Your Role
Al-Khair Foundation uses Salesforce to manage relationships with our donors, supporters, and stakeholders, including recording all donations made to the organisation. Al-Khair Foundation’s Database Officer will be responsible for the monthly delivery of the income and data reconciliation processes for the Fundraising teams, which includes liaising with a wide range of external agencies and the website to successfully download and query files, update and create new supporter records on the database, process cheques and payment requests, and work closely with the Finance team to ensure all anticipated and banked income tallies correctly.
You will also work closely with colleagues in the Database team to support and maintain regular database processes, data cleansing, and other database-related functions that happen on a monthly or quarterly basis. This may include responding to and being responsible for Support Ticket queries in relation to income, data, and/or the database generally and working with external database agencies such as our web platform partners and Salesforce.
Aside from these core duties, from time to time, you may also carry out general administrative tasks on behalf of the Supporter Engagement team. This may include supporting the Supporter Care Assistant during busy periods with customer care via email and telephone and recording updates, processing invoices, and maintaining and updating team rotas and trackers.
Your Responsibilities
- Delivering the monthly data reconciliation and income reconciliation processes, which include downloading and uploading data files.
- Supporting the Fundraising teams with their monthly income recording and reconciliation.
- Liaising with external agencies and the Finance team.
- Checking for and correcting inaccuracies and updating supporter records.
- Running reports for the Fundraising and Finance teams.
- Maintaining and carrying out regular database processes, including data cleansing.
- Supporting the Database Coordinator and the Senior Data Manager to encourage best-practice use of the database across the organisation, including assisting with onboarding and new user training and being on hand for day-to-day technical support when the Database Coordinator is unavailable.
- Working with external partners (i.e., telemarketing agencies) to ensure the successful and smooth transition of data onto the database.
- Spotting and reporting database glitches and problems.
- Supporting with the ticketing system as a second point of contact in the Database team.

Who You Are

Campbell Rd Young Peoples service provides support and housing for 55 young people in Tower Hamlets that are either leaving care of affected by youth homelessness. 132 Assessment Centre is for single homeless men and women that have links within the borough. The accommodation provides 6 separate self-contained units with on suite bedrooms, and 1 bedroomed flat. The scheme is staffed 24 hours, with Night Support Workers and Concierge cover during the evenings.
The aim of the project is to assess the individual over a 12-week period with the aim of identifying their support and housing needs. In that period, we will provide a bed for the customer to assist staff to carry out a detailed assessment to ensure that the recommendation for move on into alternative housing is captured correctly to assist move on for the individual into more suitable accommodation which is correct reflective of their needs based on our assessment/recommendation.
The service operates a model of personalised approach in order to address a wide range of presenting complex needs, which could range from mild learning difficulties, substance use (alcohol and drugs), offending, mental health, dual diagnoses, etc. We work closely with outside agencies in order to ensure that the individual is linked into getting the correct support whilst they remain at the assessment centre.
A major part of the Assessment Support Workers role is putting in the foundation with our customers around basic living skills and preparing the individual to be ready to move into alternative supported accommodation.

Undertake initial and continuous assessment of needs including support needs and daily living skills. This would include potential risks and an assessment of the customers independent living skills as a whole.

Liaise with partner agencies regarding the assessment process seeking advice and guidance as to specialist input and clinical input as part of multi-disciplinary assessment process.

About the role
The London Library is looking for an Acquisitions and Discovery Assistant to assist in the acquisition and management of Library E-resources and print resources.
The role includes supporting the successful acquisition and seamless delivery of electronic resources to library users, utilising and maintaining relevant library systems and records; assisting purchasing decisions and supporting licensing, ordering and payment processes; verifying access, liaising with suppliers & Library IT, and ensuring correct metadata is presented to users; plus monitoring resource use and collecting data for the evaluation of subscriptions. You will assist with the everyday work of a small specialist archive including, in particular, reducing the cataloguing backlog and helping ensure that all archive collections held at PMC have been appraised, catalogued and are accessible to interested audiences. You will help assess offers and liaise with donors regarding the acquisition of new material. You will assist with the promotion of the archive collections, supporting the Centre’s commitment to audience reach and fulfilment. We have an exciting new opportunity for a Facilities & Technology Coordinator to join our Facilities & Health and Safety team. You will be responsible for providing first line support surrounding use of the Imperial College Union (ICU) building and technology infrastructure, working closely with the digital systems function of the Union and College ICT to ensure that user issues are resolved promptly and efficiently.
Your role will act as a triage for incoming queries to the Systems team, resolving queries where possible and escalating to senior staff members and College ICT where appropriate. In addition, you will also manage ongoing tickets with the wider College ICT service desk, proactively monitoring the status of tickets and seeing them through to resolution.
The role will also be responsible for providing installation, setup and tracking of technology and physical equipment, allowing proper visibility of our resources for management purposes.
You will be responsible for ensuring the proper maintenance of all Union spaces, promptly reporting defects, and arranging repair work as needed. They take ownership of shared spaces, including Activity and Meeting rooms, ensuring they are clean, organised, with suitable equipment in place and always ready for use. The role will also include undertaking essential maintenance, repair and improvement tasks to address minor issues or repairs. Reporting to the Facilities, Health & Safety Manager, and working closely with the Head of Digital & Marketing, the post holder will be a skilled user of IT with excellent customer service skills. They will be highly organised and process-driven, ready to learn new skills to assist the Union with service delivery.

Essential Requirements
- Experience of providing technical IT support in a managed desktop environment
- Experience of installation, testing and commissioning of supplier specific IT equipment and software

- Experience in carrying out maintenance, repair and improvement tasks

Overview / purpose of the role
We’re looking for a Finance & Operations Assistant who is interested in developing a career in bookkeeping and/or accountancy within the nonprofit sector. No previous experience is required, just lots of passion and a motivation to pursue a long-term career in charity finance. The successful candidate will undertake training with the AAT (funded by us) towards a bookkeeping qualification alongside working as our Finance & Operations Assistant, you will be given some time to study during your working hours for this qualification.
The Finance & Operations Assistant is a central resource within CGP, working with colleagues in the Operations Team, and across the organisation to provide financial and operational support to all areas of our work. They will work closely with the Head of Operations & Evaluation to process invoices, expenses and conduct weekly payment runs, ensuring that all financial policies and procedures are carefully adhered to. They will also support colleagues to follow our financial policies and processes and act as the first point of contact for any questions on these procedures. Additionally, they will provide general administrative and operational support to colleagues as outlined in the below job description.

Responsibilities
Finance
● Managing our accounts payable inbox, monitoring all incoming invoices and following up with team members on any missing information if required
● Processing and coding invoices in Xero accounting software ahead of weekly payment runs
● Checking that correct coding and approval procedures are followed for staff expenses in Soldo
● Conducting weekly payment runs via our online banking system
● Coordinating our monthly payroll processes (working with external providers)
● Working with the Head of Operations & Evaluation and Director of Finance to support the development of funding proposals
● Working with the Head of Operations & Evaluation and Director of Finance to support financial reporting on grants for external donors
● Supporting the Head of Operations & Evaluation and Director of Finance with general financial administration, record keeping and tracking budgets
● Provide training on expense and invoicing processes to new members of staff and generally acting as the first point of contact for all staff on any finance procedure questions (full training will be provided)

This role is dedicated to nurturing an environment conducive to the academic and personal development of residents. This is a full-time position (35 hours per week) looking to run until August 1st, situated onsite at least 4 days a week in Central London.
