Job Summary
We are seeking a dedicated and detail-oriented Business / Operations Manager to join our team. The ideal candidate will play a crucial role in ensuring the smooth operation of our office by providing comprehensive administrative support. This position requires strong organisational skills and the ability to manage multiple tasks efficiently while maintaining a high level of professionalism.
The Operations Manager is responsible for overseeing the business functions of the charity, ensuring efficient and compliant operations. This role covers finance, HR, IT, premises management, recruitment, health and safety, and GDPR/data protection. The successful candidate will work closely with the CEO, leadership team, and external specialists to support the charity’s mission and maintain operational excellence.
Responsibilities
Human Resources & Recruitment:
· Oversee HR processes, from recruitment to staff development, ensuring compliance with best practices.
· Manage employee relations and support performance management initiatives.
· Maintains training records and ensure all necessary training is booked for staff and volunteers.
IT & Data Management:
· Ensure the smooth running of IT services and systems.
· Oversee GDPR and data protection compliance, working with IT teams and external consultants if necessary, fulfilling the role of DPO for the charity.
Financial Oversight:
· Liaise with external accountants in relation to;
o Processing the monthly payroll
o Processing purchasing invoices ensuring all goods and services have been authorized
o Preparing and processing payments of invoices, expenses etc
· Monitor budgets, financial reporting, and ensure fiscal responsibility.
Premises Management:
· Manage the charity’s physical assets and premises, including vendor contracts and maintenance.
Health and Safety:
· Implement and monitor health and safety policies to provide a secure working environment.
Compliance & Risk Management:
· Maintain up-to-date knowledge of relevant regulations (e.g., data protection, health and safety) and ensure the charity adheres to them.
Strategic Project Management:
· Support the Head of Service in the oversight of operational projects, evaluate their success, and recommend improvements to processes.
· Any other duties from time to time as directed by the CEO or the Board of Trustees in the CEO’s absence
Management responsibilities
· Ensure that health and safety at work procedures are adhered to.
· Ensure all operating systems relating to service delivery are updated and reports generated for monitoring and evaluation, identifying and sharing any opportunities for learning.
· Prepare reports for Head of Service / CEO using DAVSS databases and co-ordinate information for funding/monitoring reports, liaise with the Fundraising team and outsourced finance team as needed in connection with external funding.
Person Specification
Essential:
· Proven experience in an operations or business management role.
· Strong financial acumen with experience in budget management.
· Excellent organisational and communication skills.
· Sound understanding of HR practices, IT management, and regulatory compliance.
Beneficial:
· A degree or at least 2 years’ operational experience in Business Management, Finance, or a related discipline.
· Relevant certifications such as CIPD (for HR), NEBOSH (for Health & Safety), AAT/CIMA (for financial management), ITIL (for IT services), or Prince2 (for project management).
· Experience or training in GDPR and data protection.
· An understanding of Domestic Abuse or the willingness to learn.

Quest for Learning is an education charity on a mission to close the gap for primary school children in Oxfordshire who are falling behind - often due to complex and compounding disadvantage. Many of the children we support are growing up in poverty, with limited access to books, low parental literacy, and challenging home environments. Some face health inequalities, live in areas affected by crime, or have recently arrived in the UK as refugees or asylum seekers.
We work closely with schools to provide targeted, high-impact literacy and numeracy programmes that give these children the chance to catch up, thrive, and believe in their potential. On average, our small-group tutoring helps pupils make 13 months of progress in just 10 hours - building not only essential skills, but also confidence, motivation, and a renewed sense of possibility.
The impact extends well beyond the classroom. By supporting children early, we help prevent the need for more complex and costly interventions later in life, from mental health support to exclusion and social care. About the role
We're looking for a dynamic, relationship-focused, and highly organised individual to oversee our teaching programmes, school partnerships, and tutor network.
This role is crucial to ensuring our programmes are high-quality, well-managed, and meeting the needs of schools. You will be the first point of contact for schools, building strong relationships with headteachers and SENCOs, and ensuring that we offer the right support at the right time.
You will manage our team of tutors, ensuring they have the resources, training, and support needed to deliver our programmes to the highest standard. You will also oversee safeguarding and the measurement of programme impact, working closely with the fundraiser to ensure we have strong data for funding applications.
If you have experience in education, relationship building, programme management, or charity leadership, and you’re passionate about ensuring all children get the support they need, this role is for you.
Key responsibilities
School relationships and programme development (account management)
- Develop and maintain strong relationships with schools and other stakeholders, ensuring our programmes align with their needs.
- Be proactive in identifying opportunities for growth, understanding school funding challenges, and positioning Quest for Learning as a key partner.
- Stay abreast of educational trends, school funding pressures, and local needs, using this market intelligence to shape programme delivery and ensure our offer remains relevant, impactful, and responsive to the challenges schools and pupils face.
- Support marketing efforts by sharing impact stories, case studies, and insights from schools.
- Support and develop approaches that foster meaningful engagement with parents and carers, helping them to feel confident and involved in their child’s learning journey.
- Maintain a strong understanding of school funding arrangements (e.g. National Funding Formula, Pupil Premium, EHCP funding), using this knowledge to position our programmes effectively and align with school priorities.
Tutor management and quality assurance
- Manage the tutor team, ensuring high standards of teaching and professionalism.
- Oversee tutor recruitment, training in programmes, and performance management.
- Ensure tutors are properly equipped with resources and training to deliver high-quality sessions and further relationships in schools.
- Provide pedagogical guidance and support to tutors where needed, drawing on strong educational knowledge to help resolve teaching queries or challenges.
- Actively develop the tutor pool, ensuring we have the right expertise and capacity across Oxfordshire.
Programme coordination and delivery
- Oversee the scheduling and logistics of our tutoring programmes, ensuring smooth delivery and efficient coordination of tutors and bookings.
- Ensure end-of-programme reporting is completed by tutors and shared with schools and other necessary stakeholders.
Safeguarding (Designated Safeguarding Lead - DSL)
- Act as the DSL for Quest for Learning (once trained) with support from the Chief Executive as Deputy Designated Safeguarding Lead, ensuring all safeguarding policies and processes are followed.
- Train tutors in best safeguarding practices and ensure incidents are properly reported and recorded.
- Liaise with schools and external agencies where necessary.
Impact measurement & fundraising support
- Ensure a strong framework of assessment and impact measurement for pupils and our programmes.
- Analyse and collate data on programme effectiveness, reporting to the team.
- Work with the fundraiser to provide teaching-related content for funding bids and reports.
Person specification
Essential:
- Strong experience in account management, partnerships, or relationship management (preferably in education or the charity sector).
- Experience working in education or service delivery (e.g. as a teacher, tutor, or programme manager).
- Strong pedagogical knowledge and the ability to support tutors with teaching-related queries.

We are looking for an enthusiastic and motivated Income and Gift Aid Accountant Assistant to help us make sure every penny counts in our mission to stop MS. You'll play a key role in managing our income processing and supporting Gift Aid claims to help us maximise the value of every donation.
You'll ensure that donations recorded in our CRM system match the funds received, resolving discrepancies and supporting our income processes to run efficiently. Working closely with our Customer Services and Fundraising teams you’ll be at the heart of making sure our financial data is accurate and robust.
You’ll also assist with preparing and checking Gift Aid claims, helping us claim back vital extra funds at no additional cost to our supporters. Your detail driven approach will help us continue to build a strong and transparent foundation for everything we do.
To succeed in this role, you’ll need a good understanding of financial accounting principles, strong Excel and IT skills, and a collaborative problem-solving approach. Excellent communication and organisational skills will also be essential as you work closely with teams across the organisation to ensure our income records are accurate and efficient.

Ashinaga UK is seeking a driven, proactive and detailed-oriented Operations Manager to join our team. This part-time role (4 days per week) is an excellent opportunity for a professional who thrives in a dynamic, mission-driven environment. The Operations Manager will play a key role in ensuring the smooth running of Ashinaga UK, supporting internal administrative, financial, compliance, student recruitment and programming functions as we aim to empower future Young Leaders for Africa through the Ashinaga Africa Initiative (AAI). The Operations Manager will work closely with the Managing Director, Programme Manager and Partnerships Manager to ensure the organisation runs effectively and efficiently. The Ashinaga UK team is small but motivated to see orphaned youth empowered.

The Ashinaga movement was founded in Japan in the 1960s and has since expanded across the globe, empowering over 110,000 orphaned youth with access to education and support to achieve their full potential. - Pension: Ashinaga UK will match pension contributions up to 8% of the basic salary

Key Responsibilities
- Work closely with the Managing Director to ensure efficient operations and resource management.
- Support the team in executing strategy, scholarship programmes, and fundraising initiatives.
- Develop and optimise operational processes for efficiency and compliance.
- Lead on financial administration, including processing invoices, expense tracking, liaising with accountants and budget forecasting.
- Coordinate outsourced support including Bookkeeping & Accounting, Audit, IT, and act as organisation’s key point of contact.
- Programme operations related to scholarship events, such as logistical support, coordinating travel and accommodation for Scholars and staff, administrative tasks, and summer internship grant approvals.
- Support scholarship recruitment, including application assessment, interviews, and liaising with university partners.
- Manage digital systems (CRM, project management tools) and data for both internal and Scholar use.
- Lead data management and support various reporting requirements (Trustees, Donors, Charity Commission).
- Support the Director to ensure compliance with charity regulations, health and safety standards, GDPR, and risk management.
Essential Criteria
- Right to work in the UK. Unfortunately, we are not able to sponsor visas.
- Role is based in London, however applicants throughout the UK are encouraged to apply. The role requires travelling to London or elsewhere in the UK from time to time.
- Availability to work weekends on the rare occasion, such as for our annual student leadership events.
- Strong administrative and strategic experience.

- Able to efficiently use a wide range of online tools, including spreadsheets, databases, and cloud-based applications.

- Fundraising or programme management experience is a plus.

How the COO will support our vision
The role of Chief Operating Officer is central to helping us achieve our ambitions, ensuring that Wild in the City has the resources, infrastructure and working environment to achieve its annual plans, long term aims and deliver high-quality programmes.
We are not expecting the COO to implement the key areas of operations alone, we will work together to prioritise and generate the resources to build a team to cover the functionality required for steady growth. Key Responsibilities
