The Assistant Archivist will join the Paul Mellon Centre (PMC) at a time of consolidation: formally established just over ten years ago with much of the essential groundwork laid, the archive is now a thriving repository with offers, acquisitions and reader engagement growing at a rapid pace. This position is situated within a small team of five information professionals who work closely together to embed professional best practice and deliver a high standard of service to internal and external audiences.

Who We Need

We are looking for someone who will support the Archivist, Records and Data Protection Manager to successfully manage the demands of a busy and growing repository.

You will assist with the everyday work of a small specialist archive including, in particular, reducing the cataloguing backlog and helping ensure that all archive collections held at PMC have been appraised, catalogued and are accessible to interested audiences. You will help assess offers and liaise with donors regarding the acquisition of new material. You will assist with the promotion of the archive collections, supporting the Centre’s commitment to audience reach and fulfilment. You will have specific responsibility for overseeing the day-to-day operations of the Public Study Room and copying service. You will work to embed best practice across all areas with a view to securing Archive Accreditation.

This role would suit an experienced professional who embraces all aspects of core archival work, thrives on juggling competing demands but also relishes seeing projects through to completion. It requires someone who enjoys thinking creatively about the collections in their care, gains satisfaction from embedding best practice and who possesses attention to detail, enthusiasm and excellent communication skills.

The PMC is an educational charity that champions new ways of understanding British art history and culture. We publish, teach and carry out research, both in London at the Centre and through our online platforms. Our archives, library and lively events programme are open to researchers, students and the public. The Centre’s grants and fellowships enable institutions and individuals to pursue exhibitions, publications, events and scholarly projects. Through all areas of our work, we promote activities that enhance and expand knowledge about British art. The Centre was founded in 1970 by art collector and philanthropist Paul Mellon, and is part of Yale University and partner to the Yale Center for British Art.

The PMC holds and provides access to over forty archive collections relating to the study of British art and architectural history. Alongside its own Institutional Archive, these collections include the research papers of art historians; museum directors and curators; dealers; art critics; collectors; and other individuals working in the field of art history. About the Role

Salary will be in the range of £35,000 to £40,000 per annum depending on experience.

Person Specification

Essential skills:

• a postgraduate diploma or MA in Archives and Records Management
• five years’ post-qualification professional experience working in archives
• experience of public service activities
• the ability to appraise, arrange and catalogue large complex archive collections in accordance with ISAD(G)
• working knowledge of the GDPR, with particular reference to archives and record keeping
• working knowledge of copyright law, within an archive and library environment

Role Summary

This position provides key support for the policy and research functions of the charity, in addition to collaborating on campaigns and public affairs work. You will be responsible for carrying out primary research relevant to the charity’s policy and research functions. SCLF was established in 2016 with a 10-year mission and ten years of funding from John Swire & Sons Ltd with the objective of getting Mandarin Chinese more broadly taught in UK state schools across primary and secondary. The Foundation believes that there is tremendous value for young people to learn a foreign language and that learning Mandarin Chinese in Britain will enable future generations to develop a greater understanding of China.

The Grants Programme Assistant will support both the Executive Director and the Assistant Manager across the remit of the SCLF’s work to help it deliver its objectives. This is a unique and interesting opportunity to join the organisation at a key point in its ten-year trajectory as it works to support schools to continue their language provision post 2026 and help shape what that future might look like. 

The postholder will play a key role when it comes to supporting the Executive Director and Assistant Manager in their day-to-day roles and get very involved in the operations of the Foundation. The work will cover wide remit of areas including: financial administration, supporting with termly funding reports-and-request process for schools, preparing internal expense requests and maintaining the expenses log. You will support with the annual Grant Agreement extension process, general programme administration, the annual data requests and the organisation of annual assessment visits to Centres. You’ll oversee coordination and collation of reports for Board meetings as well as supporting the Director to ensure departmental deadlines are met for governance activities. This exciting opportunity offers you the chance to travel to Budapest (subject to successful probation and candidate having necessary rights/visas for travel). You would need to be available around 11th to 19th September 2024 to attend the charities World Congress.

Work setting: Hybrid (2 days per week in the office)
Salary: between £25,000 to £29,500 per annum
Hours: Full-time (37.5 hours per week)

The Role:
As an Events and Operations Assistant, you will play a crucial role in delivering a portfolio of events, including a renowned Annual World Congress and regional meetings. Working closely with the Event Operations Team, you'll contribute to the planning, development, and flawless execution of events, ensuring they meet the highest standards and deliver exceptional value.

Main responsibilities:

*Quality Assurance: Ensure the highest level of service for members and stakeholders, promptly resolving issues and delivering outstanding customer support.
*Event Delivery: Collaborate with the Event Operations Team to deliver virtual, hybrid, and onsite events, managing logistics, communications, and participant support.
*General Event Support: Manage event inboxes, update web pages and promotional materials, coordinate travel and accommodation, and provide administrative support for event logistics.
*Programme Support: Assist with speaker management, programme planning, abstract submissions, and educational course operations to ensure smooth delivery and participant satisfaction.
*Operations: Support membership services, data processing, education course operations, and general office administration.
*Compliance and Development: Ensure compliance with data protection guidelines and develop positive relationships with stakeholders.

Essential requirements:

*Experience in events management and operations.
*Excellent organisational, communication, and problem-solving skills.
*Excellent time management and attention to detail.
*Ability to thrive in a fast-paced, collaborative team environment.
*Proficiency in CRM systems, event management software, and Microsoft Office.
*Willingness to travel regionally and internationally as required.

You’ll provide high quality admin support to the Midlands team, coordinate, plan and prep key meetings, and provide first point contact for both internal and external stakeholders. Including working coproductively with people living with Parkinson’s.

As members of the Community Directorate we aim to reach out to and support people with Parkinson’s, their families, friends and carers.  We enable the voice of people affected by Parkinson’s to be heard to improve services, inform our priorities and improve decision making locally.

Through community development we work in close collaboration with our respective Parkinson’s communities to bring change on the issues that matter most to people affected by Parkinson’s

What you’ll do:

• Organise online and in-person, internal and external meetings and other events, including booking venues and refreshments, assisting with the production of materials, liaising with participants and speakers, fulfilling mailings and taking bookings as required

• Keep up to date with the directorate’s activities in order to provide clear, accurate information, and support the process of business performance and impact reporting 

• Respond to general enquiries in a timely and friendly  fashion, ensuring needs are met, and participate in working groups, meetings, local events or activities as required

• Maintain digital records on the charity’s data platforms

What you’ll bring:

• Excellent administration skills, including note-taking, presentation preparation and a positive, assertive and resilient approach to prioritising and juggling varying pressures and conflicting priorities 

• Experience in coordinating multiple projects simultaneously that meet the business requirements 

• Experience of developing and maintaining effective working relationships with all stakeholders 

• Experience of operating in a modern digital workplace, including using digital tools to work collaboratively and productively 

• Ability to work flexibly and from home with some travel and the occasional overnight stay
