcome everyone, unfortunately our centre is not set up to accommodate young volunteers under the age of 18, including those on the Duke of Edinburgh programme.

Full training and support will be given for all roles.  We look forward to hearing from you!

The Role: Establishing Organisational Efficiency

We are seeking a dedicated, hard-working, passionate, and meticulously organised Admin Volunteer to lead on establishing our core administrative systems and processes. You will be instrumental in ensuring the smooth and efficient set up and ongoing running of our charity by supporting with all essential admin tasks and duties.

Your Mission: Creating Order and Structure

This is a critical, hands-on role where you will design and implement the structures that support all aspects of Ranger Cadets' operations. Key responsibilities include:

1. System Setup:

   • Establishing efficient digital and filing systems for documentation, records, and policies.

   • Setting up and managing administrative tools (e.g., shared drives, communication platforms, basic CRM/database systems).

2. Process Development:

   • Creating and documenting standard operating procedures (SOPs) for routine administrative tasks (e.g., volunteer data management, equipment tracking, general correspondence).

3. General Administration Support:

   • Handling correspondence, managing information flow, and ensuring timely responses to internal and external queries.

   • Assisting with the organisation and scheduling of meetings, training sessions (like Officer Training), and key planning events.

   • Supporting various teams (e.g., HR, Communications) with data entry, documentation, and filing related to training sessions, volunteer recruitment, and unit setup.

You MUST be able to help make Ranger Cadets a huge success by creating robust, easy-to-use, and professional administrative back-end systems. We are only looking for a creative, detail-oriented, and fully motivated volunteer to join us and help us create something special.

This is a NON-UNIFORMED role at Ranger Cadets.

• face-to-face fundraising. Organising or helping with fundraising events, running supermarket collections and fundraising stands, monitoring collection tins 

• online fundraising. Setting up online appeals and writing impactful cat case studies that maximise donations

• marketing. Spreading the word about our fundraising activities, for example on social media and with the local press  

• completing administration. Processing donations, sorting and recording donated goods, completing Gift Aid paperwork

● championing our work. Getting involved with developing new fundraising ideas and increasing community engagement

● photography. Capturing images of cats in care, cats we are helping, events and all things Cats Protection

This is a flexible role that can fit around your other commitments to suit you. You’ll be part of a team raising vital funds while having fun in the process!

What is an Administration Coordinator?

There are SSAFA branches throughout the UK and overseas, each delivering support to serving personnel, veterans, and their families. Every branch has a team of volunteers who make this possible.

The Administrator Coordinator is a key member of the team, ensuring the smooth running of the branch and supporting day to day operations. This role is at the heart of the branch, overseeing the group inbox, organising meetings, and liaising with volunteers and external stakeholders.

Why do we need you?

We’ve been supporting the Armed Forces community since 1885. Our clients come from all backgrounds and age groups and may have served in WW2 or in a more recent conflict like the Falklands or Afghanistan.

There are SSAFA branches throughout the UK and overseas who support local volunteers to deliver services to veterans, serving personnel and their families. Some branches are divided into smaller divisions to ensure the best local service delivery. Each branch has a team of volunteer caseworkers, support volunteers, executive roles, and fundraisers.

We aim to provide financial, practical, and emotional support when it’s needed most. To do this we need excellent administrators to keep things running efficiently behind the scenes.

What would you be doing?

· Every SSAFA Branch has different needs, however, below are the main activities of a Branch Administration Coordinator.

· Overseeing enquiries: Overseeing the administration of the branch shared inbox and post, ensuring queries are answered.

· Getting people together: Organising internal meetings, both virtually and face to face

· Planning and organising: Liaising with internal and external stakeholders to arrange events such as the Branch Annual General Meeting

· Note taking and recording: Maintaining accurate records of meetings and decisions.

· Communicating: Supporting the Branch Chair with internal communications, keeping other volunteers up to date and informed

· Tracking and ordering: Keeping a record of branch assets, ordering stationery, and ensuring maintenance of equipment

· Supporting health and safety: Supporting the Branch Chair with administration of personal, office and event risk assessments where required

The remit of this role may change over the next 12-18 months depending on the outcome of a trial currently being undertaken.

· Volunteers will be covered by SSAFAs Public Liability Insurance whilst carrying out the role.

What are we looking for?

· Friendly and approachable people with good written and verbal communication skills.

· Some experience of coordinating people or events is beneficial.

· Good IT skills e.g., confident using email and online diaries– you will receive your own SSAFA email address.

· Respectful and non-judgemental approach.

· Understanding of the importance of confidentiality and boundaries.

· This role would suit someone who would like to volunteer regularly, each week.

About the Project – “Solta o Jogo”
Solta o Jogo is a vibrant cultural competition and festival celebrating Brazilian heritage through Capoeira, music, dance, acrobatics, and a Brazilian arts & crafts fair. Hosted at Kingston University Townhouse, the event invites the community to participate in free performances, workshops, and exhibitions promoting cross-cultural understanding.

As part of this initiative, we are seeking a dedicated Admin Assistant to support the day-to-day coordination and administrative operations behind this exciting and community-driven programme.

Position Overview:
The Admin Assistant will play a vital role in supporting communication, event coordination, documentation, and volunteer tracking. This position is perfect for someone looking to gain hands-on experience in nonprofit administration, event logistics, and team coordination. Key Responsibilities:

Event Coordination Support

• Schedule and manage logistics for project events, workshops, and community showcases.

• Track bookings, rehearsals, and venue use to ensure a smooth timeline.

• Support RSVP management and communication for performances and activities.

Data & Documentation Management

• Maintain and organise project records such as attendance sheets, registration forms, and feedback.

• Ensure digital files are properly stored and accessible for all team members.

• Assist in compiling reports and summaries post-events.

Communication & Liaison

• Serve as a contact point for public and internal queries related to the project.

• Help coordinate communication between departments involved in the project (HR, Marketing, PR, Finance).

Resource & Inventory Support

• Track inventory of promotional and event materials.

• Assist in coordinating procurement and delivery of materials for activities and performances.

Volunteer Coordination

• Monitor onboarding progress of volunteers engaged in Solta o Jogo.

• Assist with preparing and maintaining volunteer schedules.

• Provide administrative support during volunteer briefings and training.

General Administrative Duties

• Take meeting minutes and circulate action items.

• Help draft internal updates, task lists, and team reminders.

No specific degree required, but experience in administration, event coordination, or office support is desirable.

The difference you will make to cats and people

As a charity we are able to help thousands of cats each year thanks to the generous donations we receive from members of the public. Our fundraising volunteers use their passion for cats and people to raise the vital funds needed to help more cats and kittens in need. As a fundraising volunteer we want to support you to fundraise in whatever way suits you best, whether that’s organising a fundraising event, fundraising online, promoting fundraising activities on social media, completing administration or supporting the development of new fundraising ideas! Whatever your skill set, this could be the role for you!

• Provide you with access to learning, development and engagement opportunities

What we need from you

This is a really flexible role, you can choose what you’d like to get involved with, for example: 

• face-to-face fundraising. Organising or helping with fundraising events, running supermarket collections and fundraising stands, monitoring collection tins 

• online fundraising. Setting up online appeals and writing impactful cat case studies that maximise donations

• marketing. Spreading the word about our fundraising activities, for example on social media and with the local press  

• completing administration. Processing donations, sorting and recording donated goods, completing Gift Aid paperwork

● championing our work. Getting involved with developing new fundraising ideas and increasing community engagement

● photography. Capturing images of cats in care, cats we are helping, events and all things Cats Protection

Time expectation

This is a flexible role that can fit around your other commitments to suit you. You’ll be part of a team raising vital funds while having fun in the process!
