• Work closely with the Operations Manager to manage and plan current and future workload to ensure the team meets deadlines, provides an exceptional service and reaches service level agreements (SLAs).
• Develop comprehensive and presentable reports to support data-led decision making, renewals tracking, KPI targets or to provide insights.
• Management of budget lines assigned to operational activities to ensure favourable terms are achieved.

Your key responsibilities include:

- Manage the development and delivery of the high-value donor and corporate fundraising programme, to maximise relationships, partnerships, and long-term income.
- Develop and drive the delivery of a structured, dynamic, and agile acquisition plan for the high- value donor and corporate programme, to maximise engagement and income.
- Develop existing and new relationships though the right mix of tailored approaches/asks and exemplary stewardship activities (such as feedback reports, face to face meetings, phone calls) to secure new sources of funding, upgrade existing levels of giving, repeat donations and multi-year funding.
- Manage the high-value donor and corporate marketing and stewardship programmes, supervising appeals, approaches, updates, and all related activities to ensure clear, concise and compelling proposals and reporting.
- Provide the Fundraising Relationships Officer with clear, collaborative, and supportive line management, that maximises staff performance and wellbeing.
- Research and pursue high-value donor fundraising work in assigned new target areas (both in the UK and overseas territories within their global fundraising programme, such as Australia) to expand the programme’s reach and impact.
- Manage the development and delivery of their fundraising events.
- Work with colleagues to ensure required PR and communications activities concerning major donors funding are developed and delivered.

Programme support and administration

- Take responsibility for the high-value donor and corporate fundraising budgets and contribute to target setting, monitoring, and analysis of the programme.
- Provide regular reports and information on progress, targets and income generated.
- Deputise for the Head of Philanthropy and Fundraising Partnerships when required.
- Ensure all activities are legally compliant, in keeping with their values and adherent to due diligence and our Acceptance or Refusal of Donations Policy.

The Role

As FareShare continues to build broad and successful partnerships with key food suppliers across the UK, the Impact Reporting Officer will play a vital role in managing data and effectively demonstrating our impact to the food industry. This position is central to achieving our mission of saving usable surplus food and feeding communities.

This role is a reporting and systems lead, providing administrative and analytical support to the Food Team with a primary focus on consolidating and managing food volume data. Demonstrating to companies the difference their food makes  in an informative and engaging way is a key driver of continued support and motivation for the food industry. We seek a fast learner who can engage across various internal systems, including FareShare’s national WMS, Power BI, and our CRM Salesforce.

Working closely with the Food Team, the role will extract and manipulate data from our systems, presenting it meaningfully in reports and updates for our key food partners. Additionally, this role will collaborate with FareShare’s in-house technology department (The Info Centre) to champion and support the maintenance and accuracy of systems used within the Food Team, ensuring account records are up-to-date, and live reporting is both accurate and beneficial to account managers while adhering to GDPR policies.

This role will champion the further embedded usage of our CRM system (Salesforce) to better manage multifaceted relationships with our partners across the food industry. Having a clear and aligned view of the relationships across the industry is central to our ability to achieve our ambitions in partnership excellence. This role will both support the teams in keeping the CRM accurate and work with the Info Centre in suggesting and implementing builds and developments to the CRM that enhance our ability to successfully track and monitor key relationships.

Alongside the ownership of our impact data, this role will also contribute to cross-departmental data analytics projects and support the Marketing team to gather qualitative impact stories. Across both qualitative and quantitative impact data, this role will look to translate all of this into meaningful insights for companies that highlight FareShare’s work and ultimately help to deliver more food for those that need it.

Main areas of responsibility

Impact Reporting

• Design, build and implement impact reporting activities across the Food Team, ensuring consistency, accuracy, and alignment with key partner joint partnership plans

CRM System Enhancement

Food Data Accuracy

Troubleshooting, System Support and Training

• Work closely with the Food Team to understand how systems, including CRM and Power BI, are utilised for decision-making, strategic planning, and day-to-day operations.

They should be a highly organised self-starter who is able to work autonomously and lead on projects as well as a great team player.

The role is varied and has a significant financial element, so strong numerical skills and good written communication skills are both important as well as a flexible, responsible approach. Ideally they will also have experience of, and good knowledge of, the charity sector in the UK.

This role is posted as a one year contract as the needs of the business are changing as the organisation develops. At the end of the year the needs of ALIMA will be reviewed and there may be scope to further shape the role, depending on the needs of the business and funding available at the time.

RESPONSIBILITIES

ORGANISATIONAL DEVELOPMENT

• Driving and implementing a varied range of projects that support the smooth set-up of the UK charity, in collaboration with the UK Head of Development 
• Virtual Office Management, including organising cloud based filing systems, managing resources including IT, coordinating information collection 

 FINANCIAL MANAGEMENT

• Working with the Head of Development & Chair to create and develop new financial management systems for the charity

Role Description

This new role of Programme Officer (Social Change) will play an integral part in ensuring our grant making has the best possible impact. Working with the Programme Manager (Social Change) and the wider Impact Team, you will be the first point of contact for potential grant applicants and deliver effective processes that ensure that anyone who applies to us for funding has a positive experience, whether they are successful or not. You will lead on all aspects of administering our Social Change grant calls and provide the rest of the team with the information needed to support robust and transparent decision-making. You will also be involved in events for our applicants and will work with colleagues to continually refine and improve our grant making processes.

Role Responsibilities:

Administering grant processes:

· Working with the Programme Manager (Social Change) to update application and guidance forms for each funding round

· Work closely with colleagues to set up the grant call in our online grant management system.

· Provide guidance to potential applicants and respond to their queries, e.g. about eligibility.

· Work with colleagues who run the research funding programme to ensure that opportunities for efficiencies and shared processes are maximised

· Process grant applications, ensuring that we adhere to the highest standards of grant making

· Assist with the preparation of papers to support our decision-making processes, including supporting our Social Change Grants Assessment Panel (SGAP) by ensuring they have all relevant information and that the meetings run smoothly.

· Following final decision, ensure that terms and conditions and award letters are sent to successful applicants and ensure a smooth transition of projects to the Programme Manager (Social Change) who will manage the active projects.

Event support and attendance

· Assist with the organisation and delivery of in person and online meetings and events, e.g. a feedback session for unsuccessful applicants.

· Assist with the organisation of visits relating to the social change funding programme, e.g. helping put together briefing documents, supporting with arrangements and highlighting opportunities for stories and impact with communications colleagues.

Flexibility

Key Tasks

• Maintain accurate and up-to-date records of all high value fundraising activity, including proposals, applications, and donor interactions, and be able to regularly report this activity back to the Head of Philanthropy.

• Manage a portfolio of low-mid level prospects and existing donors, developing clear strategies to cultivate relationships and secure continued philanthropic support of £1,000 to £10,000. Ensure all donors in the assigned portfolio are provided stewardship and take responsibility for contacts and annual work plan.

• Develop and deliver a programme of cultivation, stewardship and recognition low-mid level donors and prospects, proactively seeking opportunities to improve the chances of securing repeat gifts through bespoke communications and consistent stewardship.

• Support the Head of Philanthropy and wider High Value Team with stewardship and cultivation of donors and key contacts. These activities may include virtual events, stewardship events, proposal development, annual reporting, and direct marketing appeals.

• Ensure the upkeep of a database and filing system for all existing and prospective donors within High Value Giving liaising with the Finance and Administrative team to ensure reconciliation with financial record.

• Work closely with the Philanthropy team and other colleagues to maximise all opportunities and support a dynamic, successful, and professional team

• Ensure that data security is maintained and that legal and regulatory requirements are fully complied with.

• Undertake other tasks, when necessary, to achieve the team’s and the organisation’s overall objectives.

A prestigious London Local Authority with a large regional jurisdiction over both the City of London and the county of Greater London is looking for a number of 12-month front of house and administrative staff to join a busy and expanding team based in Stanford-Le-Hope/Tilbury/Corringham area.

Your new role

To provide clerical and administrative support to the staff in a busy and expanding office. To work as one of the team of Support Assistants within the Service, in the provision of an effective, efficient and responsive service.

Hours: 37 hours per week within the hours of 6am - 10pm on a shift basis

Main Duties & Responsibilities

• Carry out reception duties and act as 'first point of contact' for visitors to the office.
• Sorting, date stamping, scanning all documents received and distributing post and documents received into the office and verifying delivery of documents, parcels and other goods in accordance with office procedures.
• Provide clerical and administrative support to the field staff, as required.
• Arrange the collection of all samples on a daily basis that need to go to the labs, preparing for collection and liaising with the couriers.
• Use office equipment, including the postage franking machine, facsimile machine, scanner, photocopier and computer system to carry out the duties of the post.
• Answer all incoming calls and respond to telephone queries from a wide range of sources regarding the current status of imported food cargo and charging procedures, including passing calls on to the relevant staff.
• Under the direction of the Officers, or Technical Officers, carry out documentary checking with regard to consignments of imported food (not of animal origin), and maintain all necessary electronic and paper-based records.
• Input data into internal and external database systems and carry out general internal database maintenance, e.g. modifying tables, queries and reports.
• Maintain and update electronic and paper-based filing and record systems, including the equipment inventory. Assist with the archiving of items, and deal with confidential documents appropriately.
• Under the direction of Official Veterinarians or Officers, record Products of Animal Origin and other imported food consignments on the computerised cargo handling system and port manifesting systems.
• Under the direction of Official Veterinarians or Officers, they undertake the initial documentary check for third country consignments of products of animal origin in accordance with ISO procedures and ensure that documents for charging purposes are sent to the Finance Section on a daily basis.
