Introduction to the role

The coordinator role is crucial in enhancing the productivity and efficiency of the leadership team within the organisation. Serving as a central point of contact, this position involves a diverse range of responsibilities, from managing executives' calendars and coordinating meetings to handling communications with professionalism and discretion. Purpose of role 

The Operations Coordinator will: 

• Act as a central point of contact, managing executive calendars, coordinating meetings, and facilitating effective communication while maintaining a high level of professionalism and discretion. 

• Be responsible for improving organisational processes, ensuring meticulous record-keeping, and contributing to the seamless execution of daily activities.

Specific responsibilities and duties 

Administrative Support  

• Assist with a variety of administrative tasks that enhance the productivity of the leadership team, such as scheduling and coordinating meetings, managing executives' calendars with attention to priorities, and organising files and documentation for easy access.

• Identify and implement improvements to existing organisational processes and procedures to boost efficiency, ensuring that the team can operate at maximum effectiveness. 

Communications  

• Act as a central point of contact for both internal team members and external stakeholders, handling communications with a professional demeanor.

Meetings  

• Collaborate closely with the Business and Operations Manager to support the overall management of meetings, including preparing detailed agendas, taking comprehensive minutes during meetings, and circulating documents to all participants in a timely manner, ensuring that all follow-up actions are clearly outlined. 

Event Coordination 

• Coordinate a variety of events and meetings, supporting logistics such as venue selection, catering orders, accessability requirements and technical arrangements.

• Assist in the planning and scheduling of member events and meetings, ensuring all details are attended to, such as invitations, attendee confirmations, and venue preparations. 

Project Administration 

• Maintain comprehensive administrative records relevant to projects, ensuring that all documentation is current and easily accessible to project team members. 

Record Keeping 

• Establish and maintain accurate records, comprehensive databases, and organised documentation related to office operations and employee activities, including diligent management of the CRM system to ensure timely updates and accuracy of information. 

Finance 

• Assist with the preparation of financial statements and reports, maintaining accurate and organised accounting records, and supporting the reconciliation of accounts to ensure data integrity.

General 

• Support the organisation to achieve its corporate objectives. 

• Be a proactive and professional representative of VODG and its values at all times, including in relation to the prioritisation of your own responsibilities and professional development. 

• Undertake such duties as may be deemed necessary by the CEO and/or the line manager that are commensurate with the level of this post. 

The Fundraising and Marketing Assistant will support the charity’s fundraising activities, helping to generate income through community fundraising, events, grants, corporate partnerships, and donor engagement.

POSITION SUMMARY

The Senior Manager of Philanthropic Fundraising will serve as the cornerstone of administrative support for ULI’s philanthropic fundraising initiatives in Europe.

 The role will report to the Vice President, Business Development & Membership on a day-to-day basis and work closely with the Chair of the ULI Charitable Trust and CEO ULI Europe. The role will have a functional reporting line to the Chief (Philanthropic) Fundraising Officer.

SPECIFIC RESPONSIBILITIES

• Provide administrative and management support to the philanthropic fundraising initiatives of the ULI Charitable Trust (and the CT Board of Trustees / ULIF Europe Committee) and ULI Europe, including fundraising campaigns, donation tracking, gift processing, and donor stewardship in cooperation with the ULI Finance team in the US. 
• Oversee and coordinate design and development of marketing collateral, presentations supporting fundraising campaigns, in collaboration with the ULI Europe Marketing and Communications team.
• Collaborate closely with the ULI Europe Business Development and Membership team, ULI’s country directors, and the governance director to support the planning and implementation of the European philanthropic fundraising strategy set by the CT Board of Trustees / ULIF Europe Committee.
• Coordinate and maintain relationships with individual and institutional donors,, in close collaboration with the corporate accounts team, CEO, ULI Europe and the Chair of the Charitable Trust / Chair of the ULIF Europe Committee;
• Work in close collaboration with Research & Advisory Services and ESG Programmes colleagues, to identify and research (third party) philanthropic funding and grant opportunities and assist in the preparation of applications for philanthropic funding from (third party) foundations and government agencies;
• Coordination of proposal writing for potential foundation funding, in close collaboration with the research, marketing communications and legal and compliance teams.
• Develop and manage internal processes for grant compliance, application tracking, reporting, and gift acknowledgement for ULI Europe.

EXPERIENCE & SKILLS

• Experience working in an operations, administration, or governance role within a UK or European charity, charitable trust, or foundation.
• Experience working in an international business environment.
• Strong communication and interpersonal skills.

MAIN RESPONSIBILITIES

Strategy

• Lead on the development and implementation of our Individual Giving strategy, supported by the Head of Mass Participation and the Director of Fundraising & Marketing.
• Ensure all opportunities and future plans are in line with Winston’s Wish’s over-arching fundraising strategy to meet financial targets, organisational objectives and KPIs.
• Maintain an awareness of philanthropy trends, news, events and legislation in the UK to ensure that Winston’s Wish remains up to date on key changes which are likely to impact on individual giving.

Generating Individual Giving Income

• Lead on and deliver a plan to increase individual giving income from streams including, but not exclusive to, direct mail, regular giving, legacies, in-mem and our charity lottery
• Effective use of KPIs to ensure decisions are driven by evidence and real-time data.
• Continuously analyse our income and supporter data to measure effectiveness of activities and return on investment.
• Work alongside our design agencies and in-house marketing team to develop and manage direct mail campaigns, including segmentation to ensure campaigns will be carefully targeted and designed to maximise income.
• Explore and test new methods for donor recruitment and increasing donations.
• Seek every opportunity to increase awareness of legacy giving to Winston’s Wish and monitor the effectiveness of these activities over time.
• Manage a growing portfolio of legacy enquirers with appropriate contact and timely solicitation of prospective legators including hosting events and tailored stewardship.
• Manage the stewardship and development of our regular giving programme including uplift campaigns and solicitation of new donors to agreed targets.
• Work alongside the wider fundraising team to ensure effective cross-selling of individual giving products and vice-versa identify opportunities to introduce other fundraising products to our individual givers.
• Identify supporters who could provide compelling content which could be used by the wider Fundraising & Marketing team to inspire further support including suggesting key individuals who could feature in online and offline publications.
• Work with the Philanthropy & Partnerships Manager to ensure that potential major donors are identified and included in relevant activities.

Administration

• Diligently maintain records of all interactions with supporters on Salesforce.
• Ensure all activities comply with appropriate legal, regulatory and fundraising good practice and with Winston’s Wish policies and standards.
• Keep a close eye on incoming donations to ensure they are coded correctly and that supporter data is accurately recorded in accordance with GDPR.
• Effective management and control of expenditure across all projects and campaigns in line with agreed expenditure budgets.

PERSON SPECIFICATION

Essential

• A sound understanding of the principles of fundraising across individual giving, in-memory fundraising, and legacies.
• Proven track record of preparing successful programmes of activity and business plans to recruit, engage, inspire, and retain supporters in a not-for-profit organisation, or similar transferable experience gained in the commercial sector.
• Specific experience of delivering an individual giving programme.
• Experience of budgets, including planning, forecasting, and analysing performance.
• Experience of high-level use of a customer relationship management system.
• Experience of managing direct mail campaigns.
• Strong organisational skills and keen attention to detail to plan and schedule multiple activities, respond flexibly to opportunities, handle conflicting demands and meet tight deadlines.

Overview
The Sheldrick Wildlife Trust UK is seeking a dynamic and experienced individual to manage our online shop. This hands-on role is vital in supporting our mission to protect wildlife and habitats in Kenya. The successful candidate will be involved in all aspects of the online store, ensuring a seamless and engaging shopping experience for our supporters.

This is a part-time role at 0.4 FTE (15 hours per week), offer a pro rata salary of £28,000 - £30,000 based on experience.

Key Responsibilities to include:

Online Store Management

• Handle the day-to-day operations of the online shop including ensuring efficient order processing, stock management, quality control of incoming stock, processing customer returns, helping the team with packing orders during busy periods, and ensuring consistently high levels of customer service.
• Plan for the busy Christmas period by assessing workload and engaging the assistance of temporary staff, volunteers and the wider team as necessary.
• Conduct periodic stocktakes to ensure accuracy and reduce shrinkage, identifying any errors and training issues.
• Recommend to the Executive Director any updates to the online store's website to ensure it is user-friendly, visually appealing, and regularly refreshed with new products and promotions.
• Work closely with the Executive Director to develop and implement strategies to drive website traffic and sales.

Product Development and Sourcing

• Identify and recommend new products that will align with the SWT's mission, appeal to supporters and offer a minimum required ROI.
• Manage timely procurement of products and packing materials.
• Develop and maintain good working relationships with suppliers.
• Create new product listings on Shopify including all relevant back-end product information.
• Write compelling descriptions for product listings, creating and adding appropriate imagery.
• Support Communications team in providing imagery and copy for featured products in monthly charity e-newsletter.
• Create visuals for shop adverts as requested by Executive Director.
• Review and update shop banners/landing page imagery seasonally to keep shop appearance fresh and inviting.

Volunteer Management

• Train and supervise volunteers in picking/packing, stocktaking and quality control.
• Assist in maintenance of the volunteer rota, organising volunteer support as needed based on tasks available, including forward planning for busy seasonal periods.
• Periodic review of output of volunteers to raise training issues where necessary to ensure standards are maintained.

Financial Management

• Manage the online shop budget, monitoring expenses and revenue to ensure financial targets are met.
• Work with the Director of Finance to propose the annual online shop budget for Board approval.
• Produce stock reports for the auditors and be the main point of contact for the annual audit of stock.
• Analyse sales data to identify trends and make informed decisions about product offerings and pricing strategies.

Customer Engagement

• Provide excellent customer service, addressing enquiries and resolving issues promptly and effectively.
• Review global shipping methods and suppliers; recommend to the Executive Director and implement changes to make delivery to customers as smooth as possible.

Reporting and Analysis

• Generate regular reports on sales performance, stock levels, and customer feedback.
• Use data insights to propose and implement improvements to the online shop's operations and customer experience.
• Working closely with the Director of Finance, provide reports and insights on the shop data for the Board.

Qualifications

• Bachelor's degree or post-school qualification in Business, Marketing, or a related field.
• Proven experience in managing an online shop or e-commerce platform.
• Strong understanding of online retail best practices, including pricing, digital marketing, and customer service.
• Excellent communication and interpersonal skills.
• Ability to work independently and as part of a team.
• Passion for wildlife conservation and the mission of the Sheldrick Wildlife Trust UK.
