What is the overall purpose of the role?
At Youth Action Alliance (YAA), our mission is to support the personal and social development (their values, beliefs, ideas and skills) of the young people living in Kensington and Chelsea, enabling them to increase their resilience and skills in the present and promote their ambitions for the future.
We are ambitious to grow, to continue supporting more young people and influence positive change. To do this we are looking to appoint a Business Support Officer to provide a range of financial support duties and administer the organisation’s general ledger and finance system.
This post will provide high-quality support to the technology and operations of the organisation, to ensure the smooth running of the main site and enable YAA to meet and deliver on its core objectives and obligations.
The post holder will provide administrative support to YAA, covering a wide range of tasks and activities including (but not limited to) procurement coordination, travel and logistics, department meetings and off-site activities, diary management, meeting coordination, and minute-taking for our board and meetings for staff, members and stakeholders.
General Requirements
- To support the delivery of Youth Action Alliance
- To ensure a friendly, professional and informative service to all visitors and stakeholders, ensuring that any enquiries are responded to sensitively and appropriately
- To maintain a diary and manage all incoming calls and all correspondence
- To develop good working relationships across all YAA teams and external partners
- To attend and support meetings including minuting (including evening, weekend and events as/when required)
- To collate and maintain all documentation relating to the business
- To act as a point of contact to all Board of trustees, staff, participants and stakeholders
- To deal with supplier queries in a timely and professional manner and follow up on any rejected or unprocessed payments
- To manage office maintenance including ordering equipment, stationery and products needed for the day-to-day running of YAA
- To be the appointed Fire Marshall of YAA and oversee all Fire Safety duties and training
- To be the appointed First Aid Officer on-site and to ensure all members of staff are First Aid trained
- To oversee the Health and Safety of YAA and ensure all aspects are attended to in line with the YAA Health and safety Policy and PPE in line with COVID-19 guidance.

- To coordinate and deliver inductions to new starters, ensuring all staff are DBS checked and all training certificates are updated as required
- To liaise with the CEO to ensure all staff, facilitator and contractors' contracts/SLAs are up-to-date
- To process all organisational income and expenditure and maintain and update all financial documentation accurately
- To assist and support all staff with the smooth operation of all finance matters
- To provide accounts against budgets for the Board of Trustee meeting
- Data analysis, reporting and using the data that we collect to help YAA fulfil its aims and evidence impact
Person Specification Essential
- A college equivalent qualification
- Experience in developing and implementing administrative systems
- Able to work independently or as part of a team.
- Good Organisational and administrative skills and experience
- Database experience – experience in managing and administering databases, or a willingness to learn
- Excellent time-keeper and manages own time effectively to keep to deadlines
- Ability to work calmly and efficiently whilst managing complex workloads
- Attention to detail – being able to provide accurate and up-to-date information is critical.
- A positive, solution-focussed approach and a can-do attitude towards work
- Excellent IT skills – including MS Office and particularly Excel
- Excellent Literacy and Numeracy – You will have excellent communication skills, including writing skills. You will have good attention to detail and will be able to check and proofread for accuracy. You will be confident handling numbers.
- Have good interpersonal skills and some experience of engaging with a diverse group of people, including young people.
- Working in a small team with tight resources you will be flexible and enjoy helping out with getting things done.

What will I be doing?

Consulting with agencies and internal teams on paid marketing campaigns and activity to ensure optimal strategic alignment and fully integrated campaign planning across, audiences, channels and products
Working closely with the Commercial and Operations function to support the end-to-end marketing workflow including and managing key stakeholder and agency/supplier relationships
Working closely with the Marketing performance team and wider marketing teams to gather actionable insight and learnings from past campaigns
Analysing campaign results, evaluating performance against targets while spotting opportunities to optimise activity, innovate and increase efficiency
Taking a future-facing view of marketing trends and developments as well as competitor activity, the consumer landscape and data insight to ensure Cancer Research UK's marketing and communications stay ahead of the curve and are data and insight driven.
What skills are we looking for?
Strong understanding of paid media channels; Audio Visual, Out Of Home, Digital with a particular focus on Paid Search and the role of the different channels in integrated campaign planning. You will also have experience working in an Agency environment.
Excellent project management and communication skills with experience of managing and improving priority workstreams involving multiple teams and stakeholders.
Media planning expertise and experience delivering multi-channel marketing campaigns across a broad portfolio.
Experience of leading communications to manage and motivate suppliers and agencies to drive maximum value from relationships.
Relevant experience of building positive working relationships and influencing others and working effectively as part of a matrix team.
Commercially aware with budget management experience.
Awareness of direct marketing channels and their role in the end-to-end marketing journey.

The Down’s Syndrome Association (DSA) aims to create and develop the conditions that will enable people who have Down's syndrome to lead fulfilling and rewarding lives. We are seeking an organised and enthusiastic Fundraising Events Officer to join our fundraising team.
Reporting to the Fundraising and Events Manager, the successful candidate will manage all challenge events in the portfolio. This includes the planning, organisation, marketing, delivery, recruitment and stewardship of participants and day to day administration for all DSA events.

The Main Responsibilities of the role are
Assist the Fundraising and Events Manager with future event plans and creating and building on our Community Fundraising offer.

Attend and participate in events as required. This may involve occasional evening and weekend work, for which you will receive equal time back in lieu.
To work in conjunction with the Fundraising Team in the production of budgets and in developing and implementing the Events teams strategic plans in order to maximise income and support across our events programme.
Identify and research new opportunities to develop the events programme and maximise income as well as maintaining and extending the existing events which generate a healthy ROI.
Work with the membership officer to develop relationships with members, supporters who participate in events taking responsibility for the supporter journey; providing motivation and encouragement from start to finish to ensure they continue to support.
Evaluate the current processes and procedures with the Fundraising and Events Manager and implement improvements where necessary.
Manage the fundraising pages of the website ensuring copy is up to date and relevant and those events that require extra marketing are featured on the home page.

What will my main duties be?
Programme Management
- To oversee the IntoUniversity Boarding School Bursary Programme including recruitment of potential students and ongoing support of current boarders.
- To prepare the students and their families for Royal SpringBoard and school assessments as well as reparing for boarding school life.
- To plan and/or attend boarding school taster and pastoral visits across the UK.
- To create a calendar of out-of-boarding events and support for students and families to connect to their local centre, including centre visits and community hubs.
- Work with the Safeguarding Team to promote the wellbeing of students and respond to safeguarding concerns (additional training will be provided for this aspect of the role).
- Encourage post-18 alumni to engage with the Royal SpringBoard alumni programmes and the IntoUniversity Student Associate Network

Stakeholder Management
- Manage the relationship with Royal Springboard, including reporting on KPIs and maintaining communication.

Contract Managers are responsible for the effective management of all contracts within their designated patch, including line managing the relevant front line staff. Leadership and competence development in direct reports is a key responsibility of the role.

About the opportunity
As an Event Content Manager, you will conduct exciting public policy research, work with the most senior speakers from across government, business, universities and civil society speaker management, and create engaging content.
You would take ownership of a portfolio of 40+ briefings, roundtables, workshops and senior level dinners per year across themes impacting economic growth and prosperity including: infrastructure, skills, net zero, AI and new technology, trade, and regulation.
Your mandate is to deliver high-quality, high-impact events, where you will be required to research key policy and economic trends affecting government, business and society, owning the full production life cycle from policy research and agenda setting to speaker acquisition and management etc. You will also collaborate with the marketing and membership functions to ensure that our policy focus for your events programme aligns with membership needs and shifting priorities.
This role is critical to our membership offer – all our events are highly respected and supported by the organisations membership base and will require a strategic thinker who can ensure that the right policy research is carried out to inform event idea validation. The role will be supported by the Event Operations team who will drive on-the-day logistics.
Responsibilities
Event content development
- Lead the content development and planning of your events programme across our themes, this includes:
- Build compelling agendas
- Craft key event outcomes
- Curate engaging and thoughtful speaker briefings
- Identify and acquire credible, expert speakers
- Identify and draw in relevant audiences
- Conduct research on key policy and economic trends affecting sectors across our membership base including market and policy trend analysis, collecting feedback from our members including stakeholder interviews and surveying to inform your event programme.
- Lead the collaboration across internal teams to recommend and develop effective marketing and communication materials to promote the events programme such as landing pages, eNewsletter segments, and promotional campaigns, taking ownership of all event programme deliverables under your remit.
High-impact delivery
- Take an outcome-based approach to your events programme; looking with a strategic lens to determine what the optimal events format, venue, and host would be to drive high-level dialogue among cross-sector leaders.
- Design, develop and deliver event content that you will be able to use to generate insightful event write-ups and summaries so we can continue to add tangible value to our members and their sector challenges.
- Immerse yourself in the sectors by networking with key industry figureheads and build an in-depth understanding of how our themes can drive collaboration across our members.
