Job description

Reports to: Children’s Services Manager

Main Objectives of Post 

  • Supporting the Children’s Services Manager in the smooth running and development of children’s services 

  • Dealing with queries from CYP Team members 

  • Being a first point of contact for external stakeholders 

  • Producing monthly and quarterly reports 

Detailed Description: 

Supporting the Children’s Services Manager in the smooth running & development of children’s services 

  • Ensuring that appropriate records are kept by all workers in children’s services and for children’s services as a whole 

  • Ensuring all data for children’s services is entered and up to date 

  • Attending relevant external meetings related to children’s services, including substituting for the CSM on appropriate occasions and where necessary

  • Assisting the CSM in the set-up of new schools

  • Carrying out some school review meetings at established schools 

  • Attending project meetings relating to CYP services 

  • Working with the Children’s Services Manager and other managers to organise events related to young people’s services 

  • Organising CYP team meetings, including arranging for meeting space, liaising with the Children’s Services Manager and schools team on agenda, writing up and sharing meeting summaries 

  • On occasion, chairing the CYP team meetings 

  • Organising and taking part in recruitment activities for children’s services as required and appropriate 

  • Updating any documents used by children’s service workers as required

  • Support CSM with monitoring sickness and absence within the team and provide information to Operations Assistant to assist with invoicing as required.  

Dealing with queries from CYP Team members 

  • Responding to and resolving queries from member of the CYP team made in person, telephone and via internal messaging 

  • Supporting CYP Team members with any administrative and/or technical queries.

Being a first point of contact for external stakeholders 

  • Liaising with external stakeholders and resolving any queries 

  • Escalating any issues from external stakeholders to CSM 

Producing monthly and quarterly reports 

  • Liaising with the Data Administrator to ensure accurate data for all Children’s Services, resolving and queries and discrepancies 

  • Producing monthly and quarterly services reports for contracts in line with contract agreements 

  • Ensuring all contract requirements are being met in relation to reporting functions 

  • Liaising with the Children’s Services Manager to share reports as required 


  • Work with the Operations Manager, CSM and other staff to achieve relevant quality assurance standards 

  • To work to high professional standards in all areas of work 

  • High level of commitment to working within Beacon’s purpose and values 

  • Maintain strict confidentiality and a respectful attitude towards clients and the wider work 

  • To work within all policies and procedures of Beacon and ensure that you are familiar with and understand all of the latest policies and procedures as they relate to your work 

  • To take part in regular performance reviews with the Children’s Services Manager 

Information Governance 

  • Abide by all policies and procedures relating to Information Governance, maintaining up to date knowledge and training as required 

  • Working accurately and consistently to help ensure information security and confidentiality 


  • To identify any of your training and development needs and ensure you make the Children’s Services Manager aware of them 

  • To take part in any training agreed as appropriate to your role and development needs 

  • To work with the management team on maintaining strong relationships with volunteers, staff and external agencies 

  • To attend the office meetings as appropriate and contribute to the discussions and the smooth running of the office 


  • To be a key holder, opening and closing the premises as required
