Job Title:  Finance Officer

Reporting to: HQ Finance Manager
Hours: 37.5 per week
Principal Location:London, hybrid with a minimum of 3 and an expectation of 4 days in the office per week.

Our projects focus on a combination of education, child protection and livelihood support to address the social, economic and structural issues that underpin today’s education crisis. We partner with local organisations and communities to deliver our locally rooted programmes, using evidence to drive learning and the refinement and scale up of programmes to create maximum impact for the most children at the lowest cost. We pride ourselves on being willing to go to the world’s toughest places where others won’t, including remote, hard-to-reach areas and fragile, disaster-affected states across sub-Saharan Africa and South Asia. Since 2008 we have helped over 250,000 children to go to school and learn and supported over 25,000 families to set up businesses so they can afford the cost of educating their children.

Part 1:  Role Purpose:

This role is a key member of the busy HQ finance function. Although the role is primarily focused on the HQ finances, the role operates within the context of Street Child as a global charity and so also has interaction with the global finance team. The role offers the chance to work across a number of finance functions, and some of the subsidiary charities. It is essential that the applicant can juggle the complexities of a busy role with has varied work priorities. Key stakeholders are the HQ Finance Manager, Finance Director and the HQ based fundraising team. The role works alongside the Finance Assistant and plays a role in oversight and coaching of this role.

Part 2:  Key Responsibilities:

1) (40%) Deliver all functions related to Accounts Receivable

• Ensure that all income from a variety of different sources is correctly and accurately recorded in the finance system and CRM (which is under development) on a weekly basis.
• Supporting with work on accounts receivable including accessing, downloading and saving in a systematic manner reports from donor portals, bank account and other sources.
• Working with colleagues in Fundraising to analyse and code income reports in Excel and uploading it to the Finance system on a timely basis, at least weekly.  Following up on how to code any income which is not allocated to a source.
• Working closely with colleagues in Fundraising to ensure prompt collection of outstanding balances from customers, and sending out monthly debtor balance statements. 
• Raising donor invoices and requests for payments, and issuing donor receipts.
• Income and customer account reconciliations and revaluations.
• Any other responsibilities relating to Accounts Receivable.

2) (20%) Lead the Accounts Payable process

• Whilst the Finance Assistant is responsible for all payments, the Finance Officer has a lead role in ensuring that all invoices are paid on time, in an efficient manner and that the finance system reflects the transactions within the correct accounting period and correctly coded in the system – including account code, cost centre, project code and donor code.
• Determine most efficient payment platform to process international payments, and ensure that recorded in the finance system at the correct conversion rate.
• Be a point of contact with the Foreign exchange agents to quickly resolve any questions.
• Work with the Finance Assistant to ensure accurate and timely recording of all approved supplier invoices, requisitions, staff expenses and other expenditure in the accounting system and that all supporting documentation for all transactions are uploaded.
• Managing at least two payment runs a week and additional runs as required; ensuring that all invoices for payment are correctly approved by the budget holder, setting up payments on online banking platforms and sending out requests for payment approvals to payment authorisers and verifying that all payments are fully approved in the banking platforms by the deadline set.
• Once the payment is made, allocating the payment against the invoices in the Finance system.
• Reviewing staff expense claims to ensure that all supporting documentation is provided before payment.
• Managing monthly staff credit card reconciliations and ensure that these are returned on time with all receipts and invoices and checking and reviewing classifications, with follow up as required.
• Carry out monthly Creditor account reconciliations ensuring that all balances are valid and backed up with appropriate supporting documentation.
• Fully deliver the set up all payroll payments in time for the monthly pay day.  This involves ensuring correct amount and currency of payment (which may differ from the salary of the individual’s employment contract) and method of payment across all HQ staff.
• Any other responsibilities relating to Accounts Payable.

3) (40%) Month end reporting and reconciliation and subsidiary accounts

• Complete all balance sheet reconciliations, including bank and petty cash reconciliations and submit for approval by HQ Finance Manager.
• Once CRM system is in place, undertake reconciliation processes between finance data and CRM data.
• Carry out monthly revaluations of bank accounts.
• Ensuring supporting information for transactions is correctly stored in electronic format on Teams such as bank statements, remittance advices, credit statements.
• Assist in preparation of internal reports, including working with Operations Department and Finance department to review their monthly reports.
• Take responsibility to deliver the management accounts of two subsidiary companies: Children in Crisis and HQ transactions of Africa Educational Trust.
• Compile information for Gift Aid returns.
• General support and assistance to the team including administrative duties and managing the office post.
• Other ad hoc support to the wider operations team as may be required.
• Audit: support with the year end audit and provision of supporting information to auditors.

• Research speaking opportunities and engage/build sustainable relationships with schools and other youth spaces with the aim of securing speaking engagements (known as bookings).

• Work with the Breck Foundation team to set up all new speaking engagements and ensure set communication processes are met and all calendar entries completed.

• Maintain relationships with named contacts within schools and other youth spaces with a view to achieving repeat bookings.

School Engagement Officer (Freelance) Role Description

• Where impractical to deliver bookings secured, to work with the Foundation team to ensure that the booking is assigned appropriately and delivered to a high standard.

Meet your Manager

In this role, you will be managed by Kasheena Paryag. In 2017, Kasheena started her career in the non profit sector and has had various finance roles in both charities and grant making organisations since. Kasheena joined ClientEarth in March 2022 and is based in our London Office. As a Finance Business Partner, Kasheena is the main point of contact for our CEO, Business Services and External Affairs departments, and works closely with these teams.

Main Duties

• Management Reporting - Support in the timely and accurate production of monthly management reporting from Workday Adaptive taking responsibility for running the reports for a number of budget departments.
• Budgeting and Forecasting - Support, as appropriate, with annual budget setting, entity budgets, monthly forecasting, process improvements and budget assumptions including Adaptive Planning modelling. 
• Data Integrity - Ensuring accurate coding of transactions, raising and responding to queries from budget holders.

About the role

In this role you’ll contribute to the operational delivery of innovative health partnerships for BHF. These partnerships help us to reach, on a mass scale, people at risk or living with heart and circulatory diseases; working with large corporate organisations, other charities, and community groups to provide information, support and skills in innovative ways to improve health awareness, support self-management and reduce health inequalities.

As part of the Health Partnerships team, you’ll support several health partners, delivering agreed activity and maximising the opportunity to reach their workforce and customers with our free health initiatives.

In the role of Rent Service Partner, you will:

• Deliver a high quality rent collection and arrears recovery service, supporting our clients by working towards minimising rent arrears and maximising client income.

The role

MIND in Haringey and its partner Public Voice delivers the Voluntary and Community (VCS) Capacity Building contract commissioned by the London Borough of Haringey. The contract, which runs from May 2024 to April 2027 can be extended for a further four years at the discretion of the Client. The Contract includes the administration and management of the Volunteer Centre and the development and promotion of a Navigation Network (NavNet) knowledge sharing platform, META Workplace.

The Community Collaborative team will be located across different sectors of the Borough employed by either MIND in Haringey or Public Voice who make up the consortium partners. Day-to-day management of the Community Collaborative service is the responsibility of the Haringey Community Collaborative Manager.

Responsibilities:

Product and Project Management

• To help plan, deliver and develop portfolio of products, across both virtual events, community and event fundraising disciplines, to achieve KPIs and income targets.
• To project manage and lead on the successful delivery of fundraising products, ensuring clear schedules are in place and internal teams and other stakeholders are briefed and managed appropriately.
• To develop and deliver communication and content plans, maximising engagement from supporters and, in turn, remittance and average gift.

Supporter Care and Stewardship

• To help develop, and lead on the delivery of, effective and engaging cross-channel supporter journeys for participants including, but not limited to, email, social and direct mail, and develop resources, content and materials as required.
• To test and optimise supporter journeys to maximise remittance, average gift and retention, taking recommendations forward to provide the best possible supporter experience and ensure KPIs are met or exceeded.

Marketing and Digital

• To work with the fundraising products manager, internal teams and the community & events marketing team to develop effective marketing activity.
• To help develop approaches and assets, such as content and resources, for products in your care to drive engagement from supporters, remittance and average gift, across a range of channels.
• To work with digital engagement and the community & events marketing team to monitor and report on performance, including the most effective channels, creative and audiences, to help ensure investment is maximised.

About You

Ideally, you will be someone with a real drive and a passion for charity fundraising. Who is digitally focused, driven by insight and understands the importance of great stewardship experience.

You'll have experience in a range of fundraising activities including virtual events. Adept at supporter stewardship and journeys through a variety of channels, such as digital communities, phone, and email. You'll have a proven track record of achieving and exceeding KPIs. As well as being highly organised, comfortable managing projects and if needed the ability to work to tight deadlines

We are looking to recruit two additional project officers mainly to help deliver our Live Love Later Life and Healthsmart services whilst providing organisational and administrative support to help these run smoothly.

An exercise qualification and experience of delivering health checks are highly desirable. However, if you do not hold these qualifications you will need to undergo a chair-based exercise qualification and blood pressure training. Applicants need to be willing to undergo this training. They also need to have the confidence and enthusiasm to deliver exercise to groups of older people whilst motivating participants that may have a variety of physical and cognitive challenges. These attributes will be assessed through a task during the interview process.

As the Digital Fundraising Officer you will play a key role in supporting the digital fundraising strategy in the UK and internationally, with the objective of significantly growing the public supporter base and income. You will help expand the rapidly growing programme in the UK by assisting the execution of lead generation and fundraising campaigns that engage supporters and generate revenue to support the organization's aims.

Main Duties

• Programme Execution: Assist the Digital Acquisition team in the planning and execution of UK paid digital fundraising and lead generation campaigns. This includes the setup of campaigns, the creation of landing pages, optimising live campaigns, moderating paid social media content and analysing results.
• Planning and reporting: Ensure all work undertaken is data-informed and evidence based.

Role requirements

• A proven track record of successfully delivering digital marketing campaigns. This includes ideation, planning, budgeting, setup, delivery, analysis and reporting.
• Experience of developing digital marketing content that engages new and existing supporters.
• Experience of working in a fast-paced, high performing digital fundraising team
• A demonstrable passion for digital tech and staying up to date with latest trends and technology
• Numerate with excellent data analysis and interpretation skills
