Purpose of the People & Culture Assistant role: 

To work as part of the People and Culture team to provide a professional, high quality, timely, customer focused HR recruitment/contractual administration/transactional service to key internal stakeholders, job applicants and support closely on people and culture activities especially the Learning and Development workstream.

Key duties and responsibilities of the People & Culture Assistant:

To provide high quality HR administrative support across the full spectrum of the employee lifecycle, including:

· Conducting pre-employment checks for new starters (references, DBS, Right to Work in UK)

· Recruitment administration (writing and posting adverts, shortlisting, arranging interviews) 

· Absence management

· Preparation and issue of contractual documentation (including contract variations) 

· Payroll updates 

· Maternity/Paternity administration 

· Administration of performance management and improvement systems (probation, Appraisals, PIP forms)

· Termination of employment (all categories, including writing leaver documentation and conducting Exit Interviews) 

· Upkeep of electronically stored personal records 

· Conducting regular HR Audit checks to ensure integrity of data is maintained 

· Supporting the P+C Manager on all other aspects of HR administration

What we are looking for in our People & Culture Assistant:

· Experience of working in a complex administrative role within HR

· Experience of using HR/Payroll/recruitment ATS online systems

· Good numeracy and literacy skills

· Awareness of employment legislation

· Ability to effectively organise and work to tight deadlines with excellent attention to detail

· Ability to work independently and a willingness to contribute to team efficiency through sharing information and supporting others

· Experience of providing informal training/coaching to colleagues in relation to administrative tasks

· Proficient in the use of software packages and Microsoft office software

The role

We are looking for an Executive Assistant to support our CEO and COO. The ideal candidate will be a proactive problem solver with exceptional communication skills and meticulous attention for details. This person should have experience working with colleagues at a senior level, in an office environment, performing a range of administrative duties. Given the dynamic nature of the executive landscape, we will rely on the executive assistant to be flexible and consistent while maintaining the confidentiality of high-level systems and operations.

Objectives of this role

• Support the CEO/COO primarily to ensure the smooth and efficient running of FareShare operations.
• Manage communication and contacts with external stakeholders including network and industry partners and board of trustees.

Main areas of responsibility  

• Scheduling and calendar management, as well as content and flow of information to the leadership team, board of trustees and other external stakeholders
• Inbox management including responding to and redirecting emails and other correspondence as directed.
• Liaise with leadership team and other key colleagues across the organisation.
• Manage information flow in a timely and accurate manner.
• Support the CEO/COO with travel and accommodation arrangements.

The Public Affairs Assistant will work with the Public Affairs Manager, Director of Policy and Evidence and the Policy and Campaigns Team to help influence decision makers and build stronger relationships with stakeholders, and ensure there is better understanding of the impact that challenges with talking and understanding words can have on a child and young person’s life.

About the Team:
The International Programmes Department is made up of four regions: West Africa, East Africa, Southern Africa, and South Asia; and three support teams: Programme Support and Knowledge team, the Programme Funding and Partnerships Team and the Programme Operations Team; the International Programmes Department delivers our work effectively across Africa and South Asia focusing on quality programming; accountability and effectiveness; research, learning and documentation.

About the Role:
The purpose of this role is to provide proactive and professional support to the Executive Director of International Programmes, with some general administrative support to the Programme Operations Director and the International Programmes Senior Management Team.

The role will be split 80/20 with a majority focus on executive support for the Executive Director, ensuring they are well organised and briefed and supported to maximise her capacity to lead WaterAid effectively. The minority focus will be on general administrative support to the Programme Operations Director and to the International Programmes Senior Management Team. The role will also be instrumental in running operations in the department, including supporting the organisation with key high profile programme events, line managing the administrator to ensure the department is working effectively and efficiently within itself and the wider organisation.

In this role, you'll:

A) Provide professional, timely and proactive support to the Executive Director of International Programmes, including:

• Diary and meeting support
• Support internal processes, communications and prioritisation Support internal communications with the directorate and wider organisation so these are timely, strategic and engaging;
• General administrative support

B) Operations for the department

• Oversee departmental operations to ensure compliance with wider WaterAid processes as well as championing, innovating, or streamlining the department's process and procedure.
• Maintain effective filing systems ensuring archive material is safe and can be retrieved in line with Data Protection Regulations.
• Organise and lead logistical planning for any departmental events that take place in either the UK or Country Programme locations, as necessary.
• Work as part of a wider team of PAs and Administrators across the organisation, ensuring mutual support and good communication between teams.

About You:

• Proven successful track record of being a Senior Administrator or Personal Assistant in a global organisation, including exceptional diary management;
• Effective time-management, organisation and prioritisation skills, including ability to manage multiple projects and priorities and to keep track of high volumes of information within a busy environment;
• Excellent communication skills (written and verbal), including ability to assimilate information quickly and produce accurate minutes, clear PowerPoint presentations and written briefings;
• Integrity and the ability to act with discretion and respect confidentiality.
• Digitally literate with excellent IT skills, particularly for setting up virtual meetings and effectively using Microsoft Office tools, with extensive experience of using PowerPoint and creating simple and compelling presentations;
• Numerical accuracy and experience of managing and processing invoices and expenses. Ability to co-ordinate / track project budget.
• Team player who is motivated by the desire to support others to be effective and efficient in their work, proactive, with confidence to take initiative and solve problems;
• Willingness to travel in the UK and internationally, if required, for the proper performance and delivery of the role;

About the role

This is an exciting time to join Young Enterprise as we prepare to launch our Transforming Futures strategy (2024-2030).

The Marketing Assistant will play a key role in helping the marketing team with the production of marketing and communication materials and the implementation of the rebrand of Young Enterprise.

The role will provide administrative and coordination support to the activities and projects of the team. ISEAL supports sustainability standards and similar market-based sustainability systems to improve their impacts on people and planet.  ISEAL’s Credibility Principles and Codes of Good Practice are used globally to guide the development of credible sustainability systems and to evaluate the credibility of sustainability claims. 

The core objective of the Policy and Engagement team is to support governments, civil society and other business influencers to understand, identify and use credible sustainability systems.  We do this through direct engagement with relevant government bodies in priority countries, engagement with individual businesses and business platforms and building community member awareness and knowledge about relevant policy files and implications of new policies for their schemes.  The team also has a key role in convening members on specific policy issues and supporting a more collective voice and approach to influencing policy developments around sustainability.

To be considered for this role, you will need to be highly organised and reliable, with attention to detail and an ability to follow instructions. You should be comfortable carrying out multiple activities concurrently, enjoy working on a varied and changing set of tasks related to policy and sustainability. You have a strong interest in engaging with complex systems and problems and in learning more about topics related to sustainability standards and policy.  You have a positive and proactive attitude to support the team and its goals and are eager to expand your knowledge and skillset by working on a range of activities. You have a friendly and professional demeanour and are comfortable in your communications and interactions with colleagues and external stakeholders. Alongside basic skills in research and task management you have had experience with varied IT tools and systems and are able to support with the use of the platforms and tools ISEAL uses.

Key Responsibilities we will entrust you with:

Events

• Assist in organising event logistics for virtual member working groups on various topics (due diligence, claims, deforestation regulation) including tech support with platforms such as Zoom and MS Teams
• Support content preparation e.g. power point slides
• Communicate with speakers and draft and send event follow up e-mails
• Support project management, engagement tracking, outreach and administration
• Assist with any in-person events, including scouting for venues, support with logistics and preparation of agendas, communication with participants etc.

 Communications and platform management

• Maintain relevant pages on the ISEAL internal platform and ISEAL website
• Support with drafting external communications and liaise closely with the ISEAL communications team
• Draft text for position papers, briefs and reports to be used on ISEAL social media channels (Twitter, LinkedIn)
• Contribute to newsletter drafting and coordinate distribution

Team organisationand support

• Assist with scheduling team meetings, preparation for away days and any workshops
• Support with note taking for team meetings, key external partner calls or member meetings
• Assist Director Policy and Engagement with team coordination activities
• Keep team organised with maintenance of team calendar, external events tracking, tracking of key metrics or KPIs, maintenance of folder structure

 General Administrative support

• Support with contract management, using ISEAL templates and agreed timelines
• Be first point of contact for Community Members and external partner queries
• Proof-read, edit, design, and format documents in Word and Powerpoint, using ISEAL templates

Experience, Knowledge and Attribute

• Experience working or interning in a support/administrative role, ideally in international NGO, professional or membership organisation
• Interest in and possibly some knowledge of policy areas (due diligence, sustainability claims, etc)
• Some understanding of, sustainability standards and certification, which may have been gained in academic, internship, employment or voluntary settings
• Strong organisational skills, and experience supporting on administration, meeting coordination, logistics, contracts, budget tracking, etc.
• Confidence in communications with peers and external partners, comfortable in public speaking situations (e.g. webinars, workshops etc)
• Good time management and ability to organise multiple simultaneous tasks efficiently with precision and strong attention to detail
• Excellent written & spoken English, with proven ability to write clearly and concisely
• Ability to communicate and work effectively with cross-functional teams in a fully remote, international environment, including regular international time-zone calls
• Ability to thrive in a dynamic work environment with changing projects and working with multiple project leads
• Confidence in using the Microsoft Office suite and IT systems, familiarity with virtual meeting tools (e.g. MS Teams, Zoom, etc), use of contact management databases (e.g. Salesforce)
