PA to Executive Director of International Programmes

About the Role:

In this role, you'll:

• General administrative support

B) Operations for the department

• Oversee departmental operations to ensure compliance with wider WaterAid processes as well as championing, innovating, or streamlining the department's process and procedure.
• Maintain effective filing systems ensuring archive material is safe and can be retrieved in line with Data Protection Regulations.
• Organise and lead logistical planning for any departmental events that take place in either the UK or Country Programme locations, as necessary.
• Work as part of a wider team of PAs and Administrators across the organisation, ensuring mutual support and good communication between teams.

About You:

• Proven successful track record of being a Senior Administrator or Personal Assistant in a global organisation, including exceptional diary management;
• Effective time-management, organisation and prioritisation skills, including ability to manage multiple projects and priorities and to keep track of high volumes of information within a busy environment;
• Excellent communication skills (written and verbal), including ability to assimilate information quickly and produce accurate minutes, clear PowerPoint presentations and written briefings;

We are working with an independent research institute who are recruiting for a Executive Assistant to the Director and COO. The Director, has responsibility for research within the institute, and also is a senior professor. The COO, oversees the charitable and administrative structures of both the institute.

Although the primary focus of the role is support for the Director and COO, the role will contribute to the wider institute, particularly event and meeting support. It will be a varied role which will suit someone with previous experience of administration or personal assistant work in the area of science of healthcare.

As EA you will

• Act as gatekeeper between internal/external stakeholders.

SCLF was established in 2016 with a 10-year mission and ten years of funding from John Swire & Sons Ltd with the objective of getting Mandarin Chinese more broadly taught in UK state schools across primary and secondary. The Foundation believes that there is tremendous value for young people to learn a foreign language and that learning Mandarin Chinese in Britain will enable future generations to develop a greater understanding of China.

The Grants Programme Assistant will support both the Executive Director and the Assistant Manager across the remit of the SCLF’s work to help it deliver its objectives. This is a unique and interesting opportunity to join the organisation at a key point in its ten-year trajectory as it works to support schools to continue their language provision post 2026 and help shape what that future might look like. 

The postholder will play a key role when it comes to supporting the Executive Director and Assistant Manager in their day-to-day roles and get very involved in the operations of the Foundation. The work will cover wide remit of areas including: financial administration, supporting with termly funding reports-and-request process for schools, preparing internal expense requests and maintaining the expenses log. The Finance, Procurement, Strategic Planning and Analytics directorate, led by the Chief Financial Officer / VP (Finance), comprises c.150 roles located across our campuses in central London.  The Finance department of c.100 roles provides various accounting, assurance, advisory, decision support and financial processing functions for the whole university.

The Director of Finance Business Partnering (Operations) is a critical role within the Financial Strategy, Planning & Performance division that will lead, develop and deliver high quality finance business partnering and decision support to all the central services of the university, including providing financial planning, reporting and insight across revenue and capital funded activity. 

You will support the senior Director of the Financial Strategy, Planning & Performance function in development and improvement projects. Examples include the development of a professional competencies framework to support career progression and performance at all levels, supported by learning and development opportunities, improving key processes, resource allocation and financial planning methodologies, and reporting on financial performance.

As part of the function’s senior management team, this role will lead a team of finance business partners who will provide outstanding partnering services to our central services including large functions such as Estates and Facilities, IT, Students & Education, Research Management and on other crucial ‘head office’ activities. Working closely with the corporate reporting team on the provision of management accounts, you will lead on financial performance support in-year and across our three-year financial planning framework. We are looking to recruit a Managing Editor to assist the Head of Publishing and Editor-in-Chief in coordinating, editing, publishing, promoting and developing The International Journal of Gynecology & Obstetrics (IJGO) and any other publications supplemental to the Journal.

Norfolk Community Foundation is looking to appoint a Finance Assistant to help with the smooth running of the finance of the Foundation, ensuring that the organisation works effectively, efficiently, and safely.

About the role

The Finance Assistant provides support to the Director of Finance and Operations in the work of a fast moving and agile organisation.

Key responsibilities will include:

• Processing of grant payments, purchase invoices and expenses, including confirming authorisation, correct allocation to budget and ensuring adherence to internal controls
• Maintaining cashbook and ensuring the correct allocation of income
• Undertaking monthly bank reconciliations of multiple bank accounts and assisting with other reconciliations and month end duties as required
• Supporting fundraising campaigns as required
• Administration relating to online donations, including reconciling donor reporting between systems

About you

We are looking for someone who has an eye for detail, and excels in being accurate and ensuring tasks are complete and followed up as necessary.

You will be able to assess and interpret data and communicate clearly through excellent written and verbal skills whilst also being able to establish good relationships, and provide quality customer service both internally and externally

Good IT, writing and teamwork skills are a key part of this role, as is the ability to follow policy and procedure. It is a busy role that will have many competing deadlines so the ability to prioritise and multi-task is also key.

This is a critical role supporting the Chief Innovation, Income and Engagement Officer, Executive Director of Policy & Research and Chief Medical Officer, which will enable them to make the best of use of their time to achieve the biggest difference for people at the end of life.

Based up to three days in our new London office, working with multiple teams and external stakeholders this an exciting and varied role.
