The Senior Manager of Philanthropic Fundraising will serve as the cornerstone of administrative support for ULI’s philanthropic fundraising initiatives in Europe.

 The role will report to the Vice President, Business Development & Membership on a day-to-day basis and work closely with the Chair of the ULI Charitable Trust and CEO ULI Europe. The role will have a functional reporting line to the Chief (Philanthropic) Fundraising Officer.

This position requires excellent organisational, administrative, and stakeholder management skills, particularly within the charity or philanthropic sector.

SPECIFIC RESPONSIBILITIES

• Provide administrative and management support to the philanthropic fundraising initiatives of the ULI Charitable Trust (and the CT Board of Trustees / ULIF Europe Committee) and ULI Europe, including fundraising campaigns, donation tracking, gift processing, and donor stewardship in cooperation with the ULI Finance team in the US. 
• Oversee and coordinate design and development of marketing collateral, presentations supporting fundraising campaigns, in collaboration with the ULI Europe Marketing and Communications team.
• Collaborate closely with the ULI Europe Business Development and Membership team, ULI’s country directors, and the governance director to support the planning and implementation of the European philanthropic fundraising strategy set by the CT Board of Trustees / ULIF Europe Committee.
• Coordinate and maintain relationships with individual and institutional donors,, in close collaboration with the corporate accounts team, CEO, ULI Europe and the Chair of the Charitable Trust / Chair of the ULIF Europe Committee;
• Work in close collaboration with Research & Advisory Services and ESG Programmes colleagues, to identify and research (third party) philanthropic funding and grant opportunities and assist in the preparation of applications for philanthropic funding from (third party) foundations and government agencies;
• Coordination of proposal writing for potential foundation funding, in close collaboration with the research, marketing communications and legal and compliance teams.
• Develop and manage internal processes for grant compliance, application tracking, reporting, and gift acknowledgement for ULI Europe.

EXPERIENCE & SKILLS

• Experience working in an operations, administration, or governance role within a UK or European charity, charitable trust, or foundation.
• Experience working in an international business environment.
• Strong communication and interpersonal skills. 
• Excellent attention to detail.
• Excellent communication and coordination skills.
• A track record of managing transactions or projects that required multi-tasking and meeting deadlines
• A quick learner who is able to adapt easily

Desirable: 

• Familiarity with UK or EU charitable compliance and reporting standards.

Governance and Business Administrator

Responsibility 1: Lead on providing expertise on a comprehensive governance service

1. Acting as secretary to the Trusts Council, sub committees and Sales Board.
2. Providing logistical and administrative support to the CEO, Directors, Chair and Trustees.
3. Supporting the chair to set dates of council meetings, produce Council agendas in liaison with the CEO, Chair & Committee Chairs and ensuring accurate minutes are taken, approved, and circulated in a timely manner.
4. Working autonomously maintaining the governance archive for Council and overseeing full governance archive on SharePoint.
5. Maintaining live files and records at Companies House.
6. Acting as secretary to the Nominations Committee including maintaining the register of trustee and honorary officer terms of office and managing the process of nominating, recruiting and inducting Trustees.
7. Assisting with the production of high-quality papers and presentation materials and developing solutions to complex issues.
8. Fixing dates, orchestrate agendas, papers and minutes for Council meetings and carry out chasing actions as required using your excellent communication and negotiation skills.
9. Organising and facilitating Trustee inductions.
10. Regular and structured reviewing of governance documents, policies, processes, and terms of reference, keeping abreast of developments in governance legislation & best practice.
11. Maintaining and updating the SWT Governance Handbook and ensuring legal compliance.

Responsibility 2: Provide a comprehensive administrative and clerical support to the People, Culture and Resources Team to support the smooth running of the office.

1. Overseeing the PCR team administrative support functions.
2. Handling communications:  Greeting clients, answering incoming calls, replying to emails and dealing with both incoming and outgoing post.
3. Organising schedules: Scheduling meetings, appointments and events, and organising any necessary materials for them.
4. Maintaining office equipment:  Operating and maintaining equipment such as photocopier and franking machine.
5. Supporting staff: providing administrative support to colleagues with occasional administrative work on PCR projects.
6. Keeping track of inventory and ordering office supplies such as first aid equipment, coffee and tea and other items.
7. Using spreadsheets for budget evidencing and monitoring purposes – (credit card transactions & Amazon purchasing).

Responsibility 3: Utilising your strong commitment to customer service, provide a first-class customer service for the organisation and its stakeholders, ensuring that every customer is completely satisfied with their customer experience

1. Ensuring that all telephone, face to face and written enquiries are responded to promptly and dealt with in an efficient manner.
2. Answering customer queries, responding to questions from incoming correspondence.
3. Resolving complaints by liaising with relevant teams to ensure customer satisfaction and ensure regular contact with both internal colleagues and external stakeholders.
4. Keeping accurate records of customer interactions including a complaints log.
5. Providing information to stakeholders to answer questions and queries.
6. Escalating issues referring any complex issues to Heads or Team managers when necessary.

In just the last year, this campaign has generated £5.78 million for schools—supporting everything from basic classroom supplies to vital extracurricular programmes and pupil wellbeing initiatives. Also shortlisted for a Business Charity Award, it is already a model for community-driven philanthropy.

Meanwhile, our All Dressed Up campaign—developed with World Book Day and Rubies Masquerade—confronted the often-overlooked issue of financial exclusion on key celebration days. More than 100,000 free dressing up costumes worth £1.34 million were delivered to children from low-income families. By enabling participation in events like World Book Day, we helped spark imagination, joy, and belonging for children who might otherwise feel left out—boosting self-esteem and supporting a positive connection to learning.

Alongside these national campaigns, Parentkind supports families year-round through a growing suite of programmes designed to inform, prepare and empower parents. The Sheldrick Wildlife Trust UK is seeking a dynamic and experienced individual to manage our online shop. This hands-on role is vital in supporting our mission to protect wildlife and habitats in Kenya. The successful candidate will be involved in all aspects of the online store, ensuring a seamless and engaging shopping experience for our supporters.

This is a part-time role at 0.4 FTE (15 hours per week), offer a pro rata salary of £28,000 - £30,000 based on experience.

Key Responsibilities to include:

Online Store Management

• Handle the day-to-day operations of the online shop including ensuring efficient order processing, stock management, quality control of incoming stock, processing customer returns, helping the team with packing orders during busy periods, and ensuring consistently high levels of customer service.
• Plan for the busy Christmas period by assessing workload and engaging the assistance of temporary staff, volunteers and the wider team as necessary.
• Conduct periodic stocktakes to ensure accuracy and reduce shrinkage, identifying any errors and training issues.
• Recommend to the Executive Director any updates to the online store's website to ensure it is user-friendly, visually appealing, and regularly refreshed with new products and promotions.
• Work closely with the Executive Director to develop and implement strategies to drive website traffic and sales.

Product Development and Sourcing

• Identify and recommend new products that will align with the SWT's mission, appeal to supporters and offer a minimum required ROI.
• Manage timely procurement of products and packing materials.
• Develop and maintain good working relationships with suppliers.
• Create new product listings on Shopify including all relevant back-end product information.
• Write compelling descriptions for product listings, creating and adding appropriate imagery.
• Support Communications team in providing imagery and copy for featured products in monthly charity e-newsletter.

• Review and update shop banners/landing page imagery seasonally to keep shop appearance fresh and inviting.

Volunteer Management

• Train and supervise volunteers in picking/packing, stocktaking and quality control.

• Periodic review of output of volunteers to raise training issues where necessary to ensure standards are maintained.

Financial Management

• Manage the online shop budget, monitoring expenses and revenue to ensure financial targets are met.
• Work with the Director of Finance to propose the annual online shop budget for Board approval.
• Produce stock reports for the auditors and be the main point of contact for the annual audit of stock.
• Analyse sales data to identify trends and make informed decisions about product offerings and pricing strategies.

Customer Engagement

• Provide excellent customer service, addressing enquiries and resolving issues promptly and effectively.
• Review global shipping methods and suppliers; recommend to the Executive Director and implement changes to make delivery to customers as smooth as possible.

Reporting and Analysis

• Generate regular reports on sales performance, stock levels, and customer feedback.
• Use data insights to propose and implement improvements to the online shop's operations and customer experience.
• Working closely with the Director of Finance, provide reports and insights on the shop data for the Board.

Qualifications

• Bachelor's degree or post-school qualification in Business, Marketing, or a related field.
• Proven experience in managing an online shop or e-commerce platform.

Role Overview

The successful candidate will be involved in leading and co-ordinating the delivery of Crohn’s & Colitis UK’s research strategy including our programme of grants, and our work to support increased patient and public involvement in research.  They will work with the Director of Services & Evidence and Head of Evidence & Research to support the charity’s involvement with external research bodies and contribute to the leadership, planning and delivery of cross-team projects, helping to influence and meet our strategic objectives.

About You

We are looking for someone who has proven experience of delivering successful research funding and patient and public involvement research activities.  The successful candidate must be adept at establishing and maintaining effective relationships with external stakeholders and comfortable working with operational performance metrics, and implementing strategies and objectives for the organisation.  Ideally your background will be in health care or working in a medical charity and you’ll be educated to degree level or equivalent.  Given this role will involve managing and providing leadership to the Research team, prior management experience would be an advantage. Whilst not essential, a knowledge of the needs of people affected by Crohn’s and Colitis would be beneficial also.
