Role Overview:
As a Volunteer Administrator, you will provide essential administrative support to the team, helping with a variety of tasks that keep the organisation running efficiently. This is a great opportunity to gain practical office experience and develop transferable skills.

We’re looking for admin volunteers to help with our daily operations.  We have a variety of ways you can get involved:

• Responding to client requests and enquiries
• Fundrasing and partnership management
• Managing and updating company databases
• Keeping track of partnership enquiries
• Maintaining internal, volunteer, and client records
• Drafting and mailing client correspondence and newsletters
• Organising events, scheduling meetings, and making travel arrangements
• Providing administrative support to other departments or projects as needed
• Performing other duties as agreed in advance

We’ve designed our volunteering programme to be flexible and adaptive to you.  All volunteering is 100% remote and you’re supported fully by our team.  You control what you do and how many hours per week you want to volunteer.  Some roles may require an Enhanced DBS check. If your application is successful, we will ask for a donation towards the cost of your enhanced DBS check if it's required for your role. This cost is £22.60.

Are you over 18 and living in the UK?

You must be over the 18 years of age and live permanently in the UK.  You must be a UK resident to apply for this role.

Do you have a laptop?

A laptop and a quiet space to volunteer is essential.

How much time can you give?

A minimum of 2 hours per week is required. We are flexible and like to work around you.

Training

We provide accredited training with 3 short courses needing to be completed prior starting your volunteer role.  After, you’ll have access to over 90 accredited courses should you want to study further.

What will you be doing?

To support delivery of the E‑Save app, you’ll provide essential administrative support to our volunteer‑led, largely remote organisation. 

You’ll help keep the charity running smoothly by supporting the board and key personnel with communications, record‑keeping, document updates, online meeting organisation, task tracking and maintaining clear, well‑ordered systems.

What are we looking for?

We’re seeking a UK‑based volunteer with at least three years’ administrative experience, including confident use of Microsoft tools. 

You’ll be organised, detail‑focused and able to manage your own workload. 

You’ll support meetings, maintain online files, update documents, manage data and contact lists, and provide general admin support to the Board, Operations Director and volunteer HR team as needed.

Your work will provide the operational backbone needed for the organisation to grow and deliver its ambitious programme. 

By ensuring effective administration and communication, you’ll help enable drive the  focus on environmental impact—supporting the delivery of the E‑Save app and helping bring practical climate action into everyday homes across the UK.

Experience Qualification and Requirements

Technical & Administrative Skills

• Experience in HR support, administration, or volunteer coordination.

• Proficient in record-keeping and document management.

• Ability to draft clear role descriptions, agreements, and HR communications.

Analytical & Organisational Skills

• Strong attention to detail and accuracy.

• Ability to organise multiple tasks and maintain structured records.

Communication Skills

• Clear written and verbal communication.

• Ability to liaise sensitively with volunteers and staff, respecting confidentiality.

Preferred Background

• Human Resources, Administration, Volunteer Management, or related fields.

• Experience with safeguarding and supporting volunteers.

• Previous work in remote or community-driven organisations is a plus

Main Responsibilities/ Key Duties

Volunteer Recruitment & Onboarding

• Assist HR Manager in attracting and onboarding new volunteers.

• Prepare volunteer agreements, role descriptions, and induction materials.

Record-Keeping & HR Administration

• Maintain accurate volunteer records and documentation.

• Support HR processes, including tracking training and compliance requirements.

Safeguarding & Policy Support

• Ensure volunteer engagement complies with safeguarding policies.

• Support confidential HR processes and reporting.

Cross-Functional Collaboration

• Work with team leads and operations staff to ensure volunteers are integrated and supported. 

The role 

Secretarial tasks supporting the Trustee Board:

· Scheduling governance and Board meetings via Teams

· Preparing agendas, collating board papers and emailing these

· Taking minutes, distributing minutes and ensuring these are filed on SharePoint

· Monitoring compliance with legal and contractual rules.

Admin support for CEO:

· Arrange internal and external meetings

· Attend planning sessions (on Teams) and produce notes and minutes

· Schedule key business events

· Assist with recruitment

· General office administration; keeping records, maintaining files and building the business ‘memory’.

About Us:  

Evolve Counselling is a long-established charitable social enterprise, providing low cost, affordable or funded mental health counselling to adults in Cambridgeshire and surrounding counties. Our counselling community is made up of 50 – 60 qualified self-employed practitioners, working part-time. We deliver talking therapies to adults – online and in person. Our service delivers around five hundred counselling sessions per month to a broad range of individuals, many of whom would not otherwise be able to access counselling support. Evolve also provides supervision, reflective practice, critical incident support, and mental health awareness and related training, to organisations and businesses large and small.

Description

Our Sight Loss Counselling team provides counselling and information over the phone and online to people who are impacted by sight loss. Our client group is diverse, with the majority of clients being over the age of 50. We also offer our service to children and young people, run training workshops on Sight Loss Counselling and facilitate short-term support groups for people with sight loss and their friends and families.

In this role you will be the first point of contact for all incoming clients and you’ll provide service information in a timely, efficient, and sensitive manner. You will be liaising between counsellors and clients and will carry out a range of admin duties and ensure client confidentiality. You may have the opportunity to contribute to the development of administrative systems.

As branch secretary you help coordinate a range of activities and a calendar of events to help spread the word about SSAFA within your community. To ensure that our Armed Forces community know that SSAFA are here to help and that we need the public’s support to continue offering our services.
