Purpose of the Job

Hammersmith, Fulham, Ealing & Hounslow Mind deliver services across five sites in West London. Two sites are operated by HFEH Mind and three sites are run by our partners.

We are looking for a proactive and organised Facilities Co-ordinator to support the smooth running of our charity's buildings across all five sites. This is an ideal role for someone with some experience in facilities, property services, or office co-ordination who would like to support a large but locally focused mental health charity.

Key Responsibilities

General

With a commitment to providing high-quality and accessible spaces to a diverse community, working knowledge of the health and safety obligations of operating community buildings, and a friendly, non-judgemental attitude, you will be required to:

Day-to-day Site Operations

• Conduct basic site checks; schedule, prioritise and carry out minor repairs (e.g., replacing lightbulbs, replacing camera batteries, reporting larger maintenance issues).
• Escalate any issues to the Business Support Manager when necessary.
• Ensure spaces are tidy, clean and safe in accordance with health and safety guidelines.
• Maintain guidelines and site handbooks, ensuring all are up to date.
• Ensure supplies checked and well stocked (toiletries, stationery, refreshments, toner).
• Liaise with central services to oversee onsite deliveries.
• Co-ordinate movement of items/ stock between sites.
• Report shared IT and photocopier issues to relevant suppliers. 
• Ensure waste disposal at HFEH Mind sites are compliant with local authorities’ guidelines.

Health & Safety Support

• Support with regular fire alarm testing and fire drills.
• Help maintain health and safety records and reports.
• Assist with onboarding staff on building safety (e.g., exits, alarms).
• To be a First Aider and Fire Warden (training will be provided) and ensure training is up to date. Organise other staff to be Fire Wardens.

Security & Access

• Keep track of keys and access fobs; maintain register.
• Ensure security systems are in working order (CCTV, alarms).
• Liaise with external contractors as required.

Coordination & Admin

• Assist Business Support Manager with maintenance schedule and supplier review schedule.
• Maintain records for H&S inspections (fire extinguishers etc) and risk assessments.
• Help gather quotes for minor works or maintenance.
• Ensure all facilities related invoices are provided to finance.
• Check post at registered office(s) regularly and manage facilities email inbox.
• Contribute data for management reports.

Person specification

Essential

• Experience in a facilities or office coordination role, ideally across multiple sites.
• Good understanding of health and safety in the workplace.
• Comfortable handling basic manual tasks (changing lightbulbs, moving boxes, etc).
• Good IT skills. Confident using Microsoft Office (especially Excel and Outlook).
• A commitment to the values of HFEH Mind and respecting the needs and confidentiality of our service users and visitors.

Desirable

• Fire warden and first aid training.
• IOSH Managing Safely qualification.
• UK driving licence.
• Living within easy travelling distance of our sites

The role will sit in the Chief Social Worker’s directorate alongside our admissions and support, curriculum and delivery teams. • Being a lead facilitator for reflexive spaces for colleagues running community spaces
• Providing outreach support for minoritised participants as needed
• Contributing to the review and design of our programmes in relation to EDI content
• Reviewing and consultation on all aspects of recruitment and admissions processes to ensure fairness and reduction in bias
• To be the lead anti discrimination advocate (ADAs) and facilitate regular group meetings to check in with the other ADAs

What the job involves

We’re looking for a Customer Experience Executive to join our team on a fixed term basis covering an internal secondment. This is a fantastic opportunity for a proactive, people-orientated, Customer Experience/ Supporter Care professional to join an established team at one of the most dynamic charities in the UK.

You’ll have experience using a CRM system (like Raiser’s Edge) and understand the importance of handling sensitive data in line with GDPR regulations. Ideally, you’ll also have a good understanding of fundraising rules, including Gift Aid.

With at least two years’ management experience within a finance function, the Finance Manager is required to have excellent communication and interpersonal skills to enable collaboration with all areas of the business to ensure accurate processes are in place including the sharing of data through manual or automated integration.

• Formal accountancy qualification (eg. ACCA, CIMA)

The Individual Giving Manager is responsible for all individual donor support processes, systems, strategies and individual giving fundraising appeals, which ensure we have excellent relationships with our donors to retain and grow our individual giving income. The Individual Giving Manager will line manage the Fundraising Assistant, which is a new entry-level fundraising role responsible for the development and day-to-day administration of our community fundraising income stream for individuals and our corporate community.

We are seeking an experienced admission professional to join the Rhodes Trust, Oxford for a period of up to 12 months to cover a period of long-term leave. The Scholar Services Manager is a key role within the small team at Rhodes House who seek to provide a supportive environment for Rhodes Scholars. This role is also an exciting opportunity for an individual to enhance their skills and knowledge of admissions as supporting the Rhodes Scholarship offers broad experience of working with all the University of Oxford departments and colleges which makes this a unique role.

The role

The Scholar Services Manager role works in close partnership with the Registrar and Director of Scholar Affairs and Deputy Registrar to manage the full range of administrative processes underpinning the Rhodes Scholarship - from the point of selection in home country, through their two-to-three-year tenure in Oxford, to the process of going down - and to foster a culture of support and community at Rhodes House. This position uniquely balances academic reporting and record keeping over the course of the academic year with consideration for Scholar welfare and personal engagement.

In keeping with the prestigious nature of the awards, the Scholar Services Manager will take pride in delivering and improving administrative processes which add value to the experience of a Rhodes Scholar at Oxford, and in building affirming relationships with the Scholar community. This will include maintaining a good balance between professionalism and efficiency on the one hand and a warm and approachable ethos on the other. 

Skills, experience and qualifications:

· Knowledge or experience within Oxford University, particularly of admissions (Essential).

· Graduate level or equivalent professional experience, with sufficient gravitas to work with a cohort of c.250 outstanding young international Scholars

· Ability to build strong working relationships with immediate colleagues, and with university colleagues

· Proactive, focused and organised, with good attention to detail

· Ability to work well under pressure, prioritise work and meet deadlines

· Excellent written and verbal communication skills

· Excellent IT skills, including experience with Microsoft packages (such as Word, Excel, PowerPoint, SharePoint and Outlook) as well as databases

· Advanced Excel skills, including the facility to analyse data using graphs and pivot tables.

· Experience of handling sensitive personal data

· High level of integrity and confidentiality. Sensitivity and discretion in dealing with a wide range of people on many different issues

· Excellent inter-personal skills and the ability to work collaboratively as a member of the Scholar Affairs team

Key Activity Areas  

Lead Generation  

• Be responsible for account management of caseload of mid-range Trusts & Foundations.

• Work collaboratively with the Engagement Manager, Engagement Support Officer and volunteers in the identification, approach and management of UK Trusts and Foundations.  

• Regularly research and review opportunities for building potential relationships with prospective Trusts and Foundations and progressing relationships and applications with them through compelling communications. 

• Work with existing networks and contacts to identify and approach potential trusts and foundations and develop relationships with key decision makers there 

• Identify and pursue opportunities to increase income from existing Trust and Foundation relationships 

Communications and Management  

• Work towards an agreed target each year of engaged trusts and related income, both restricted project and unrestricted funds.

• Write compelling cases for support and proposals in order to secure grants 

• Effectively work with internal contacts throughout the global Medair organisation in the preparation of approved proposals, reports and supporting financial and impact information 

• Manage Medair’s engagement plan, initiating and delivering creative touchpoints throughout the year for all of Medair’s trust and foundation partners, as well as building relationships with trustees and representatives through video, online meetings, events and face-2-face opportunities 

Planning, monitoring and pipeline management  

• Maintain a good record of the application pipeline and CRM (salesforce), monitoring application output, income targets, fund allocations and reporting deadlines.

• Ensuring all grants from trusts and foundations are correctly allocated to Medair programmes, with the appropriate grant card on Medair’s project management platform and maintaining good contact with country programmes and finance partners throughout the lifecycle of Medair UK co-funded projects.

Internal Liaison  

• Liaise with Medair’s Heads of Country Programmes, Country Directors and Communications Officers in order to gather information and data for the purposes of applying and reporting to funders 

• Work collaboratively with finance colleagues in the preparation and approval of budgets and reports.

• Foster dynamic and mutually beneficial relationships with other fundraisers within Medair international and the affiliate offices, readily sharing proposals, reports and information.
