Role Overview

As a Hr Admin, you will be a frontline advocate for fair and inclusive employee relations (ER) practices at QuilomboUK. You’ll manage ER cases, guide managers through complex performance and disciplinary matters, and contribute to building a positive workplace culture through proactive strategies. Your work will ensure HR policies and processes align with our mission, legal standards, and social justice values. This role is ideal for a detail-oriented professional passionate about resolving conflicts equitably and fostering an environment where everyone thrives.

Key Responsibilities

Employee Relations (ER) Case Management

• Handle end-to-end ER cases, including grievances, disciplinaries, absence management, and performance issues, ensuring fairness, transparency, and compliance.

• Advise managers on ER processes, providing coaching on conflict resolution, documentation, and equitable decision-making.

• Document case outcomes meticulously and identify trends to recommend preventative measures.

Investigations & Compliance

• Support complex workplace investigations, gathering evidence, interviewing stakeholders, and drafting reports in collaboration with the Manager: Hr Admin.

• Ensure all ER outcomes comply with UK employment law, organisational policies, and QuilomboUK’s D&I principles.

• Mitigate organisational risk by maintaining accurate records and escalating high-risk issues promptly.

Workplace Culture & Engagement

• Design proactive ER initiatives (e.g., manager training on bias-free feedback, mediation programs) to promote a positive, inclusive culture.

• Partner with the People & Culture team to embed restorative practices and psychological safety in conflict resolution.

• Contribute to engagement surveys and action plans to address systemic employee well-being issues.

Policy Development & Implementation

• Collaborate with the Manager: Hr Admin to design, update, and implement HR policies that reflect QuilomboUK’s values, culture, and legal obligations.

• Communicate policies clearly to employees and managers, ensuring accessibility and understanding across all levels.

• Monitor policy effectiveness and propose adjustments to align with evolving organisational and social justice goals.

D&I Integration

• Apply a D&I lens to all ER processes, ensuring marginalised voices are heard and outcomes address systemic inequities.

• Advocate for inclusive practices in performance management, such as culturally sensitive feedback frameworks.

• Support initiatives that advance QuilomboUK’s external social justice partnerships and internal equity goals.

Qualifications

• Experience: 1 -  2+ years in HR or employee relations, with hands-on experience managing disciplinary, grievance, and performance cases. Exposure to mission-driven or D&I-focused organisations is preferred.

• Skills:

  • Strong knowledge of UK employment law and ER best practices.

  • Ability to navigate sensitive conversations with empathy, discretion, and cultural competence.

  • Excellent written and verbal communication skills for policy drafting and stakeholder guidance.

  • Proficiency in HRIS systems and case management tools.

• Knowledge: Understanding D&I frameworks, restorative justice principles, and trauma-informed HR practices.

The Professional Development Programme with Quilombo UK and QMC Capoeira School runs over a period of 16 weeks, is UNPAID and requires a minimum of 12 hours commitment per week across Monday, Wednesday and/or Friday.

Upon successful application, our HR team will contact you to arrange an interview. Following a successful interview, we'll initiate the onboarding process by sending you the necessary documents. Once your onboarding and identification documents are received and verified, you'll be invited to a 6-hour HR and System Induction. Subsequently, you'll meet with your Head of Department or Assistant Manager for your First Day.

Remote Volunteer Technical Support Role 

Job description 

This is a volunteer role (approx. 4 hours per week) based remotely. The Volunteer Technical Support is responsible for the oversight of the NGO’s digital infrastructure, maintaining security protocols, and responding to critical technical emergencies. They will report directly to the CEO and work to formalize IT procedures to ensure long-term organizational continuity. This role is a fixed one-year term and includes a one-month handover period for their successor. 

Role specification 

Infrastructure and Security Management: 

• Act as the primary administrator for the Microsoft 365 environment

• Perform regular security audits to manage permissions, remove dormant accounts, and ensure the principle of "least privilege" across the team. 

• Help with offboarding protocol to ensure all digital keys and account ownership are transferred back to the NGO when staff or volunteers depart. 

• Consult with the team to ensure all technical systems adhere to organizational safeguarding policies, specifically regarding data privacy and the protection of member information. 

• Maintain a secure digital environment for staff and members by identifying operational risks and reporting potential vulnerabilities or breaches immediately to the CEO. 

Critical Support and Strategy: 

• Act as the on-call point of contact for critical system failures (e.g., total email loss, or security breaches). 

• Utilize a structured ticketing or request system to streamline technical support

• Advise the CEO on technical "vetting" and trust markers for future IT volunteers to safeguard the organization’s power and data. 

Knowledge Transfer and Communication: 

• Act as a technical mentor to the staff, explaining the logic behind security policies (the "why") rather than just issuing instructions. 

• Help foster an empathetic security culture where technical guardrails are seen as tools for mission success rather than roadblocks. 

• Lead a 1-month handover period at the end of the term to train the incoming volunteer, ensuring a seamless transition of power and knowledge.

"We are looking for 10 volunteers to join our volunteer human resource programme and gain real world experience in your chosen field. While we only have 10 vacancies available through this programme, other options are available if your skills match our criteria".

About the Volunteer Programme:

The HR Programme Coordinator plays a pivotal role in driving the success of our flagship professional development initiative. This volunteering role is responsible for managing the end-to-end execution of the HR programme, ensuring seamless coordination between participants, Heads of Department (HoDs), and stakeholders. The ideal candidate will combine exceptional organizational skills with a passion for fostering professional growth, ensuring participants remain engaged and supported throughout their development journey.

Key Responsibilities of the sucessful volunteer:

Programme Management

• Oversee the effective implementation of the HR programme, ensuring alignment with organisational goals.
• Welcome participants to the programme, providing orientation materials and clarifying expectations.

Participant Support & Progress Tracking

• Conduct initial skills assessments to identify individual development needs.
• Monitor and document participant progress, providing regular updates to stakeholders.
• Schedule and coordinate meetings between participants and their respective Heads of Department (HoDs).

Coordination & Communication

• Manage day-to-day operations, including scheduling sessions, sending reminders, and maintaining programme documentation.
• Serve as the primary point of contact for participants, addressing queries and resolving issues promptly.

Engagement & Feedback

• Design and organise feedback sessions to gather insights from participants and HoDs, using data to refine the programme.
• Develop strategies to ensure active engagement (e.g., interactive workshops, milestone celebrations).

Reporting

• Prepare progress reports for senior leadership, highlighting achievements, challenges, and recommendations.

Required Skills of a successful volunteer:

• Keen Eye for Detail: Ability to manage complex schedules, track progress meticulously, and maintain accurate records.
• Excellent Communication Skills: Strong written and verbal communication to liaise effectively with participants, HoDs, and stakeholders.
• Relationship Building & Networking: Proven ability to foster trust and collaboration across departments.
• Organizational Agility: Skilled in multitasking, prioritization, and meeting deadlines in a fast-paced environment.
• Problem-Solving: Proactive approach to addressing challenges and improving programme delivery.

Preferred but not essential:

• Experience in coordinating professional development programmes or similar initiatives.
• Familiarity with data analysis to assess programme effectiveness.
