Street Child believes that every child deserves the chance to go to school and learn. Our projects focus on a combination of education, child protection and livelihood support to address the social, economic and structural issues that underpin today’s education crisis. We partner with local organisations and communities to deliver our locally rooted programmes, using evidence to drive learning and the refinement and scale up of programmes to create maximum impact for the most children at the lowest cost. Since 2008 we have helped over 250,000 children to go to school and learn and supported over 25,000 families to set up businesses so they can afford the cost of educating their children.

Part 1:  Role Purpose:

This role is a key member of the busy HQ finance function. Although the role is primarily focused on the HQ finances, the role operates within the context of Street Child as a global charity and so also has interaction with the global finance team. The role offers the chance to work across a number of finance functions, and some of the subsidiary charities. It is essential that the applicant can juggle the complexities of a busy role with has varied work priorities. Key stakeholders are the HQ Finance Manager, Finance Director and the HQ based fundraising team. The role works alongside the Finance Assistant and plays a role in oversight and coaching of this role.

Part 2:  Key Responsibilities:

1) (40%) Deliver all functions related to Accounts Receivable

• Ensure that all income from a variety of different sources is correctly and accurately recorded in the finance system and CRM (which is under development) on a weekly basis.
• Supporting with work on accounts receivable including accessing, downloading and saving in a systematic manner reports from donor portals, bank account and other sources.
• Working with colleagues in Fundraising to analyse and code income reports in Excel and uploading it to the Finance system on a timely basis, at least weekly.  Following up on how to code any income which is not allocated to a source.
• Working closely with colleagues in Fundraising to ensure prompt collection of outstanding balances from customers, and sending out monthly debtor balance statements. 
• Raising donor invoices and requests for payments, and issuing donor receipts.
• Income and customer account reconciliations and revaluations.
• Any other responsibilities relating to Accounts Receivable.

2) (20%) Lead the Accounts Payable process

• Whilst the Finance Assistant is responsible for all payments, the Finance Officer has a lead role in ensuring that all invoices are paid on time, in an efficient manner and that the finance system reflects the transactions within the correct accounting period and correctly coded in the system – including account code, cost centre, project code and donor code.
• Determine most efficient payment platform to process international payments, and ensure that recorded in the finance system at the correct conversion rate.
• Be a point of contact with the Foreign exchange agents to quickly resolve any questions.
• Work with the Finance Assistant to ensure accurate and timely recording of all approved supplier invoices, requisitions, staff expenses and other expenditure in the accounting system and that all supporting documentation for all transactions are uploaded.
• Managing at least two payment runs a week and additional runs as required; ensuring that all invoices for payment are correctly approved by the budget holder, setting up payments on online banking platforms and sending out requests for payment approvals to payment authorisers and verifying that all payments are fully approved in the banking platforms by the deadline set.
• Once the payment is made, allocating the payment against the invoices in the Finance system.
• Reviewing staff expense claims to ensure that all supporting documentation is provided before payment.
• Managing monthly staff credit card reconciliations and ensure that these are returned on time with all receipts and invoices and checking and reviewing classifications, with follow up as required.
• Carry out monthly Creditor account reconciliations ensuring that all balances are valid and backed up with appropriate supporting documentation.
• Fully deliver the set up all payroll payments in time for the monthly pay day.  This involves ensuring correct amount and currency of payment (which may differ from the salary of the individual’s employment contract) and method of payment across all HQ staff.
• Any other responsibilities relating to Accounts Payable.

3) (40%) Month end reporting and reconciliation and subsidiary accounts

• Complete all balance sheet reconciliations, including bank and petty cash reconciliations and submit for approval by HQ Finance Manager.
• Once CRM system is in place, undertake reconciliation processes between finance data and CRM data.
• Carry out monthly revaluations of bank accounts.
• Ensuring supporting information for transactions is correctly stored in electronic format on Teams such as bank statements, remittance advices, credit statements.
• Assist in preparation of internal reports, including working with Operations Department and Finance department to review their monthly reports.
• Take responsibility to deliver the management accounts of two subsidiary companies: Children in Crisis and HQ transactions of Africa Educational Trust.
• Compile information for Gift Aid returns.
• General support and assistance to the team including administrative duties and managing the office post.
• Other ad hoc support to the wider operations team as may be required.
• Audit: support with the year end audit and provision of supporting information to auditors.

About the role

This role is part of the trusts and statutory team of eight. In this role you will coordinate trust fundraising activity within a large portfolio of funders, identifying trusts and foundation prospects and writing high quality proposals and reports in collaboration with supportive colleagues in the team and across the charity. It is a permanent, full time position with an established portfolio of four and five figure trust donors, and the opportunity to grow this significantly in the coming years. Together with our other Trusts Officer, you’ll oversee the small trusts programme of regular supporters, create tailored approaches to bigger funders in your portfolio, and support other team projects and cultivation events.

What you’ll do

• Cultivate strong working relationships with a portfolio of trust and foundation supporters increasing their engagement with and support of the charity.

• Maintain an active portfolio of small and mid-sized trust funders, and research new trusts increasing your own portfolio. 

• Create clear and concise proposals and reports for trusts in England, Wales and Northern Ireland, including for project and region-specific funding requests.

• Identify the most appropriate approaches for specific trusts and opportunities to increase giving and secure multi-year gifts, thanking promptly and appropriately.

• Ability to manage a large portfolio of contacts, working autonomously and managing a diverse workload with appropriate time management, planning and prioritisation

• Excellent research and writing skills to write persuasive copy capable of securing four or five-figure gifts from charitable trusts and foundations.

Key Responsibilities

1) Overseeing Financial Management, Reporting, and Monitoring (60%):

• Manage the financial aspects of funded scholarship programmes, including budgeting, reporting, and monitoring spending.
• Prepare narrative and financial reports for donors, coordinating with UWC schools.
• Lead the process of collecting and analysing data on scholarship recipient students and refugee students across all UWC schools for donor reporting, brochures and publications.
• Collate invoices from UWC schools, create invoices for donors and process invoices for payment.
• Ensure accurate record-keeping and efficient use of the accounting system.
• Support the improvement of impact tracking for funded programmes.
• Support the philanthropy and finance teams with the annual audit by coordinating information gathering and documentation on funded programmes’ financials.

2) Supporting Student Stewardship for All Funded Programmes (10%):

• Plan and organise annual onboarding and offboarding sessions for IO-managed scholars.
• Develop appropriate information materials for scholars and UWC schools to support timely and quality donor reporting.
• Implement a yearly offboarding survey with scholars, working closely with the Engagement Team.
• Support coordination between UWC schools and national committees during the selection process and pre-departure preparation.

3) Coordinating University Partnerships (10%):

• Coordinate partnerships with universities on behalf of UWC International, working closely with the Senior Adviser, UWC counsellors and EducationTeam.

4) Assisting the Philanthropy Team with Administration incl. Donation Services (20%):

• Manage donation management processes and support donor stewardship processes, including processing online donations through donation platforms and preparing donation acknowledgement letters for donors.
• Maintain data on Raisers’ Edge database and philanthropy dashboard, preparing management updates.
• Coordinate introductions for new philanthropy staff members at UWC schools.
• Oversee subscriptions to databases and respond to inquiries via email.

Person Specification

Experience and skills

• Financial Management and Reporting: Prior experience in financial management, budgeting, reporting, and monitoring, preferably in a nonprofit organisation or educational institution.
• Data Analysis: Experience in collecting, analysing, and presenting data for reporting purposes.
• Donor Reporting: Demonstrated experience in preparing narrative and financial reports for donors, with strong attention to detail and accuracy.
• Accounting: experience with accounting software for financial management.

This is a new role created to assist the small but growing team at SKT with our primary goal of engaging and mobilising residents in the neighbourhood we serve, numbering around 7500 people. SKT will assume management of community and event spaces at the heart of the neighbourhood this year and we are preparing service providers to make room for community voice in shaping local services. Involving residents in shaping their future is central to our purpose, whether by ensuring local assets and amenities work for them, or by influencing service delivery. This makes the Community Engagement Coordinator role an exciting and important addition to the team.

Main Tasks: 

Volunteer Recruitment, Training and Coordination  

• Recruit and maintain a team of twenty active volunteers from the local community to assist in community building initiatives.

• Develop and deliver a volunteer programme to engage the South Kilburn community which will likely include, but not limited to: 

• Community research and consultation 

• Public space improvements (greening, activation etc)

• Promoting community cohesion through events 

• Train volunteers in peer-engagement and consultation practice, 

• Induct and supervise skilled volunteers, as necessary. 

Community Cohesion and Wellbeing 

• Encourage and inspire volunteers to work as a team, take ownership of each activity, and to celebrate collective successes,

• Involve volunteers in planning and delivering community projects and events. 

Resident Voice 

•  Collaborate with the Community Engagement, Partnership and Marketing Manager to develop and deliver a consultation plan to better understand residents’ needs and priorities,

• Conduct outreach in the community with trained volunteers, including door-to-door canvassing, satisfaction surveys, pop-up stalls etc.

• Collect and systematically analyse information gathered through outreach and community consultation.

Widening Participation 

• Increase rates of community participation, belonging and pride across all segments of the community in South Kilburn. 

• Use creative methods to increase engagement with decision making from all sections of our diverse community.

• Contribute to a new system of representative community governance, enabling the resident body to speak with one voice,

• With partners, support the coordination of community events in South Kilburn.

Empowerment and Progression 

• Maintain continued awareness of local opportunities and train volunteers to disseminate accurate information and signposting, 

• Seek opportunities for volunteer progression including supporting those looking to do so in to work and work-placements with local businesses.

Partnerships and information sharing 

• Maintain relationships with a wide range of stakeholders including partner charities, volunteers, Brent Council officers and community members, 

• Work with the Communications and Engagement officer to disseminate useful information to residents. 

 Other 

• Be an ambassador for SKT and ensure our values of joy, collaboration and inclusion are upheld by the volunteer team. 

• Be responsible for organising team building days and social events for SKT staff, volunteers, and Trustees.

BACKGROUND

The Helen Bamber Foundation (HBF) is a pioneering Human Rights charity supporting refugees and asylum seekers who are the survivors of trafficking and torture, including gender-based and ‘honour-based’ violence. Recognising the complexity of each client’s suffering and needs, the Foundation provides specialist medical consultation, therapeutic care, legal protection and practical support to survivors of human rights violations by helping men, women and children heal the emotional and physical damage they have suffered through torture, trafficking or other forms of cruelty.  We take the learning from our work to develop partnerships to increase survivors’ access to services, and use the learning generated by our clients and partners to drive system change.

Since August 2020, Asylum Aid has been part of the Helen Bamber Foundation Group. Asylum Aid operates as an independent charity, led by its own Executive Director within the group structure, and is ambitious about growing its impact and reach in the future to ensure protection from persecution for those who need it.  For over thirty years, Asylum Aid has been providing legal representation to some of the most vulnerable people seeking asylum. It has built an expert service, delivering vital and life-saving services in some of the most complex legal cases, with a particular speciality working with unaccompanied children, survivors of trafficking, torture or other forms of human cruelty, and stateless people. OVERVIEW OF THE ROLE

 The Head of People is a new role for the organsiation and you will be joining us at an exciting time, as we are moving into new offices and seek to drive forward our new 2025-2030 strategy.  This role will play a pivotal role in implementing our objective to be an employer of choice. maintaining and evolving our strong team culture, and strengthening our position as leader in evidence based management and leadership practices.  In this role you will be supported to develop the capacity, capability and human resource systems of the organisation to achieve impact at scale with a strong and effective team and will work in close collaboration with the CEO, the members of the Executive Leadership Team and Management Team as well as the Senior HR and Operations Officer.

The role

As Forward Action’s Partnerships Officer, you’ll support the Partnerships Director to build and maintain strong relationships with our partners, so we can help them achieve change on everything from climate change to refugee rights. 

In this fast-paced role, you’ll manage the administration side of our partnerships, from initial contact and briefing, through proposal management, all the way to issuing contracts and drafting scopes.
