We are now looking for a Personal Assistant to join our team on a permanent, full-time basis, working 36 hours per week.

The Role

As a Personal Assistant, you will provide support to two of our Directors and our Chief Financial Officer.

Acting as a conduit and gatekeeper for our Directors, key stakeholders and other individuals, you will provide administrative and organisational support to enable their day-to-day operations. This will include diary management, meeting arrangements, venue and hospitality booking, and financial tasks.

You will effectively process, circulate and respond to correspondence, as well as undertake research and prepare papers, briefings and presentations on a range of subjects.

Additionally, you will:

• Manage documentation and filing
• Support the wider Directorate teams
• Attend occasional out-of-hours meetings and evening events
• Take meetings notes and actions

About You

To be considered as a Personal Assistant, you will need:

• Experience of working as an assistant providing administrative, project and/or secretarial support to senior individuals or teams
• Experience of engaging and liaising with a range of service users and service providers
• Experience of managing and accurately maintaining physical and electronic filing systems
• Excellent written and oral communication skills

Our Principal is looking for a Personal Assistant who has the initiative to drive projects forward and is highly organised. This is an exciting new role within a vibrant and growing Charity. The successful candidate will provide strong executive support to the Principal as he seeks to further develop the organisation’s outputs.

Tyndale House is a renowned institute for biblical studies and possesses one of the finest libraries for biblical research in the world. The Principal therefore acts as both the head of the Charity as well as the primary fundraiser.

The post-holder will possess strong written communication skills, excellent attention to detail and the tenacity to follow work through to completion. He/she should have experience in a previous PA and/or fundraising & development role, ideally within the Charity sector.

They will also need to work collaboratively with colleagues across the wider Hallé as well as with external customers and suppliers.

The post is full-time permanent based on a 36.25-hour week. Our core office hours are 09.00-17:15, from Monday to Friday. There is an option to work up to 50% of hours from home.

Key responsibilities

Programming & artistic relationships

• Devise and implement the artistic strategy and programme of the Philharmonia Orchestra in close consultation with the Chief Executive, Principal Conductor and Exec Team colleagues

• Act as primary liaison to the Principal Conductor and other titled artists, discussing and agreeing programmes and projects

• Engage guest conductors and soloists for all Philharmonia own-promoted performances and engagements, including fee negotiations

• Identify and lead opportunities for commissioning and co-commissioning of new works, negotiating commission fees and contracts. Liaison with publishers

• Negotiate co-promotion deals with external partners such as Serious or Southbank Centre

• Liaise with conductors and touring partners to develop programmes for foreign touring, while

  considering market and budget limitations

• Initiate and develop non-standard orchestral projects, such as film with live orchestra, cross-artform or cross-genre collaborations, and performances at non-standard venues

• Develop suitable programmes for Philharmonia Residency venues, taking both box office and logistical considerations into account

• Handle artist and conductor cancellations and identifying suitable replacements. Liaising internally with other departments over all cancellations

• Develop repertoire ideas and ensure timely registration on clash-diary, with support from Concerts Manager

• Lead on chamber music programming, including liaison with players over proposals

• Research and identify future featured artists, composers and guest conductors proactively

Internal & external communications

• Represent the artistic programming function to senior staff, promoters, agents, donors, Board members and volunteers

• Collaborate with the Learning and Engagement department to integrate the performance programme with educational projects in the planning stage, including Artist in Residence programme

• Collaborate with the Development Department on programmed-led fundraising activities

• Be in regular contact with Marketing colleagues as artistic plans consolidate and confirm. Advise on narrative and proof-read key documents

• Act as artistic liaison with external partners as required

Budgeting, rehearsal & instrumentation planning

• Work with the Concerts Director and Managers to create project and season activity budgets, accurately forecasting expenditure and advising on box office targets

• Oversee the planning of rehearsals by Concerts Managers, seeking advice from members of the orchestra as necessary

• Agree special instruments, and relevant additional fees

Principal liaison with Southbank Centre

• Lead on the day-to-day relationship with Southbank Centre, both in terms of strategy and date requests as principal point of contact

• Keep SBC colleagues updated on future artistic plans, specifically identifying future projects which may be of interest to Southbank Centre to collaborate on, on a co-promotion or engagement basis

Orchestra liaison

• Lead the Artistic Committee discussions re future plans, and ideas around conductors and soloists • Work with the Concerts Assistants and Data & Insight Manager to issue periodic conductor and soloist survey, using results to inform future programming
• Be in regular contact with key orchestral personnel over suitability of repertoire if rehearsal time is  severely limited

Recordings & digital

• Lead on Philharmonia Records, developing and overseeing the recordings strategy
• Identify, and plan potential own-label recording projects
• Listen to recordings to assess suitability for release, and discussing in-house recordings with Artistic Committee
• Work with Immersive Producer on programmatic aspects of digital projects • Identify projects which could be digital first from the outset

Other

• Work with the CEO and Exec team colleagues on developing future business plan and strategies built around the Orchestra’s new mission, vision and values

• As a member of the Exec team represent the Orchestra in key operational and strategic relationships, as required

• Attend performances at Southbank Centre and at venues out of London and overseas, as required, in order to monitor artistic performance and quality

Required skills & experience

• Excellent track record of working in artistic planning or artist management (min 7-10 years)

• First-class knowledge of orchestral repertoire and artists, as well as the work of the Philharmonia

• Demonstrable creative programming experience at an international level

• First-rate budgeting and financial management skills

• Demonstrable entrepreneurial mindset with a successful history of creating new projects

• Current experience of development of UK and international markets for orchestras

This role is an opportunity to work for Mind BLMK as part of the Milton Keynes NHS mental health service for someone with experience working in health, social care or information and advice, in direct contact with service users.

Working alongside colleagues from Central Northwest London Foundation Trust (CNWL) this role will provide referral management to and from Secondary Services. This will include signposting patients to statutory services including talking therapies and wider community based & voluntary sector support.

The Community Navigator will work as part of the team to deliver on the aims and objectives of the Mental Health Hub whilst representing the Voluntary and Community sector with the NHS.

Service Delivery

• Work within the NHS Mental Health SPA (Single Point of Access) Team to review and process referrals received from GP Practices and other sources including those to be subsequently triaged and assessed by mental health practitioners.
• Actively call patients with a view to assisting them through the process and making their onward appointments into community or secondary care service providers.
• Support the hub to signpost patients and direct them to appropriate services including secondary care, the local Voluntary and Community sector services and activities that support the patients’ wider determinates of their mental health and wellbeing.
• Answer calls, ensure sufficient phone cover, respond to messages/voicemails, provide administrative support to the Mental Health SPA for all services and deal with queries in a sensitive and timely way liaising with clinical or team lead as is appropriate.
• Monitor service inboxes during core office hours, responding to any queries professionally providing helpful information.
• Monitor and action tasks within SystmOne and maintain records of all activities carried out, i.e. outbound calls, calls received, archiving any received correspondence.
• Build good working relationships with the voluntary and community sector, relevant services and activities to ensure signposting pathways are kept up to date as well navigating and developing the setup of new signposting pathways through networking.
• Provide clinical and non-clinical information in appropriate chronological templates to other services.
• Carry out health and safety responsibilities as directed by Managers in line with Mind BLMK’s H&S policies, procedures, and guidance (risk assessments, reviews, reporting, safeguarding, incidents/accidents, premises).

Bonny Downs Community Association has been working together to change lives and transform our community since 1998. Over the past 25 years our team has grown to provide a wide array of services that benefit Newham residents from all walks of life. 

This role is specifically funded through the Youth Endowment fund as a pilot project ‘Thriving Communities’. You will be required to work alongside Thriving Communities commissioners, as well as the project’s Youth Justice Worker’s, Educational Psychologist, and/or professionals assigned to individual young people’s cases- such as teachers, social workers and mentors. The Thriving Communities project is a small part of a wider collaborative project, EMPOWER YOUTH, delivered by two partner charities so, although this position is based at BDCA, you will be working closely with a second East Ham Youth Partnership Project lead and team of Sessional Assistants based at nearby charity The Renewal Programme (TRP). Staff from each organisation will work together to deliver the programme and cross-refer young people to activities led by both teams. You will also be required to work with BDCA’s own Children & Families team during the summer scheme and liaise with our marketing team all year round. External partner agencies that you will work directly with include Thriving Communities panel, Newham Youth Empowerment Service, Newham Community Engagement Team, local sports clubs and schools.

Duties and responsibilities

Content Planning

• To assist in the creation of communications and content plans to support the Marketing & Engagement Manager in the delivery of key Union marketing activity, such as Welcome Week and election.

• Build networks with student groups, the Union’s newspaper (Felix) and external partners to develop opportunities for content collaboration

• Stay up to date with what’s happening across the Union, College, the city and wider student movement to stay current and spot positive PR opportunities and content.

Content Creation & Curation

• Ensure timely, relevant and engaging content for Union channels & platforms, including blogs, website, social media and news
• Write, proof and edit a variety of digital communications across the organisation, such as blogs and web content to ensure brand and tone of voice is consistent and correct
• Attend student events to capture photos and videos content to use for marketing purposes and provide live social media coverage to a high standard
• Work with Designer to turn copy into engaging, high quality assets
• Have your finger on the pulse for all latest trends for the student audience and evaluate their feasibility without audiences and available resources
• Be aware of shareable, engaging content, sourcing content from external channels to build an engaged following and boost our content on social media
• Establish and work with student and staff social ambassadors in gathering stories and content

General

• Regularly monitor and report on content to inform improvements and innovations
• Monitor and moderate social posts and comments and respond or escalate in line with the Union’s Crisis Comms plan
• Support key events throughout the year, including Welcome Week and Elections, when necessary
• Proactively work to ensure the Union’s commitment to diversity and inclusion is expressed in all outputs

We are looking for a Senior Community and Events Fundraiser for an inspiring hospice to join a team to maximise income and support from the community, individuals, groups and businesses.

This role will be based on site in Surrey and can be Part time (30hrs) or full time (37.5hrs), offering £35,000 (pro rata for part time).

The Charity
A cherised hospice, dedicated to creating space for people to live in comfort and dignity. They have a staff of c400 people securing c£17m last year.

The Role
Join a team to maximise nceom from an array of community activities and events.

Manage your own portfolio for specific projects, activities and events. Project manage open challenges (e.g. London Marathon, skydiving, international bike rides etc.)

Organise hospice led events as required, including liaison with venues, suppliers, monitoring expenditure against budget, volunteers and participants.

Line management of the Community and Events Fundraising Assistant(s).

The Candidate
2 years experience of fundraising in a community, challenge or mass participant event capacity.

Experience of establishing and maintaining strong relationships with individual fundraisers/supporters and of developing partnerships.

Experience of setting and working to budgets, targets and plans.

Ideally previous experience of managing staff and/or volunteers.

Global’s official charity, Global’s Make Some Noise, funds crucial grassroots projects across the UK with funding and development support, with the aim to make sure that nobody is left facing life’s toughest challenges alone. We raise funds and awareness of the biggest issues affecting society, harnessing the power and reach of over 26.6 million weekly listeners across Global’s radio brands including Capital, Heart, Classic FM, Smooth, LBC, Radio X, Capital XTRA and Gold. To date, we've raised over £35m for over 440 UK charities and supported over 200,000 lives in communities right across the UK.

With plans for innovative grant-making in 2024 and beyond, we empower small charities nationwide, led by a dedicated team of 20 individuals based in London's Leicester Square office.

Join us during this crucial phase of the charity's expansion as we enter a thrilling new chapter. This new position will be a critical role in the charity as we enter a new decade with an exciting opportunity to help shape our future growth.  The role will work across the entire charity, and at every level of the organisation, providing an excellent opportunity to get involved across all aspects of our operations.  The role will work closely with our Trustee Board and Charity Director, supporting with diary management, governance support, minute-taking and taking forward key actions. 

Additionally, the role will support team members across the organisation, whether that’s answering supporter calls, helping find the best venue for charity filming or helping process those valuable and generous donations.  The role will be supported to take on a broad remit of tasks, balancing time and priorities, and supporting the charity to maximise its impact with UK Communities.

Responsibilities of the role

Co-ordinator – 70%

Day-to-day support across the charity including, but not limited to:

• Providing personal assistant support to the Director of the charity

• Support wider team with meeting bookings, arranging travel, charity guests, booking rooms etc.

• Support internal communications, ensuring good information dissemination and management.

• Improve internal onboarding processes, hold ownership over key GMSN starter assets (e.g. Organigram, joiners handbook)

• Look after shared email inboxes, ensuring all queries have an appropriate response in a timely manner.

• Support the team with basic finance reporting and updating trackers, including setting up and maintenance of a variety of fundraising platforms.

• Posting out materials and prizes, and hold ownership over the organisation of stock and materials in the storeroom.

• Liaising with charity supporters via email, phone and at Global, including the support line.

• Provide cover to the Finance and Grants Assistant in periods of absence (training will be provided)

• Support with fundraising and events teams in busy periods.

• Complete any ad-hoc tasks, as required.

Governance – 30%

• Co-ordinate diary entries for quarterly Trustee and Finance Committee meetings, prepare Board packs, attend meetings, take minutes and ensure minutes are distributed in a timely fashion.

• Ensure all Trustees are stewarded, inducted and supported in their role with the charity.

• Support the Head of Finance and Governance with relevant Trustee checks and forms, ensuring compliance with Companies House and Charities Commission.

• Ensure collection of annual related parties records and ensure all documentation is filed electronically.

• Collate monthly quarterly Global Board updates, liaising closely with SMT.

• Strong A-Level results (or equivalent) and/ or relevant degree / or relevant experience

• A passion for working with charities.

• Great interpersonal and relationship-building skills

• Excellent organisation skills with adaptability and ability to use your initiative.

• Experience in administration or other relevant work, such as taking minutes or working with a Board/senior team.
