We’re currently looking to welcome an Office Manager to our team.
The role
The Office Manager ensures all building facilities run smoothly on a day-to-day basis. They are responsible for the efficient daily operations of our offices and the building and that these are cost-efficient, environmentally conscious and proportionate for a small, not-for-profit organisation.
The Office Manager is an integral part of the Operations Team playing an important role in ensuring the smooth running and welcoming atmosphere of our offices, directly supporting both internal teams and tenants.
This is multifaceted role. The successful candidate will need to be able to think on their feet, have good time management skills and enjoy wearing more than one hat.
Key responsibilities
Front of House / Event Management:
· Welcoming all visitors to the SoA building at Bedford Row.
· Managing the post/packages into and out of the building.
· Responsible for managing the Front of House/Operations Assistant and Groups Administrator, including day to day supervision, absence management and ongoing development.
· Responsible for managing the Events Space bookings calendar.
· Managing all events for tenants and external hire from inception to completion including catering as agreed with the client, cleaning team and room set-up of the Events Space.
· Working with the SoA Events Team for internal and member events ensuring that the logistics for room set up and cleaning are in place.
· Acts as a central point of contact for all staff for various Ops/logistics issues.
Facilities Management:
· Maintain compliance with all relevant health and safety legislation and best practise, including fire safety, COSHH, RIDDOR and DSE assessments.
· Ensure all checks, risk assessments and remedial actions are implemented in a timely manner.
· Providing health and safety training to all new joiners.
· Ensure the office maintenance plan is kept up to date and all regular maintenance/services are booked and any identified issues are resolved.
· Organise the maintenance and PAT testing of all electrical equipment.
· Fire Warden/First Aider for the ground floor (training will be arranged if required).
· Proactively ensuring the office facilities remain safe, clean, fully-equipped and operational.
· Point of contact for all staff and tenants in relation to office and building issues and queries.
· Responsible for managing office contracts, negotiating the renewal of existing and new contracts.
· Obtaining quotes for any maintenance/repairs works required and carrying out due diligence checks on all new contractors.
- To have a key role in the organisation’s sustainability policy ensuring the purchase of all office provisions considers cost and any environmental and ethical impacts.
IT Coordination:
· Liaise with external IT support providers as necessary ensuring SLAs are adhered met and effectively resolve IT issues.
· Maintain a laptop register and prepare and maintain an annual rolling plan for renewal of old equipment.
· To oversee the migration of SharePoint data to the new CRM system in 2026.
· To be involved in any IT projects that need to integrate with our office systems (O365, SharePoint and One Drive).
· To be responsible for IT support for the office laptops and office systems (windows, O365, One Drive and SharePoint) ensuring that there is a maintenance contract in place and this is reviewed on a regular basis.
You will be required to undertake any other reasonable duties to support business requirements as requested.

Working Well Trust is a mental health and employment charity in London. All of our projects share the aim of improving the lives of people with mental health support needs, learning disabilities and/or complex issues through training and employment.
We are recruiting a Data Administrator to provide high-quality client contact, data management and performance reporting for our Connect to Work service in Enfield borough.
This role plays a central part in ensuring the service runs smoothly and meets contractual requirements. You will act as a first point of contact for new referrals, while also leading on accurate data entry, reporting and insight to support service delivery and continuous improvement.
The role is ideal for someone who enjoys combining people-facing work with structured, detail-focused data and administrative responsibilities, and who is motivated by supporting people to move towards employment.
What you’ll be doing
If you were working with us, you would be at the heart of how our Connect to Work service demonstrates impact, quality and compliance.
You would take ownership of data management for the Enfield Connect to Work contract. That means ensuring accurate and timely data entry across multiple systems, including DWP PRaP, always in line with GDPR and contractual requirements. You would maintain high-quality client records and digital filing systems, proactively spotting and resolving data integrity issues before they become problems.
You would turn data into insight. Using the DWP dashboard, Excel tools and performance dashboards, you would collate, analyse and interpret service activity and outcomes. You would produce clear, concise KPI and performance reports for commissioners, senior managers and operational teams. Your analysis would help identify trends, risks and opportunities to improve performance and strengthen employment outcomes for participants.
You would also lead on audit preparation and ensure our reporting meets IPS and Fidelity standards. When a new CRM is introduced by the funder, you would support a smooth transition, provide feedback to developers and help embed the system within the team.
Alongside data responsibilities, you would play a key role in referrals. You would act as a first point of contact for new participants, undertaking eligibility assessments using a structured questionnaire. You would confidently and sensitively gather information relating to employment, mental health and physical health needs, and provide clear information about the service and next steps. Where risks or safeguarding concerns arise, you would escalate appropriately and in line with service protocols.
You would handle general enquiries from participants and stakeholders, signposting where Connect to Work is not the right provision. You would liaise with Local London regarding referral submissions and ensure tracking systems are up to date.
Internally, you would support frontline colleagues by providing training and guidance on data entry and performance recording requirements. You would help create simple, robust systems so advisers can focus on supporting participants into work.
In short, you would combine strong technical data skills with excellent communication and a genuine commitment to quality. Your work would ensure that our service is compliant, insightful and continuously improving.

OVERVIEW OF THE ROLE
This is an exciting opportunity to join the Client Services Team which operates within Helen Bamber Foundation’s vibrant, multi-disciplinary team. The duties of a Client Services Administrator are two-fold 1) is to host our busy reception area and friendly waiting room; welcome clients and visiting professionals to the Helen Bamber Foundation and attend to any needs they might have and 2) to assist with overseeing the booking of appointments between clients and staff/volunteers across the organisation; liaising with third parties and clinicians in relation to Initial Assessments; booking and managing doctor’s diaries for our Medical Advisory Services and the booking of interpreters across the organisation.
The role will work closely with the Office Manager and Appointments Lead as part of the Client Services Team. It includes support and cover to the Appointments Lead and any other operations tasks set by the Office Manager and Director of People. You will be at the heart of an exciting team of experts, working as the face of Helen Bamber Foundation and the first point of contact for both external and internal queries.
MAIN DUTIES AND RESPONSIBILITIES
RECEPTION FUNCTION
· Greet clients and visitors and fielding a wide range of queries (in-person, on the telephone, via e-mail and WhatsApp) in a timely manner;
· Ensure all site visitors and staff sign in/out using our Visitor Management System
· Handle the charity’s post ensuring that the appropriate persons receive it daily
· Deal with Walk ins in line with the charity’s policy
· Triage queries that come to reception internally to the multidisciplinary team;
· Provide accurate and detailed signposting advice as well as occasional casework for clients that might arise from fielding queries;
· Create and maintain signposting resources as needed
· Open and close reception at the specified times (typically 8.30am and 5pm);

Brief role description:
The NST Client Advisor plays a key role in delivering the support centre function for the programme. Working closely with the Nova Support Team (NST), the Advisor provides initial advice, guidance, and assistance to Veterans who are at risk of contact with the Justice System or are involved in the Justice System.
Some of your principal responsibilities will include receiving and triaging referrals for veterans who are at risk of, or involved in, the justice system, making timely first contact and completing initial registrations, and providing accurate advice and guidance while maintaining detailed records on the case management system.
As a NST Client Advisor, you will need experience in guiding and supporting individuals, strong communication and interpersonal skills, and the ability to work collaboratively with internal and external stakeholders while remaining highly organised and IT confident.
Ideally, you will also have an understanding of the justice system, experience using Salesforce or similar CRM systems and a resilient and adaptable approach.
