JOB PURPOSE
The Office Administrator will undertake all administrative support duties, typing, creating letters/templates, maintaining all databases of contact and contractors, filing and responding and maintaining records to standard enquiries. The role also requires answering the phone and logging calls, checking voicemails, opening mail, creating Notices and populating the Notice Boards at regular intervals, ensuring the confidentiality of sensitive information and abiding by Goulden House Co-Operative Ltd GDPR regulations.
MAIN DUTIES
- Resident engagement, taking and responding to residents’ calls, ensuring that all such engagement is documented on the Goulden House Resident Engagement Database
- Updating the Goulden House Registers (Risk Register, Complaints Register, Anti-Social Behaviour Register, Intercom Databases etc)
- Raise Works Orders and Purchase Orders and services on SAGE as per Estate Manager instruction
- Taking responsibility for the Approved Contractor List, ensuring that the contractor’s documentation is correct and current, i.e. Public Liability, relevant Health & Safety certification
- Liaise with contractors and organising repairs whilst ensuring compliance with the Goulden House Co-Operative Ltd Procurement Policy
- Issuing resident/visitor parking permits
- Monitor CCTV daily putting particular emphasis on fly-tippers
- Updating of Notice Boards across the site
- Inspecting the cleanliness of the Communal Areas twice weekly and signing off of the Cleaning Schedules which are placed in all of the Communal Areas, in the absence of the Estate Manager.
- Estate walk around as required or in the Estate Manager’s absence
- To undertake such duties as are reasonably assigned to you from time to time by Estate Manager

- To take a pro-active role in Health & Safety issues on the estate.

You will lead SCI’s engagement with media outlets – including national papers, trade publications and broadcast – to increase our public profile, promote our work and build support for our campaign to accelerate the commercialisation of the UK’s science base.
You will manage SCI’s press office on a day-to-day basis – scanning the media and political landscape to find opportunities for SCI to leverage its unique expertise and perspective as an organisation at the intersection of science and business. Part of the role will include public affairs (20%) where you will also support SCI’s Head of External Affairs with political engagement as required – coordinating and facilitating SCI’s engagement with key politicians and political contacts.
This role is suited to someone with at least 3 years of professional experience in communications, with an excellent news sense and a solid contact book of journalist contacts.
Responsibilities:
• Closely monitor the news agenda, seeking out opportunities for SCI to comment on fast-moving events and raise the profile of our policy positions and significant research into the potential of the UK’s science base.
• Develop and build national, trade and regional media contacts, hosting journalists at SCI offices in Belgravia.
• Establish KPIs for SCI’s media engagement and monitor and demonstrate progress in meeting them.
• Work with the Social Media team to develop and draft content related to our policy priorities for our social media channels.
• Support the wider team on other ad hoc tasks such as political monitoring and public affairs support.
Knowledge, skills and experience required for this position
• A demonstrable passion for and understanding of science, its purpose for the economy and society, and communicating that to public and political audiences.
• Minimum of 3-5 years in a press office or media-related environment.
• Confident in working in a fast-paced environment and ability to be quick and agile in responding to news opportunities as they arise.
• Well-developed interpersonal and communication skills. Able to quickly establish rapport and build strong collaborative relationships.
• Excellent time management skills: ability to work to tight deadlines and prioritise workload.
• A strong team player who is also a self-starter who can work independently and confidently. An attitude that actively seeks continuous self-development and ways of doing things better.
• Excellent written communication skills and the ability to condense complicated subject matter into succinct, accessible copy.

The Role
To accurately record and reconcile circa 140 million of charitable income across three entities, ensuring that agreed policies and procedures are adhered to.
To liaise with staff across the charity to ensure that unrecorded and unreconciled income is resolved on a timely basis.
To deal with income queries on a timely basis, providing a good level of service to internal and external customers.
To produce and distribute aged debtor reports and ensure that debts are followed up by those responsible, escalating issues to management as required.
To provide guidance and support to non-Finance staff managing income processes
The Candidate
Proven track record in a finance role in a large and complex environment with high transactional volumes, preferably in Receivables.
Able to demonstrate a thorough understanding of double entry book-keeping.
Experience of completing large and complex reconciliations using data from multiple databases
Experience of using Microsoft Excel to critically analyse data through the use of Pivot tables, VLOOKUP etc
Hold a current DBS

About the Role
As Programmes Coordinator you will be a vital member of the Programmes Team, supporting the smooth coordination of Schools and Teacher Training programmes.
