The Opportunity

COMMUNICATIONS ASSISTANT - PERSONAL SPECIFICATION

Essential:

• Excellent writing skills

COMMUNICATIONS ASSISTANT - JOB DESCRIPTION

REPORTING TO HEAD OF COMMUNICATIONS

 DIGITAL COMMUNICATIONS

WFN’s communications amplify the work of Whitley Award winners, raise the profile of the charity, bolster fundraising efforts, and contribute to global conservation conversations, positioning WFN as a leader within the sector.

• Monitor, and create and schedule content for WFN’s Twitter, Instagram, Facebook, YouTube, and LinkedIn accounts, helping to grow engagement and channel performance, driving traffic to WFN’s website, and sharing charity, winner, and sector news – in line with WFN’s communications strategy and with oversight from the Head of Communications (HoC)
• Lead management of WFN’s photo library and footage archive (Google photos): naming, categorising, and uploading winner and event photos
• Support delivery of social media campaigns during the lead up to events to drive engagement and/or donations, and supporting with posting content throughout the event period
• Help produce video content
• Support production and distribution of our regular e-letter (through MailChimp)
• Work with the HoC on WFN’s website to regularly review and update content
• Draft copy for website news stories and any additional copywriting as needed throughout the year
• Assist the HoC with monthly reporting on the website, social media platforms, newsletter and media coverage
• Support digital event communications including creation of e-letters, e-invitations, website pages, email signatures and visual assets.

 PR

WFN shares impactful stories that resonate with supporters and demonstrate we can make a difference. Throughout the year, we actively work to secure PR coverage for Whitley Award winners. Increased visibility helps winners to attract further funding, gain new connections, and increase political clout – all tools which strengthen conservation work.

• Produce reactive social media to share PR coverage secured by the HoM
• Create and distribute toolkits for press and partners to bolster media campaigns
• Collate charity and winner press coverage, including website news pages, throughout the year
• Support the Head of Media (HoM) and HoC in responding to press enquiries and supplying materials.

 EVENTS

Whitley Awards Ceremony

The Whitley Awards are the result of an international search to find, fund, train and put a spotlight on outstanding grassroots leaders and their conservation projects. Finalists are invited to London for a week of training and events, culminating with the Whitley Awards Ceremony, where winners receive their Awards from WFN Patron, HRH The Princess Royal in front of 400 guests and many more tuning in via our livestream.

The Communications Assistant will assist the team in planning and delivery of events during the Whitley Awards Ceremony week, including the Friends Reception, Ceremony and NGO Reception, particularly in the following areas: 

Communications

• Assist with supplier liaison across event filming, livestream, and photography
• Help create event visuals and on-screen graphics
• Support with creation of the Ceremony invitations and booklet
• Support with sourcing additional material for the Whitley Award films as needed
• Support the HoC with creation and uploading of content to the website and across social media platforms, including press releases, photographs, news stories, winner pages, and films.

Other WFN Events

Throughout the year WFN holds other fundraising and engagement events ranging from intimate dinners with supporters, winner talks, events as part of our Next Gen programme and major initiatives such as Biodiversity Summits which will require the CA’s assistance.

• Assist with the production of pre-event communications and marketing materials, including invitations, e-letters, social media content, and advertisements

The People Insights Analyst plays a critical supporting role in the development and delivery of organisational workforce reporting.

The Events and Office Assistant (EOA) will assist in the planning and delivery of the annual Whitley Awards Week, including the Ceremony, Friends Reception, NGO Reception, and related activities, particularly in the following areas:

• Arrange team and visitor travel, accommodation, and hospitality logistics
• Manage event guest lists and RSVPs using Salesforce and other platforms; help coordinate mail-outs and e-invitations
• Provide on-the-day event support including set-up, guest registration, and general assistance
• Support event logistics such as venue liaison, catering, AV, décor, merchandise, and materials, assisting with supplier coordination
• Champion WFN’s Event Code of Conduct.

Other WFN Events

 OFFICE ADMINISTRATION AND OPERATIONS

Smooth running of the WFN office and systems is vital for the charity to work effectively, with this role helping to support the team. The WFN office is a busy and welcoming environment, with regular visits by winners and supporters.

Office Management

• Ensure the office is a welcoming, tidy, and well-functioning space
• Greet visitors and manage incoming calls, emails, and enquiries
• Liaise with team and suppliers to order office materials and manage contracts (utilities, cleaning, stationery, refreshments, merchandise etc.)
• Manage post, deliveries, and waste removal procedures
• Oversee and liaise with the office cleaners to ensure they have the products they need and are paid in a timely manner.

Administrative Support

• Assist with diary management and scheduling meetings (in person and online)
• Arrange team and visitor travel, accommodation, and hospitality logistics
• Draft routine correspondence, thank-you letters, and other administrative communications
• Review and respond to general email enquiries (info inbox)
• Support the Head of Finance with basic administrative and data entry tasks

37.5 hours per week / £27,770 per annum / permanent / working onsite on a seven-day rolling rota, including evenings, weekends and bank holidays.

Our mission is to help children and young people have a fair chance to be who they want to be. We do this by providing a safe home, increasing life skills and self-confidence, and improving emotional wellbeing and mental health.

Crawley Foyer provides 24-hour supported housing services offering medium levels of housing-related support for young people aged 16-25 with 38 bedspaces and shared communal facilities. We adopt a trauma informed and psychologically informed approach to supporting our residents to help them build essential life skills, identify their goals and work towards aspirations so that they can move on to enjoy fully independent futures. We have a dedicated team of Support Workers, Night Workers and additional Bank Workers who provide support, guidance, and signposting around areas such as housing, budgeting, living skills, jobs, relationship building and wellbeing. Situated in the centre of Crawley, the service has strong links with and contributes to the local community.

Each Support Worker holds a caseload of residents and meets with them weekly to build a support plan and help them achieve their goals.

We are looking for a Supported Housing Support Worker to join our Crawley Foyer team. Main areas of responsibilities are:

Housing:

• Coach young people to manage their occupancy agreement and adhere to house rules, in preparation for independent living
• Promote a credit culture, encouraging young people to keep up to date with all payments for rent
• Maintain up-to-date knowledge of housing and welfare benefits for young people and be well-informed on significant changes to housing law
• Deal effectively with non-compliance issues, such as non-payment of rent or damage to room, using restorative practices and working collaboratively with the rest of the team

Coaching and Engagement:

• Coach young people so they can articulate their aspirations and ambitions and take the lead in acquiring the skills they need to live independent and fulfilling lives
• Ensure young people are encouraged to take responsibility for their own personal development, to engage with the services on offer and build strong networks and connections within the local community 
• Ensure consistent standards of safeguarding and Trauma Informed Practice when supporting young people, observing our safeguarding procedures, and keeping yourself and residents safe by respecting professional boundaries
• Maintain client records on In-Form (client database) detailing the young person’s journey in relation to their strengths and needs, any risks, and any outcomes (to monitor service performance)

General:

• Work as part of a team, on a rota shift pattern, ensuring young people at the service have non-judgemental, objective, and supportive staff during the day/evening, along with taking responsibility for personal safety during periods of lone working
• Contribute to a great working environment, with a calm, yet assertive manner, being able to handle potentially difficult situations
• Participate in relevant continuing professional development and utilise Reflective Practice Supervision as part of leading psychologically informed practice

The Senior Fundraising & Grants Manager will lead the development and delivery of Bite Back's fundraising strategy with a primary focus on trusts, foundations and institutional grants. You’ll oversee the organisation’s grants pipeline, coordinate funding applications and reports, and ensure excellent standards of funder stewardship and compliance. You’ll also play a role in developing early-stage public fundraising activities to diversify income and support the long-term sustainability of Bite Back’s youth-led mission.

RESPONSIBILITIES

The Senior Fundraising and Grants Manager is accountable for:

Fundraising Strategy & Planning

• Design, deliver and monitor a values-aligned fundraising strategy, with a primary focus on trusts and foundations.

• Set annual income targets, track progress against goals, and report performance to senior leadership and trustees.

• Identify new income opportunities to support Bite Back’s strategic growth and impact.

• Develop and maintain a 12–24 month grant pipeline to forecast income and manage funding cycles.

• Ensure all fundraising activity complies with the Code of Fundraising Practice, GDPR, and Bite Back’s ethical standards.

Grants from Trusts and Foundations

• Lead the processes for securing income from trusts, foundations and institutional funders, from prospect research through to submission, reporting and renewal.

• Research, identify and prioritise funding opportunities aligned with Bite Back’s youth-led mission and programmes. Collaborate with internal teams to conduct due diligence to ensure funding sources are aligned with our values.

• Prepare and submit high-quality, evidence-led, and compelling grant proposals in collaboration with the CEO, Director of Finance & Operations, Monitoring & Evaluation Manager, and programme leads.

• Coordinate grant management and tracking: maintain accurate records of deadlines, deliverables, and reporting requirements.

• Work with the finance team to develop accurate project budgets and ensure financial reporting meets funder expectations and our operational needs.

• Produce and submit clear, engaging progress reports to funders that highlight impact, learning, and youth voices.

• Monitor grant income and expenditure, ensuring compliance and timely claims against restricted funding.

• Work with the Operations and Contracts Manager and the Monitoring and Evaluation Manager to develop and improve systems for grant tracking and data integrity within the CRM (Salesforce).

Donor Stewardship and Relationship Management

• Work closely with the CEO to build and maintain strong relationships with existing and potential funders, ensuring high-quality engagement and stewardship.

• Coordinate communications, updates, and thank-you processes for donors to encourage repeat and multi-year funding.

• Lead workstreams, working closely with the Brand Manager and leadership team for support, in order to deliver meetings, presentations, and reports to funders.

• Represent Bite Back at relevant events, funder briefings, and networking opportunities.

• Promote a culture of fundraising awareness and collaboration across the organisation.

Fundraising Development

• Work with the Communications and Operations teams to explore and pilot small-scale public fundraising initiatives (e.g. individual giving, online campaigns, web donation tool).

• Work with the CEO and Communications team to develop a new strategy to build a strong and committed donor network of high net worth individuals aligned with Bite Back’s values

• Develop systems, messaging, and supporter journeys that reflect Bite Back’s youth-led identity.

• Explore opportunities for revenue from the public sector.

• Test new public fundraising channels and evaluate their return on investment to inform future strategy.

Other

• Champion Bite Back’s values - Fresh, Resilient, Respectful, Energetic, and Real - in all fundraising work.

• Collaborate with the youth activism, communications, and policy teams to translate programme outcomes into fundable opportunities and compelling narratives.

About this key role

You will take the lead on applications and relationship management of Trusts and Foundations, working with the Trusts and Foundations Officer and Head of Voluntary Fundraising to raise £2m from Trusts and Foundations each year, plus manage campaigns and events to raise £200,000 across Appeals, Individual Giving, and Legacy per year.  You will be expected to manage a Fundraising Assistant to support them with administration tasks for the team, while also managing and refining processes for recordkeeping, a multitude of fundraising systems, through which we receive funds, and work closely with the Finance team to set and review annual budgets.

We will also count on you to develop and design high-quality applications, presentations, and pitches to secure five-, six- and seven-figure funding opportunities from Trusts and Foundations, provide excellent stewardship to existing donors and to manage the development and implementation of our Individual Giving and Legacy Strategy, providing regular data analysis & reporting on our progress.  Growing our Individual Giving and Legacy income stream through single and regular giving appeals is also a key aspect of this role.

What we are looking for

• Two years’ experience working in a charity fundraising environment
•  Proven track record of winning and/or managing five-figure grants
• Experience devising, planning and implementing fundraising appeals
• A good understanding of fundraising best practice and regulations, including Fundraising Regulator guidelines, GDPR and data protection
• Excellent relationship-building skills with the ability to engage external stakeholders
• Impressive communication skills, written and verbal, with the ability to write compelling and informative copy that are tailored to different audiences

The Role

The Finance & Operations Coordinator is a central position in a small, purpose-driven team. The role provides direct support to the Managing Director and works closely with the Finance Committee to ensure that the charity’s financial and operational systems are well managed, compliant and effective.

This is a broad and hands-on role that involves managing day-to-day UK operations, supporting financial oversight, ensuring smooth coordination with our in-country partners, and keeping our administrative framework in excellent order.

You will be responsible for maintaining clear systems, meeting key reporting deadlines, and ensuring that the organisation runs efficiently behind the scenes. The role suits someone who is proactive, reliable, and comfortable managing a wide variety of tasks with independence and initiative.

Key Responsibilities

Finance and Reporting

• Maintain accurate financial records in Xero, reconciling transactions and processing payments for invoices, payroll and expenses.

• Allocate receipts and donations to the correct funds and ensure supporting documentation is filed systematically.

• Prepare and submit Gift Aid claims to HMRC.

• Collate quarterly financial and narrative reports from Moroccan partner NGOs and follow up on missing information.

• Support the Managing Director and Finance Committee with budget preparation, analysis and audit documentation.

• Ensure that annual accounts and financial reports are submitted in line with Charity Commission requirements.

Operations and Administration

• Oversee and improve shared filing systems (Teams/SharePoint), ensuring that all administrative and financial records are accurate, up to date and easy to access.

• Manage the main email inbox, responding to or redirecting correspondence promptly and professionally.

• Coordinate logistics for meetings, events, and annual project visits in Morocco.

• Support the Managing Director with scheduling, documentation, and general administrative follow-up.

• Monitor compliance tasks, ensuring that all Charity Commission and internal governance requirements are up to date and properly documented.

Donor and Partner Relations

• Act as a first point of contact for donors, supporter schools, hotels and individuals.

• Process and acknowledge donations, issue receipts and maintain accurate donor records.

• Proactively follow up with existing and potential supporters, helping to build and maintain relationships.

• Liaise with Moroccan partners to ensure that project and financial reporting are on track and shared on time.

Governance and Oversight

• Support the Finance Committee and Managing Director with preparation for trustee and committee meetings, including gathering reports and ensuring actions are followed up.

• Assist with external audits and reviews, coordinating with UK auditors and Moroccan partners as needed.

• Maintain oversight of risk management, safeguarding and health and safety documentation, ensuring relevant information is filed and accessible.

Essential

• Experience with Xero or similar accounting software, and confidence handling day-to-day bookkeeping.
