We have an exciting opportunity for a Personal Assistant to join our Private Office team and support our Director General on a 6 month Fixed Term Contract.

As Personal Assistant (PA) to the Director General, you’ll be responsible for delivering first-class executive support, managing a complex schedule, coordinating high-level meetings and ensuring the smooth day-to-day running of the Director General’s office within the Private Office team.

You will manage significant internal and external relationships and work closely with our Head of Private Office, Chief of Staff, Governance team and other PAs across RBL to provide coordinated and consistent support. Reporting to our Head of Private Office, key responsibilities will include:

- Proactively manage the diary of the Director General - all appointments, meetings, and events are scheduled efficiently and in a timely manner
- Draft, review, and manage correspondence on behalf of the Director General, ensuring a high standard of professionalism and accuracy
- Take minutes at relevant meetings, capturing key action points and following up on actions
- Arrange travel and accommodation for the Director General as required, ensuring the details are thoroughly planned and confirmed in advance
- Undertake research tasks for the Director General, gathering detailed information, presenting supporting facts, figures, and recommendations for implementation

You will bring extensive experience supporting to senior management level and have outstanding communication skills, able to confidently communicate and engage with a range of stakeholders. Your ability to work at pace while supporting senior leaders will be second to none and you will have highly effective planning and organisational skills. Most importantly you will have a passion for your work and will be eager to utilise that to support the work of RBL. 

You will be contracted to our London, Haig House Hub with a minimum expectation of two days per week working in person at the Hub and flexibility for working remotely/at home when not on site.

With knowledge of the funding landscape for first responders, police, mental health, or wellbeing causes, you will take direct responsibility for income from Trusts & Foundations, Major Donors, and legacy fundraising, alongside oversight of our challenge and community events.
 
With strong research and writing skills, you’ll identify new funding opportunities and produce compelling, high-quality applications. You’ll also bring excellent relationship-building abilities, managing key donor relationships with care and ensuring grant compliance to maximise impact and income.

Main Responsibilities:

• Develop and deliver a trusts and foundations fundraising strategy to meet agreed income targets.

BACKGROUND

This is an exciting opportunity to join the legal aid casework team at Asylum Aid. You will be responsible for coordinating and delivering the billing of our legal aid work (including controlled work, certificated work and inter partes bills), which is vital to ensure the financial sustainability of our work. Asylum Aid holds legal aid contracts in the immigration & asylum and public law categories.

For thirty-five years, Asylum Aid has been providing legal representation to some of the most vulnerable people seeking asylum. We have built an expert service, delivering vital and life-saving services in some of the most complex legal cases, with a particular speciality working with unaccompanied children, survivors of trafficking, torture or other forms of human cruelty, and stateless people. Our vision is that all those in need of protection from persecution and other forms of human cruelty in the UK can obtain it, and are treated fairly and with dignity.

Since August 2020, Asylum Aid has been part of the Helen Bamber Foundation Group. Asylum Aid operates as an independent charity, led by its own Executive Director within the group structure, and is ambitious about growing its impact and reach in the future to ensure protection from persecution for those who need it. 

ABOUT THE ROLE

This role would suit a person with strong attention to detail and excellent organisational skills and numeracy. The ideal candidate will have already embarked on or be looking to develop a career providing excellent legal aid billing support and coordination essential to the financial sustainability of legal aid practice, whether within the charity sector or private practice. You will have a strong commitment to the values of Asylum Aid and an understanding of the importance of sound legal aid billing practices to our continued ability to provide our expert service to our clients. Prior experience is not essential as full training will be given and peer support is available.

The focus of the role of billing coordinator is to ensure the efficient and robust delivery of costing and billing of legal aid files conducted under Legal Aid Agency (LAA) contract (Legal Help / Controlled Legal Representation and certificated work) as well as liaising with external costs lawyers to oversee the preparation of Inter Partes bills and negotiations with the paying party where we have obtained an order for our costs in judicial review proceedings.  This includes reconciliation of Legal Aid Agency payments received and made, and to provide essential coordination within the organisation to support lawyers in ensuring files are billed promptly and accurately, and costs are maximized. The billing coordinator will work with the Director of Legal Casework to develop and maintain an effective tracking system to ensure timely progression from case closure to billing.

This role will work closely with the Legal Team of Asylum Aid and the Finance team of the Helen Bamber Foundation Group. You will also have access to the London Legal Support Trust Centres of Excellence legal aid billing peer support group and peer-to-peer support.

As this is a new role, there will be clear targets set as to the additional legal aid income brought in as a result of the extra capacity it will bring and a review will be undertaken after 12 months as to whether it is having the desired impact on our legal aid income.

Job Purpose

This role sits within our crisis alternative service, Safe Space, which is a core and out of hours service providing a safe and welcoming space for people who are feeling distressed and experiencing crisis. Our aim of the service is to keep individuals well in the community and prevent readmission into hospital. The service operates 365 days a year from 14:00-22:00pm across all of our boroughs.

Staff within the service will provide person-centred, practical and emotional support, face to face or via telephone or virtual on a one-to-one basis to individuals experiencing mental health crisis or preventing crisis.

The objectives of the service include:

• To improve the mental wellbeing of people experiencing mental health and social crisis in HFEH.
• To proactively work with keeping people well in the community to reduce re-admitters into hospitals by working with WL NHS teams (e.g. discharge, LPS, CATT, MINT and SPA)
• To provide a true alternative to A&E via a non-clinical drop-in service to support clients
• To provide support to clients accessing the service- for instance: signposting, de-escalation and crisis recovery planning.
• To contribute to an improvement in individual mental wellbeing.
• To remain a source of independent support for all clients.
• To treat service users with respect, dignity and personalised support
• To raise awareness of mental health services available with the goal to improve long term mental health and reduce social isolation
• To increase self-management skills of those accessing the service

Key Responsibilities

· To act as the managerial point of contact between the Trust’s Grantees & the Trust ensuring programme materials up to date.

Job Purpose

To manage and develop the home from hospital settle service in the hospitals that you are responsible for, to support timely and successful patient discharges from hospital and prevent re-admissions.  You will work in collaboration with hospital teams and community teams to lead and manage your team to support the smooth transition from hospital to home for service users.  The service works with people for time limited support (usually up to 6 weeks) to adjust and settle back in their homes, and to prevent readmission into hospital. 

Key Tasks

• Work in partnership with the hospitals and other health and social care professionals to coordinate safe and timely discharges for referred clients.  This involves attending meetings with hospital personnel including Discharge Co-ordinators and Ward Managers to discuss discharges and plan who and how individuals will be supported as appropriate. 
• Manage a team working across two hospitals and ensuring the service is available between the contracted hours.
• Work collaboratively with other agencies providing support services.
• Conduct initial assessments of people referred to the services as necessary.
• Plan and develop person centred interventions to provide short term support for people after hospital discharge.
• Work with GPs as appropriate in identifying and supporting patients to reduce unnecessary hospital admissions.
• Work with people with a range of needs, dealing with issues ranging from social isolation and keeping people engaged in their community, to preventing unnecessary admission to hospital.
