Job Summary

The Research Coordination Office (RCO) is part of the Science Directorate within the Museum's Science Group. The role of RCO is to support external income generation from a wide range of grant-awarding bodies including but not limited to UKRI, European Commission (EC), trusts, foundations and learned societies.  The RCO team assist NHM staff in seeking funding opportunities, preparing grant applications and with the administration of funded awards.

This role involves promoting grant funding opportunities to staff and responsibility for the post-award phase of a range of projects.  The post holder shall work closely with the funders and Project Leads (PLs) of the awards along with the NHM's Corporate Services in project delivery. The role will provide experience for the post holder to work on projects across the scientific disciplines at the Museum and support the academic community with the delivery of its Science Plan.

Pre-award tasks shall include sourcing, tracking and sharing of information on new grant opportunities relevant to NHM staff.  Post-award responsibilities will focus on project budget transactions and control, supporting with recruitment of project staff, operational support to PLs, including efficiently resolving funder related queries that arise.

We are looking for solutions-orientated person who is a good listener and team player, who can use effective time-management skills to prioritise tasks.


Main tasks and responsibilities

· Reviewing and promoting relevant new funding opportunities to the potential grant PIs including weekly updating of the intranet.

· Support PLs with budgeting and expenditure control for grants and with recruitment processes for staff working on grants.

·Having full knowledge of the terms and conditions for each of the project funders within the post holders project portfolio enabling timely provision of informed advice to PLs and their teams.

· Liaison with funding agencies to ensure reporting and audit requirements are met and accurate grant claims are submitted complying with deadlines.

· Effective electronic records management of project documentation.

· Support team members with post-award project cover whilst on leave.

Person Specification

Essential

·Proven ability to work in an administrative environment requiring a high degree of numeracy.

·Excellent IT skills including social media and ability to learn new software packages including finance systems

·Ability and confidence to communicate effectively at all levels.  Excellent verbal and written communication skills

·The ability to build good working relationships and trust with peers and senior staff within Science Group, across the Museum and with external funding bodies

·Ability to manage and prioritise multiple tasks to meet deadlines

·Proven analytical skills with a systematic approach to problem solving

·Strong attention to detail and the ability to consistently produce work to a high level of accuracy

·Ability to work independently and as part of a team

Desirable

·Experience of working with financial software (NHM uses Access FocalPoint)

·Project Management qualification or experience

·Experience of working in an administrative capacity in an academic environment

·Pre- or post-award grant administration experience ideally with UK research councils, European Commission and/or trusts and foundations

·Degree level ideally in a subject relevant to NHM science requiring a high level of numeracy
